Word for speechwriters on Mac means Microsoft Word for macOS, used to draft, cut, mark up and read speeches aloud. Use Microsoft 365 for that work, because Office 2019 and Office 2021 open and print only on Mac from July 13, 2026. This page covers the Word features that matter for speeches, plus where Lazur helps while you work.

## Quick answer

- Use Microsoft 365. Office 2019 and Office 2021 on Mac open and print only from July 13, 2026.
- Track Changes on the Review tab lets the speaker and team mark cuts without losing your draft.
- Read Aloud on the Review tab reads the draft back. Option+Space plays or pauses it.
- Treat AI text as a rough outline. Rework every line until it sounds like the speaker.
- Lazur points at the right control, explains options and dictates at the cursor. It does not click for you.

## Which version of Word to use on a Mac

Use Microsoft 365 for speech work on a Mac. Older versions now carry a real risk. Microsoft's known-issues page says that starting July 13, 2026, Office 2021 and Office 2019 on macOS enter reduced functionality mode. In that mode you can open and print a file. You cannot edit, save or create one.

That date has already passed, so this is a current problem and not a future one. Read Aloud is listed for Office 2019, Office 2021 and Microsoft 365. The feature list alone does not settle the choice. The editing rules do.

> **Check before a deadline:** If Word says Office 2021 or Office 2019, test whether you can still edit and save. From July 13, 2026, those versions open and print only. Move the speech to Microsoft 365 before the draft is due.

To check your version, open Word and choose Word > About Word. Note the build number. Microsoft's update history lists 16.114.4 (build 26110224) as the latest Word for Mac build, dated November 4, 2026. If your build is older, open Help > Check for Updates and install what is waiting.

Microsoft's release notes show no new Word feature for Mac since July 2025. That is when a Copilot icon appeared in the document margin, in version 16.99. Word entries for 2026 list quality, performance and security updates. Build your process around the tools you already have.

## Build the first draft from raw notes in Word

Speechwriters usually start with too much material, and that is by design. Askew, a speechwriter quoted by Westside Toastmasters, says: 'I always include far more than I can fit in a speech by design, which makes editing a challenge.' Word is a good place to hold that pile.

Set up the file before you write a sentence. Put the event, the audience and the time slot at the top of the page. Then paste every raw note under one heading called Parking lot. Do not sort or edit yet.

1. Create one heading for each section. Apply a heading style from Home > Styles to the main beats.
2. Move the strongest notes under the section headings. Leave the rest in Parking lot.
3. Write each section as plain speech. Use short sentences and one idea per paragraph.
4. Read the draft from the top. Cut any line the speaker would not say out loud.
5. Cut Parking lot last. Keep it until the speaker has signed off.

Headings also make the outline easy to scan. The how-to on heading styles shows the steps: [apply heading styles in Word on Mac](https://www.lazur.app/how-to/apply-heading-styles-in-word).

Here is a small example. A speech with a heading for each of Opening, Stories and Close shows its shape at a glance. If Stories has grown into a long wall of text, cut that section first. Keep one story, then read the whole speech again to see if it still lands.

## Track cuts with Track Changes and comments

Track Changes records every edit, so the speaker and the team can see what moved. On a Mac, open the Review tab and find the Track Changes control. It offers two settings.

- For Everyone marks the edits of all collaborators, each in a different color.
- Just Mine marks only your edits. Use it for your own clean-up pass.
- Use For Everyone once the speaker or a team member is working in the same file.

Comments are a separate system. Microsoft's Track Changes help says comments are no longer part of the Track Changes function. Treat the comment list as its own checklist. Resolve each one, and check the margin before you send the final.

Bulk actions for Accept and Reject sit under Reviewing > Accept or Reject on Mac, according to Microsoft. Individual changes need more care. Use Next and Previous to move through changes in order. Accepting or rejecting one change from its card does not move you to the next.

> **Check before you accept all:** Switch to Just Mine and step through each change before you accept everything. A bulk accept removes the record of who cut what. Save a copy first.

The inline view puts each cut inside the text. Turn it on from Markup Options > Balloons > Show All Revisions Inline. You will read each line as it will sound, which helps when you edit for rhythm.

To stop anyone from switching tracking off, use Protect > Protect Document and set a password for tracking. Test the password on a copy before you send the file. Write the password down somewhere safe.

## Hear the draft with Read Aloud

Read Aloud finds the lines that look fine on paper and fail out loud. Microsoft's Read Aloud help says it is available for Office 2019, Office 2021 and Microsoft 365. Neural voices need a stable internet connection and a Microsoft 365 sign-in.

Start Read Aloud from the Review tab. The controls are play, pause, Previous and Next to skip between paragraphs, and stop. To hear part of the speech, select that text first. Read Aloud reads only the selection.

- Ctrl+Option+Space starts Read Aloud.
- Option+Space plays or pauses it.
- Option+Up Arrow or Option+Down Arrow skips to the previous or next paragraph.

Open the gear icon to set the reading speed and choose a voice. Read Aloud uses the document's proofing language. A name in another language can sound wrong for that reason. Check the language on that paragraph before you blame the voice.

If Read Aloud does not appear, sign in to Microsoft 365 and restart Word. Microsoft's help gives that as the first fix. Do not skip the restart.

Mobley, another speechwriter quoted by Westside Toastmasters, describes the problem plainly. Mobley said: 'On paper it looked fine, but once I tried saying it, it was a different story.' Read the speech out loud before the event, even when the text looks finished.

Microsoft says Read Aloud does not store your content or audio data. Still, an unreleased speech is sensitive. Run Read Aloud on your own Mac, on a network you trust.

## Read a speech in Immersive Reader

Immersive Reader is a second way to read the text. On a Mac, go to View > Learning Tools. Microsoft lists Column Width, Page Color, Text Spacing, Syllables and Read Aloud in that menu.

Column Width narrows the text, so each line holds a short phrase. That makes natural breath points easier to find. Syllables splits long words into parts, which helps with hard names and place names. Text Spacing opens the gaps between lines, so your eye stays on the line you are reading.

> **Line Focus is not listed for Mac:** Microsoft's Immersive Reader page lists Line Focus for Windows and Word for the web, not for Word on Mac. It lists no Mac keyboard shortcuts either. Check the View > Learning Tools menu on your version before you plan a rehearsal around it.

## Set up a stage copy you can read from

Microsoft does not publish a speech template or a teleprompter layout for Word. The steps below are a workaround you build yourself. Test them on a printed page before the event.

- Duplicate the final draft. Keep the original as the editing file and never read from it.
- Right-click the body style in Home > Styles, choose Modify, then pick a larger font and wider line spacing.
- Give stage directions their own style, in brackets, so they stand apart from the spoken text.
- Remove comments and tracked changes from the copy. Accept changes on the copy only, so the editing file keeps its record.
- Export a PDF for printing. The steps are in [save as a PDF in Word on Mac](https://www.lazur.app/how-to/save-as-a-pdf-in-word).

Keep each paragraph short enough to see at a glance. Print one side of each page only. Read the copy with a timer running, and mark each place where you run out of breath.

## Work with AI-generated text in Word

Toastmasters says AI should not write your speech. Its April 2026 article on AI in speechwriting says AI text should be reworked to match how you think and speak. It also says AI excels at organization, so use it for the outline.

Keep AI text in its own section. Paste it under a heading called Draft from AI, and leave a comment on each paragraph that came from a tool. The speaker can then see which lines still need your voice.

Word for Mac has a Copilot icon in the document margin. Microsoft's release notes list it from version 16.99, dated July 15, 2025, for writing a prompt or choosing quick actions. Use whichever tool you trust. The same rule applies to all of them.

- Ask for an outline, not a finished speech.
- Read each AI paragraph aloud before you keep it.
- Cut any line that sounds like a press release.
- Rewrite the rest with the speaker's own phrases and examples.

## Common mistakes in Word for speech work

- Leaving Track Changes on when you send the clean final. Turn it off, then save under a new file name.
- Accepting every change in one click, before anyone has checked the speaker's own edits.
- Opening an old Office 2021 file on a Mac and expecting to edit it. From July 13, 2026, that is reduced functionality mode.
- Pasting from a web page with its formatting still attached. Use Edit > Paste Special and choose Keep Text Only.
- Saving over the copy the speaker reviewed. Use Save As with a new name for each round.
- Reading silently and calling the draft done. Read it aloud at least once.

## A workflow for one speech from start to finish

This order works for most one-speaker drafts. Change it to suit your team and your deadline.

1. Set up the file with the event, the audience and the time slot at the top.
2. Paste raw notes under Parking lot and leave them unsorted.
3. Build the headings and write a rough draft in plain speech.
4. Turn on Track Changes with For Everyone once the speaker is in the file.
5. Cut in passes. Step through each change with Next and Previous.
6. Read the draft aloud with Read Aloud, one paragraph at a time.
7. Make the stage copy and export a PDF from that copy only.
8. Accept changes and resolve comments on the final file after the speaker signs off.

## Where Lazur fits while you work in Word

Lazur is a voice assistant for the Mac. It lives in the notch. Hold ⌥⌘, which is Option and Command together, to ask about anything on screen. Lazur answers out loud. It listens and looks at the screen only while you hold the shortcut.

Lazur points at things. Ask where Track Changes is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time, waiting for each click. It does not click buttons or operate Word for you.

Dictation works with fn. Hold fn to dictate clean, formatted text at the cursor in any app. Add speaker names, place names and technical terms to the personal dictionary, so they come out spelled right the first time.

Everyday actions work by voice too. Timers, Apple Reminders and Calendar events are on the list. Ask Lazur to set a timer while you rehearse, or to add a reminder to send the draft to the speaker.

Lazur works alongside Word. It is not a plugin or add-in for any app. Lazur has no partnerships with any app maker. Plans are on the [pricing page](https://www.lazur.app/pricing). You can [download Lazur here](https://www.lazur.app/download).

## Keyboard shortcuts to learn first in Word on Mac

- Ctrl+Option+Space: start Read Aloud.
- Option+Space: play or pause Read Aloud.
- Option+Up Arrow or Option+Down Arrow: move between paragraphs while Read Aloud runs.
- Hold ⌥⌘: ask Lazur about what is on screen.
- Hold fn: dictate clean text at the cursor.
- ⌘Z: undo the last step before you start a new round.
- ⌘S: save a version before a large cut.

Learn Read Aloud first. It saves the most time on a speech, because it finds the weak lines that reading silently misses.

## With Lazur

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ and ask; it sees your screen, answers out loud, points at buttons and walks you through apps. Hold fn to dictate. Free for 3 days, then $18/month: https://www.lazur.app/download

- “Where is Read Aloud in this speech?”: Lazur circles the Read Aloud button on the Review tab and labels it. You still click it yourself. (Points at it)
- “Where is Track Changes in this file?”: Lazur circles the Track Changes control on the Review tab and labels it, so you know where to click.
- “Walk me through turning on Track Changes for everyone.”: Lazur guides you one click at a time and waits for each click before it names the next one.
- “Explain the difference between For Everyone and Just Mine.”: Lazur explains out loud which edits each setting marks, so you choose the right one for the team.
- “Give me a few short openings for this speech.”: Lazur drafts short openings as text. You rewrite the one you keep in your own words.
- “Let me dictate the transition into section two.”: Hold fn while you talk. Lazur types clean text at the cursor, so the transition lands in the right spot.
- “Set a timer while I rehearse this section.”: Lazur starts a timer by voice, so you can read the section aloud without checking the clock.
- “Remind me to send this draft to the speaker tomorrow morning.”: Lazur adds the reminder to Apple Reminders, so the draft goes out on time.
- “Find where I wrote the speaker's name in this draft.”: Lazur circles the name in the draft and labels it, so you can check the spelling.
