To create a mail merge in Word on Mac, go to Mailings > Start Mail Merge, connect a recipient list, insert merge fields, and send with Finish & Merge. For email, choose Merge to E-Mail, which needs a default email program such as Outlook, and Word sends one message to each address.

## Quick answer

- Mail merge works only in the Word desktop app on your Mac. Word for the web does not support it.
- Start from Mailings > Start Mail Merge > Email Messages, or Labels for label sheets.
- Merge to E-Mail stays greyed out until your Mac has a default email program.
- Preview Results before you send, and send a test to your own address first.

Applies to: Word for Mac in Microsoft 365, with notes for Word 2024 and older. Time: 25 min. Difficulty: Medium.

## What you need

- Word desktop app for Mac. Word for the web does not support mail merge.
- A default email program that Word can use, such as Outlook.
- A recipient list in Excel with one header row and an email column.

## How to Create a mail merge in Word on Mac in Word on a Mac

1. **Open the document and the Mailings tab.** (Mailings) Open a new or existing document in the Word desktop app. Click the Mailings tab on the ribbon. If you see Mailings, you are in the right place for every step that follows.
2. **Start the merge type.** (Mailings > Start Mail Merge > Email Messages) Click Start Mail Merge, then choose Email Messages. For label sheets, choose Labels instead. Pick the merge type before you write, so the layout matches the output you want. Tip: Choose the type first. The options you see afterward depend on it.
3. **Write the message.** Type the greeting and the body in the main document. Leave the personal details for later. You add merge fields once the recipient list is connected, so you can see the real column names. Tip: Keep the list out of this document. Word reads from the list when you merge.
4. **Connect your recipient list.** (Mailings > Select Recipients > Use an Existing List) Click Select Recipients, then choose Use an Existing List. Pick your Excel workbook and the sheet that holds the data. Save the list selection before you continue.
5. **Insert merge fields.** (Mailings > Insert Merge Field) Put the cursor where a name or address belongs. Click Insert Merge Field, then pick a column from your list. Repeat for each field, and click OK when a field is formatted the way you want.
6. **Preview the results.** (Mailings > Preview Results) Click Preview Results to replace the placeholders with real data. Use the arrows to move between records. Check the first record, one from the middle, and the last one. Tip: Look for double spaces, missing words, and empty gaps.
7. **Finish with Merge to E-Mail.** (Mailings > Finish & Merge > Merge to E-Mail) Click Finish & Merge, then Merge to E-Mail. In the dialog, choose the email column for the To field, type a subject line, and pick a mail format. The Mac steps list Text, HTML, and attachment. Tip: If Merge to E-Mail is greyed out, check your default email program first.
8. **Select Mail Merge To Outbox.** (Mail Merge To Outbox) Select Mail Merge To Outbox to finish the merge. Then open your email program and check its outbox or sent folder. Confirm that the messages look right before you close the file.

A mail merge fills one document in for many people. You write the letter or email once. Word reads a recipient list, such as a staff sheet in Excel, and builds a copy for each row. Each copy gets the right name, address, or department in the right place.

On a Mac, almost all of the work happens on the Mailings tab. If you cannot see that tab, skip ahead to the section on missing tabs. Fix that before you start, or the menus will not match these steps.

## What you need before you start

Gather three things before you open a merge. Missing any one of them stops the process at a point that can be confusing. Word also needs to be the desktop app, not a browser window.

Check your version too. Open Word > About Microsoft Word to see your build. The latest Mac release in Microsoft's notes is version 16.114.3, released October 27, 2026. Those notes list no mail-merge changes. Two older updates do matter. Version 16.98, released June 10, 2025, added a setting that lets you pick the account that sends Merge to Email. Version 16.101, released September 16, 2025, lets you import Outlook contacts into Word for a merge.

## Build the recipient list in Excel

Start with a plain table. Put the field names in the first row, such as FirstName, LastName, Email, and Department. Each row after that is one recipient. Microsoft says the data source needs an email address column, with an address for every recipient. A row without an address has nowhere to send.

- One table, with no blank rows. A blank row can end the table early.
- Exactly one header row that holds the field names.
- No special characters in the field names. Stick to letters and numbers.
- One type of data per column. Do not mix dates and text in the same column.
- Postal codes formatted as text, so leading zeros stay in place.

The postal code rule catches many people. A postal code that starts with zero loses that zero when Excel treats the column as numbers. The code on the letter is then wrong. Select the column, format it as Text, and retype the codes. Then save the workbook.

A blank row is a likely reason a merge stops short. One Microsoft Q&A thread described a list where only the first page transferred into labels. A moderator said a blank row was the likely cause. Scroll to the bottom of the sheet and check for stray blank rows, since they are easy to miss.

## Write the message and insert merge fields

Go to Mailings > Start Mail Merge > Email Messages. Then type the message as you want it to read, with the greeting and body in the main document. Do not paste the list into the document. Word keeps the list separate and reads from it when you merge.

To add a name, click where it belongs, then go to Mailings > Insert Merge Field and pick a column. Word shows the field as a placeholder, such as «FirstName», instead of a real name. The placeholder is a code. Preview Results swaps in the real value for each person. Do not type over placeholders by hand.

Watch the spaces. If a field sits between two words and one record has an empty value, Word leaves a gap. Look for double spaces and odd punctuation in the preview. Fix them in the list, where the data lives, rather than patching each letter.

## Preview results before anything sends

Mailings > Preview Results shows the document with real data. Use the arrows to move from one record to the next. Read the first record, one from the middle, and the last one. A short list or a broken row often shows up at the end.

Send a test first. Put your own address in the email column for one row, and run the merge against that list. Open the message the way a recipient would. Check the subject, the names, the spaces, and the links. A test is cheap. A wrong subject line sent to a full list is not.

## Send the merge with Finish & Merge

Go to Mailings > Finish & Merge > Merge to E-Mail. A dialog opens with the settings that control each message. Work through them from top to bottom. The table below explains each setting in plain terms.

| Setting | What to choose | What to know |
| --- | --- | --- |
| To | The email column from your list, such as Email | Word reads one address per row. |
| Subject line | Type it once, or insert a merge field | Keep it short so it reads well on a phone. |
| Mail format | Text, HTML, or attachment in the Mac steps | Microsoft's Windows steps list HTML as the default format. |
| Sender account | The account that sends the messages | Added in version 16.98, released June 10, 2025. |
| Send records | All, current record, or a range (Windows steps) | The Mac dialog may differ. Check it before you send. |

_Merge to E-Mail settings and what each one does_

Microsoft's Windows steps also offer a Send records setting, with All, Current record, or a range. The Mac dialog may offer something similar. I could not confirm the Mac version, so check the dialog before you send.

Be careful with attachments. The Mac steps list an attachment format. The Windows section says the built-in merge cannot add attachments. Test your version with your own address before you rely on this. If an attachment does not come through, send the file in a separate message.

The built-in merge sends one message to each address. It does not add CC or BCC lines. If your manager needs a copy, send it separately after the merge.

## Letters, labels, and envelopes on Mac

Microsoft's main mail merge article covers email. For labels, a Microsoft Q&A answer gives this path. Go to Mailings > Start Mail Merge > Labels, then Mailings > Select Recipients > Use an Existing List. Insert Merge Field, then Preview Results. Finish with Finish & Merge > Edit Individual Documents, choose All, and click OK.

The label steps come from community answers, not an official Mac article. I found no Microsoft Mac article for letters or labels. Print one test sheet on plain paper before you run a full batch on label stock.

You may also hear about a Mail Merge Wizard. Microsoft Q&A answers say Mac has no Windows-style wizard, and other sources disagree. Use the Mailings tab. It gives you the same steps without relying on a wizard.

## Common mistakes that waste a merge

- Starting in Word for the web. Mail merge is desktop only, so open the Word app on your Mac.
- Skipping the default email program. Merge to E-Mail stays greyed out without one.
- Blank rows in the list. They can end the table early and cut your merge short.
- Postal codes that lost their leading zero. Format the column as Text in Excel first.
- Sending before previewing. Check the first and last records in Preview Results.
- Assuming attachments work. Test them with your own address first.

Most problems start in the data, not the document. Clean the list first. Then run Preview Results. A short check at each stage costs less than a second merge.

## When the Mailings tab is missing

A missing Mailings tab often means Office did not install correctly. A Microsoft Q&A answer says an update may not have installed right. Office for Mac has no repair tool. The answer suggests uninstalling Office, then reinstalling it from the Services & subscriptions page of your Microsoft account.

Save your work before you uninstall anything. Copy your Excel list and your documents to a safe place first. The same answer says the Mailings tab still exists in Word for Mac, so a missing tab points to a broken install, not a removed feature.

## Shortcuts for mail merge on Mac

I did not find a keyboard shortcut for mail merge in any Microsoft source I opened. The menus are the reliable path, so this page uses them. Microsoft publishes a keyboard shortcut page for Word. Check it for your version before you rely on any shortcut.

## A worked example for a staff notice

Say you need to tell staff about a new holiday schedule. You have a staff sheet with FirstName, LastName, Email, and Department. Write the notice once. Put «FirstName» in the greeting and the schedule in the body.

Choose Merge to E-Mail, set the To box to Email, and type a subject. If the subject should name the department, insert the Department field into it. Preview the first record, a middle record, and the last. Send the test to yourself.

When the test looks right, run the full merge. Then open your email program and check the outbox or sent folder. Look at a few messages from different departments. That check catches a column that did not fill.

## What to do next

Start with a test list that has only you in it. Keep the Excel list as the single source of truth. Update the list before each merge, not the letter. If your work is mostly HR notices, the [Word for HR generalists on Mac](https://www.lazur.app/for/hr-generalists/word) page covers templates and mail merge in more detail.

## Where the official steps stop

Microsoft's support pages are clear about email, the desktop-only rule, and the default email program. They are less clear about Mac labels and letters. Where Mac menus differ from Windows, this page uses the Mac path and says where it comes from. Treat those parts as a starting point and test them first.

## If it does not work

- **Merge to E-Mail is greyed out** Microsoft says you need a default email program. Set one up on your Mac, such as Outlook, then open the merge again.
- **Only some records merge** Look for blank rows in the Excel table. A blank row can end the table early. Remove it, save the workbook, and select the list again under Select Recipients.
- **The Mailings tab is missing** Your install may be broken. A Microsoft Q&A answer suggests uninstalling Office and reinstalling it from Services & subscriptions in your Microsoft account. Office for Mac has no repair tool, so back up first.
- **Postal codes lose the leading zero** Format the column as Text in Excel before you type the codes. Then save the workbook and select the list again in Word.
- **Mail merge is not in Word for the web** Open the Word desktop app on your Mac. Microsoft says mail merge runs only in the desktop app.
- **Attachments do not come through** Microsoft's Windows section says the built-in merge cannot add attachments. Test with your own address first. If a file is missing, send it in a separate message.

## FAQ

### Can I do a mail merge in Word for the web on Mac?

No. Microsoft says mail merge is not available in Word for the web. Mail merge that uses an Excel spreadsheet is only in the Word desktop app. Open the Word app on your Mac instead.

### Why is Merge to E-Mail greyed out?

Microsoft says Merge to E-Mail is unavailable until you select a default email program. A MAPI-compatible program, such as Outlook, must already be installed on the Mac.

### Does Word on Mac have a Mail Merge Wizard?

Microsoft Q&A answers say Mac has no Windows-style wizard, and other sources disagree. Use the Mailings tab instead. The steps on this page work without a wizard.

### Can I send attachments with a mail merge?

Not reliably. The Mac steps list an attachment format, but Microsoft's Windows section says the built-in merge cannot add attachments. Test on your version with your own address before you send to real people.

### Can I add CC or BCC recipients to a merge?

Not with the built-in merge, according to Microsoft's Windows steps. If someone needs a copy, send that message separately after the merge finishes.

### Do I need a new list for each merge?

No. Save your Excel list and reuse it. Update the rows before each merge. Microsoft notes that you can also create a new list during the merge.

### Which Word for Mac version added the sender account setting?

Microsoft's release notes list the sender account setting for Merge to Email in version 16.98, released June 10, 2025. The latest build listed, 16.114.3, released October 27, 2026, has no mail-merge changes in its notes.

### Is there a keyboard shortcut for mail merge on Mac?

Not in any Microsoft source I checked. Use the Mailings tab for now, and check Microsoft's keyboard shortcut page for your version before you rely on a shortcut.
