To export numbers to excel on mac, open the spreadsheet in Numbers and choose File > Export To > Excel. Then pick how tables become worksheets, decide on the password, click Save, name the file, choose a folder, and click Export.

## Quick answer

- Open the spreadsheet in Numbers, then choose File > Export To > Excel.
- Pick whether each table or each sheet gets its own worksheet in Excel.
- Decide on the password, click Save, pick a folder in the Where pop-up, then click Export.
- On macOS 13 or later, the Share button is the other route, but its wording changes by version.
- Open the Excel file and check formulas, charts and formatting, since Apple does not list what may not carry over.

Applies to: Numbers on Mac, macOS 12 through macOS 27 or later. Time: 5 min. Difficulty: Easy.

## What you need

- Numbers open on your Mac
- A spreadsheet open in Numbers, saved with your latest edits
- Microsoft Excel or another app that opens XLSX files, to check the result
- Your macOS version, from Apple menu > About This Mac

## How to Export a Numbers spreadsheet to Excel on Mac in Numbers on a Mac

1. **Open the spreadsheet in Numbers.** Open the file in Numbers. Double-click it in Finder, or open it from the Numbers window. Make sure your latest edits are in the file before you start the export. Tip: Export works on the open document, so keep that window in front.
2. **Choose File > Export To > Excel.** (File > Export To > Excel) Click File in the menu bar. Hover over Export To, then choose Excel from the format list. Apple's page describes this as choosing Excel as the format under Export To. Tip: I could not verify a keyboard shortcut for this, so use the menu.
3. **Choose the worksheet layout.** Pick whether each table gets its own worksheet or each sheet gets one. If each table gets a worksheet, you can also include a summary worksheet with links to all the tables. Tip: Count your tables first. Three tables with a summary make four tabs.
4. **Handle the password step.** If the file has a password, that password applies to the Excel copy. Keep the original password, set a new one, or deselect Require password to open to export without one. Tip: Skip the password only if you are sure the recipient should open the file freely.
5. **Click Save and name the file.** Click Save, then type a file name. An optional tags step comes next, so add tags only if you use them to find files.
6. **Pick a folder in the Where pop-up.** Open the Where pop-up menu and choose a folder. Then click Export. The page has no Next button for exporting, so Export is the last click. Tip: Note the folder name before you click Export, so the file is easy to find.
7. **Open the file in Excel.** Find the file in that folder and open it in Excel. Click through each tab. Check formulas, charts and number formats before you send it.

## What you get from a Numbers to Excel export

Numbers saves a new copy of your spreadsheet in Excel's format. The copy is separate from your original file. Apple's support page says changes to the exported copy do not affect the original Numbers file. The reverse is also true. Edits you make in Numbers later do not reach the Excel file, so you export again after each change that matters.

In the format list, choose Excel. That is the option you want for a modern Excel workbook. Excel workbooks are XLSX files. Forum posts also mention an .xls option, which gets its own section below.

No third-party converter is needed for the basic export. The option is built into Numbers. I could not verify a Mac keyboard shortcut for Export To or Send a Copy, so this guide gives menu paths only.

## Choose how your tables become worksheets

A Numbers sheet can hold several tables. Excel uses worksheets, which appear as tabs along the bottom of the window. When you export, you choose how the two map. Apple's page says you can choose whether each table gets its own worksheet or each sheet gets one.

Here is a worked example. Say your household budget has one sheet with three tables: Income, Expenses and Summary. If each table gets its own worksheet, Excel opens four tabs. Three hold the tables, and one is the optional summary with links to each table.

If each sheet gets one worksheet instead, all three tables land on one tab. That tab gets long quickly. Pick the layout that suits the person who will open the file.

- Choose each table when every table has its own purpose and needs its own tab.
- Add the summary worksheet when the file has many tables and you want links to each one.
- Choose each sheet when your Numbers layout already groups the data the way Excel should show it.
- Open the Excel file and click through each tab once before you send it.

Think about who opens the file. A colleague who expects one tab per report will be confused by a single long tab. A few minutes of tidying in Numbers before the export prevents that confusion.

## Set the password option before you click Export

If your Numbers file has a password, the password applies to the Excel copy as well. Apple's page gives three choices at that step. You can keep the original password, set a new one, or deselect Require password to open to export without one.

If you keep the original password, the Excel copy needs it too. That is the right choice for sensitive numbers. Anyone who receives the copy must have the password to open it.

> **Check before you skip it:** An Excel copy with no password opens for anyone who gets the file. Check who will receive it before you deselect Require password to open.

## Use the Share menu on macOS 13 or later

The Share button reaches the same export by another route. Apple's Share steps depend on your macOS version, and the wording changes with each release. On macOS 13 or later, click Share in the toolbar and look for Export and Send. Choose Excel, set the Excel options, then click Send a Copy in the bottom-right corner.

| macOS version | Where to click | Wording on the button |
| --- | --- | --- |
| macOS 13 through macOS 26 | Share, then the pop-up menu | Send Copy |
| macOS 27 or later | Share, then the pop-up menu | Send a Copy |
| macOS 12 or earlier | File menu | Send a Copy |

_Share and send paths by macOS version, as Apple's pages describe them._

> **Read the label on your screen:** Apple's pages do not use one label for every version. Read the button on your screen and follow the label that matches it. The steps in this guide use File > Export To > Excel because Apple describes that path first.

After you click Send a Copy, pick the sending option that matches where the file needs to go.

## Export from Numbers for iCloud in a browser

Numbers for iCloud runs in a browser at iCloud.com, and the export path differs. Open the spreadsheet, click the More button in the toolbar, and choose Download a Copy, then select a format. Pick Microsoft Excel. Apple describes that button by its icon only, so look for the More button in the toolbar.

If the shared spreadsheet is set to View Only, the path changes. Click the Download button in the toolbar instead of More. The file then goes to the download location your browser uses.

In Safari on a Mac, check Safari > Settings > General > File download location. That setting decides where the file lands. If you cannot find the file, look there first.

## Check the Excel file before you send it

Apple says Numbers exports to compatible formats, including Microsoft Excel, CSV and PDF. Apple's page does not list which features fail to carry over. So the check falls to you.

- Compare each worksheet with the matching table in Numbers.
- Click a few formula cells and read the formula Excel shows.
- Open each chart and check its labels and data range.
- Check currency, percentage and date formats on a few rows.
- Confirm that sorted and filtered rows still look right.

Keep the Numbers file open while you check. If something is wrong, fix the original in Numbers, then export again. Fixing only the Excel copy means the next export repeats the problem.

## Sort in Numbers before you export

If the Excel file needs a set order, sort in Numbers first, then export. That saves a sort step in Excel. Apple's steps for sorting a table by column are in [how to sort a table in Numbers on Mac by column](https://www.lazur.app/how-to/sort-a-table-by-column-in-numbers).

## Mistakes people make when exporting Numbers to Excel

- Editing after the export and sending the old Excel copy. Export again after each change.
- Picking the wrong folder in the Where pop-up, then searching the whole Mac for the file. Note the folder before you click Export.
- Skipping the password step and sending a file that anyone can open.
- Following the macOS 12 path on a newer Mac. On macOS 13 or later, the route starts at Share.
- Trusting the Excel file without checking it. Apple does not list what may change.

An export is a snapshot. Every edit after it needs a new export. Build that into your routine so the file you send matches the file you checked.

## The .xls option and InDesign problems

### Is there an .xls option in Numbers?

A March 2024 thread on the Adobe Community forum says Numbers 12.2 and later removed the .xls export option. A reply in the same thread says the option is hidden under Advanced Options. The thread does not settle which is right. Check the Advanced Options area of the export dialog on your version.

### Why an XLSX file may fail in InDesign

The same thread says XLSX files exported from Numbers may fail to place in InDesign. It says Numbers leaves out the Application entry in app.xml, and that Apple has not fixed the issue. These are user reports, not Apple statements, so test your own file first.

The thread suggests exporting .xls if that option exists for you, or resaving the file in LibreOffice or Excel. Place the resaved file in InDesign before a deadline, so you learn early if it fails.

## Which macOS version and Numbers update you have

Menu wording depends on your macOS version. Apple's pages describe three paths, for macOS 12 or earlier, macOS 13 through 26, and macOS 27 or later. Find your version under Apple menu > About This Mac, then match the path to it.

Numbers also got an update on September 29, 2026, according to 9to5Mac. That report lists new trigonometry, statistics and logic functions. It does not mention export, and it gives no Numbers version number. If your menus differ from these steps, trust the menus on your screen.

## Pick the route for your situation

| Your situation | Route to use |
| --- | --- |
| Numbers on a Mac, with the File menu | File > Export To > Excel |
| Numbers on macOS 13 or later, prefer the toolbar | Share, then Export and Send, then Send a Copy |
| Numbers for iCloud in a browser | More > Download a Copy > Microsoft Excel |
| Shared file set to View Only in Numbers for iCloud | Download button in the toolbar |
| Numbers on macOS 12 or earlier | File > Send a Copy |

_Quick route picker. Check the labels on your own screen._

If you export every week, use one routine. Sort, check the password step, export, then open the Excel file once. The routine takes a few minutes and catches surprises early.

## If it does not work

- **The pop-up says Send Copy, not Send a Copy** The wording depends on macOS. macOS 13 through 26 uses Send Copy in the pop-up menu. macOS 27 or later uses Send a Copy. Use the label on your screen.
- **No .xls option in the export dialog** Look under Advanced Options, as one thread reply suggests. If it is still missing, export the Excel file, open it in Excel, and resave it there in the format you need.
- **Formulas or charts look wrong in Excel** Apple does not list which features carry over. Reopen the Numbers file, check the cell or chart, fix it in Numbers, then export again.
- **I cannot find the exported file** In the desktop app, check the folder you chose in the Where pop-up. In Numbers for iCloud, check Safari > Settings > General > File download location.
- **XLSX file will not place in InDesign** The Adobe thread suggests resaving the file in Excel or LibreOffice, then placing the new file. Test it before a deadline.
- **Shared View Only file has no More button** Click the Download button in the toolbar instead. Apple's iCloud guide describes this path for View Only files.
