To create a calendar event in Outlook on Mac, open Calendar in the navigation pane and select New Event. Add a title and a time, then select Send for a meeting or Save & Close for an appointment.

## Quick answer

- Select Calendar in the navigation pane, then select New Event.
- Double-click a time slot in day, week or month view to prefill the date and time.
- Use Home > Meeting when you invite people. Use Home > Appointment when you do not.
- Press ⌘N for a new appointment, ⌘2 for Calendar and ⌘T for today.

Applies to: Outlook for Mac (Microsoft 365, Outlook 2024 and 2021). Time: 5 min. Difficulty: Easy.

## What you need

- Outlook for Mac from Microsoft 365, Outlook 2024 or Outlook 2021
- macOS 10.14 Mojave or later, per Microsoft's Outlook for Mac page
- A mailbox with a calendar, signed in to Outlook
- Access to Scheduling Assistant and rooms for work or school accounts

## How to Create a calendar event in Outlook on Mac in Outlook on a Mac

1. **Open Calendar from the navigation pane.** (Navigation pane > Calendar) Shortcut: ⌘2. Open Outlook for Mac. At the bottom of the navigation pane, select Calendar. The calendar opens in the main window with your current view. Tip: ⌘2 opens the calendar view from anywhere in Outlook, which is faster than clicking.
2. **Select New Event.** (Calendar > New Event) Shortcut: ⌘N. In the Calendar view, select New Event. A new event window opens with fields for the title, people, time and location. Tip: Microsoft lists ⌘N for a new appointment. Double-click a time slot if you need the event at a set time.
3. **Type a title and add people.** (To box) Type a name for the event in the title box. Add required people in the To box, using names or email addresses. Tip: Adding people turns the event into a meeting, so check the list before you send.
4. **Set the time and repeat pattern.** (See more items > Scheduling Assistant) Set the start and end times. For work or school accounts, select See more items, then Scheduling Assistant to find a slot everyone can attend. Open the Does not repeat drop-down to set a repeat. Tip: Drag the edges of the blue box in Scheduling Assistant, then select Done, then Save.
5. **Add a location, room or online meeting.** (Add a location > Browse all rooms) Select Add a location to type a place. To book a room, select Browse all rooms if that option appears. Select Add online meeting for a video link. Tip: No Browse all rooms option? Your account may lack location access. Ask your IT administrator.
6. **Choose a reminder.** (Reminder) Open the Reminder drop-down and pick how early the alert should appear. If you cannot find Reminder, add it by customizing the toolbar. Tip: Set a reminder for any call that starts at a fixed time, since those are easy to miss.
7. **Send a meeting or save an appointment.** (Home > Appointment > Save & Close) For a meeting with invitees, select Send. For an appointment only you need, go to Home > Appointment and select Save & Close on the Appointment tab. Tip: Send starts the invitations right away, so check the title, time and attendees first.

## Check which Outlook for Mac you are using

Microsoft ships two Outlook clients on the Mac. Legacy Outlook for Mac is the older app that comes with Outlook 2016, 2019, 2021 and 2024. The newer Outlook for Mac is the one you reach when you turn off the Legacy Outlook switch.

The steps in this guide match Microsoft 365 for Mac, Outlook 2024 and Outlook 2021. Microsoft does not split the event steps by version, so the New Event path may look different in legacy Outlook. Check your build before you follow a menu path to the letter.

Version numbers are easy to mix up. Microsoft's release notes list 16.114.3 (Build 26102720) as the latest release, dated October 27, 2026. The Outlook for Mac page still lists 16.42 as the Current Channel minimum. Read the release notes as the newest reference and the support page as the oldest build it covers.

- **16.112** Outlook for Mac build that added a setting to open new events in a separate window ([source](https://learn.microsoft.com/en-us/officeupdates/release-notes-office-for-mac))
- **Oct 2026** Month legacy Outlook for Mac stops working against Exchange Online mailboxes ([source](https://support.microsoft.com/en-us/outlook/end-of-support-for-legacy-outlook-for-mac))

Legacy Outlook for Mac stops working against Exchange Online mailboxes starting October 2026. If your work account uses Exchange Online, check which client you run before you troubleshoot anything. Microsoft's support page does not explain how to read your build number from inside the app, so compare what you see with the release notes.

## Create an event from the Calendar view

Start in Calendar. At the bottom of the navigation pane, select Calendar. Then select New Event. A new event window opens, and you fill in the title, people, time and details before you save or send.

If you already know the day and hour, skip the button. In day, week or month view, double-click the time slot you want. Outlook opens a new event with that date and time already filled in. This is the quickest route when you can see the free space on screen.

## Meeting or appointment: which menu path to use

Microsoft uses the words event, meeting and appointment in the same articles. The practical difference is whether other people are invited. A meeting sends an invitation. An appointment stays on your own calendar.

Use Home > Meeting when you need people to accept. Use Home > Appointment for a block of your own time. The table lists each path and the final button you select.

| Event type | Menu path | Final button |
| --- | --- | --- |
| Meeting with invitees | Calendar > Home > Meeting | Send |
| Appointment for yourself | Calendar > Home > Appointment | Save & Close |
| Quick event from the calendar | Calendar > New Event | Send |

_Menu paths from Microsoft's Mac calendar article._

## Add people, time and a room

The To box holds the people you need. Type names or email addresses there. Each person gets the invitation when you select Send, and can accept, decline or mark the event tentative.

For work or school accounts, open Scheduling Assistant to see when people are free. Select See more items, then Scheduling Assistant. Click a time to place a blue box, then drag its edges until it covers the slot you want. Select Done, then Save.

To book a room, stay in Scheduling Assistant and select Add a location. Then select Browse all rooms if that option appears. If it is missing, your account may not have access to location information. Ask your IT administrator to check that access.

## Worked example: a client call with a room

Say you need a Thursday afternoon call with two colleagues and a meeting room. Double-click the Thursday slot in week view, so the date and time are set. Type the title, then add both colleagues to the To box.

Open Scheduling Assistant to confirm the slot is free for everyone. Then select Add a location and Browse all rooms, and pick a room. Check the title and room once more, then select Send. The invitations go out at that moment.

## Set repeats, reminders and online meetings

Open the Does not repeat drop-down to set a repeat. Pick the pattern you need from the list. Microsoft's Mac article names the drop-down but does not list every option, so check the list in your build.

Select Add online meeting to attach a video link to the event. Microsoft's release notes say that in version 16.114, released October 14, 2026, you can choose a third-party online meeting provider when you create an event.

For reminders, open the Reminder drop-down and pick how early the alert should fire. If the Reminder button is not on your toolbar, add it by customizing the toolbar. Microsoft's article names both the Reminder and Scheduling Assistant buttons for this fix.

## Keyboard shortcuts for Calendar

These come from Microsoft's Mac shortcut list. Learn ⌘N and ⌘2 first, since you will reach for them most often.

- ⌘N creates a new appointment. Microsoft lists no separate shortcut for meetings.
- ⌘2 opens the calendar view.
- ⌘T jumps to today.
- ⌘O opens the selected event.
- Delete removes the selected event.
- ⌘⌥ ← or → moves between days, weeks or months.
- ⇧⌃[ and ⇧⌃] move between panes.

## Find the event after you save it

Saved events appear in Calendar on the day you set. Select the event and press ⌘O to open it. Press Delete to remove the selected event. Use ⌘T to return to today if you lose your place.

## Mistakes people make when they create events

- Looking for Send on an appointment. Appointments close with Save & Close on the Appointment tab.
- Making a meeting when you meant an appointment. Once you add people and select Send, the invitations go out.
- Skipping the time zone check. Microsoft's Work Trend Index methodology puts the share of meetings across multiple time zones at 30 percent. Check the time zone before you send.
- Forgetting the room. If room access is missing, you cannot book a room from the list. Check early, not after the title is done.
- Creating a new event when you meant to edit one. Open the existing event with ⌘O and change it there.

Microsoft's Work Trend Index is built from Microsoft 365 telemetry, so its figures describe its own customers. Use the 30 percent figure as a reason to check time zones, not as a forecast for your team.

## The same event in Outlook on the web

On Outlook on the web, select the Calendar icon, then select New event. Enter the title, location, and start and end times. For a meeting, add invitees and select Scheduling Assistant. Select Make recurring for repeats, then select Save or Send.

The web article says Make recurring where the Mac app says Does not repeat. The Mac app also has Add online meeting and Add a location buttons. The web article does not describe a calendar drop-down, so look for that choice in the Mac app.

## Responding to invitations and editing

When someone invites you, the Accept, Tentative and Decline buttons appear on the event. Selecting one sends your response right away. To skip the confirmation email to the organizer, clear the Email organizer option first. To change your answer later, use Edit RSVP.

## What changed in recent Outlook for Mac releases

Calendar changed several times in 2026. These changes touch event creation.

- 16.105, January 13, 2026: a grid and list toggle on the calendar.
- 16.108, April 14, 2026: duplicate appointments and events.
- 16.112, August 11, 2026: a setting to open new events in a separate window, not a popover.
- 16.114, October 14, 2026: choose a third-party online meeting provider when you create an event.

If your new event opens in its own window, the steps in this guide still apply. Only the layout changes. Check the release notes if a menu path has moved, and compare your build number first.

## When the New Event button is greyed out

A 2022 Microsoft Q&A thread describes a New Event button that stayed greyed out in Outlook for Mac. The suggested fix was to right-click the Exchange folder, choose Properties, General, then Empty Cache. The original poster said that step did not help, and the thread has no accepted answer. Try the simpler checks first, then contact IT.

## Next steps after your first event

Once your first event is saved, a few related tasks follow. A [rule](https://www.lazur.app/how-to/create-a-rule-in-outlook) can sort invitations into a folder. If your team sends meeting requests to one address, [add a shared mailbox](https://www.lazur.app/how-to/add-a-shared-mailbox-in-outlook) so requests land in one place.

If you will be away from the calendar, [turn on automatic replies](https://www.lazur.app/how-to/turn-on-automatic-replies-in-outlook) so people know. If you book meetings for someone else, the [executive assistant guide for Outlook](https://www.lazur.app/for/executive-assistants/outlook) covers delegates and shared calendars.

## Shortcuts

- Open calendar view: ⌘2
- Create a new appointment: ⌘N
- Go to today: ⌘T
- Open the selected event: ⌘O
- Delete the selected event: Delete
- Move between days, weeks or months: ⌘⌥ ← or →
- Move between panes: ⇧⌃[ and ⇧⌃]

## If it does not work

- **The event will not save or send** Check that your mailbox is signed in and online. Then pick the right button: Send for meetings, Save & Close for appointments. Quit and reopen Outlook once before you try anything else.
- **The New Event button is greyed out** A 2022 Microsoft Q&A thread suggests emptying the cache on the Exchange folder, but the original poster said it did not help. Restart Outlook, confirm the Calendar folder is selected, then ask IT before you change cache settings.
- **Scheduling Assistant or Reminder is missing** Add the buttons by customizing the toolbar, as Microsoft's article describes. If you still cannot find them, check whether you are in legacy or new Outlook for Mac.
- **Browse all rooms does not appear** Your account may not have access to location information. Contact your IT administrator. You cannot pick rooms from the list without that access.
- **New events open in a popover, not a window** Outlook for Mac 16.112 added a setting to open new events in a separate window. Look for it in Outlook's settings and turn it on if you prefer a window.
- **Calendar will not open after October 2026** Legacy Outlook for Mac stops working against Exchange Online mailboxes starting October 2026. Turn off the Legacy Outlook switch to use the new app. To go back, open the Help menu and select Revert to Legacy Outlook.

## FAQ

### Can I create an event in Outlook on Mac without inviting anyone?

Yes. Select Calendar, then go to Home > Appointment. Enter the subject and location, then select Save & Close on the Appointment tab. An appointment does not send invitations to anyone.

### What is the fastest way to set the time for a new event?

Double-click the time slot in day, week or month view. Outlook opens a new event with that date and time already set. You still add the title and any people yourself.

### Why does a meeting have a Send button but an appointment does not?

Send is for meetings with people you invite. An appointment stays on your own calendar, so it closes with Save & Close. Check the event type before you choose a button.

### Does the New Event path work the same in legacy Outlook for Mac?

Microsoft's article does not split the steps by version, so the path may differ in legacy Outlook. Check your build. Accounts added in one version are not automatically added to the other.

### How do I switch between new and legacy Outlook for Mac?

To move to the new app, turn off the Legacy Outlook switch. To go back, open the Help menu and select Revert to Legacy Outlook. Microsoft says legacy Outlook stops working against Exchange Online mailboxes starting October 2026.

### Is there a keyboard shortcut for a meeting?

Microsoft's Mac shortcut list shows ⌘N for a new appointment and no separate meeting shortcut. For a meeting, use Home > Meeting from the Calendar view.

### Which Outlook for Mac version should I be on?

Microsoft's release notes list 16.114.3, dated October 27, 2026, as the latest build. The Outlook for Mac page lists 16.42 as the Current Channel minimum. Update to the latest build if you are behind.
