To add a header in Word on Mac, click Insert in the menu bar, choose Header & Footer, type your text, then press Esc or click Close Header and Footer. The header then repeats at the top of every page in the document.

## Quick answer

- Go to Insert > Header & Footer, type the header text, then press Esc to close it.
- Remove a header with Insert > Header > Remove Header.
- For a different first page, double-click the header and check Different First Page.
- In Word for the web, double-click the top of a page to open the header.

Applies to: Word for Microsoft 365, 2024, 2021 and 2019 for Mac. Time: 5 min. Difficulty: Easy.

## What you need

- Word for Mac from Microsoft 365, Word 2024, Word 2021 or Word 2019
- The document open in desktop Word, or in Word for the web for the web steps
- Edit access to the file, since a read-only copy cannot change the header

## How to Add a header in Word on Mac in Word on a Mac

1. **Open the document.** (File > Open) Open the Word document in Word for Mac. Click into the text once so the window is active. You do not need to select anything. The header applies to the whole document, so the cursor position does not matter. Tip: If the file lives in a web browser, download it or open it in the desktop app first.
2. **Open the Insert menu.** (Insert) Click Insert in the menu bar at the top of the screen. Look for Header & Footer in the menu. Microsoft's training page gives the path as Insert > Header & Footer. Tip: If you see Header or Footer instead, choose it, then pick Blank and continue at step 4.
3. **Choose Header & Footer.** (Insert > Header & Footer) Click Header & Footer. Word moves the cursor into the header area at the top of the first page. The Header & Footer tab opens on the ribbon, so the header options sit in one place. Tip: The header copies to later pages automatically unless you change that later in the document.
4. **Type and format the header.** (Home) Type the text, such as a document title or a company name. Use the Home tab to change the font, size and alignment. The text repeats at the top of every page, not in the body.
5. **Close the header.** (Header & Footer > Close Header and Footer) Shortcut: Esc. Click Close Header and Footer on the ribbon, or press Esc. Word returns the cursor to the body text. Either route leaves the header area so you can keep typing in the document. Tip: If Esc does nothing, you are not in the header area. Double-click the top margin to return, then press Esc.
6. **Check every page.** (View > Print Layout) Choose View > Print Layout, then scroll through the pages. The header should appear at the top of each page. If it only shows on page one, check Different First Page on the Header & Footer tab. Tip: Draft view does not display headers, so switch to Print Layout before you judge the result.
7. **Save the file.** (File > Save) Choose File > Save so the header is stored in the document. Anyone who opens the file in Word sees the same header. Save a copy first if you are testing a new header on a shared file.

A header is the text that sits in the top margin of a page. A title, a company name or a draft label often goes there. Word repeats the header on every page, so you type it once. These steps cover Word for Microsoft 365 for Mac. Microsoft's help articles also apply to Word 2024 for Mac and Word 2021 for Mac.

## Check your Word version first

Open the Word menu and choose About Microsoft Word. The window shows your version and build number. Microsoft's update history lists the newest Word for Mac build as 16.114.4, build 26110224, released November 4, 2026. Your copy may be older. Menu names can change between builds, so a missing item does not always mean you are doing something wrong.

- **5** Office for Mac releases with Word updates between October 14, 2026 and November 4, 2026 ([source](https://learn.microsoft.com/en-us/officeupdates/update-history-office-for-mac))

Microsoft's help pages list four Mac versions in their Applies To lines. Those are Word for Microsoft 365 for Mac, Word 2024 for Mac, Word 2021 for Mac and Word 2019 for Mac. Word 2016 appears on the same pages without a Mac label. If you use Word 2016, check your menus before you follow these steps line by line.

## How to add a header in Word on Mac, step by step

The main route runs through the Insert menu. Microsoft's training page gives it as Insert > Header & Footer. The steps below follow that route. They also include the Close step, since the header stays editable until you leave it.

## Edit or remove a header later

Double-click the header area near the top of the page. The Header & Footer tab opens, and the header text becomes editable again. Microsoft's single-page article uses this route, so you can edit without going back to the Insert menu.

To remove the header from the whole document, go to Insert > Header > Remove Header. Microsoft lists this path on its training page. Use it when no page should show a header. Save a copy first if you might want the old text back.

- Is the cursor in the header area? The Header & Footer tab should show on the ribbon.
- Did you click the body text by mistake? Double-click the top margin again to return to the header.
- Are the sections linked? Check the section breaks under Layout > Breaks.
- Are you in desktop Word? Word for the web handles headers in a different way.

## Use a different header on the first page

Letters and reports often keep the header off page one, because the title block already sits there. Word handles this with Different First Page. It is a checkbox on the Header & Footer tab. Checking it gives page one its own header area, separate from the rest.

Double-click the header area on page one. Check Different First Page. Page one now gets its own header, which you can leave empty. Pages after it keep the header you set up earlier. Microsoft's single-page article describes this exact checkbox.

> **Community fallback:** If the Header & Footer tab will not open, a volunteer answer in Microsoft's Q&A for Word for Mac 16.81 says to use Format > Document, open the Layout tab and check Different first page. That is not official Microsoft documentation. Check it against your own screen before you rely on it.

## Start a header on one later page

A page break is not enough when you want a header on one later page. You need a section break. Microsoft's guide says to choose Layout > Breaks > Next Page. That starts a new section, and each section can hold its own header settings.

Double-click the header area on the new page. Turn off Link to Previous. The new section then stops copying the header from the section before it. Only after that should you edit or remove the header. If you edit first, the change can reach the earlier pages too.

## Add a logo or picture to a header

Microsoft's image article gives the Mac route as Insert > Header or Footer > Blank, then Picture from File. Choose your image and click Close Header and Footer. The article says Header or Footer, while the training page says Header & Footer. Use whichever label your menu shows.

Keep logos small and simple. A large picture pushes the body text lower on the first page. Drag a corner handle to resize the image. Then check the top margin on page two, so the logo does not crowd the text there.

## Headers in Word for the web

Word for the web works from the page itself. Double-click the top of any page to open the header, or the bottom to open the footer. A Header & Footer tab appears. It offers page numbers, a different first page, odd and even headers, and removal. Exit with Close Preview or Esc.

| App | Open the header | Leave the header |
| --- | --- | --- |
| Word for Mac | Insert > Header & Footer, or double-click the header area | Close Header and Footer, or Esc |
| Word for the web | Double-click the top of a page | Close Preview, or Esc |

_Header steps by app, from Microsoft's help and Tech Community posts._

Microsoft's Tech Community post from July 11, 2025 says the header experience now lines up across Windows, Mac and the web. The web version still has limits. It cannot insert file names or other document properties into a header or footer. Microsoft suggests desktop Word for that job.

## Mistakes people make with Word headers

Most header problems come from a few habits. The list below covers the ones that waste the most time.

- Typing in the body text instead of the header area. The text then sits on the page, not in the margin.
- Pressing Enter many times to push the header down. The spacing shifts on every page and makes later edits hard. Adjust the header paragraph instead.
- Using a page break when you need a section break. Only a section break lets a page use different header settings.
- Forgetting to leave the header. Word stays in header editing until you click Close Header and Footer or press Esc.
- Expecting Word for the web to match desktop Word. It does not insert file names or document properties.
- Skipping the build check. If a menu is missing, check your version first, then look at the Q&A fallback.

## Next steps once the header is in place

A header often comes with a contents page or a review pass. For a contents page, read [how to insert a table of contents in Word on Mac](https://www.lazur.app/how-to/insert-a-table-of-contents-in-word). For edits from colleagues, read [how to turn on Track Changes in Word on Mac](https://www.lazur.app/how-to/turn-on-track-changes-in-word).

Before you send the file, check page one, page two and the last page. Print Layout shows the top margin most clearly. A header that looks right on screen can still need a look on paper.

## Shortcuts

- Close Header and Footer: Esc

## If it does not work

- **Header & Footer is missing from the Insert menu** Check your build under About Microsoft Word. Try Insert > Header, then pick a built-in style such as Blank. A volunteer Q&A answer for Word for Mac 16.81 also suggests Format > Document > Layout for Different first page.
- **The header shows on page one but not on later pages** Different First Page is probably checked. Double-click the header on page two and type there. To use one header everywhere, uncheck Different First Page on the Header & Footer tab.
- **Editing one page's header changed every page** Those pages share a linked header. Insert a section break with Layout > Breaks > Next Page, then turn off Link to Previous on the new section before you edit.
- **Word for the web will not insert a file name into the header** Microsoft says the web version cannot add file names or document properties to a header or footer. Open the file in desktop Word and add them there.
- **Stuck in the header area** Click Close Header and Footer, or press Esc. If neither works, click into the body text to leave the header.

## FAQ

### Why is Header & Footer missing from my Insert menu?

Menu labels can change between Word for Mac builds. Check your version under About Microsoft Word first. If you see Header or Footer instead, choose it and pick Blank. A volunteer answer for Word for Mac 16.81 also points to Format > Document > Layout for Different first page.

### How do I remove a header from one page only?

Start a section on that page with Layout > Breaks > Next Page. Double-click the header on the new page and turn off Link to Previous. Then choose Header > Remove Header, or delete the text, on that page only.

### Can page one have a different header?

Yes. Double-click the header on page one and check Different First Page on the Header & Footer tab. Page one gets its own header area, which can stay blank for a title page.

### Which Word for Mac versions do these steps cover?

Microsoft's help pages list Word for Microsoft 365 for Mac, Word 2024 for Mac and Word 2021 for Mac in the Applies To lines. Word 2019 for Mac appears on one page. Word 2016 has no Mac label, so check your menus first.

### Can a header include the file name or the date?

Microsoft has a guide for adding the file name, date, author and other document properties to a header or footer. Word for the web does not support those fields. Open the file in desktop Word for that job.

### What if Esc does not close the header?

Esc works only while you are in the header area. Click into the header text, then press Esc again. You can also click Close Header and Footer on the Header & Footer tab.

### Is Word for the web set up the same way?

Almost. Double-click the top of a page to open the header, then exit with Close Preview or Esc. Desktop Word uses Insert > Header & Footer as the main route, so the menus differ.
