To export numbers to pdf on mac, open the spreadsheet and choose File > Export To > PDF. Set the page layout and image quality, click Save, name the file, pick a location, and click Export.

## Quick answer

- Use File > Export To > PDF, or Share > Export and Send > PDF if your copy of Numbers shows that path instead.
- Choose Fit each sheet to a single page before you tick Include Comments, or the comments can go missing.
- Delete blank sheets and trim unused rows and columns to stop extra blank pages in the PDF.
- Apple documents no keyboard shortcut for export, share, or send in Numbers on Mac, so use the menu.

Applies to: Numbers for Mac on macOS 26 or later, using the File or Share menu. Time: 5 min. Difficulty: Easy.

## What you need

- A Mac running macOS 26 or later, the requirement Apple lists for Numbers 15.4
- The spreadsheet open in Numbers for Mac
- A folder where you can save the PDF, such as Desktop or Documents

## How to Export a Numbers spreadsheet to PDF on Mac in Numbers on a Mac

1. **Clean up the workbook.** (File > Save) Shortcut: ⌘S. Open the spreadsheet and press ⌘S. Look at every sheet. Delete sheets you do not need, and trim unused rows and columns, so the PDF has no blank pages. Tip: Blank tables on other sheets can add pages, even if you are not looking at those sheets.
2. **Open the PDF export.** (File > Export To > PDF) Click File in the menu bar, point at Export To, and choose PDF. The PDF options appear. Tip: If you do not see Export To, try the Share button route described in the article.
3. **Choose the page layout.** Open the Page layout setting. If you want comments in the PDF, pick Fit each sheet to a single page. Otherwise choose the layout that suits your sheets.
4. **Set the image quality.** Set Image quality. Higher quality gives a larger file. Pick the lowest setting that still looks sharp on screen.
5. **Tick Include Comments.** If you want comments in the PDF, tick Include Comments. Do this after you choose Fit each sheet to a single page, as Apple's steps show. Tip: Comments stay out of the file while this box is unticked.
6. **Turn on accessibility tags.** Click Advanced Options and choose On to add accessibility tags for large tables. Accessibility descriptions are exported automatically, per Apple's guide.
7. **Decide on a password.** If a password checkbox appears, tick Require password to open and enter a password. It applies only to the exported copy. If the original has a password, you can keep it, click Change Password, or deselect Require password to open. Tip: Skip this step if no password checkbox appears.
8. **Click Save and name the file.** Click Save. Type a file name without an extension. Add tags if you use them.
9. **Pick a location and export.** Open the Where pop-up menu and choose a folder. Click Export.
10. **Open the PDF and check it.** Open the PDF in Preview. Scroll every page for blank pages, missing comments and sheet order before you send it. Tip: Fix problems in Numbers, then export again. Overwriting the old PDF is fine.

Numbers gives you two documented routes to a PDF on a Mac. The File menu route is File > Export To > PDF. The newer route uses the Share button, then Export and Send, then PDF. Both routes offer page layout and image quality. Apple's pages disagree on the menu path, which is why people get stuck. Use whichever path your copy of Numbers shows.

## Before you export: check sheets, file size and saved state

Start with a quick look at every sheet. Blank tables on other sheets can add pages to the PDF, even when you are working on one sheet. An Apple Community user traced extra pages to exactly that. Delete the sheets you do not need. Trim unused rows and columns in the sheets you keep.

Press ⌘S before you export. Apple lists ⌘S as the Save shortcut in Numbers, so the file on disk matches the screen. If the export looks wrong, you still have the saved version to compare against.

Check the file size too. Apple's collaboration article says a document larger than 2 GB must be reduced before you invite others to collaborate. Creator Studio subscribers get 4 GB for that step. Apple's export guide does not list a size limit for PDFs. A large PDF is still harder to email, so trim before you export.

## Export to PDF with File > Export To > PDF

This is the path in Apple's Mac export guide. Open the spreadsheet. Choose File > Export To, then pick PDF. The PDF options appear. They include Page layout, Image quality, Include comments, and Advanced Options. Accessibility descriptions are exported automatically, according to the same guide.

- Page layout: sets how the sheets fit on the page.
- Image quality: a higher setting gives a larger file.
- Include comments: tick it after you choose Fit each sheet to a single page.
- Advanced Options: choose On to add accessibility tags for large tables.

## Page layout, image quality and comments in the PDF

Page layout controls how each sheet breaks across pages. For comments, choose Fit each sheet to a single page first. Then tick Include Comments. Apple's steps give that order, so set the layout first and tick the box second.

Image quality is a trade-off. Apple's guide says higher quality gives a larger file. A table of numbers with no photos rarely needs the top setting. If the file is too big, export again at a lower setting and open both files in Preview to compare.

Advanced Options is easy to miss. Click it, then choose On to add accessibility tags for large tables. Tags help screen readers move through big tables in the PDF. Turn them on if the file goes to colleagues or clients who rely on screen readers.

## Password, save location and the Export button

If a password checkbox appears, you have options. Tick Require password to open and enter one, or leave it off. A password you enter applies only to the exported copy. If the original already has a password, Apple's guide gives three choices: keep the original password, click Change Password, or deselect Require password to open.

After the options, click Save. Type a name for the file, but leave off the extension. Add tags if you use them. Open the Where pop-up menu and choose a folder, such as Desktop or Documents. Click Export. The PDF lands in that folder.

## Export with the Share button and Export and Send

Apple's send guide and support article 105050 both describe this route. Click the Share button in the toolbar. Click Export and Send, then select PDF. Choose the page layout and image quality. Click Send a Copy in the bottom-right corner. The send guide is written for macOS Ventura 13 or later.

Article 105050 adds one warning. If your file holds premium Content Hub content, Numbers shows a warning before export. You can export with watermarks. You can also subscribe to Apple Creator Studio to remove them. Check for this before you send a file to a client.

## Print to PDF or download from iCloud.com

The print route is the fallback when the export menu is hard to find. Press ⌘P. In the print dialog, open the PDF pop-up menu and choose Save as PDF. Use the Pages range setting to limit which pages go into the file. Apple lists ⌥⌘P for Preview, which helps you check page breaks first.

The iCloud route runs in a browser. In Numbers for iCloud on iCloud.com, click the More button in the toolbar and choose Download a Copy, then select PDF. From the document manager, select the spreadsheet, click More, and choose Download a Copy. For a shared spreadsheet set to View Only, use the Download button in the toolbar.

## Keyboard shortcuts for exporting Numbers to PDF

Apple's keyboard shortcut page lists File shortcuts for Save, Save as, Duplicate, Print, and Preview. It lists no shortcut for Export, Share, or Send. So the PDF itself needs the menu or the Share button. ⌘P is the nearest shortcut, because it opens the dialog where you choose Save as PDF.

## Fix extra pages, missing comments and watermark warnings

Extra blank pages came up in an Apple Community thread. The fix in that thread was to delete blank sheets, trim unused rows and columns, or choose a fit-to-page or print setting at export. That user was on macOS 10.14, and the thread does not name a Numbers version.

Missing comments usually means the Include Comments box was not ticked. Check that Fit each sheet to a single page is chosen, tick the box, and export again. Then open the new PDF in Preview and check that the comments show before you send it.

## Mistakes people make when exporting Numbers to PDF

- Exporting before deleting blank sheets, then wondering where the extra pages came from.
- Ticking Include Comments without choosing Fit each sheet to a single page first.
- Choosing the highest image quality for a table with no photos. Apple says that makes a larger file.
- Searching for an export shortcut. Apple lists none for Export, Share, or Send.
- Sending a file with premium content without reading the watermark warning.

## Which Numbers and macOS versions Apple lists

Apple's What's new page lists Numbers 15.4 as the newest version. It requires macOS 26 or later. The page gives no release date and no export changes for that version. Today is 7 November 2026, so your menus may differ from Apple's pages. Check the version under Numbers > About Numbers.

## Where to go next after you export

Open the PDF in Preview and scroll every page. Check sheet order, comments and blank pages. ## Shortcuts

- Save: ⌘S
- Save as: ⌥⇧⌘S
- Duplicate: ⇧⌘S
- Print (then Save as PDF): ⌘P
- Preview: ⌥⌘P
- Export, Share, or Send: None listed

## If it does not work

- **Extra blank pages in the PDF** Blank tables on other sheets are the usual cause. Delete unused sheets, trim unused rows and columns, or choose a fit-to-page setting at export.
- **Comments are missing from the PDF** Choose Fit each sheet to a single page, tick Include Comments, then export again. The box must be ticked before you click Export.
- **There is no File > Export To menu** Your copy may use the Share route. Click Share in the toolbar, then Export and Send, then PDF.
- **A watermark warning appears** The file holds premium Content Hub content. Export with watermarks, or subscribe to Apple Creator Studio to remove them.
- **The PDF is too big to send** Lower the image quality and export again. Apple says a document over 2 GB must be reduced before collaboration, with a 4 GB limit for Creator Studio subscribers.
- **No password checkbox appears** That is normal for some files. Apple's guide describes the password step as something that may appear. Skip it and continue with Save.
