Word for nurses on Mac is Microsoft Word for macOS. Nurses use it for shift handoff sheets, SBAR layouts and nursing note templates, then move the finished text to the system their facility approves. It works well for these jobs once you set up a few templates and learn where the Mac menus differ from Windows. This page covers both, and shows where Lazur fits in.

## Quick answer

- Save a handoff or SBAR layout with File > Save as Template, choosing .dotx unless the file has macros.
- Open saved templates with File > New from Template. The Windows path File > New > Personal does not apply on Mac.
- Mac Word cannot apply a template to an existing document. Copy and paste the body text into the new template.
- Check your Office version before July 13, 2026. Some Mac subscribers and Office 2021 or 2019 users may lose the ability to save.
- Hold fn to dictate at the cursor and hold Option and Command to ask Lazur. Keep patient identifiers off screen and follow your facility policy.

## What nurses use Word for on a Mac

Most nursing work in Word is document work, not charting. Think of the handoff sheet you fill in before you leave a shift, or the SBAR layout you read from during a call to a provider. Word handles those well because you set the layout once and reuse it.

Other common jobs include watch-list sheets, unit checklists, audit tools and patient education handouts written in plain language. Some nurses also draft a report or a policy question in Word, then move the final text into the system their facility approves. Word is a good place for drafts. It is not the chart.

- Shift handoff sheets with room, watch items and to-do lists
- SBAR layouts for calls to a provider
- Unit forms, checklists and audit tools
- Plain-language patient education handouts
- Drafts you paste into your facility system later

The sources for this page do not measure how often nurses use Word. Treat the list as practical work, not a survey result. Your unit's own forms will tell you more than any general list.

## Build a shift handoff template you can reuse

Start with one clean page. Type the headings your unit uses, then choose File > Save as Template. For most layouts, pick Microsoft Word template (.dotx). Choose Macro-Enabled template (.dotm) only when the file contains macros, and check your facility policy first.

By default, Mac Word saves the template to the Templates folder in your user Library, under Group Containers. You do not need to find that folder yourself. Word lists your templates when you open File > New from Template.

Give the file a name that tells you what it is, such as Handoff Med Surg Day. Remove any real patient details before you save. A template should hold the layout only. Every shift should start from a blank copy.

## Open a template on Mac without the Windows steps

On Word for Mac, go to File > New from Template and pick your template from the list. You can also type part of the name into the Search All Templates box. Both routes open a fresh copy, so your original stays unchanged.

Many guides online still show the Windows path, File > New > Personal. That path does not appear in the Mac steps Microsoft gives for the same task. Older Mac guides mention Tools > Templates and Add-Ins instead. That menu does something narrower, covered in the next section.

You can also build a new template from a similar one. Open the existing template, change the headings and layout, then save it under a new name. This is faster than starting from a blank page when your unit already has a form that is close.

## Why Mac Word cannot apply a template to an old document

This is the snag most people hit first. You already wrote a handoff sheet, and you want the unit layout on it. On Mac Word, you cannot push a template onto that document and get the headers, footers and page setup in one step.

A Microsoft Q&A thread on this exact problem found that attaching a template under Tools > Templates and Add-Ins > Document Template only imports styles. The most-voted answer in that thread says copy and paste is the only way to bring the rest across.

Here is the workaround. Open the new template, paste the body text from the old file, then check the headers and footers by hand. Use Edit > Paste Special when the old file has odd formatting, so you keep only the text. Then check every table row before you print.

## A worked example: one SBAR sheet from start to finish

SBAR stands for Situation, Background, Assessment and Recommendation. Use the same four headings in the same order every time. That habit makes the sheet easy to scan during a call, and it makes the template easier to reuse.

1. Open a blank document and type the four SBAR headings, one per line.
2. Select each heading and apply Heading 1 from the Styles gallery on the Home tab.
3. Under each heading, add a short bulleted list using the bullets button on the Home tab.
4. Set the page size and margins from the Layout tab, then look at the preview in File > Print.
5. Choose File > Save as Template, pick .dotx, and name the file for your unit.

Test the template with sample text before you rely on it. If the sheet runs onto a second page, cut lines first. Tight margins look fine on screen and can fail at the printer.

## Which section holds what on a handoff sheet

| Section | What goes here | Word habit that helps |
| --- | --- | --- |
| Room and bed | Room and bed only, if your policy allows it | Use a small table so the columns line up when printed |
| Watch items | Changes since the last shift | Bulleted list from the Home tab, one item per line |
| To do | Pending calls, orders to check and follow-up tasks | Checkbox symbols from Insert > Symbol |
| Situation and background | Short, plain sentences | Heading styles so each section stands out |
| Sign-off | Your name, time and signature line if your unit requires one | Insert > Date & Time for the time stamp |

## Use styles so headings and print stay consistent

Headings you type by hand drift. One looks bold, another is a different size, and the printout looks messy. Use styles instead. Select a heading, then pick a style from the Styles gallery on the Home tab. Change the style once, and every heading with that style updates.

Styles also explain what Tools > Templates and Add-Ins does. It imports styles from a template into the open document. It does not move the full page layout. That is why headings can match after you attach a template, while headers and footers still need to be copied by hand.

## Read a handoff sheet out loud with Read Aloud in Word for Mac

Read Aloud lives inside Immersive Reader. Microsoft lists Immersive Reader for Word for Microsoft 365 on Mac, Word 2024 on Mac and Word 2021 on Mac. On Mac, Read Aloud highlights each word as it reads, so you can follow the text on screen.

Playback controls change the speed and the voice. Slow it down when you check a dense sheet for missing words, or listen while you look at the printed copy. Read Aloud catches some errors. It does not check clinical content, so read the sheet yourself too.

If you cannot find Immersive Reader on the ribbon, ask Lazur to point at it. Lazur circles the control and labels it. You do the clicking.

## Check your Office version before July 13, 2026

This check matters more than any shortcut on this page. Microsoft says that from July 13, 2026, some Microsoft 365 subscribers on macOS may enter reduced functionality mode.

Users of non-subscription Office 2021 or Office 2019 on macOS may also see it. In that mode, Word still opens and prints. It cannot change or store files. A template you cannot save is a template you cannot use.

Start by checking your version. Open Word > About Word and read the version and build. Microsoft's update history lists version 16.114.4, build 26110224, as the most recent Office for Mac release, dated November 4, 2026.

If your copy is older, follow Microsoft's guide called Update Microsoft 365 or Office on your macOS or iOS device. Microsoft points affected users there. The sources for this page do not confirm how widely the change is enforced, so ask your IT team whether your license is affected.

## Dictate notes at the cursor with Lazur

Hold fn and speak. Lazur dictates clean, formatted text at the cursor in any app, Word included. Snippets, a personal dictionary and clipboard slots help with the phrases you repeat every shift.

Dictation works best for a summary you already understand. Start with the room, the watch items and the to-do list. Speak in short phrases. Check every line before you save, because any voice tool can mishear a name, a dose or a unit abbreviation.

Add unit abbreviations to the personal dictionary once. After that, you say them the same way every shift. Dictation is unlimited on both paid plans, so you can use it on busy days without counting.

## Ask Lazur where something is and how to do it

Hold Option and Command together to ask about anything on screen. Lazur sees your screen while you hold the shortcut, and it answers out loud. Ask 'where is Save as Template' and Lazur draws a circle and a label around the menu item.

Ask 'how do I' and Lazur guides you one click at a time. It waits for each click before it gives the next step. Lazur does not click buttons, edit files or operate other apps for you. You stay in control of the mouse and the keyboard.

## Keep patient information out of AI tools and files

Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer. They are not stored, and content is never used to train AI models. Those facts describe how Lazur works, not what your facility allows.

Your facility policy decides what you may show an AI tool. Before you hold the shortcut, close any window with a patient name, a medical record number or a date of birth. Ask your privacy or IT team if you are unsure.

Mind where Word files go too. A handoff template saved to the Desktop of a shared computer can outlive your shift. Save drafts only where your policy allows, and delete any file that holds patient details once you no longer need it.

## Where the time goes, and what Word can fix

The numbers above measure electronic records, not Word. A 2022 Cleveland Clinic article reports that a typical inpatient nurse spent about 123 minutes per shift navigating the electronic record. That figure comes from one health system and one article.

An NYU study included 20 registered nurses in focus groups. Vendor time data from February 2023 showed flowsheet documentation took 31.11% of a 12-hour nursing shift. Participants estimated that 10% to 50% of their shift goes to EHR documentation. Many considered that amount appropriate.

What does that mean for Word? Word cannot shorten charting in your EHR. It can remove some repeated work, such as rebuilding the same handoff sheet, retyping the same SBAR headings or hunting for the right unit form. That is the work this page covers.

## Common mistakes nurses make in Word on a Mac

- Following Windows menu paths, such as File > New > Personal, which the Mac steps do not show
- Trying to apply a template to an old document, then losing time before the copy and paste fix
- Choosing .dotm for a file with no macros, which adds a setting you do not need
- Leaving patient names in a template or in a saved draft
- Waiting on Office updates until the first failed save
- Trusting dictation or Read Aloud without a full read-through

Most of these come down to one habit. Check the file before it leaves your screen. A quick read at the end of a shift catches more errors than any setting.

## Edge cases: shared computers, macros and older Office

Shared computers change the picture. Your templates live in your user Library, so they may not follow you to another login on the same Mac. Ask IT where shared templates should live, if your unit keeps them.

Macros need care. A macro-enabled template can run code, so many facilities restrict them. Use .dotx unless you truly need a macro and your policy allows one.

Office 2021 and 2019 users need the most attention before July 13, 2026. Microsoft points affected Mac users to its update guide. Read it, and ask IT if your license is not covered by those steps.

## A dictated handoff, step by step

1. Open the handoff template from File > New from Template.
2. Hold fn and dictate the watch items, one short phrase at a time.
3. Ask Lazur to read the sheet back, or turn on Read Aloud and listen.
4. Fix any mishearing with the keyboard, not with more dictation.
5. Save the file, then close it if your facility policy says to.

Dictation saves the most time when the template already has the headings. Without a template, you spend the saved time on layout instead of care notes.

## A first-week setup for Word on a Mac

1. Check your version under Word > About Word and compare it with the current release.
2. Build one handoff template and one SBAR template, then save both as .dotx.
3. Practice Read Aloud on a finished handoff, and adjust the speed until you can follow it.
4. Add your unit abbreviations to the personal dictionary.
5. Hold Option and Command, then ask Lazur to walk you through the first template one click at a time.

## Where Lazur fits, and what it costs

Lazur is a voice assistant for the Mac that lives in the notch. It is not a plugin or add-in for Word or any other app. It guides, points, answers and drafts. You still click and save.

Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, not available. The app has a short free trial that needs no credit card. Check [pricing](https://www.lazur.app/pricing) for current plans before you decide.

## Next steps

Build your first template today. Then ask Lazur to walk you through the rest, one click at a time. If you want the nursing workflow on its own, read [dictation for nurses on Mac](https://www.lazur.app/for/nurses). For the Word side of Lazur, see [the Word page](https://www.lazur.app/apps/word).

## FAQ

### Is Word for nurses on Mac the same as Word on Windows?

It is the same family of app, Microsoft Word, but the menus differ in places. On Mac, use File > Save as Template and File > New from Template. Windows steps such as File > New > Personal do not match the Mac steps.

### How do I save a handoff sheet as a template on Mac?

Open the finished layout, choose File > Save as Template, and pick Microsoft Word template (.dotx). Use .dotm only when the file contains macros. Mac Word saves the template to the Templates folder in your user Library, under Group Containers.

### Why will Word not apply my template to an existing document?

On Mac, attaching a template under Tools > Templates and Add-Ins imports styles only. A Microsoft Q&A answer says copy and paste is the way to move the rest. Paste the body into the new template, then check headers, footers and tables.

### Can Word on Mac read a document out loud?

Yes, through Immersive Reader. Microsoft lists it for Word for Microsoft 365 on Mac, Word 2024 on Mac and Word 2021 on Mac. Read Aloud highlights each word, and you can change the speed and the voice.

### Will my Mac stop saving Word files in July 2026?

Microsoft says some Microsoft 365 subscribers on macOS, and some Office 2021 or 2019 non-subscription users, may enter reduced functionality mode from July 13, 2026. In that mode Word opens and prints but cannot change or store files. Check your version and ask IT.

### Can Lazur type my charting notes into the EHR?

Lazur dictates and drafts text at the cursor in any app. It does not click buttons or operate other apps for you. You place the text in your EHR yourself, and you check it before you save.

### Is it safe to use Lazur near patient information?

Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Your facility policy still decides what you may show, so keep patient identifiers off screen.

### Does Lazur work inside Word through a partnership?

No. Lazur is not a plugin or add-in for any app. It sees your screen and guides you by voice while you do the clicking.
