To use Outlook for nurses on Mac well, set up templates, check your version, and keep your calendar easy to read. Those three steps handle most of a nurse's email day. This page covers the Outlook steps first, then shows where Lazur helps and where it does not.

## Quick answer

- Check your version first with Outlook > About Outlook. Built-in templates need Microsoft 365 and version 15.35 (170610) or later.
- Save repeat messages as templates with File > Save As Template, then reuse them with File > New > Mail From Template.
- Quick Steps may not exist on Mac. Check your menus before you plan around them.
- Lazur points at things, guides you one click at a time, and drafts or dictates text. It does not click for you.

Email shares the shift with everything else. You chart, you check on patients, and a message pops up in the middle of a task. One study of electronic health record work measured what that looks like. Researchers observed 145 complete nurse shifts. Nurses spent a mean of 84.69 minutes per shift on EHR tasks.

![Nurse at a laptop reviewing email at a hospital desk during a shift](https://lfobmih1tpj3sgpo.public.blob.vercel-storage.com/content-images/role-app/nurses-outlook/outlook-for-nurses-on-mac-1-6419a6.jpg)

- **84.69 minutes** Mean EHR task time per nurse shift in an observational study of 145 shifts. The study did not measure email. ([source](https://pmc.ncbi.nlm.nih.gov/articles/PMC9996908))
- **71.37%** Share of 2,871 interruptions during those shifts that led to a task switch ([source](https://pmc.ncbi.nlm.nih.gov/articles/PMC9996908))
- **15.3** Messages per day that active nurses averaged with interns on a smartphone app, not email ([source](https://medinform.jmir.org/2025/1/e66859))
- **16.114.3** Latest Outlook for Mac build in Microsoft's release notes, dated October 27, 2026 ([source](https://learn.microsoft.com/en-us/officeupdates/release-notes-office-for-mac))

The same study logged 2,871 interruptions. Of those, 71.37% led to task switching. Another 28.63% led to concurrent multitasking. Most interruptions pull you off the task you were doing. Email works the same way. A message that asks for a reply drags you away from the chart, and then you must find your place again.

That is the case for setup. Templates give you ready text, so a reply takes less thought. A calendar you can read at a glance keeps swap requests from turning into guesswork. Dictation keeps your hands free. None of this removes the work. It reduces the number of decisions you make in the middle of a task.

## Check your Outlook version before you follow any steps

Open Outlook and choose Outlook > About Outlook. Note the version number. Microsoft's release notes list Outlook for Mac 16.114 from October 14, 2026. They list 16.114.1 on October 22, 16.114.2 on October 26, and 16.114.3 on October 27, 2026. If your number is lower, update before you follow the steps on this page. On a work Mac, ask your IT team how updates arrive.

Two version rules matter for templates. Built-in templates need a Microsoft 365 subscription. They also need Outlook for Mac version 15.35 (170610) or later. If you run an older build, some File menu items may be missing. Check first, so you do not chase a menu that is not there.

Legacy Outlook for Mac has a retirement date too. Microsoft says support for legacy Outlook for Mac ends in October 2026. Continued support depends on your Microsoft 365, Office, or Outlook license. That month has passed as of this writing. Third-party pages give different end dates, so do not plan around one exact day.

Microsoft's page describes switching back with Help > Revert to Legacy Outlook. Do not switch apps on a work Mac without your IT team. A June 2026 update added a Liquid Glass look and PST import, according to 9to5Mac. That article gives no version number, so use Outlook > About Outlook to confirm what you have.

## Build templates for the messages you send every shift

Start with the three messages you type most often. Many nurses write a shift swap request, a late arrival note, and a question to the charge nurse about supplies or beds. Write each one once in plain words. Put blanks in square brackets, such as [date], [shift], and [unit]. Then save the message as a template.

1. Open a new message and write the text. Keep patient names and record numbers out.
2. Choose File > Save As Template, and give it a name with a prefix such as SWAP or LATE.
3. To use it later, choose File > New > Mail From Template.
4. Pick the template, fill the brackets, and check the recipient line.
5. Read the message once, then press Send yourself.

Here is a swap request that works on most units. Hi [name], I am asking to swap my [date] [shift] with yours. I can cover [date] [shift] in return. Thanks. That is the whole message. Short messages leave less to misread, and a reader can answer in one line.

Check what goes into the template before you save it. Read your hospital's policy on patient information in email first. Do not put patient names, room numbers, or record numbers in a saved template. When in doubt, keep the template for scheduling only. Scheduling text rarely needs anything more.

The most common mistake is saving a template from a reply. The old thread comes along, including names and older dates you forgot about. Open a clean new message, write the text, and save from that. Then test the template on yourself before a busy shift.

## Use My Templates if your hospital uses Exchange

Some hospitals run Exchange accounts. In a New Mail message, go to New Mail > My Templates > +Template to add a template. Microsoft says this add-in works only with Exchange accounts. It does not work in shared mailboxes opened in Outlook for Mac. Many nursing teams use shared unit inboxes, so test before you rely on it.

| Task | Menu path on Mac | Check first |
| --- | --- | --- |
| Save a template | File > Save As Template | Microsoft 365 and version 15.35 (170610) or later |
| Use a saved template | File > New > Mail From Template | Same version requirement |
| Add a template in Exchange | New Mail > My Templates > +Template | Exchange account, not a shared mailbox |
| Quick Steps | Check your menus | Microsoft's article does not cover Mac |

_Menu paths from Microsoft's template article and Outlook for Mac page._

If you do not see My Templates, your administrator may have add-ins turned off. Ask IT before you try another way to add it. Microsoft's article gives no numbers for template limits, so do not assume you have unlimited room. Keep your list short and useful.

## Quick Steps on Mac: check before you count on them

Quick Steps let you run several actions with one click, such as move and flag. Microsoft's Quick steps article covers New Outlook, Classic Outlook for Windows, and the web. It does not mention Mac. A 2024 Microsoft Community answer said Quick Steps were not available in Outlook for Mac at that time. It gave no date for a change.

Newer builds may have added them, so check the menus on your own version. If you cannot find Quick Steps, plan around templates and rules instead. Ask Lazur to point at the menu that holds your rules. Lazur draws a circle and a label around the item on your screen.

## Calendar tools for shift swaps and huddles

Microsoft lists a My Day agenda pane, suggested meeting times, and a 3-day calendar view for Outlook for Mac. A 3-day view shows the day before, the day of, and the day after. Swap problems often hide in those neighbouring days. Look there before you accept a swap, so you do not double-book yourself.

Here is a simple example. A colleague offers to trade a night shift. Switch to the 3-day view and check your own calendar for the days on either side. Reply from your swap template. If you accept, update the event title so the next person sees the change.

A common mistake is leaving an old event on the calendar after a swap. The posted schedule may be right while your calendar still shows the old shift. Pick one source of truth, usually the posted schedule. Update your calendar the same day the swap is final.

## Snooze, MailTips and Resend Message

Snooze hides a message until a time you pick, so it returns when you can deal with it. Use it for messages that need an answer after your shift. Only snooze to a time you will keep. Otherwise the message sits out of sight, and you forget it. MailTips shows warnings while you write, before you send.

Resend Message is also on Microsoft's feature list for Outlook for Mac. Test each feature on a note to yourself first. That way you learn what it does before a real handoff depends on it. A test takes less effort than a missed message.

## Find the email you need during a busy shift

Outlook for Mac search is powered by Microsoft Search, according to Microsoft's Outlook for Mac page. Search with a surname, a word from the subject, or a date. Short search terms are easier to get right on a busy day. If the results are too many, add the sender. Open a message only after you see the right subject line.

Lazur can help when a search still fails. Ask where the policy email is, and Lazur draws a circle and a label around it on your screen. It points. It does not open the message for you.

## Dictate replies with fn when your hands are busy

Hold fn to dictate clean, formatted text at the cursor in any app. That includes the Outlook compose window. Snippets save phrases you use every shift. The personal dictionary keeps unit names and drug names spelled the way you write them. Clipboard slots hold text you need to paste again.

Dictation has limits, and you should plan for them. It can misread a name, a unit number, or a time. Read every reply once before you press Send. Dictation is unlimited on Lazur's plans, so practise on low-stakes replies first. To see how your speaking pace compares with typing, try the [speaking vs typing test](https://www.lazur.app/tools/speaking-vs-typing-test). For notes and handoffs, read the [dictation guide for nurses](https://www.lazur.app/for/nurses).

## What Lazur does in Outlook, and what it does not do

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥⌘ to ask about anything on screen, and Lazur answers out loud. Ask how to do something, and Lazur guides you one click at a time, waiting for each click. Ask where something is, and it draws a circle and a label around it.

Lazur does not click buttons, edit files, or operate other apps for you. It is not a plugin or add-in for Outlook or any other app. It has no partnerships with any app maker. In Outlook, it drafts and types text, points at things, and answers questions about the screen. You stay in control of Send.

## Privacy rules for nurses who write email

Lazur listens and looks at the screen only while you hold its shortcut. Audio and the screenshot go to AI providers to answer you, and they are not stored. Content is never used to train AI models. Memory of what you asked stays on the Mac.

That still matters on a unit. If a patient record is on screen when you hold the shortcut, that screen goes to an AI provider for the answer. Close the record first. Follow your hospital's policy on patient information in email and in any AI tool. If the policy is unclear, ask your privacy officer before you use voice tools near patient data.

## Common mistakes nurses make with Outlook on Mac

- Saving a template from a reply, which brings old names and dates with it.
- Keeping patient names or room numbers inside a saved template.
- Looking for Quick Steps without checking whether your version has them.
- Using My Templates in a shared unit inbox, where it does not work.
- Sending dictated text without reading it. Names and times go wrong.
- Skipping the version check, then wondering why a menu is missing.

## A worked example: a late arrival note from start to send

1. Choose File > New > Mail From Template and pick your LATE template.
2. Fill the brackets with your time and the unit name.
3. Hold fn and dictate one extra line, such as who you told.
4. Read the whole note once, and check each name and time.
5. Press Send yourself.

Lazur can help at the first step if you forget the path. Ask how to start a template, and it guides you one click at a time. It waits for each click before it moves on. It does not fill the brackets or send the note for you.

## Messages during a shift, not just email

Email is one channel among several. In a study at Tufts Medical Center, active nurses averaged 15.3 messages per day with interns on a smartphone app. That paper measured secure messaging, not email, so treat the number as context. The pattern still applies. Messages break up the work you were doing.

Batch your replies where you can. Check Outlook at set points, such as the start of a break, if your unit allows it. Keep templates ready so each reply takes less thought. The goal is fewer restarts, not fewer messages.

## What to do next

1. Check Outlook > About Outlook and note the version number.
2. Save your three most common messages as templates.
3. Open the calendar in the 3-day view before your next swap.
4. Test fn dictation on one low-stakes reply.
5. Ask Lazur to point at anything you cannot find.

Start with the first two steps. The rest can wait for a quiet stretch on your next shift. Once the templates exist, most of the daily email work gets shorter. Pricing and plan details live on the [pricing page](https://www.lazur.app/pricing).
