To add a watermark in Word on Mac, click Design > Watermark, select Text, type your own words or pick DRAFT, then click OK. If the mark does not show, switch to View > Print Layout and check again.

## Quick answer

- Go to Design > Watermark, then select Text in the Insert Watermark box.
- Type your own words or choose the DRAFT preset, then set font, size, color and orientation.
- Click OK. If nothing shows, switch to View > Print Layout.
- To remove a watermark, choose Design > Watermark > No watermark.
- Word for the web cannot add watermarks, so open the file in the desktop app first.

Applies to: Word for Microsoft 365 and Word 2024 on Mac. Time: 5 min. Difficulty: Easy.

## What you need

- Word for Microsoft 365 or Word 2024 on Mac
- The document open in the Word desktop app
- An image file if you want a picture watermark

## How to Add a watermark in Word on Mac in Word on a Mac

1. **Open the document in Print Layout.** (View > Print Layout) Open the Word document on your Mac. Go to View > Print Layout. Print Layout shows the page as it will print, so any watermark you add appears where you can check it. Keep this view on for the rest of the steps. Tip: If you ever cannot see a watermark, come back to this view first.
2. **Open the Design tab.** (Design) Click the Design tab in the ribbon at the top of the Word window. The Watermark button sits in the Page Background group. If you do not see Design, confirm that the document is open in the Word desktop app.
3. **Open the Watermark menu.** (Design > Watermark) Click Watermark. Word opens the Insert Watermark box, where you choose the type of watermark and its settings.
4. **Select Text.** In the Insert Watermark box, select Text. This option uses words, so you do not need an image file for it.
5. **Type your words or choose DRAFT.** Type your own words in the text box, such as INTERNAL ONLY. Or open the preset list and choose DRAFT, which is the example Microsoft uses for Mac. Keep the words short so they fit on the page. Tip: Short words read better as a watermark than long phrases.
6. **Set font, layout, size, color and orientation.** Choose a font and a size. Set the layout and the orientation, such as horizontal or diagonal. Pick a Font Color pale enough for body text, or use Transparency to lighten the mark. Tip: Change one setting at a time, then check the page.
7. **Click OK and check every page.** Click OK. Scroll through the document and confirm the watermark appears where you want it. If it is missing, check that you are still in Print Layout, then look again.
8. **Remove or replace it later if needed.** (Design > Watermark > No watermark) To remove a watermark, choose Design > Watermark > No watermark. To change its look, run the command again with new settings, because Microsoft says a text watermark is changed by replacing it.

## Before you start: check which Word you have

Microsoft's watermark help pages list Word for Microsoft 365 on Mac, Word 2024, Word 2021, Word 2019 and Word 2016. The steps in this guide follow Microsoft's Mac path, Design > Watermark. If your ribbon has no Design tab, confirm that you are in the desktop app and not a browser.

The current Office for Mac build is 16.114.3, released on October 27, 2026. Microsoft's release notes for the October 2026 Word updates list quality and performance fixes only. No watermark or Design tab change appears in them, so the steps here should match your copy.

## Add a text watermark in Word on Mac, step by step

A text watermark is the right choice for status words such as DRAFT, CONFIDENTIAL or INTERNAL ONLY. It needs no image file. You can replace it at any time by running the same command again with new words or settings.

![Person at a MacBook learning how to add a watermark in Word on Mac](https://images.lazur.app/content-images/howto/add-a-watermark-in-word/how-to-add-a-watermark-in-word-1-521d8d.jpg)

Microsoft does not list a Mac keyboard shortcut for the Watermark command, the Design tab or Print Layout. Expect to use the mouse for these steps. The path is short, so it becomes quick with a little practice.

## Use the DRAFT preset for review copies

DRAFT is the preset Microsoft uses for its Mac example. Choose Design > Watermark, select Text, then choose DRAFT. You can keep the word as it is or edit it before you click OK.

A DRAFT mark tells the reader that the text can still change. It suits a document you send for review, a contract you are still negotiating, or a report with open numbers. Use a lighter color if the stamp makes body text hard to read.

## Change the font, color, size and transparency

Once you select Text, the Insert Watermark box lets you set the font, layout, size, colors and orientation. Change one setting at a time, click OK, and look at the page. That makes it easy to see which setting did what.

To make a text watermark lighter, change Font Color or Transparency in the same box. Microsoft's guide says that to change a text watermark's look, you replace it with a new one. Running the command again with new settings replaces the old mark.

- Text: type your own words or pick a preset such as DRAFT.
- Font: choose the typeface used for the words.
- Size: set how large the words appear on the page.
- Color: choose a paler shade so body text stays easy to read.
- Transparency: lighten the mark further if it competes with the text.
- Orientation: choose how the words sit on the page, such as horizontal or diagonal.

## Add a picture watermark, such as a logo

A picture watermark works for a logo, a seal or a stamp image. Go to Design > Watermark > Custom Watermark. Choose the picture option, select your image file, and click OK. Word places the image on the pages of the document, which suits a client proposal or a branded report.

![Office desk with a laptop and printed pages, the kind of draft that gets a watermark in Word on Mac](https://images.lazur.app/content-images/howto/add-a-watermark-in-word/how-to-add-a-watermark-in-word-2-b4b580.jpg)

Microsoft's help pages for picture watermarks cover the picture option and the transparency settings, but they do not name every button in the picture dialog. Use the file picker, then check the page. If the image is too strong, lighten it through the header, as the next section shows.

## Make a picture watermark lighter

Double-click near the top of the page to open the header. Double-click the watermark to open Format Picture. Select the Picture tab, then adjust Picture Transparency or Picture Corrections. Click back into the body of the page to leave the header.

## Three examples of watermarks that do real work

Review draft. Use the DRAFT preset in a pale gray, horizontal or diagonal. Readers know the text may change, and the body copy stays readable for the people checking it.

Internal report. Type INTERNAL ONLY as a text watermark. Keep the font plain and the color pale, so the page still looks like a finished report that happens to be private.

Client proposal. Add a picture watermark of your logo. Lighten it through the header so the proposal text stays easy to read. Save the logo watermark to the gallery so every proposal uses the same mark.

## Why the watermark does not show up

The most common cause is the view. Go to View > Print Layout. Microsoft says Print Layout also shows how the printed watermark will look, so it is the best view to check your work in.

A 2010 Microsoft Q&A thread about a greyed-out Watermark command describes older Word menus. Its accepted answer says watermark commands work only in Normal, Print Layout and Outline views. If the command is grey, switch to one of those views and try again.

## Why Word for the web cannot add one

Word for the web cannot add or edit watermarks. You can see a watermark that already exists, but you cannot change it in the browser. Microsoft's instruction is to select Editing > Open in Desktop App at the top of the ribbon.

Make the watermark in the Mac app, then reopen the file in the browser to see it. If a watermark seems to disappear, open the file in the desktop app and check it there before you change anything else.

## Put a watermark on every page without doubling it

The Watermark command applies to all pages in a document. Microsoft's help page on putting a watermark on all pages covers this case. Use one command for the whole file, rather than adding marks page by page.

Before you add a new mark, remove any existing one. Peony's guide quotes Microsoft's advice on this, so a page does not end up with two watermarks. Remove first, then add.

| Add a picture watermark | Design > Watermark > Custom Watermark | Choose the picture option, then select your file |
| Remove a watermark | Design > Watermark > No watermark | Fallback: double-click near the top of the page, click the mark, press Delete |
| Check the result | View > Print Layout | Shows how the printed watermark will look |
| Save a watermark for reuse | Design > Watermark > Save Selection to Watermark gallery | Select the mark in the header first |

## How to remove a watermark on Mac

Choose Design > Watermark, then select No watermark in the Insert Watermark box. Microsoft's removal steps use that path. The mark disappears from the document once the command runs.

If the command does not clear it, double-click near the top of the page to open the header. Click the watermark, then press Delete. Check the first page and a few pages further on, so you know the mark is gone from the whole file.

## Common mistakes to avoid

- Editing a watermark in Word for the web and expecting the change to stick.
- Adding a second watermark on top of an old one instead of removing the old one first.
- Choosing a dark color, so the body text becomes hard to read.
- Judging the result in a view other than Print Layout, then wondering why the mark looks missing.

## Check the watermark before you print or send

Switch to Print Layout and scroll through the document. Microsoft says Print Layout shows the printed result, so use it as your final check. Look at the first page, a page in the middle and the last page.

If you send a PDF, export it and open the exported file. The reader sees that copy, so check it as well. Do this before the document leaves your hands, not after.

## Watermark or header: which one fits

A watermark is a large, faint mark that sits on the page. A header is smaller text that repeats at the top of each page, such as a document title or a date. Use a watermark for status words like DRAFT and a header for a running title. For that job, read [how to add a header in Word on Mac](https://www.lazur.app/how-to/add-a-header-in-word).

## Save a watermark to reuse in other documents

If you use the same mark often, save it. Double-click near the top of the page to open the header. Click the watermark to select it. On the Design tab, in the Page Background group, choose Watermark > Save Selection to Watermark gallery.

Name the watermark and click OK. It then appears in the Watermark gallery for later documents. A saved mark saves you from rebuilding the same DRAFT or logo for each report.

## If it does not work

- **The watermark does not appear** Go to View > Print Layout. Microsoft notes that Print Layout shows how the printed watermark will look, so check there first.
- **The Watermark command is greyed out** Switch to Normal, Print Layout or Outline view. A 2010 Microsoft Q&A answer says watermark commands work only in those views. If the file is open in a browser, select Editing > Open in Desktop App.
- **Word for the web has no way to add one** Microsoft says adding a watermark is not possible in Word for the web. Select Editing > Open in Desktop App at the top of the ribbon, then add the mark there.
- **Two watermarks now overlap** Remove the old mark first with Design > Watermark > No watermark, then add the new one. Peony's guide quotes Microsoft on this order.
- **The watermark is too dark** For text, change Font Color or Transparency in the Watermark box. For a picture, double-click near the top of the page, double-click the watermark, then use Picture Transparency on the Picture tab.
- **No watermark does not remove it** Double-click near the top of the page to open the header. Click the watermark, then press Delete.
