# How to change your default calendar in Outlook on Mac: what works in 2026

> How to change your default calendar in Outlook on Mac: set the default account in new and legacy Outlook, plus the parts Microsoft does not confirm.

To change the default in Outlook on Mac, open Tools > Accounts, select your account, and turn on the Default Account toggle. That sets your default account, not a single calendar, and a Microsoft moderator said in October 2024 that Outlook for Mac has no separate default calendar option.

## Quick answer

- Outlook for Mac sets a default account. Microsoft's Mac help does not document a default calendar.
- New Outlook: Tools > Accounts, select the account, then turn on Default Account.
- Legacy Outlook: Tools > Accounts, select the account, click the three dots, then Set as Default.
- Shared mailboxes cannot be the default. Invite behavior for .ics files is community-reported only.
- Check Outlook > Settings > Calendar for a Default calendar dropdown first. A Microsoft moderator says Mac has none.

Applies to: New Outlook for Mac (16.114.3) and legacy Outlook for Mac. Time: 10 min. Difficulty: Easy.

## What you need

- Outlook for Mac installed and signed in to the account you want as the default
- Current build 16.114.3 or newer, or legacy Outlook you plan to switch from
- A test event and a test .ics file to check where items land

## How to Change the default calendar in Outlook for Mac in Outlook on a Mac

1. **Update Outlook for Mac.** (Help > Check for Updates) Open Outlook and choose Help > Check for Updates. Microsoft's release notes list 16.114.3 (build 26102720) as the current build, dated October 27, 2026. Install the newest build before you look for settings. Tip: If you installed Outlook from the App Store, update it there instead.
2. **Look for a Default calendar dropdown.** (Outlook > Settings > Calendar > General) Open Outlook > Settings, then select Calendar. Look for a General section with a Default calendar dropdown. Some guides show this, but Microsoft says Outlook for Mac has no such option. If you see the dropdown, pick your calendar and click OK. Tip: Settings was redesigned in build 16.108, so older guides may show different labels.
3. **Open Accounts in new Outlook.** (Tools > Accounts) If there is no dropdown, set the default account instead. Open Tools > Accounts. Select the account you want as the default. Tip: Select the account first. The toggle applies to the account you selected.
4. **Turn on Default Account.** (Tools > Accounts > Default Account) Click the toggle in the Default Account field. Microsoft says the default account is then listed at the top of the account list. Close the window when it is set. Tip: Only one account can be the default at a time.
5. **Set the default in legacy Outlook.** (Tools > Accounts > Three dots > Set as Default) In legacy Outlook for Mac, open Tools > Accounts. Select the account. Click the three dots at the bottom left, then choose Set as Default. Tip: Legacy Outlook is being retired. Read the legacy section before you rely on it.
6. **Check the account order.** (Outlook > Preferences > Accounts) Confirm the account sits at the top of the list. An older Microsoft Q&A answer from August 2023 says legacy Outlook lets you drag an account to the top in Outlook > Preferences > Accounts. That answer was marked as working. Tip: The drag method is for legacy Outlook. Use Tools > Accounts in new Outlook.
7. **Check the Composing setting.** (Outlook > Settings > Email > Composing) Open Outlook > Settings > Email > Composing. Find the option named Reply and forward using the default e-mail account. Microsoft says replies and forwards use the account the message was sent to unless you clear that option. Tip: Send yourself a test reply after you change this.
8. **Test a new event.** Shortcut: ⌘N. Press ⌘2 to open Calendar, then ⌘N to start a new appointment. Add a title and a time, and save. Check which calendar shows the event, then repeat for each account you use. Tip: Write down the result for each account. Your own test beats any forum post.
9. **Test an .ics invite.** Open an .ics file from one account and watch which calendar takes the event. Community answers say the default account wins. Microsoft does not confirm this, so trust your test over the answer. Tip: For a shared mailbox calendar, use the Open in New Window workaround described above.
10. **Turn off legacy Outlook.** (Help > Check for Updates) If you run legacy Outlook, open it and turn off the Legacy Outlook toggle. If no toggle appears, update through Help > Check for Updates or the App Store. Tip: Microsoft says over 95% of Microsoft 365 users have already moved to new Outlook for Mac.

Here is the short version. Outlook for Mac lets you pick a default account. Microsoft documents that setting in its Mac help. It does not document a default calendar. That gap causes most of the confusion, so this page explains what each setting does and what you can check yourself.

## What Outlook for Mac can and cannot set

Outlook for Mac keeps one default account. New mail goes out from that account. Each account can hold several calendars, and Microsoft does not describe a way to pin one of them as the default. That is the core difference between an account and a calendar.

![Person at a desk with a laptop, reviewing a calendar for Outlook on Mac](https://images.lazur.app/content-images/howto/change-your-default-calendar-in-outlook/how-to-change-your-default-calendar-in-1-7f37cb.jpg)

Some guides go further. The NIST page describes a Default calendar dropdown under Preferences > Calendar > General. It does not name an Outlook version. A Microsoft Q&A user from December 2023 reported that Settings had no General tab on Mac. A moderator attributed the difference to a version change and sent the user to Outlook for Mac support.

> **Sources conflict:** A Microsoft moderator says Outlook for Mac has no default calendar option. The NIST steps say it does. Check your own Settings before you rely on either one.

## Step by step: check for a calendar setting, then set the account

Start with the update. Settings was redesigned in build 16.108, so older guides may show screens that no longer match. Work through the steps below in order. Stop at the first setting that fits what you see on your screen.

- **16.114.3** Current Outlook for Mac build in Microsoft's release notes, dated October 27, 2026 ([source](https://learn.microsoft.com/en-us/officeupdates/release-notes-office-for-mac))
- **Over 95%** Share of Microsoft 365 users who had already moved from legacy to new Outlook for Mac ([source](https://support.microsoft.com/en-us/outlook/end-of-support-for-legacy-outlook-for-mac))
- **Oct 1, 2026** Date Exchange Web Services retires, the service legacy Outlook for Mac uses ([source](https://support.microsoft.com/en-us/outlook/end-of-support-for-legacy-outlook-for-mac))
- **Oct 9, 2029** End of legacy support for Exchange On-Premises mailboxes ([source](https://support.microsoft.com/en-us/outlook/end-of-support-for-legacy-outlook-for-mac))

## Set the default account in new Outlook for Mac

Open Tools > Accounts. Select the account you want as the default. Click the toggle in the Default Account field. Microsoft says the default account is then listed at the top. If it is not, close the window and reopen Accounts to check the order.

Think of this setting as the account Outlook reaches for first. It does not choose one calendar inside that account. If you keep several accounts, decide which one you want first before you change anything.

| Version | Menu path | What it sets |
| --- | --- | --- |
| New Outlook for Mac | Tools > Accounts > select account > Default Account toggle | Default account |
| Legacy Outlook for Mac | Tools > Accounts > select account > three dots > Set as Default | Default account |
| Mac Mail app | Mail > Settings > General > Default email reader > Microsoft Outlook | Default mail reader, separate from the account |
| Outlook for Windows | File > Info > Account Settings > Data Files > Set as Default | Default calendar (Windows only) |

_Menu paths from Microsoft's Mac support pages. The Windows row is a warning only._

## Why the default account changes more than you expect

The default account touches mail too. Microsoft says replies and forwards use the account the message was sent to, unless you clear a setting. That setting is named Reply and forward using the default e-mail account, under Outlook > Settings > Email > Composing.

- New mail goes out from the default account.
- Replies and forwards follow the account the message was sent to, unless the Composing setting changes that.
- Community answers say .ics invites follow the default account. Microsoft does not confirm this.
- The default account does not pick a default calendar inside the account.

Test this before you trust it. Send a message to yourself from one account, reply to it, and check the From line. Repeat with the other account. Both tests take only a few minutes.

## Shared mailboxes and the default calendar problem

Shared mailboxes cause the most trouble. A Microsoft moderator tested this in November 2024 and found that a shared mailbox cannot be the default account. One user on Outlook 16.91 said the option was missing for shared accounts. Microsoft has not confirmed a fix for that report.

> **Unconfirmed workaround:** Right-click the target calendar and choose Open in New Window. Then drag the .ics file into that window. The moderator suggested this. The original poster did not confirm that it works.

If you use that calendar often, keep it open in its own window. Send feedback through Help > Submit Feedback if the workaround fails on your build. Say which build and account type you use.

## Testing where a new event lands

Open Calendar with ⌘2. Press ⌘N to start a new appointment. Add a title and a time, then save. Look at which calendar shows the event. Repeat this for each account you use, and write down what you see.

Then test an invite. Find an .ics file from one of your accounts and open it. Watch which calendar takes the event. Community answers say the default account wins. Microsoft does not document that, so your own result matters more than any forum post.

## Legacy Outlook for Mac: what changed in 2026

Microsoft's end-of-support page says legacy Outlook for Mac stops working with Exchange Online mailboxes in October 2026. Exchange Web Services, which legacy Outlook uses, retires October 1, 2026. Microsoft gives no exact day for the cutoff. This page did not verify whether legacy clients fail today.

Legacy support for Exchange On-Premises mailboxes runs until October 9, 2029. Microsoft says over 95% of Microsoft 365 users have already moved to the new Outlook for Mac. If you still run legacy, switch first. Then use the new steps above.

## Common mistakes that waste an hour

- Following the Windows path. File > Info > Account Settings belongs to Outlook for Windows, not the Mac app.
- Looking for a default calendar in Outlook on the web. Microsoft's calendar settings pages cover time zone, date format, first day of the week, and shared calendars. They do not describe a default calendar.
- Trying to make a shared mailbox the default. Microsoft's moderator test shows that it cannot be done.
- Trusting an old guide. Some third-party sites cite builds 16.111 and 16.105.2. The current build is 16.114.3.
- Changing the default account and forgetting replies. Check the Composing setting too.

## Apple Calendar and Mail are separate settings

If you use the Mac Calendar app with Outlook calendars, its settings are separate. An Apple Community thread says Calendar > Settings > General can set Outlook as the default calendar app, then pick an Outlook calendar. A reply from April 2024 says that does not work in Outlook for Mac on Sonoma.

The same reply gives a working method for Outlook: Tools > Accounts > Set as Default. Mail is a third setting. Microsoft says the Mac Mail app has a Default email reader option under Mail > Settings > General. Choose Microsoft Outlook there to open mail links in Outlook. That does not change your default account.

## What to do when nothing you try works

Start by confirming your build. Then check whether the calendar belongs to a shared mailbox. If you still see no default calendar option, Microsoft's statements say it is not there for Outlook for Mac. You are not missing a hidden step.

Some problems have no verified fix. The sources behind this page do not cover a calendar that won't appear, or invites that land in the wrong calendar. For those, send feedback through Help > Submit Feedback. Include your build number and account type in the report.

## Keyboard shortcuts for calendar work

Microsoft writes Mac shortcuts with words, such as Command and Option. The symbols below are the same keys. Use them once the default account is set, so you can move around the calendar without the mouse.

![Close-up of a Mac keyboard with Command and Option keys](https://images.lazur.app/content-images/howto/change-your-default-calendar-in-outlook/how-to-change-your-default-calendar-in-3-07ea48.jpg)

- ⌘2 opens Calendar.
- ⌘T switches the view to include today.
- ⌘N creates a new appointment.
- ⌘O opens the selected event. Delete removes it.
- ⌘⌥← and ⌘⌥→ move to the previous or next day, week, or month, depending on the view.
- ⇧⌃[ and ⇧⌃] move between calendar panes.

## Next steps after you set the default

Once the account is set, go back to your daily work. The guide on [creating a calendar event in Outlook on Mac](https://www.lazur.app/how-to/create-a-calendar-event-in-outlook) covers new events in more depth. If a colleague needs your calendar, read [how to share your calendar in Outlook on Mac](https://www.lazur.app/how-to/share-your-calendar-in-outlook).

If the default account is wrong for sending mail, the [account setup guide](https://www.lazur.app/how-to/add-an-email-account-in-outlook) covers adding and ordering accounts. The [shared mailbox guide](https://www.lazur.app/how-to/add-a-shared-mailbox-in-outlook) explains how shared mailboxes are added.

This page reflects Microsoft's documentation and release notes as we checked them for this page. If Microsoft moves the Settings screens again, the labels may change. The Tools > Accounts path is still the one to check first.

## Shortcuts

- Open Calendar: ⌘2
- Switch view to include today: ⌘T
- Create a new appointment: ⌘N
- Open the selected event: ⌘O
- Delete the selected event: Delete
- Move to previous or next day, week, or month: ⌘⌥← / ⌘⌥→
- Move between calendar panes: ⇧⌃[ and ⇧⌃]

## If it does not work

- **The Default calendar dropdown is missing.** Microsoft says Outlook for Mac has no default calendar option. Set the default account under Tools > Accounts instead. Update to the current build first, since Settings changed in 16.108.
- **A shared mailbox will not become the default.** A Microsoft moderator found that shared mailboxes cannot be the default account. Use the Open in New Window workaround for that calendar, then send feedback through Help > Submit Feedback.
- **Invites land in the wrong calendar.** The sources behind this page have no verified fix. Community answers say the default account controls .ics invites, but Microsoft does not confirm it. Test one invite and send feedback with your build number.
- **Replies come from the wrong account.** Check Outlook > Settings > Email > Composing, then send yourself a test reply. Microsoft says replies follow the sent-to account unless that option is cleared.

## With Lazur

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ and ask; it sees your screen, answers out loud, points at buttons and walks you through apps. Hold fn to dictate. Free for 3 days, then $18/month: https://www.lazur.app/download

- “Where's the Default Account toggle?”: Lazur circles the toggle and labels it on screen. You flip it yourself. Lazur does not click for you. (Points at it)

## FAQ

### Is there a default calendar setting in Outlook for Mac?

Microsoft says no. A moderator wrote in October 2024 that Outlook for Mac has no default calendar option, in legacy or new Outlook. Some guides show a Default calendar dropdown, but they do not name a version. Check your own Settings.

### What does Default Account actually change?

It sets the default account. Outlook reaches for that account first, and Microsoft says it is listed at the top. It does not pick a single calendar inside the account.

### Can I set a shared mailbox as my default account?

No. A Microsoft moderator tested this in November 2024 and found that shared mailboxes cannot be the default. One user reported the option was missing for shared accounts on Outlook 16.91.

### Do the Windows steps work on a Mac?

No. Microsoft's default calendar article covers Outlook for Windows only. Its path runs through File > Info > Account Settings, which is a Windows route.

### Why does my Outlook build number matter?

Settings was redesigned in build 16.108, and later builds added more options. Older guides may show screens you no longer have. The current build in Microsoft's release notes is 16.114.3.

### Is legacy Outlook for Mac still working?

Microsoft says legacy Outlook for Mac stops working with Exchange Online mailboxes in October 2026. Exchange Web Services retires October 1, 2026. Microsoft gives no exact day, and this page did not check whether legacy clients fail today. Switch to new Outlook if you can.

### Does Apple Calendar use my Outlook calendars as the default?

Not reliably. An Apple Community reply from April 2024 says the Calendar app setting does not work in Outlook for Mac on Sonoma. The working method in that thread is Tools > Accounts > Set as Default.
