## Quick answer

- Select the table, click Organize, and open the Filter tab in the sidebar.
- Click Add a Filter, choose a column, then pick a filter type and a rule.
- For a quick look at one column, hover the column letter and choose Quick Filter.
- Press ⌥⌘F to turn all filters on or off without deleting them.
- If filter options are missing, check for merged cells and use Table > Unmerge All Cells.

Applies to: Numbers for Mac, version 15.4.2 on macOS 26.0 or later. Time: 5 min. Difficulty: Easy.

## What you need

- A Mac running macOS 26.0 or later for Numbers 15.4.2
- A table you want to filter, with a column that has a clear name
- No merged cells in the table, or a plan to unmerge them first
- Optional: Lazur, if you want on-screen help while you work

## How to Filter table rows in Numbers on Mac in Numbers on a Mac

1. **Select the table.** Click the table so it is selected. The Organize sidebar works on the table you have selected, so start here.
2. **Unmerge cells if filter options are missing.** (Table > Unmerge Cells) Only do this if the filter options are gray or missing. Click a merged cell and choose Table > Unmerge Cells. To clear the whole table, select it and choose Table > Unmerge All Cells. Tip: Apple's Mac guide lists Table > Unmerge All Cells for clearing the whole table.
3. **Open the Organize sidebar.** Shortcut: ⌥⌘I. Click the Organize button. If the sidebar doesn't appear, press ⌥⌘I to hide or show it. Tip: Apple's keyboard shortcut list calls this command Hide or show the sidebar.
4. **Open the Filter tab.** Shortcut: ⌃`. In the sidebar, click the Filter tab. To move between sidebar tabs from the keyboard, press ⌃`.
5. **Click Add a Filter.** Click Add a Filter. Then choose the column you want to filter from the list. Tip: Each new filter works on one column. Use Add a Rule for a second condition on that column.
6. **Choose a filter type.** Pick a filter type for the column. Apple's Mac guide uses Text as its example, so start there if your column holds words.
7. **Choose a rule and enter the value.** Pick a rule, such as Starts with. Type the value the rule should match. The rule applies once you enter the value.
8. **Add a rule or another filter.** Click Add a Rule to add a second condition on the same column. Click Add a Filter to filter a different column.
9. **Choose all filters or any filter.** If you have more than one filter, open the pop-up at the top of the Filter tab. Choose all filters to keep rows that match every filter. Choose any filter to keep rows that match at least one.
10. **Check the rows that remain.** Look at the rows still on screen. If the results look wrong, check the filter type, the rule, and each cell's format before you change anything else.
11. **Turn filters off or on.** Shortcut: ⌥⌘F. Press ⌥⌘F to turn all filters off without deleting them. Press it again to turn them back on.

## What a filter does in Numbers on Mac

A filter in Numbers shows only the rows that match a rule you set. Every other row stays in the table, just out of view. You can change or remove the rule whenever you want.

![Person at a laptop on a desk, working through a table of data to filter a table in Numbers on Mac](https://lfobmih1tpj3sgpo.public.blob.vercel-storage.com/content-images/howto/filter-table-rows-in-numbers/how-to-filter-a-table-in-numbers-1-ac9d9d.jpg)

Filters help most when a table gets long and you need one slice of it. Think of a list of orders where you only want one region. Or a task list where you only want the items that aren't finished. You set the rule once. Then the rows that match are all you see.

## Check the table before you filter

Most filter problems start in the table, not in the filter. Do two checks before you add anything. Look for merged cells first. Then check that each cell's format matches what it holds.

Merged cells are a common cause of missing filter options. If the options don't appear, click the merged cell and choose Table > Unmerge Cells. To clear every merged cell in the table, select the table and choose Table > Unmerge All Cells. Apple's Mac guide describes both paths.

Format is the quieter problem. Apple's iCloud guide says filter results can look wrong when a cell's format doesn't match its contents. A number stored as Text is one example. Fix the format first, then add the rule. The rule then has clean data to work with.

## Add a filter with the Organize sidebar

This is the method Apple's Mac guide walks through, and it works for any column. Every filter lives in the sidebar. Learn the Filter tab once, and the rest of this page is just choices inside it.

- Organize button: opens the sidebar that holds the Filter tab.
- Add a Filter: starts a new filter on the column you choose.
- Add a Rule: adds a second condition on the same column.
- Pop-up at the top of the Filter tab: sets All or Any when you have more than one filter.

## Choose a filter type and rule

Numbers asks for a filter type once you pick a column. Apple's Mac guide uses Text as its example. Next you choose a rule, such as Starts with. Then type the value you want the rule to match.

Here is a worked example. Say one column is Status and another is Owner. Add a filter on Status with a rule that matches open items. Then click Add a Filter, choose Owner, and set the name you want. Numbers now applies both filters, and the next section explains how they combine.

## Match all filters or any filter

When you have more than one filter, the pop-up at the top of the Filter tab decides how they work together. Choose all filters to keep rows that match every filter. Choose any filter to keep rows that match at least one. The Mac guide describes these same two behaviors.

- All filters: a row stays visible only if it passes every filter.
- Any filter: a row stays visible if it passes at least one filter.
- Status and Owner example with All: you see open items owned by one person.
- Status and Owner example with Any: you see every open item, plus everything that person owns.

## Quick Filter for one column

Quick Filter is the fastest route when you only need one column. You don't open the sidebar at all. Move the pointer over the column letter, click the arrow that appears, and choose Quick Filter.

A checkbox list appears. Tick a value to show its rows, or untick it to hide them. For a large data set, Apple suggests choosing Show Selected. That keeps the view on the values you picked. When you finish, click anywhere on the sheet.

Newer versions made Quick Filter better. Numbers 11.2 arrived in October 2021 with a checkbox list that includes Search, Select All, and Deselect All. It also added Is Unique, Is a Duplicate, and Is Distinct as simple filter choices. If you use an older version, you may not see these.

## Turn filters off or on in Numbers

Filters stay on until you turn them off. Press ⌥⌘F to turn all filters off without deleting them. Press it again to bring them back. Apple's shortcut list names this command Turn Filters on or off.

You can also delete one filter you no longer need. Delete filters you don't use so the Filter tab stays easy to read. Keep the ones you use often, since the shortcut brings them back in a single press.

If you can't get back to unfiltered data, you aren't the first. An Apple Community user asked this in February 2022. They were told to click the table, open the Organise button, go to the Filter tab, and turn off the filters.

## Troubleshoot a filter that won't work

Start with what you can see. If the filter options are gray or missing, go back to the merged cell check above. If the sidebar has vanished, it is probably hidden. Press ⌥⌘I to show it again.

Menu names can differ by language and region. The Apple Community thread spells the button Organise, while Apple's guide uses Organize. If your label reads something else, look for the closest match on the sidebar controls.

## Numbers for Mac versus Numbers for iCloud

The web version follows the same Filter tab idea with different labels. The iCloud guide uses Match Any Filter and Match All Filters in its pop-up. It asks you to press Return or Enter after you enter a value. It doesn't list any filter shortcuts.

| Topic | Numbers for Mac | Numbers for iCloud |
| --- | --- | --- |
| Pop-up wording | All filters or any filter | Match All Filters or Match Any Filter |
| Filter shortcut | ⌥⌘F turns filters on or off | No shortcut listed in Apple's guide |
| Quick Filter finishes | Click anywhere on the sheet | Click Apply |
| Turn off all filters | Press ⌥⌘F | Deselect the Filters checkbox in the sidebar |

_Differences between Apple's Mac and iCloud filter guides_

The iCloud guide sets limits that the Mac guide doesn't spell out. Cells can't be merged while a table is filtered. Rules can't be applied to a table with cells merged across rows. With above average, below average, in the top, or in the bottom rules, you can't add rows while filtering. Apple documents this for iCloud, so don't assume the Mac app works the same way.

## Which version of Numbers these steps cover

These steps follow Apple's Mac guide. The Mac App Store lists Numbers 15.4.2, and it requires macOS 26.0 or later. Apple's Creator Studio page lists Numbers 15.4 for Mac too. No Apple page names one version for these exact steps.

Apple Creator Studio launched on January 28, 2026. It costs $12.99 per month or $129 per year. Apple says Numbers stays free for all users, subscribers included. So you don't need a subscription to filter a table.

On April 13, 2026, Apple removed the old Pages, Keynote, and Numbers apps from the App Store. New downloads show only the Creator Studio compatible versions. To check your version, choose Numbers > About Numbers before you follow older guides.

## Common mistakes with filters

Most filter mistakes are simple. The first is forgetting that the filter is still on. Rows go missing, and it looks like data loss. Check the Filter tab first, then press ⌥⌘F if filters are still on.

The second mistake is picking the wrong pop-up setting. If you want a narrow list, use all filters. Choosing any filter when you mean all brings back rows you wanted hidden. Read the pop-up before you trust the list.

The third mistake is changing merged cells while a filter is active. Apple's iCloud guide says cells cannot be merged while a table is filtered. Turn filters off before you merge or unmerge on the Mac too, to be safe.

## Sort after you filter

Filtering decides which rows you see. Sorting decides their order. On the Mac, ⇧⌘R applies sorting rules, according to Apple's shortcut list. Use a filter to narrow the list, then sort what's left.

## Where Lazur fits while you filter

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥⌘ to ask about anything on your screen. Lazur answers out loud. That helps when you're stuck in the Filter tab and can't see the next control.

Ask where something is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time, waiting for each click. Lazur doesn't click for you. You stay in control of Numbers the whole time.

Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they aren't stored. Content is never used to train AI models. Lazur runs on Mac with Apple silicon or Intel. Windows is planned, not available.

## Next steps

- Open a practice table and add one filter on a text column.
- Press ⌥⌘F to turn filters off, then press it again to turn them back on.
- Use Quick Filter the next time you need a fast look at one column.
- Read [Lazur for Numbers](https://www.lazur.app/apps/numbers) to see how pointing and guiding work inside Numbers 15.4.
- See the trial and plan details on the [pricing page](https://www.lazur.app/pricing) before you decide.

## Shortcuts

- Turn filters on or off: ⌥⌘F
- Hide or show the sidebar: ⌥⌘I
- Apply sorting rules: ⇧⌘R
- Move to the next sidebar tab: ⌃`
- Move to the previous sidebar tab: ⇧⌃`

## If it does not work

- **Filter options are missing or gray** The table probably has merged cells. Choose Table > Unmerge All Cells, then open the Filter tab again.
- **The Organize sidebar is gone** Press ⌥⌘I to show or hide the sidebar. Then press ⌃` to move between sidebar tabs until you reach Filter.
- **Menu wording doesn't match this guide** Language and region change some labels. Look for the closest match, such as Organise for Organize, or check your version under Numbers > About Numbers.
- **Rows are missing and you didn't add a filter** A filter from earlier may still be on. Press ⌥⌘F to turn filters off, then check the Filter tab for leftover rules.
- **Results look wrong for one column** Check the filter type, the rule, and the cell format. A number stored as Text can fail a rule that expects numbers.
- **You can't get back to unfiltered data** Click the table, open the Organise button, go to the Filter tab, and turn off the filters. This follows an Apple Community answer from February 2022.

## With Lazur

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ and ask; it sees your screen, answers out loud, points at buttons and walks you through apps. Hold fn to dictate. Free for 3 days, then $18/month: https://www.lazur.app/download

- “Where's the Organize button?”: Lazur draws a circle and a label around the Organize button on your screen, so you can find it without hunting. (Points at it)

## FAQ

### Does filtering delete rows in Numbers on Mac?

No. A filter hides rows that don't match your rule. Turn filters off with ⌥⌘F and the hidden rows show again. Deleting a filter you no longer need removes only that rule, not your data.

### Why is the filter option missing or gray?

The table probably has merged cells. Click the merged cell and choose Table > Unmerge Cells. To clear the whole table, select it and choose Table > Unmerge All Cells.

### How do I turn off filters in Numbers on Mac?

Press ⌥⌘F to turn all filters off without deleting them. Press it again to turn them back on. To remove one filter for good, delete it from the Filter tab.

### What is the difference between all filters and any filter?

All keeps a row only when it passes every filter. Any keeps a row when it passes at least one filter. Check the pop-up at the top of the Filter tab when results look too small or too large.

### Does Numbers for iCloud filter the same way?

The steps are similar, with different labels. The iCloud guide uses Match Any Filter and Match All Filters, and it asks you to press Return or Enter. It lists no filter shortcuts.

### Do I need an Apple Creator Studio subscription to filter a table?

No. Apple says Keynote, Pages, Numbers, and Freeform stay free for all users, including subscribers. Creator Studio launched January 28, 2026 at $12.99 per month or $129 per year.

### Can Lazur filter the table for me?

No. Lazur doesn't click buttons or operate Numbers for you. Hold ⌥⌘ and ask where Add a Filter is, or ask Lazur to walk you through it one click at a time.
