PowerPoint for public relations specialists on Mac works best with two habits. Keep one slide master for each client, and save a template for every new deck. Set both up once, and each pitch starts on brand. Lazur helps while you work. Hold ⌥⌘ and ask a question. It answers out loud, circles the button you need and walks you through each click.

## Quick answer

- Build one slide master per client from View > Slide Master, then leave it with Close Master.
- Save the finished file with File > Save as Template so the next deck starts on brand.
- Copilot reads sample slides in a template first. A master with no samples may be ignored.
- Check your build under PowerPoint > About PowerPoint, and check your Brand kit plan with IT.
- Lazur points, guides, drafts and dictates. It does not click for you.

Most PR work in PowerPoint repeats itself. A client wants the same cover, colors, logo and footer on every deck. A pitch needs a new story and a fast turnaround. The Mac app handles both if you set it up once. This page covers the setup, the Mac menu paths that matter, the Copilot and Brand kit features from 2026, and the places where voice help saves time.

## Which PR decks need one shared master

Several deck types come up often in PR work. A pitch deck sells a story to a journalist or a client. A media kit gives reporters facts, images and contact details in one file. A campaign recap shows a client what happened after a launch. An internal briefing prepares the account team before a meeting. Each one needs the same brand core, even when the content changes.

The brand core is the part you should never rebuild by hand. It covers the cover layout, the title font, the body font, the color palette, the logo position and the footer. Put these in the slide master. Every slide that uses the master then picks them up.

Microsoft's 2023 Work Trend Index gives a sense of scale. The survey covered 31,000 workers in 31 markets. PowerPoint took 8% of their time in Microsoft 365 apps, and creating documents, spreadsheets and presentations took 43%.

- **8%** of employee time in Microsoft 365 apps went to PowerPoint in the 2023 Work Trend Index ([source](https://www.microsoft.com/en-us/worklab/work-trend-index/will-ai-fix-work))
- **43%** of employee time went to creating documents, spreadsheets and presentations in the same survey ([source](https://www.microsoft.com/en-us/worklab/work-trend-index/will-ai-fix-work))
- **31,000** full-time and self-employed workers in 31 markets were surveyed for that index ([source](https://www.microsoft.com/en-us/worklab/work-trend-index/will-ai-fix-work))

Those numbers cover all workers, not PR specialists. Still, they show that slide work takes a real share of the week. The gain for a PR team comes from reuse. A good master means you rebuild less and edit more.

## Set up a slide master for each client

A slide master is the template behind every slide in a deck. On a Mac, open it from View > Slide Master. The master slide sits at the top of the left pane, and the layouts sit under it. Change the master, and every layout that uses it updates. That is the whole trick.

1. Start from a blank deck, not an old client file, so old formatting stays behind.
2. Choose View > Slide Master.
3. Click the top master slide, then set the title font and the body font.
4. Add the logo to the master so it shows on the layouts that display it.
5. Open the layouts you use most, such as Title Slide, Title and Content and Two Content, and check each one.
6. On the Slide Master tab, click Close Master before you write any slide content.
7. Save the file as a template, as described in the next section.

The most common mistake is editing text boxes slide by slide. A fix on one slide does not reach the rest of the deck. Fix the master instead, then check a few slides to confirm the change flowed through.

## Theme colors and fonts on Mac

Colors and fonts are what most people want to set first. Microsoft's Mac slide master article does not give steps for theme colors or fonts. It points to a separate article called Create your own theme in PowerPoint. Read that article before you pick a palette for a client.

Test the palette on a chart and a table before you send the deck. Charts follow the theme colors. A color you typed in by hand stays fixed when the theme changes, so keep hand-picked colors to a minimum.

> **Mac names differ from Windows:** Microsoft's Mac help says Slide Size > Page Setup, where Windows says Custom Slide Size. Search with the Mac label, or the Windows steps will not match your menus.

## Mac menu paths for master and template tasks

| Task | Mac menu path | What to check |
| --- | --- | --- |
| Open Slide Master | View > Slide Master | Edit the master, then leave the view |
| Leave Slide Master | Slide Master tab > Close Master | Start writing slides only after this step |
| Change slide size | Slide Size > Page Setup | Set the size before you add content |
| Add footer text | Slide Size > Page Setup > Header/Footer | Confirm each layout you use shows the footer |
| Save a reusable template | File > Save as Template | Save as a .potx file, then test it once |
| Theme colors and fonts | Create your own theme in PowerPoint (Microsoft article) | Microsoft's Mac master page gives no steps for these |

## Headers and footers that stay the same

Footers carry the client name, a confidentiality line, the date and the page number. On a Mac, footer text lives under Slide Size > Page Setup > Header/Footer. Type the text once there. Then check that every layout you use shows it.

Here is a simple case. Your footer reads Client A, Confidential, and the deck goes out next May. Type the date as fixed text. An auto-updating date changes every time someone opens the file, which can confuse a client who received it earlier.

![Team reviewing a PowerPoint deck on a screen during an office meeting](https://lfobmih1tpj3sgpo.public.blob.vercel-storage.com/content-images/role-app/public-relations-specialists-powerpoint/powerpoint-for-public-relations-specialists-on-mac-2-a5ffb8.jpg)

## Save a template and reuse it for the next deck

When the master works, save the file as a template with File > Save as Template. PowerPoint saves a .potx file. Opening a .potx file creates a new copy, so the master stays clean. Name each template with the client and the year, so it sorts well and is easy to find later.

Keep the template in a shared folder your team can reach. Put the client name first in the file name. A list sorted by client is much faster to scan on a busy Monday.

Agencies that handle several clients should keep one template per client. A shared template leaks old logos and colors into new decks. Also clear speaker notes and comments before a deck leaves the team, because they travel with the file.

## Brand kit and Copilot need the right template

Microsoft's Brand kit steps start with a template file. Upload a .potx or .pptx template to a Brand kit in the Microsoft Copilot app. Then select that kit in PowerPoint's Copilot pane before you write your prompt. Copilot works against the kit you selected.

Build the template in the desktop app. Microsoft says templates must be created in the Windows or Mac desktop version of PowerPoint, not the web version. After that, any platform can use the template to create presentations.

> **Samples count more than the master:** Copilot studies the sample slides in your template first. It looks at structure and layouts second. Slide Master settings matter only when the template lacks enough sample slides. Add finished sample slides that use each layout you need.

Check the license before you plan a workflow around Brand kit. Microsoft's Brand kit page does not name a license. It says Brand kit might not be included with your Microsoft 365 subscription, or available based on your organization's settings. The May 12, 2026 release note ties brand-connected Copilot features to Microsoft 365 Copilot (Premium). Ask your IT admin which plan covers your account.

## What Copilot in PowerPoint on Mac does in 2026

The May 12, 2026 release note for Version 16.109 says Copilot in PowerPoint helps you create, edit and refine presentations through natural language, inside your deck. The release note lists it with Microsoft 365 Copilot (Basic). You do not switch apps to use it.

For PR work, Copilot fits first drafts. Ask for a pitch outline for a product launch, then rewrite each slide in your own voice. It is quick at structure. Check every claim against the source before a client sees it, because a fluent sentence is not the same as a verified fact.

## Version and file problems to check before a deadline

Mac builds change how files behave. Microsoft's release notes include a March 10, 2026 entry for Version 16.107. It covers how SVG graphics are saved in .pptx files, and each one gets a PNG fallback image. Microsoft says PowerPoint for Mac 16.13 and later supports SVG. If a logo looks different after a save, check that entry first.

Version 16.108, dated April 14, 2026, changed text layout for simulated bold to match PowerPoint for Windows. A title that shifted after an update may come from that change. The newest entry we checked is Version 16.109, from May 12, 2026. To see your build, open PowerPoint > About PowerPoint.

> **Office 2019 and 2021 on Mac:** Microsoft's known-issues page says that starting July 13, 2026, non-subscription software, including Office 2021 or Office 2019 on macOS, may be affected. PowerPoint can still open and print files. It cannot edit, save or create new files in reduced functionality mode. That date has passed, so check your license now.

## Mistakes PR teams make in PowerPoint on Mac

- Editing text on each slide instead of the master. The next fix on the master will not reach those slides.
- Building the brand template in the web version of PowerPoint. Microsoft says templates must come from the desktop app.
- Reusing last client's deck as the starting file. Old logos, comments and speaker notes travel with it.
- Forgetting Close Master, then wondering why normal slide editing looks strange.
- Expecting Copilot to follow a master with no finished sample slides. Copilot reads samples first.
- Following Windows menu names on a Mac. Custom Slide Size is Slide Size > Page Setup on Mac.

## Dictate speaker notes and bios with fn

Hold fn to dictate clean, formatted text at the cursor in any app. In PowerPoint, that covers speaker notes, slide bullets and bio boxes. Keep your hands on the keyboard and talk through the story.

Lazur also keeps snippets, a personal dictionary and clipboard slots. Add client names, product names and executive names to the personal dictionary before a big deck. A misspelled executive name is easy to miss in a rehearsal and hard to explain in a meeting.

## Ask Lazur where a PowerPoint button is

Hold ⌥⌘ and ask a question about the screen. Lazur answers out loud. Ask where something is, and it draws a circle and a label around it. Ask how to do something, and it guides you one click at a time, waiting for each click.

Lazur does not click buttons, edit files or operate PowerPoint for you. You stay in control of every change. Over a few decks, you may learn the menus well enough to stop asking. That is a good result.

## A worked example: a launch deck from last quarter's template

Say a client launches a product next month. You already have a template from the last launch. This path keeps the master intact and the client file clean.

1. Open the saved .potx file in Finder and double-click it. PowerPoint opens a new copy.
2. Choose View > Slide Master and check the cover layout. Fix anything that looks off, then choose Close Master.
3. Replace the cover title and the date. Leave the footer alone unless the client name changed.
4. Hold fn to dictate speaker notes for each slide while you talk through the story.
5. Hold ⌥⌘ and ask where a feature sits when you lose it. Lazur circles the control.
6. Use File > Save As for the client copy, so the template stays unchanged.
7. If you changed the master for good, save a new template with File > Save as Template.

Edge case: when you add a new layout, Copilot may not know it. Add a finished sample slide that uses the layout before you prompt. Also confirm that the template opens cleanly on your current version of PowerPoint.

## Privacy when a deck holds client material

Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer you, and they are not stored. Content is never used to train AI models. Memory of what you asked and did stays on your Mac.

Client decks can fall under contract terms. Check your agency's rules before you share any slide with any tool, Lazur included. A safe habit is to ask about the layout and the menus, not to share the client's private figures.

## Which Macs Lazur runs on, and what it is not

Lazur runs on macOS, on both Apple silicon and Intel Macs. Windows is planned, not available. Lazur is not a plugin or add-in for PowerPoint. It has no partnerships with any app maker.

## Next steps

1. Build a master for one client this week, starting from a blank deck.
2. Save it with File > Save as Template, named by client and year.
3. Check your build under PowerPoint > About PowerPoint.
4. Ask your IT admin which Copilot and Brand kit plan covers your account.
5. Next time you cannot find a control, hold ⌥⌘ and let Lazur point.

## FAQ

### Does Lazur work inside PowerPoint on Mac?

Lazur works across apps on your Mac, including PowerPoint. Hold ⌥⌘ and ask about the screen while PowerPoint is open. It answers out loud, points at buttons and guides you one click at a time. It does not click for you, and it is not a PowerPoint add-in.

### Can Lazur build my slide master for me?

No. Lazur guides you through View > Slide Master one click at a time, but it does not make changes for you. Ask it where a control sits, then make the change yourself.

### Which PowerPoint version do I need for Brand kit templates?

Build the template in the Windows or Mac desktop version of PowerPoint, not the web version. Microsoft's Brand kit page does not name a license. Ask your IT admin whether your Microsoft 365 plan includes it.

### Why does Copilot ignore my slide master?

Copilot studies the sample slides in a template first. It uses the Slide Master only when the template lacks enough sample slides. Add finished sample slides that use the layouts you need.

### Is my client deck sent to AI when I use Lazur?

Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer you, and they are not stored. Content is never used to train AI models. Check your agency's rules before you share client material with any tool.

### Does Lazur work on Intel Macs?

Yes. Lazur runs on macOS, on both Apple silicon and Intel Macs. Windows is planned, but it is not available yet.

### How do I check my PowerPoint version on Mac?

Open PowerPoint > About PowerPoint. If a file behaves differently after an update, compare your build with Microsoft's release notes for Office for Mac.

### Will Office 2019 or 2021 still edit files on a Mac?

Microsoft says that starting July 13, 2026, non-subscription versions such as Office 2019 and Office 2021 on macOS may be affected. In reduced functionality mode, PowerPoint can open and print files but cannot edit, save or create new ones. Check your license and version.
