To archive an email in Gmail on Mac, open Gmail in Safari or Chrome, tick the message's box, then click Archive at the top. With keyboard shortcuts turned on, you can tick the box and press E instead, and the message leaves your inbox without being deleted.

## Quick answer

- Open Gmail in Safari or Chrome, tick the box next to the message, then click Archive at the top of the list.
- With keyboard shortcuts turned on, tick the box and press E. Archive has no ⌘, ⌥ or ⌃ version.
- Archived mail leaves your inbox but stays under All Mail. Search in:archive to find it again.
- A reply to an archived thread brings it back to your inbox. Archiving does not delete anything or free storage.

Applies to: Gmail in Safari or Chrome on macOS. Time: 5 min. Difficulty: Easy.

## What you need

- A Mac with Safari or Chrome installed
- A Google Account with Gmail
- Keyboard shortcuts turned on in Gmail, if you want to use E
- About 5 minutes the first time

## How to Archive an email in Gmail on Mac in Gmail on a Mac

1. **Open Gmail in your browser.** Open Safari or Chrome and go to mail.google.com. Sign in with your Google Account. Google's help pages describe Gmail in a browser on a computer, so these steps use the browser version. Tip: If you use Gmail all day, Safari can add it to the Dock. The steps are in the Dock section above.
2. **Find the message you want to archive.** Scroll the Inbox, or type a name, subject or sender in the search bar at the top. You can archive from the list, so you do not need to open the message first. Tip: Open the message first only if you want to read it before you decide.
3. **Tick the box next to the message.** Click the empty box at the left edge of the message row. The box fills with a check mark. Tick more boxes now if you want to archive several messages at once. Tip: Ticking a box does not archive anything yet. The message leaves the inbox only after you click Archive or press E.
4. **Click Archive at the top of the list.** (Gmail toolbar > Archive) Shortcut: E. Look for Archive in the toolbar above the message list, then click it. The ticked messages leave your inbox. They stay in your account under All Mail. Tip: Archive is not Delete. Delete moves mail to Trash, where it still counts toward your storage.
5. **Turn on keyboard shortcuts for the E key.** (Settings > See all settings > Keyboard shortcuts > Keyboard shortcuts on > Save Changes) Open Settings from the gear icon at the top right of Gmail, then choose See all settings. Find the Keyboard shortcuts section, select Keyboard shortcuts on, and click Save Changes. Google says the shortcuts will not work until you turn them on. Tip: Turn this on once. The setting stays on until you change it.
6. **Press E to archive from the keyboard.** Shortcut: E. Tick the message, then press E. Press only the E key, with no ⌘, ⌥ or ⌃. Google's shortcut page says Mac users press ⌘ where Windows uses Ctrl, but archive has no ⌘ version either. Tip: Shortcuts usually do not work while the cursor sits in the search box. Click the message list first.
7. **Find archived mail later.** (Sidebar > More > All Mail) In the left sidebar, click More, then All Mail. Archived messages show up there along with everything else. To see only archived mail, type in:archive in the search bar. Tip: All Mail lists everything, including mail still in your inbox. The in:archive search gives a shorter list.
8. **Move an archived message back to the inbox.** (Gmail toolbar > Move to Inbox) Open the archived message from All Mail or from your search results. Tick its box, then click Move to Inbox at the top. If you are reading the message, the button sits at the top of that view. Tip: If the thread gets a new reply, Gmail brings it back to the inbox on its own.

## Why archiving beats leaving mail in your inbox

Archive is the quickest way to clear a finished conversation from your inbox without losing it. Gmail keeps the message. It just stops showing it in the Inbox list. That matters when you want a clean screen but might need the thread again next month.

The figures below show how many people use email. Archive is the habit that keeps a large inbox workable, because it clears the screen and keeps the message where you can find it.

- **15 GB** Free storage per Google Account, shared across Gmail, Drive and Photos. Spam and Trash count too. ([source](https://support.google.com/googleone/answer/9312312?hl=en))
- **Over 4.4 billion** Worldwide email users in 2024, per Radicati Group's estimate. Its later figures are forecasts. ([source](https://www.einpresswire.com/article/751597875/the-radicati-group-releases-email-statistics-report-2024-2028))

## Open Gmail on your Mac first

Gmail on a Mac runs in your browser. Use Safari or Chrome, go to mail.google.com, and sign in. The Google help pages I checked describe Gmail in a browser on a computer, and they do not name a separate Mac app. The menu names below match those pages.

Google's pages do not show version numbers, so a future Gmail layout could move a button. If a name looks different on your screen, look for the same icon or word in the same spot at the top of the list.

If you want Gmail in its own window with a Dock icon, Safari can make one. Open Gmail in Safari on macOS Sonoma 14 or later, then choose File > Add to Dock. Type a name, click Add, and the web app goes into the Applications folder in your home folder. The full steps are on the [pin Gmail to the Dock page](https://www.lazur.app/how-to/pin-gmail-to-the-dock-in-gmail).

> **A web app is not a native app:** A Safari web app is a Gmail window saved to your Dock. It is not a separate Gmail app from Google. I did not verify how it handles notifications or offline use.

## Archive versus delete, in plain terms

Archive and delete sit next to each other in the toolbar, and they do very different things. Archive hides a message from the inbox and keeps it. Delete moves it to Trash. The table shows what happens next in each case.

| Action | Result | Note |
| --- | --- | --- |
| Archive | Leaves the inbox and stays under All Mail | Still counts toward your 15 GB |
| Delete | Moves to Trash | Trash counts toward your storage too |
| Reply to an archived thread | Returns to your inbox | Google's own warning |

## Archive several emails at once

Archive works on a batch as well as a single message. Tick the box beside each message you want out of the way, then click Archive once. You do not need to repeat the step for each message. This is the fastest way to clear old newsletters or finished threads from a busy inbox.

1. Search or scroll to the group, such as one sender or one date range.
2. Tick each message's box, then check that only the right ones are ticked.
3. Click Archive once, or press E if keyboard shortcuts are on.
4. Open All Mail and search in:archive to confirm the messages moved.

## Find archived email on your Mac

Archived mail never goes far. Google says it stays under All Mail. To get there, click More in the left sidebar, then All Mail. For a shorter list, click the search bar at the top and type in:archive. You can add a sender or a word after it, such as in:archive invoice.

Here is a worked example. Say you archived a flight confirmation last month and now need the booking code. Type in:archive flight in the search bar. Gmail lists the archived messages that match the word flight, so you do not scroll the whole inbox. Open the message, then use Move to Inbox if you want it back in your inbox.

## Keyboard shortcuts for archive on Mac

The archive shortcut is E. It works only after you turn on keyboard shortcuts in Gmail settings. The Mac part is simple. Google's shortcut page says Mac users press ⌘ where Windows uses Ctrl. Archive does not use a modifier key, so you press E on its own.

- E: archive the ticked message. No modifier key.
- ⌘ replaces Ctrl on Windows for shortcuts that use it.
- Option (⌥) and Control (⌃): Google's archive page lists no shortcut with either key.

## Common mistakes with archived email

- Expecting archive to delete. It does not. The message stays in All Mail.
- Forgetting to turn on shortcuts. E does nothing until the setting is saved.
- Assuming storage drops. Archived mail still counts toward your 15 GB.
- Replying to an old thread and forgetting it returns to your inbox.
- Archiving in Apple Mail and expecting the same result as Gmail in a browser.

Most of these come down to a quick check before you archive. Ask whether you might need the thread again. If yes, leave it in the inbox or give it a label first. The [label guide](https://www.lazur.app/how-to/create-a-label-in-gmail) shows how to set one up in Gmail on Mac.

## Archived mail and your 15 GB of storage

Each Google Account includes up to 15 GB of storage. That space is shared across Gmail, Google Drive and Google Photos. Gmail messages and attachments count, and so do the Spam and Trash folders. Archived messages still count toward that total because they are still in your account.

If you go over the limit, Google says new Drive uploads and new Photos backups are blocked. Gmail sending and receiving can also be affected, though you can still sign in. Google says content may be removed after two years over quota, with at least three months of warning. Check your usage before a large attachment day.

## Let filters archive mail for you

Filters can move messages to the archive as they arrive. Google's organize and archive page says so. A filter suits mail you never need in the inbox, such as automated alerts from one sender. Set it up once and that mail skips the inbox. The [filter guide](https://www.lazur.app/how-to/create-a-filter-in-gmail) covers the menu path for Gmail on Mac.

## Archive in Apple Mail works differently

If you added your Gmail account to Apple Mail, archiving can behave differently. A 2023 Apple Community thread reports that archived Gmail messages stayed in the inbox and in Smart Mailboxes. The poster's Archive mailbox was already set to All Mail, and archiving twice worked. The thread closed without a confirmed fix. Read the [Apple Mail setup guide](https://www.lazur.app/how-to/use-gmail-in-apple-mail-in-gmail) before you rely on it.

> **Old thread, no confirmed fix:** The thread is from 2023 and may not match current macOS or Mail versions. Check Mail > Settings > Accounts > Mailbox Behaviors and confirm the Archive mailbox setting. Do not rely on archiving twice as a fix.

## A simple routine for a clean inbox

Pick one time each day or each week for archiving. Archive what you have finished. Leave anything you still need to answer in the inbox. Use filters for mail you never need to see, and check All Mail when you need an old receipt. The routine rarely takes long, and it keeps the inbox readable.

## Shortcuts

- Archive the ticked message: E

## If it does not work

- **Pressing E does nothing in Gmail.** Turn on keyboard shortcuts: Settings > See all settings > Keyboard shortcuts, select Keyboard shortcuts on, then click Save Changes. Google says shortcuts won't work until this is on.
- **An archived thread came back to my inbox.** Someone replied. Google says a reply to an archived message returns it to your inbox. Archive it again after you answer.
- **I cannot find an email I archived.** Click More, then All Mail, or search in:archive plus a sender or word. Archived mail is not deleted, so it should still be there.
- **Archiving does not work in Apple Mail.** Check Mail > Settings > Accounts > Mailbox Behaviors and confirm the Archive mailbox. A 2023 Apple Community thread had the Archive mailbox set to All Mail, and archiving twice worked, but the thread had no confirmed fix.
- **Gmail says I am over my storage.** Empty Trash and Spam, and remove large attachments you no longer need. Over quota can affect sending and receiving, so free space before a big send.
- **The phone steps do not match this guide.** This guide covers Gmail in a Mac browser. I did not check the mobile steps, so use Google's Gmail Help for your phone.

## FAQ

### Does archiving delete an email in Gmail?

No. Archived mail leaves your inbox but stays under All Mail. Search in:archive to find it again. Only Delete moves a message to Trash.

### Does an archived email come back when someone replies?

Yes. Google's help page says: If someone replies to a message you archive, it returns to your inbox. Archive it again once you have answered.

### Does archiving free up Gmail storage?

Not by itself. Archived messages still count toward the 15 GB shared across Gmail, Drive and Photos. Emptying Trash and Spam removes mail that also counts toward that total.

### Why does pressing E do nothing in Gmail?

Keyboard shortcuts must be turned on. Open Settings, choose See all settings, select Keyboard shortcuts on, then click Save Changes. Google says the shortcuts will not work until you do.

### Can I archive Gmail on my iPhone the same way?

This guide covers Gmail in a browser on a Mac. I did not check the phone steps, so use Google's Gmail Help for those.

### Should I archive or delete an email?

Archive when you might need the message later. Delete when you are sure you will not, because Trash still counts toward your storage until you empty it.

### Can filters archive email automatically?

Yes. Google says filters can automatically move messages to the archive. The [filter guide](https://www.lazur.app/how-to/create-a-filter-in-gmail) explains how to set one up in Gmail on Mac.
