Excel for consultants on Mac runs the same core features as Windows, with different keys and a few settings that catch people out. This page covers the Mac fixes, the file rules that break client work, and the questions you can ask Lazur while you work.

## Quick answer

- Mac Excel uses Cmd and Option where Windows uses Ctrl and Alt. Some Ctrl shortcuts do not work with the Control key on a Mac, so test the ones you rely on.
- CSV and text export save only the active sheet and drop formulas. Save each sheet separately when a client needs every tab.
- Excel for Mac cannot store VBA macros in .xlsx. Save macro workbooks as .xlsm instead.
- Copilot in Excel needs a qualifying plan, and Copilot editing needs Calculation Options set to Automatic.
- Lazur helps by voice. Hold ⌥⌘ to ask about the screen, and Lazur answers out loud. It does not click or edit for you.

If you use Excel every day on a Mac, the basics are not the problem. The problems sit at the edges. A client sends a CSV with mixed date formats. A model breaks after someone renames a tab. A shortcut from a Windows training video does nothing on your keyboard. This page is for consultants who live in Excel on macOS and want fewer of those moments. It covers the Mac keyboard, the file settings that matter for client work, a cleanup example, and where Lazur fits. Microsoft's startup guide covers Microsoft 365, Excel 2024 and Excel 2021 for Mac, so the setup steps apply to all three.

## What consultants actually ask Excel to do on a Mac

Consultants rarely build one large model from scratch. The work is smaller and more urgent. You merge exports from two systems, remove duplicate client names, and build a summary table for a slide. Then someone asks why a total moved overnight. Each task is short, but they stack up all day. The hardest part is trust. You need to know the numbers are right before they leave your laptop. Public research on consultants' Excel use is thin, so the figures below come from finance teams instead. Finance work is close to consulting work, but it is not the same job.

- **81%** of 212 finance professionals spend at least 6 hours a month fixing Excel errors ([source](https://www.cfo.com/news/54-of-gen-z-finance-employees-are-loving-microsoft-excel-cfo-/807516/))
- **99%** say they have found a material Excel error before sharing work externally ([source](https://www.cfo.com/news/54-of-gen-z-finance-employees-are-loving-microsoft-excel-cfo-/807516/))
- **28%** name data consolidation as their top Excel frustration ([source](https://www.cfo.com/news/54-of-gen-z-finance-employees-are-loving-microsoft-excel-cfo-/807516/))

The stats come from a 2025 survey of 212 finance professionals by Datarails, a company that sells finance software. The answers are self-reported, and the vendor has a product to sell. Treat the figures as a signal, not a benchmark. Two points still matter for you. The top complaints are about moving and fixing data, not about formulas. Nearly everyone has caught a material error before sharing work outside the team, so a client-facing number deserves a second check every time. A 2022 survey of 200 CFOs found that 41% of them name identifying and correcting errors as their biggest manual challenge. That survey is older, so treat it as background.

- Data consolidation: 28 %

- Version control: 22 %
- Collaboration: 14 %
- Error hunting: 13 %

## Excel keyboard shortcuts for Mac: what differs from Windows

Most Excel shortcuts you know from Windows still work on a Mac. The keys have different names, though. Microsoft's shortcut table lists Cmd and Ctrl versions side by side. Not every Ctrl combination works with the Control key on a Mac, so test the ones you use daily. Write down which key works. Five differences cause most of the trouble.

- New line inside a cell: Option+Return or Ctrl+Option+Return. Windows uses Alt+Enter.
- Arrow keys move between cells only when Scroll Lock is off. If the arrows seem stuck, check that key first.
- F2 and the copy and paste keys need Fn, unless you turn on 'Use F1, F2 etc. as standard function keys' in System Settings > Keyboard.
- Ctrl+Spacebar, which selects a column on Windows, can clash with a macOS shortcut. Clear the matching box under System Settings > Keyboard > Keyboard Shortcuts.
- Format Cells opens with Cmd+1 on a Mac. Ctrl+1 does the same job on Windows.

Here is a worked example. You press Ctrl+Spacebar to select a column, and nothing happens. Before you blame the workbook, open System Settings > Keyboard > Keyboard Shortcuts. Find the macOS shortcut that uses the same keys and clear its box. Then test again in a blank workbook. If the keys still fail, the problem sits in your keyboard settings, not in Excel. Ask Lazur what a key does while you work, and it answers out loud.

## Set up Excel on Mac once, with startup folders and templates

Excel can open the Workbook Gallery when it launches. If you always start from the same client folder, turn that off. Go to Excel > Preferences > Authoring > General. There you choose the folder Excel opens at startup. You can also turn off the Workbook Gallery on launch from the same screen. This takes less time than one bad client file, and you only do it once. The steps match across Microsoft 365, Excel 2024 and Excel 2021 for Mac.

Consultants reuse the same model shell for every client. Save that shell as a default template, and Excel starts from it. Save the file as Book.xltx in ~/Library/Group Containers/UBF8T346G9.Office/User Content/Start-up/Excel, then restart Excel. Save it as Book.xltm instead if the template holds macros. Personal templates follow a different path. Microsoft sets them in Word, because Word and Excel share that folder. Open Word > Preferences > File Locations > User templates. Then check the Personal tab under New from Template in Excel.

## Excel file formats on Mac that break client work

The file format decides what survives the trip. Three rules matter most. First, Excel for Mac cannot store VBA macros in .xlsx or .xltx files. Save a macro workbook as .xlsm, or as .xltm for a template. Second, CSV and text export options save only the active sheet, and they lose formulas and formatting. Save each sheet separately when a client needs every tab. Third, Microsoft's file-formats page lists no maximum row or sheet counts for Mac. Test with your real data size before you promise a turnaround.

| Format | Keeps formulas | Keeps macros | Use it for |
| --- | --- | --- | --- |
| .xlsx | Yes | No | Client-ready files with no macros |
| .xlsm | Yes | Yes | Workbooks that run VBA macros |
| .xltx | Yes | No | Template files with no macros |
| .csv | No | No | One sheet of raw data for another tool |

_What each format keeps, based on Microsoft's Mac file-format page._

> **Macros do not survive .xlsx:** Saving a macro workbook as .xlsx leaves the macros behind. Keep the .xlsm as the working copy, and send a .xlsx only when the client has no use for the code.

## Worked example: cleaning a client export before it goes in a deck

Say a client sends a sheet of accounts. Names sit in column A, and revenue sits in column C. Some names have trailing spaces. Some revenue values are text, so they do not add up. Some rows appear twice. Start by copying the raw tab, so the original stays intact. Then build the clean version beside it. This is the order that works on a Mac.

1. Copy the raw data to a new tab named Raw. Never edit that tab again.
2. In a helper column, type =TRIM(A2) and fill it down. Trailing spaces stop matches without showing any error.
3. Select the data and go to Data > Data Tools > Remove Duplicates. Check which columns define a duplicate before you confirm.
4. Select the revenue column and go to Data > Data Tools > Text to Columns. Finish the dialog to turn text numbers into real numbers, then check the total with SUM.
5. Turn the clean range into a table and name it when you create it. That option reached Mac in the October 2026 update, so your copy may lag.

Once the table is clean, match it to a second list. XLOOKUP is the safer choice here, because it does not depend on a column number the way VLOOKUP does. Try =XLOOKUP(TRIM(A2),Clients[Name],Clients[Region],"Not found") if your client table is named Clients. The label matters. A blank cell looks like real data to a reader, while Not found shows you the gap during review.

## Copilot in Excel on Mac: who gets it and what it needs

Copilot in Excel runs on Mac, and it needs a qualifying plan. The list includes Microsoft 365 Personal or Family with an AI credits plan, Microsoft 365 Premium, a commercial Microsoft Copilot subscription, and a Copilot Chat-eligible business or enterprise subscription. Enterprise access also depends on your tenant setup. Edit, chat and plan modes are available on Mac. Edit mode works only when Calculation Options is set to Automatic, which you find on the Formulas tab. If your firm requires SharePoint check-out, Copilot does not work on those files on Mac.

The October 2026 update adds a clean-data skill for Copilot in Excel. It checks for extra spaces, mixed formats, duplicates and wrong data types. Call it with @clean-data or from the Skills menu. Microsoft says the skill is rolling out to general availability on all platforms, including Mac. Rolling out means your Mac may not have it yet. Run it on a copy of the raw tab, then read every change before you accept it.

## Where Lazur fits while you work in Excel

Lazur is a voice assistant for the Mac. It lives in the notch. Hold ⌥⌘ to ask about anything on screen, and Lazur answers out loud. Ask where a button is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time. It waits for each click before it moves on. Lazur does not click for you, edit your files or operate Excel. It is not an add-in for Excel, and no app maker has partnered with it.

Where does it help most? Ask about the tasks that cost you a search. Those are the menus you forget, the formula that returns a strange error, and the setting you changed last month and cannot find now. Ask in plain words. Lazur looks at the screen only while you hold the shortcut, so the question you ask is the question it answers.

- Where is Remove Duplicates on this ribbon? Lazur circles it and labels it.
- Walk me through setting Calculation Options to Automatic. Lazur guides you one click at a time.
- Why does this XLOOKUP return a blank? Lazur explains the likely cause out loud.
- Hold fn and dictate a note about the restated total. The text lands at the cursor.

Dictation runs in any app, so the same hold works in Excel cells and in your email. Hold fn to dictate clean, formatted text at the cursor. Add client names and firm terms to the personal dictionary, so they come out right. Snippets cover the boilerplate you type every week, such as the footer for a status note. Clipboard slots help when you move a value from one sheet to another.

## Privacy and client data before you ask an AI anything

Client data needs care, and this is the part to read twice. Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers so they can answer. They are not stored. Content is never used to train AI models. Those are the product's stated rules. Your client contract and your firm's policy decide what you may share. Check them before you ask about a sheet with personal data or unreleased numbers. If a rule says no outside tools, the rule wins.

![Desk with a notebook, printed charts and a laptop for a client analysis project](https://lfobmih1tpj3sgpo.public.blob.vercel-storage.com/content-images/role-app/consultants-excel/excel-for-consultants-on-mac-3-d43893.jpg)

Lazur runs on macOS, on Apple silicon and Intel Macs. If your team uses Windows laptops, Lazur is not an option yet, because Windows is planned but not available. The file tips in this guide still help on a Windows machine, though the key names will differ.

## Mistakes consultants make in Excel on Mac

- Pasting a client CSV and trusting the first pass. Excel can change dates and long numbers on import, and leading zeros can vanish. Format ID columns as Text before you paste.
- Editing the raw tab. Once the raw data changes, you cannot show the client what they originally sent.
- Saving a macro workbook as .xlsx. Excel for Mac cannot store VBA macros in that format.
- Exporting one CSV for a client who needs every sheet. CSV keeps only the active sheet.
- Checking the total once. If Calculation Options is set to Manual, the number on screen can be out of date.

A simple habit catches most of these. Add a check cell that sums the raw column and sums the clean column. Put a label beside the difference. If the difference is not zero, stop and find the step that changed it. Ask Lazur to explain a formula you do not understand before you send anything out.

## What to do next

Start with the keys and the file settings. Set your startup folder, save a default template, and test the file formats on a sample. Then run one cleanup on a copy of real data, using the steps above. When the numbers move to slides, the [PowerPoint guide for consultants](https://www.lazur.app/for/consultants/powerpoint) covers charts and layouts. For pivot tables, read [how to make a pivot table in Excel on Mac](https://www.lazur.app/how-to/make-a-pivot-table-in-excel).

If you want Lazur, [download it](https://www.lazur.app/download) and start the free trial, which needs no credit card. Compare plans on the [pricing page](https://www.lazur.app/pricing) before you commit. Lazur runs on macOS only, so confirm that your machine qualifies first.

## With Lazur

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ and ask; it sees your screen, answers out loud, points at buttons and walks you through apps. Hold fn to dictate. Free for 3 days, then $18/month: https://www.lazur.app/download

- “Why does this lookup say Not found?”: Lazur reads the formula and the cell it points to, then explains the likely cause out loud. (Explains what's on screen)
- “Where is Remove Duplicates?”: Lazur circles the button on the Data tab and labels it, so you find it in one look.
- “Walk me through setting Calculation Options to Automatic.”: Lazur guides you one click at a time and waits for each click before the next step.
- “Why does this lookup return Not found?”: Lazur reads the formula and the cell it points to, then explains the likely cause out loud.
- “Draft a short note telling the client the total changed after the cleanup.”: Lazur drafts the text. You check the numbers, then paste it into your email or deck.
- “Dictate my status note, then drop it at the cursor.”: Hold fn and speak. Clean, formatted text lands at the cursor in any app.
- “Find the tab that has the Q3 totals.”: Lazur points at the tab and labels it on screen, so you do not hunt through every sheet.
- “Research the Copilot plan rules for our firm's subscription.”: Lazur runs the search in its own Chrome tabs and returns a summary and a report.

## FAQ

### Does Lazur do the Excel work for me?

No. Lazur answers out loud, points at things, and guides you one click at a time. It does not click buttons, edit your files, or operate Excel. You make every change yourself, which matters when a client file is open.

### Is Excel for consultants on Mac different from Excel on Windows?

The core features match, but the keys differ. Mac uses Cmd and Option where Windows uses Ctrl and Alt. A new line in a cell uses Option+Return, not Alt+Enter. Not every Ctrl shortcut works with the Control key on a Mac, so test the ones you use.

### Which Excel versions do the Mac startup steps cover?

Microsoft's startup guide applies to Microsoft 365 for Mac, Excel 2024 for Mac and Excel 2021 for Mac. Menu names can change between updates, so check the menu bar if a step does not match what you see.

### Does Lazur work on Windows?

No. Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, but it is not available yet.

### Can I use Copilot in Excel on a Mac with any Microsoft 365 plan?

No. Copilot in Excel needs a qualifying plan, such as Microsoft 365 Premium or a Copilot Chat-eligible business subscription. Enterprise access also depends on your tenant setup. Check Microsoft's Copilot in Excel FAQ and ask your IT team.

### Why does my CSV export show only one sheet?

CSV and text export options save only the active sheet, and they drop formulas and formatting. Save each sheet as its own file when you need all of them. Keep the original .xlsx or .xlsm as the master copy.

### Does Microsoft list a maximum row count for Excel on Mac?

Not on the file-formats page. That page lists supported formats and what each one keeps, but it gives no row or sheet limits for Mac. Test with a copy of your real data size before you promise a turnaround.

### Can I send client data to Lazur?

Lazur listens and looks only while you hold the shortcut. Audio and screenshots go to AI providers to answer, and they are not stored. Content is never used to train AI models. Your client contract and firm policy still decide what you may share, so check them first.
