Word for researchers on Mac comes down to four jobs: templates, citations, Compare, and Read Aloud. Learn the menu path for each one once and you can reuse it on every paper. This page walks through those jobs in Word for Mac, starting with the update that now blocks editing on older builds. Lazur sits beside Word and points at the right menu for you, but it never clicks for you.

## Quick answer

- Update Word for Mac to version 16.83 or later before you edit anything. Older builds open files read-only.
- Build one research template with File > Save as Template, saved as .dotx, and start every paper from it.
- Insert citations from References > Insert Citation so your bibliography builds itself from your sources.
- Hold fn to dictate prose at the cursor. Hold ⌥⌘ to ask Lazur where a menu is. It points, and it does not click.

## Check your Word version before you edit

Open Word and go to Word > About Word. Look for version 16.83 or later. Microsoft's current Mac release is 16.114.3 (Build 26102720), dated October 27, 2026. Its release notes list only quality and performance improvements, so you will not see new menus in this build.

Version matters because of a licensing change. Microsoft says a licensing certificate expires July 13, 2026. Microsoft 365 apps on macOS below 16.83 enter reduced functionality mode. In that mode you can open, view, and print files. You cannot edit, save, save as, or create new files. Microsoft says this is a licensing issue, not a security problem, and no customer data is at risk.

Microsoft's guidance lists macOS 12 (Monterey) or later as the minimum for version 16.83. It supports Microsoft 365 apps on the three most recent major macOS versions. Check your system under Apple menu > About This Mac. If your Mac runs an older system, the update path may stop short of 16.83. Check before you plan a deadline around it.

## Fix a file that still opens read-only

Updating is not always enough. Microsoft's guidance for a Mac that still shows read-only mode is specific. Follow these steps in order.

1. Update Word through Microsoft AutoUpdate, or use the Update Microsoft 365 or Office page if your Mac is not managed.
2. Fully quit Word with ⌘Q. Closing the window is not enough.
3. Reopen Word, then open Account settings inside the app.
4. Sign out, sign back in, and open your file again to check that editing works.

If your school or company manages your Mac, the update may already be pushed centrally. Ask your IT team before you change anything. Managed devices may need no action from you at all.

> **Old Office versions are out of support:** Office 2021 for Mac reached its end-of-support date on October 13, 2026. Office 2019 for Mac ended support on October 10, 2023 and cannot be updated to the required version. If you still use either, move to a Microsoft 365 subscription before you start a new project.

## Build one research template and reuse it

Most researchers rebuild the same page setup for every paper. You can skip that. Format one blank document the way your lab or journal wants it. Set the margins, line spacing, heading styles, and running header. Then choose File > Save as Template, name the file, and pick a format.

Use .dotx for a standard template. Use .dotm only if the template contains macros. Macros can run code, so your IT team or a journal reviewer may block them. Most research templates do not need macros.

To start a new paper from your template, choose File > New from Template. To change where Word looks for templates, go to Word > Preferences > Personal Settings > File Locations, select User templates, and click Modify.

| Setting or action | Menu path or location | What to know |
| --- | --- | --- |
| Save a template | File > Save as Template | Pick .dotx for most research templates |
| Default template folder | Word > Preferences > Personal Settings > File Locations | Select User templates, then click Modify |
| Start a paper from one | File > New from Template | Pick your saved template from the list |
| Delete a template | Templates folder in the Office Group Containers path, opened in Finder | Drag the file to the Trash |

_Template steps for Word for Mac_

Keep your look out of the Normal template. Normal.dotm holds Word's default styles. If you change the Primary Language, Word backs up the old Normal.dotm as Normal.dotm-(number). Restoring it is a manual job. Put your research formatting in your own template, and leave Normal alone.

## Insert citations and build a bibliography that updates

Choose your citation style first. Use the style list on the References tab and pick the one your field or journal requires. Changing the style later updates your citations and bibliography, so you do not retype them by hand.

Insert a source with References > Insert Citation > Add New Source. Fill in the author, year, title, and publisher. Word saves the source with the document, and the citation appears in the text.

Reuse sources from the Citations pane. Open it from the Citations group on the References tab. Double-click a source to insert it again. Manage Sources lives in that same pane, so you can edit or remove entries there.

Build the list at the end from the Bibliography arrow on the References tab. It offers Bibliography or Works Cited. A bibliography lists the sources you consulted. Works Cited lists only the sources you cite in the text. Pick the one your style guide asks for.

Microsoft's citation page is labelled for Word 2019 for Mac, so some menu names may have shifted. If a name does not match, look for the same words on the References tab. Then confirm the result against your style guide before you submit.

## Compare drafts and track changes with co-authors

Turn on Track Changes before a co-author edits. On Mac, the shortcut is ⌘⇧E. Every insertion and deletion is marked, so you can accept or reject each one. Use the Review tab to move between changes and see who edited what.

Compare handles a different case. A co-author sends a clean copy with no tracked edits. Open Compare from the Review tab, pick the two versions, and read the differences. Read each marked change before you accept it.

Compare has known problems. Microsoft's known-issues page lists a bug where Compare greys out some files, and it gives a workaround. Read that workaround before a deadline. Do not discover it on the day a draft is due.

Co-authoring has its own risks. Microsoft lists lost formatting in co-authoring as an open issue. Saving as a PDF to an online location converts the file to .docx, which is also a workaround item. Keep a master copy in a folder you control, and check the formatting after every shared edit.

## Proof your draft by ear with Read Aloud

Read Aloud speaks your document back to you. Start it from the Review tab, or press Ctrl+Option+Space (⌃⌥Space). Press Option+Space to pause or resume. Use Option+Up arrow and Option+Down arrow to skip paragraphs. Microsoft says Read Aloud works in Office 2019, Office 2021, and Microsoft 365.

Hearing a draft catches what your eyes skip. You hear the doubled word, the sentence with no verb, and the claim that goes further than your data. Run one pass for sense and one short pass for rhythm at the end.

Interactive Read Aloud has its own limit. Microsoft's Read Aloud page says it is available only to Microsoft Copilot license users, and it says so in the Windows section. The Mac section does not say the same thing. Check your license before you plan a review around it.

## Check Copilot in Word before you plan around it

Copilot in Word needs an eligible Microsoft 365 subscription, a Microsoft Copilot license, or both. Microsoft says availability can depend on your subscription, license, organization settings, and platform. If your plan does not include it, the feature may be missing. Check your account first.

The jobs in this guide use core Word features. Microsoft's pages on templates, citations, and Compare do not make them depend on Copilot. Interactive Read Aloud is the exception. Do not assume Copilot is on your plan just because Word is installed.

## Where Lazur fits in a research session

Lazur works next to Word, not inside it. Hold ⌥⌘, which is Option and Command together, and ask about anything on your screen. Lazur answers out loud. Ask where something is and Lazur draws a circle and a label around it. Ask how to do something and Lazur guides you one click at a time, waiting for each click.

Lazur does not click for you, edit your file, or operate Word. It is not a plugin or add-in for any app. You keep control of every change. Lazur tells you where to click, and you click.

Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer you, and they are not stored. Content is never used to train AI models.

## Dictate paragraphs at the cursor with fn

Hold fn to dictate. Lazur turns your speech into clean, formatted text at the cursor, in any app. Snippets, a personal dictionary, and clipboard slots help with phrases you repeat, like a standard ethics statement or a funder's name.

Dictate rough prose first, then edit. Dictation works well for a first pass at a methods paragraph or a reply to reviewers. Check every number, name, and citation by hand. Dictated proper nouns and figures need a second look.

Dictation is unlimited on both paid plans. Plan details and the trial live on the pricing page, so check there before you decide.

## Mistakes that cost researchers time in Word

- Editing in an old build. Anything below 16.83 opens files in reduced mode, so your changes do not save.
- Changing Normal.dotm to get one look. Put the look in your own template and leave the default alone.
- Saving a PDF to an online location. Microsoft lists this as a workaround item because it converts the file to .docx.
- Relying on Compare for a file it greys out. Use Microsoft's workaround from the known-issues page instead.
- Printing from a web app. Microsoft lists printing from web apps as a macOS issue still under investigation.
- Trusting a citation without checking the style. Confirm the output against your journal's author guide.

> **Run a test before the deadline:** Open your template, insert one citation, run Compare on two copies, and save to your usual folder. A short test now saves a bad evening later.

## A worked example from blank page to submitted chapter

Start with File > New from Template and pick your research template. Write the first pass by dictating with fn. Type fixes by hand. Add each citation through References > Insert Citation as you go, so you never hunt for a source at the end.

When a co-author replies, turn on Track Changes with ⌘⇧E before you open their edits. If they send a clean copy without tracking, use Compare to see what changed. Accept or reject each change from the Review tab.

Before you submit, build the bibliography from the Bibliography arrow on the References tab. Then run Read Aloud on the final pass with Ctrl+Option+Space. Listen for the sentence that still sounds like notes. Export the final file, plus a PDF if your journal asks for one.

At any step, ask Lazur where the menu is. Lazur points and explains. You click, and you decide what goes in the chapter.

## Pricing, trial, and platform limits

Lazur has a free trial that needs no credit card. The trial starts when you first open the app. Check the current trial length and plan prices on the pricing page before you subscribe. Dictation is unlimited on both paid plans.

Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, not available. If part of your week runs on a Windows machine, plan around that gap.

- “Remind me to send the draft to my co-author on Friday morning.”: Lazur adds the item to Apple Reminders for Friday morning. It does not send the draft for you.

## FAQ

### Does Lazur work inside Word for Mac?

Lazur works alongside Word. Hold ⌥⌘ and ask where a command is or how to do a task. Lazur points, explains, and guides you one click at a time. It does not click, edit your file, or run Word for you, and it is not a plugin.

### Why does Word for Mac open my file but won't let me edit it?

Your app is probably below version 16.83. Microsoft's licensing change puts older Microsoft 365 apps on macOS into reduced functionality mode. Update Word, fully quit with ⌘Q, reopen it, and sign out and back in from Account settings.

### What is the difference between a .dotx and a .dotm template?

A .dotx template holds styles, margins, and layout without macros. A .dotm template can also hold macros. Pick .dotx unless you need macros, because your IT team or a reviewer may block them.

### Do I need Copilot to use Word for research on Mac?

No. Microsoft's pages on templates, citations, and Compare do not make them depend on Copilot. Copilot in Word needs an eligible Microsoft 365 subscription or a Copilot license. Interactive Read Aloud has a Copilot license limit in Microsoft's Windows section.

### Should my bibliography be Bibliography or Works Cited?

Use whichever your style guide or journal asks for. A bibliography lists the sources you consulted. Works Cited lists only the sources cited in the text. Set it from the Bibliography arrow on the References tab.

### Does Lazur store what I say or what is on my screen?

Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer you, and they are not stored. Content is never used to train AI models. Memory of what you asked stays on your Mac.

### Does Lazur work on Windows or with Chrome?

Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, not available. Lazur's research runs in its own Chrome tabs through the Lazur for Chrome extension, and it returns a summary and a report.
