Notion for UX researchers on Mac works best as one research hub. Build one interview database, add a calendar and status boards, then link it to your projects. Lazur on your Mac can point, guide and dictate while you work in it.

## Quick answer

- Build one interview database with Name, Date, Status, Feature and Duration properties, not a page for every session.
- Add a calendar view and status boards, then tag themes so synthesis moves faster.
- Free uploads cap at 5 MB and page history at 7 days, so keep recordings elsewhere and export final findings.
- Lazur on your Mac points, guides and dictates inside Notion. It does not click buttons or edit pages for you.

## Why UX researchers end up in Notion on Mac

Most UX researchers on a Mac keep many tabs open at once. Schedules sit in a calendar. Notes sit in a doc. Findings sit in a deck nobody opens again. Notion can hold all of that in one window.

The hard part of research is not writing. It is tracking. You need to know who you talked to, when, what they said, and which product decision that quote now supports. A single database handles that better than a folder of pages. Notion's own research guide recommends one central research table for this reason.

![UX researcher at a desk with a laptop and handwritten notes, planning Notion for UX researchers on Mac](https://lfobmih1tpj3sgpo.public.blob.vercel-storage.com/content-images/role-app/ux-researchers-notion/notion-for-ux-researchers-on-mac-1-bc61ba.jpg)

You can skip Lazur entirely and still get most of the value from this setup. The database, views and templates all work in the Notion desktop app alone. Lazur only adds voice help when you get stuck.

## Build one interview database, not a page per session

Start with one database. Notion's user research guide suggests one central research table with these properties: Name, Email, Phone, a Person property for the interviewer, a Date property, Select properties for feature and status, and a Number property for duration.

- Name: the participant's name, or a code if you need anonymity.
- Email and Phone: only if you still need to schedule. Clear them when recruiting closes.
- Person: the researcher who ran the session, so the notes have an owner.
- Date: drives the calendar view, so fill it in on every row.
- Select for feature: the product area tested, such as checkout or onboarding.
- Select for status: contacted, scheduled, completed or cancelled.
- Number for duration: session length in minutes, useful when you plan the next round.

Edge case: cancelled and no-show participants. Do not delete their rows. Set the status to cancelled instead. Your recruiting count stays honest, and you can see why a study slipped.

Watch the contact columns too. A shared view with Email and Phone shows those details to everyone who opens the database. Split those columns out before you invite stakeholders.

One warning from the guide. It says references to specific product actions may be outdated, because databases were redesigned in March 2022. Labels may differ from your screen. Use the guide for structure. Trust your own menus for clicks.

## Views that handle scheduling and triage

A database is only as useful as its views. The guide suggests three. A calendar view shows scheduled and completed interviews. A board grouped by Status moves people from contacted to completed or cancelled. A board grouped by Task sorts feedback by topic.

| View | Group or filter by | What it answers |
| --- | --- | --- |
| Calendar | Date | What is booked this week, and where the gaps are |
| Board by Status | Status | Who still needs scheduling, and who needs notes |
| Board by Task | Task or theme | Which topics keep coming up in feedback |
| Table filtered to one feature | Feature | Everything we heard about checkout |

_Four views that cover most research questions._

To add a view, use the view bar above the database, then choose a layout. Name each view for the question it answers, such as Checkout quotes, not View 2. Named views save you from rebuilding filters every Monday.

Views also make triage quick. Each Monday, open the Status board and look at the contacted column. Anyone stuck there needs a reminder. Anyone who has sat there for weeks needs a new slot or a cancelled status.

## Interview templates for consistent notes

Templates stop every researcher from inventing a note format. Build one template per interview type. A discovery interview needs different headers than a usability test. The guide suggests headers such as User Comments, Interviewer Observations and Action Items.

Here is a worked example for a usability session. Under User Comments, paste the participant's words exactly as said. Add a timestamp if you recorded. Under Interviewer Observations, write what you saw, such as a hesitation at the pricing step or a misread label. Under Action Items, write one owner and one next step per line.

Pre-created templates save time and keep notes comparable across the team. Two sessions written the same way are easy to compare. Two sessions written in different styles are not.

> **Build the template first:** Make the template before you recruit. The first session is the one you will want to compare later.

For the clicks, follow [how to create a template in Notion on Mac](https://www.lazur.app/how-to/create-a-template-in-notion).

## Link interviews to projects so findings reach the roadmap

Findings stall when they stay in the research database. Link the interview rows to your projects database with a Relation property. Notion's guide recommends this, so you can trace a feature back to the user feedback behind it.

Worked example. Your team is redesigning checkout. Each interview row points to the same project card. Open the card, and you see every participant who touched that flow, with status and quotes. Product managers stop asking where the evidence is.

Relations go wrong in predictable ways. A row may link to the wrong project because two cards share a name. Give project cards unique names, such as Checkout redesign, spring plan. Check the property settings if a link looks one-sided.

Lazur is a voice assistant for the Mac. It lives in the notch. Hold ⌥ ⌘, which is Option plus Command, to ask about anything on screen. Lazur answers out loud. Ask where something is, and it draws a circle and a label around it.

In Notion, that covers three jobs. Ask where a setting lives, and Lazur points at it. Ask how to do a task, and Lazur guides you one click at a time, waiting for each click. Hold fn to dictate clean, formatted text at the cursor in any app, including Notion.

Lazur is not a plugin or add-in for Notion or any other app. It runs alongside Notion on your Mac, and it only sees your screen while you hold the shortcut. Lazur does not click buttons, edit pages or operate Notion for you. You make every change yourself.

## Recordings, uploads and plan limits

Recordings break more Notion setups than anything else. Free file uploads cap at 5 MB. A full session video will not fit, and a long audio file may not fit either.

Keep recordings in your video tool or cloud storage. Paste the link into the row. Notion's pricing page says Plus and Business raise uploads to 5 GB. That helps with transcripts and screenshots, but it may still not suit long video.

| Plan | Price per member per month | File uploads | Page history |
| --- | --- | --- | --- |
| Free | $0 | Up to 5 MB | 7 days |
| Plus | $10 | Up to 5 GB | 30 days |
| Business | $20 | Up to 5 GB | 90 days |
| Enterprise | Custom pricing | Check the pricing page | Custom |

_Limits from Notion's pricing page. Confirm before you buy._

Page history matters for research. On Free, you can look back 7 days. A finding you rewrote on a Tuesday may be out of reach a week later. Export the final synthesis as a PDF or Markdown file on the day it is done.

> **Export before the window closes:** Free page history covers 7 days only. Export final findings before a project closes, not after.

For the steps, see [how to export a page in Notion on Mac](https://www.lazur.app/how-to/export-a-page-in-notion). Free teams also get a limited number of blocks. Notion's pricing page does not give the number, so check the limit before a big synthesis push.

## Where synthesis time goes, and what to do about it

Synthesis is where research calendars get stuck. In a May 2025 Lyssna survey of 300 professionals, 60.3% named time-consuming manual work as their biggest synthesis pain point. 65.3% finish synthesis in 1 to 5 days.

- **60.3%** of 300 professionals in a May 2025 survey name manual work as their biggest synthesis pain point ([source](https://www.lyssna.com/reports/research-synthesis/))
- **65.3%** of synthesis work finishes in 1 to 5 days, in the same May 2025 survey ([source](https://www.lyssna.com/reports/research-synthesis/))
- **5 MB** file upload limit on Notion's Free plan ([source](https://www.notion.com/pricing))
- **$10** per member per month for Plus, which raises uploads to 5 GB ([source](https://www.notion.com/pricing))

The survey also ranked the slowest tasks. Reading through responses or data came first at 59.0%. Organizing findings into a structure followed at 57.3%. Identifying patterns came at 55.0%. Creating presentations or visuals came at 49.0%.

**Most time-consuming synthesis tasks in a 2025 survey**

- Reading responses: 59 %
- Organizing findings: 57.3 %
- Finding patterns: 55 %
- Making presentations: 49 %

Source: https://www.lyssna.com/reports/research-synthesis/

Treat these numbers with care. Lyssna sells research software. The sample mixes researchers, designers and product managers, and the survey is not about Notion. Still, the four tasks match what most researchers do each week.

Notion helps with two of the four. Organizing goes faster when the database has Feature and Task properties and views grouped by them. Patterns get easier when every row carries the same tags. Reading stays your job. Notion does not read interviews for you.

Looppanel, a research-tool vendor, says general tools like Notion often lack specialized features for UX research. That is one vendor's view, from an article dated October 7, 2024. Test it against your own workflow before you decide.

## Tags, themes and the synthesis board

Tags turn a pile of quotes into themes. Add one Select or Multi-select property called Theme. Keep the list short. A short list you can actually use beats a long one you forget.

Name each theme as a finding, not a topic. Pricing is confusing reads better than Pricing. Then group the board by Task, as the guide suggests, and read one column at a time. Move quotes between columns as you read.

Edge case: one quote, two themes. Use a Multi-select property for the second tag, and keep one primary theme for the board view. Filter by the second tag when you need it. Your counts stay clear that way.

## Protect participant data with column permissions

Recruiting data is sensitive. So is any support call transcript. Notion's October 13, 2026 release notes say database owners can now control which properties each person or agent can view or edit. Notion's examples are recruiting and support teams limiting access to sensitive data.

For UX research, the split is simple. The whole team sees quotes, themes and status. Only the researcher who recruits sees Email and Phone. Set this up before you invite stakeholders, not after one of them has seen the contact list.

The release notes list no plan requirement for this feature. They also give no menu path. Check the setting in your own workspace before you promise anyone a locked column.

> **Permissions are not consent:** Column permissions limit who sees a column. They do not replace your consent form or your data retention rules.

## Keyboard shortcuts for a Mac research day

Notion's keyboard shortcuts page lists the Mac keys you will use most. Learn these first. Each one saves a click during a long day of note taking.

- cmd + P or cmd + K: open search, or jump to a recent page.
- cmd + F: find text on the page you have open.
- cmd + N: start a new page, such as a session note.
- cmd + T: open a new tab, so the study database stays open beside a participant page.
- cmd + /: open a menu for the blocks you selected.
- cmd + R: refresh the app if a new feature does not show up, per Notion's desktop help.

Notion's shortcut page does not list a sidebar toggle. It does not list a shortcut to insert a database view either. Use the mouse for those, or ask Lazur to point at them.

## Keep the Mac app current, and know the beta risks

Notion's desktop help says the app updates automatically. To check, click Notion in the menu bar, then choose Check for Updates. If a feature still does not appear, press cmd + R.

You can also try the Desktop beta. Open Settings in the sidebar, then Preferences, and find Desktop beta. The beta needs app version 7.39.0 or later. Joining also splits multi-workspace windows, so check your window layout before you join.

Known beta issues include some full-screen views hiding the tab bar. AI Meeting Notes may also misbehave. Problems include the recording indicator, pop-up windows and a clean recording shutdown if the app restarts.

> **Skip the beta on presentation day:** Full-screen views can hide the tab bar, and AI Meeting Notes has known problems. Test the beta on a quiet day, not the day of a readout.

## Present findings with tabs and Presentation mode

Notion 3.4, part 1, released March 26, 2026. It turned the sidebar into four tabs: pages, agent chats, meetings and notifications. The change is opt-in. Toggle the sections you use, and hide the rest.

The same release added a tabs block and Presentation mode, which is in beta. On Mac, press cmd + Option + P. Presentation mode is listed for Plus, Business and Enterprise plans.

For a readout, keep the findings page in one tab and the study database in another. Present from the findings page, then switch tabs when a stakeholder asks for raw quotes. The quotes stay one click away.

## Dictate observations right after a session

The best time for notes is right after the call, while the wording is fresh. Open the session row, click into Interviewer Observations, and hold fn. Say the observation the way you would tell a colleague. The text lands at the cursor.

![Person typing notes on a Mac laptop straight after a research session](https://lfobmih1tpj3sgpo.public.blob.vercel-storage.com/content-images/role-app/ux-researchers-notion/notion-for-ux-researchers-on-mac-3-3219f3.jpg)

Use Lazur's personal dictionary for product names, feature names and acronyms. Notion may get them wrong otherwise. Snippets help with repeated lines, like your standard session intro. Clipboard slots keep a quote ready to paste into User Comments.

Check consent before you dictate. Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models. Your consent form still decides what you may record and keep.

## Ask Lazur to draft, explain and research, then check the result

Drafting is the second use. Ask Lazur to draft follow-up questions for a checkout interview. It types the draft for you to review. Read every line before you paste it into a template. A draft is a starting point, not a protocol you have run.

Explaining is the third use. Ask what a Relation property does, or why a board shows empty columns. Lazur answers out loud. Then ask it to walk you through the fix, one click at a time.

Research is the fourth use. Lazur runs research in its own Chrome tabs, through the Lazur for Chrome extension, and returns a summary and a report. Use it to compare how teams structure research repositories. Check any claim against the source it names.

## Mistakes UX researchers make in Notion

- A page per interview. Search and calendar views break down, and comparisons turn into guesswork.
- Videos in Notion uploads. Free caps files at 5 MB, so most recordings fail to upload.
- Contact columns open to everyone. Use column permissions, or split contact details into their own database.
- Trusting Free page history. 7 days is short, so export final findings.
- Following 2022 screenshots. Labels changed, so follow the structure of the guide, not its clicks.
- Joining the beta before a deadline. Known issues can affect full-screen views and meeting notes.
- Too many themes. Nobody uses a long tag list, so tags go stale within weeks.

## Check your Mac before you set this up

The Notion desktop app needs macOS 13 or above, according to Notion's system requirements page. Notion also advises using the latest version of your operating system. The page lists no RAM or disk requirements. Check your own free storage before you sync a large workspace.

Lazur runs on macOS, on both Apple silicon and Intel Macs. Keep it available alongside Notion, and hold the shortcut only when you need an answer.

Confirm your version with [the system requirements guide](https://www.lazur.app/how-to/check-system-requirements-in-notion) before you install anything.

## A weekly research routine in Notion

Here is a routine that works without Lazur. It takes a few minutes a day once the database exists.

1. Monday: add each new participant as a row with status contacted.
2. Session day: set the row to scheduled, then to completed after the call.
3. After each session: open the template and dictate or type your observations.
4. Before you close a row: tag every user comment with a Task or Theme.
5. Midweek: open the board grouped by Task and look for repeats.
6. Friday: link finished themes to the project card, then export a dated copy.
