Outlook for accountants on Mac covers the core work: email, search, templates and the calendar. Set up a few built-in tools first, and most of the monthly grind gets shorter. Lazur sits beside the app and talks you through each step.

## Quick answer

- Check your version first. Microsoft says support for legacy Outlook for Mac ends in October 2026.
- Press ⇧⌘F (Shift+Command+F) to search client mail instead of scrolling through folders.
- Save repeated client emails with File > New > Mail From Template. You need version 15.35 or later.
- Use flags as your task list for now. Microsoft says Notes and Tasks views are not native yet.
- Lazur explains screens, points at buttons, guides you one click at a time and dictates text. It does not click for you.

Most accountants use Outlook for Mac for a few jobs. You answer client questions, chase documents, book review meetings and keep a paper trail. The app handles those jobs well enough. It also changes faster than most people expect. The sections below cover what to check, what to set up, and where the gaps are.

## Check your Outlook version before you change anything

Open Outlook and look at the menu bar. If you see Help with Revert to Legacy Outlook in it, you are in the new Outlook for Mac. That menu item is the switch back. Microsoft says support for legacy Outlook for Mac ends in October 2026, and continued support depends on your Microsoft 365, Office or Outlook license.

Do not switch just to test. Accounts added in the new app are not added to Legacy Outlook automatically, and the reverse is also true. After a switch, check that every mailbox you need is still there. Pick one version for the busy season and stick with it.

Check for updates too. The latest release listed is 16.114.3, dated October 27, 2026, and it carries quality and performance fixes only. The table shows what the recent releases changed for sorting, import and settings.

| Version | Released | What it changes for accountants |
| --- | --- | --- |
| 16.106 | Feb 10, 2026 | Sort messages by flag status, start date or due date |
| 16.108 | Apr 14, 2026 | Imports .msg files and redesigns Settings |
| 16.110 | Jun 16, 2026 | Adds PST import and Liquid Glass visuals |
| 16.111 | Jul 14, 2026 | Lets you edit messages in the Outbox before sending |
| 16.113 | Sep 16, 2026 | Adds work-hours settings |
| 16.114.3 | Oct 27, 2026 | Quality and performance fixes only |

_Recent Outlook for Mac releases that matter for client work_

The sorting change in 16.106 matters if you flag client emails. The Outbox edit in 16.111 matters when you catch a wrong figure just after clicking send. Read the release notes once a month. It takes a few minutes and saves you from surprises.

## How much time email takes you each week

Microsoft's Work Trend Index data says its heaviest 25% of email users spend 8.8 hours a week on email. That figure covers commercial customers in a window ending March 2023. It is not an accountant study. Treat it as a rough ceiling for heavy users, not a benchmark for your firm.

Karbon, a practice management vendor, says accountants often handle 100 to 200 emails a day. It puts that at about 24 hours a week in the inbox. Karbon does not cite a source for those numbers. Use them as a prompt to measure your own week, not as settled fact.

Measure one normal week. Count the emails you read, answer and file. Then note which kind takes the most minutes. Most people find a few client threads that take a share of the week out of proportion. Those threads are where templates, flags and search pay off first.

1. Sort your replies into groups: client questions, document chasing, internal mail and admin.
2. Time each group for one week with a plain notepad or a timer.
3. Find the group that takes the longest.
4. Fix that group first with a template, a flag or a search habit.

## Flags and tasks in Outlook for Mac

Tasks are the weak spot. A Microsoft Q&A user reported in May 2024 that New Outlook for Mac had no create-task option, and that email could not be dragged to To Do. Other replies in that thread disagree. Microsoft's own page says Notes and Tasks views are not native yet. Test before you rely on them.

> **Test before you trust:** Tasks, rules and templates in shared mailboxes have unclear support in New Outlook for Mac. Test each one with a single message before a busy week.

Flagging is the workaround that works for many people. Flag the client email. The user in that thread reported that the flagged email then appeared under Flagged emails in Microsoft To Do. Confirm that on your own account before you depend on it.

Use the 16.106 sort. You can sort messages by flag status, start date or due date. Put flagged client threads on top by due date, then work from the top each morning. A flag only helps when the list is short and honest.

Keep the rule simple. Flag only what needs an action from you. Remove the flag when the reply goes out. A flag that stays on for a month stops meaning anything, and then the list is noise.

Journal of Accountancy has published Outlook tips for accountants, including a To-Do Bar. Those tips cover the Windows desktop app, not the Mac. Ask Lazur to point at the task area on your screen before you assume it is there.

## Build email templates for client requests

Templates save time on the messages you send most often. The same document request goes out every month. The same engagement letter goes out every year. Build each one once, then reuse it.

Microsoft says the built-in template controls work in Outlook for Microsoft 365 for Mac, Outlook 2024 for Mac and Outlook 2021 for Mac, and in version 15.35 (170610) or later. To save a template, open a finished message, choose File, then Save As Template. To use one later, choose File > New > Mail From Template.

1. Write one clean message with the subject line, body and sign-off.
2. Replace client details with plain placeholders such as [Client name] and [Document list].
3. Choose File > Save As Template and give it a name that sorts well, such as Document request monthly.
4. Send a copy to yourself and check the sign-off and the attachment reminder.
5. Each month, open File > New > Mail From Template and pick the right one.

The My Templates add-in is a different tool. Microsoft says it works only with Microsoft Exchange accounts. It is not available in shared mailboxes opened in Outlook for Mac. If you do not see it, your organization may have add-ins turned off. Ask your IT admin before you spend time on it.

Keep templates short. A long template is harder to scan and easier to get wrong. Put the policy link on one line and let the client ask follow-up questions. Review every template at the start of each season, and delete any that still show old dates or old names.

## Search for client emails on Mac

Press ⇧⌘F (Shift+Command+F) to open search. Microsoft says Outlook for Mac uses Microsoft Search for this job. Type the client name, an invoice number or a document name. Short, distinctive words beat generic words like return or statement.

Search works best when your mail is consistent. Ask clients to reply in the same thread instead of starting new ones. Name attachments with the client name first, then the document type. Future you will find the file in seconds.

Edge case: if a search misses a message, check the folder it sits in. Archived mail and shared folders can sit outside the search you expect. Microsoft's support pages do not list every search scope, so test with one old thread first.

## Calendar tips for filing deadlines

The calendar offers a 3-day view, which Microsoft lists on its Outlook for Mac page. Use it in deadline weeks. You see the next few days of client calls, review blocks and filing dates without scrolling.

Suggested meeting times help when you book clients. Outlook proposes slots that fit the calendars it can see. Check the time zone before you send an invite. A client in another zone can see the same start time at a very different hour.

Work-hours settings arrived in version 16.113 on September 16, 2026. Set your real working hours, then check that suggested meeting times match your day.

Here is a simple example for a filing week. Block the days before the deadline for review, and make each block one event with a clear title. Send a short check-in invite to the client a few working days before the due date. A named block tells you at a glance what the day is for.

## Snooze, My Day and the follow-up list

Snooze moves a message out of your view until a time you choose. Use it for client replies you cannot act on yet. Microsoft lists Snooze among the features of Outlook for Mac, so it is part of the standard app.

Press ⇧⌘] to open My Day. It gives you a daily planning view in a task pane. Check what your copy shows on screen before you build a routine around it. The layout can differ between accounts.

Keep one follow-up list. Snooze or flag each message that waits on a client. Check that list at the same time every day. The habit matters more than the tool you pick.

## Signatures, rules and add-ins to verify

Signatures help with firm names, license numbers and disclaimers. Open Settings with ⌘, and search for signature. Microsoft's public pages do not give a full menu path for the new Outlook for Mac, so the Settings search is the fastest route. Send yourself a test message and check it on a phone.

Rules are the next question. Many accountants want rules that file client mail into folders. Microsoft's public pages did not confirm how rules work in New Outlook for Mac. Test one rule with one sender first. Confirm it moves the mail, then add more.

Add-ins are limited on the Mac. A Microsoft moderator said in a December 2025 Q&A thread that COM add-ins are Windows-only. The moderator pointed to Outlook web add-ins instead. If a Windows tool you use has no Mac version, check whether it has a web add-in.

## Shared mailboxes and delegate work

Many firms run a shared mailbox for tax questions or billing. The My Templates add-in does not work there in Outlook for Mac. Test the built-in templates in the shared mailbox before you rely on them. If they fail, keep the master copies in your own mailbox and paste text in.

Version 16.108 added .msg import, and 16.110 added PST import. Use them when you move old archives in. Back up the source files first. Test with one folder before you move a whole archive, so a bad import does not hide mail.

Ask IT whether delegate access is allowed on your mailbox. Microsoft's support pages do not settle that question for every firm. Delegate rules depend on how your organization set up Exchange or Microsoft 365.

## Mistakes accountants make in Outlook on Mac

- Relying on Tasks before you test them. Use flags and calendar blocks until a task feature works on your Mac.
- Keeping old templates. Review them each season and delete the ones with old figures or names.
- Searching with vague words. Use client names and document names instead.
- Skipping the version check. A new release can move a setting you rely on.
- Assuming Windows tips apply. Journal of Accountancy tips cover the Windows desktop app.
- Building a rule without a test. One bad rule can file a client's mail in the wrong folder.
- Forgetting time zones on invites. A correct time for you can be the wrong hour for the client.

## Where Lazur helps inside Outlook

Lazur is a voice assistant for the Mac. It lives in the notch. Hold ⌥⌘ and ask about anything on screen. Lazur sees your screen, points at things and answers out loud. It does not click buttons or operate Outlook for you.

Ask where something is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time. It waits for each click. That suits Outlook's changing menus, because you stay in control of the mouse.

Dictation works in Outlook too. Hold fn to dictate clean, formatted text at the cursor in any app. Snippets, a personal dictionary and clipboard slots help with the phrases you repeat for clients. Read every dictated reply before you send it.

Lazur is not a plugin or add-in for Outlook. Lazur is an independent app, separate from Microsoft and every other app maker. Lazur runs beside the app, not inside it. It is available on Mac only, and Windows is planned, not available.

## A month-end example, step by step

Here is a month-end week that uses the tools above. On the first day, flag the client threads that still need documents. Sort the list by due date. Block review time on the calendar before the client calls start.

1. Open File > New > Mail From Template and send the monthly request to each client.
2. Flag every reply you expect, and sort by due date.
3. Press ⇧⌘F and search a client name plus the document type to find last month's file.
4. Snooze the replies that wait on a client's bank statements until the day they arrive.
5. Ask Lazur to walk you through the next step whenever a menu confuses you.

The week runs on habit. Each morning, open My Day with ⇧⌘], clear the flags you finished, and snooze the rest. Keep templates short and flags honest. The week then feels like a list you can finish, not a pile you chase.

## Next steps

- Open Help and check your version, then read the latest release notes.
- Build two templates this week, one for document requests and one for engagement letters.
- Flag three real client threads and test whether a task feature appears on your Mac.
- Read the [Outlook guide for Mac](https://www.lazur.app/apps/outlook) and the [Excel guide for accountants](https://www.lazur.app/for/accountants/excel) if you work in both apps.
- Try Lazur with the free trial from [the download page](https://www.lazur.app/download). Compare plans on the [pricing page](https://www.lazur.app/pricing).

If you want more help on the accountant side, the [accountants hub](https://www.lazur.app/for/accountants) lists guides for Excel and Outlook. Start with one template and one flag. Add the rest once those two feel routine.

## FAQ

### Can I use Outlook for accountants on Mac without Lazur?

Yes. Outlook for Mac has search with ⇧⌘F, templates through File > New > Mail From Template, flags, Snooze and a 3-day calendar view. Lazur adds voice help, pointing and dictation on top of those tools.

### Which Outlook for Mac version do I need for templates?

Microsoft says the built-in template controls work in Outlook for Microsoft 365 for Mac, Outlook 2024 for Mac and Outlook 2021 for Mac. They also work in version 15.35 (170610) or later.

### Is the new Outlook for Mac the same as classic Outlook?

No. A Microsoft moderator said in a December 2025 Q&A thread that classic Outlook supports more features than New Outlook for Mac. Check the features you need before you switch or stay.

### How do I go back to Legacy Outlook on Mac?

Open Outlook, choose Help, then select Revert to Legacy Outlook. Accounts added in one version are not added to the other automatically. Microsoft says legacy support ends in October 2026.

### Can accountants create tasks from email in Outlook for Mac?

Not clearly. A May 2024 Microsoft Q&A user said there was no create-task option. In that thread, flagging an email showed it in Microsoft To Do. Test this on your own Mac first.

### Do my templates work in a shared mailbox?

The My Templates add-in does not work in shared mailboxes opened in Outlook for Mac. Microsoft's page does not settle the built-in templates there, so test them before you rely on them.

### Does Lazur click buttons for me in Outlook?

No. Lazur explains what is on screen, points at buttons, guides you one click at a time and dictates text. It does not click buttons or operate other apps for you.
