To invite someone to Figma on Mac, open the file, click Share, and type their email address. Choose can view or can edit, click Send invite, and they must accept the email before they can open the file.

## Quick answer

- For one file, open it, click Share, type the email, set can view or can edit, then click Send invite.
- For a team, click All teams in the sidebar on Organization, Government, Enterprise or Education (K-12) plans.
- On Starter and Professional plans, use All folders and Invite by email instead.
- Viewers can be invited for free. Editing needs a seat with the right permission.
- The invitee must accept. The email button says Open in Figma for files and Accept invite for teams.

Applies to: Figma on macOS 12 or later. Team invites need an Organization, Government, Enterprise or Education (K-12) plan.. Time: 5 min. Difficulty: Easy.

## What you need

- A Figma account
- A Mac running macOS 12 or later
- Permission to share the file or team at the level you want to give
- The invitee's exact email address
- An Organization, Government, Enterprise or Education (K-12) plan for team invites

## How to Invite a teammate to a Figma file or team on Mac in Figma on a Mac

1. **Open the file you want to share.** (Figma > Back to files) In the Figma desktop app, open the file. If you are inside a file and need the file browser, click Figma > Back to files. Tip: Figma's help pages describe the file browser on figma.com. The Mac app follows it closely, but a label can differ by version.
2. **Click Share.** Click Share in the top-right corner of the file. The Share dialog opens with a field for email addresses. Tip: Figma's help pages do not list a keyboard shortcut for Share, so use the mouse or trackpad.
3. **Type the email addresses.** Type one address, or several separated by commas. The invite goes to each address you enter, so check every letter before you continue. Tip: A wrong address sends the invite to someone else.
4. **Set What they can do.** Open the What they can do control for each person. Pick can view to let them look, or can edit to let them change the file. You can only grant a level equal to or lower than your own. Tip: Set each person on their own if they need different access.
5. **Click Send invite.** Click Send invite. The person gets an email and a notification in the file browser. They must accept the invite before they can open the file. Tip: Ask them to check spam if the email does not arrive within a few minutes.
6. **Confirm the invite.** Check the list of people in the Share dialog. Make sure each email and permission level is right, and fix any that are wrong. Tip: Ask the person to click Open in Figma in their email to confirm they can get in.

Start with one question: are you inviting someone to one file, or adding them to a team? Figma handles these two cases in different places. A file invite is the quick one. You open the file, click Share, and the person can open that file. A team invite adds them to your organization, which is a bigger step. It needs a plan that supports teams.

## What you need before you invite someone on Mac

You need a Figma account and a Mac running macOS 12 or later. Figma's Learn guide lists macOS 12 as the minimum for its desktop app. The app is optimized for both Intel and Apple silicon Macs, so either kind works. macOS 12 is Monterey, which came out in October 2021. To check your version, click the Apple menu in the top-left corner and choose About This Mac.

You also need enough access to share. You can only grant a permission equal to or lower than your own. If you can only view a file, you cannot give someone can edit. Ask the file owner or a team admin to send the invite, or ask them for a higher level.

Have the exact email address ready before you start. An invite goes to the address you type, not to a name in your contacts. If the person uses a work address and a personal one, use the address they actually check.

## Invite someone to one file on Mac

This is the path most people need. Open the file in the Figma desktop app. Look at the top-right corner of the window, where the Share button sits. Click it. A dialog opens with a field for email addresses.

Figma's help articles describe these steps on figma.com. The Mac app opens the same files, but labels can shift between versions. If a label on your screen differs from this guide, pick the closest match in meaning. Figma's help pages do not list a keyboard shortcut for Share, so use the mouse or trackpad for this step.

Typing matters more than most people expect. The invite goes to the exact address you enter. One wrong letter sends it to someone you do not know. Separate several addresses with commas, then check each one before you click Send invite.

The What they can do control sets the level for each person. Can view lets someone look, comment, inspect and export. Can edit lets them change the file. Use can view for a client review, and can edit for a teammate who will change the design.

## Invite a team member on Mac

Team invites add someone to your organization, not just to one file. Figma's team help page says team invites work on Education (K-12), Organization, Government, and Enterprise plans. The flow starts in the file browser, not inside a file. Close any open file first, or click Figma > Back to files.

1. Open the file browser. Log in at figma.com, or use the Figma desktop app.
2. In the left sidebar, click All teams. On Enterprise with workspaces, click All workspaces instead.
3. Click the team you want to invite someone to.
4. Click Share.
5. Type the person's email address, then set their team permission: admin, can edit, or can view.
6. Click Invite.

![Small team around a laptop reviewing a shared design file before they invite someone to Figma on Mac](https://lfobmih1tpj3sgpo.public.blob.vercel-storage.com/content-images/howto/invite-a-team-member-in-figma/how-to-invite-someone-to-figma-on-2-c62fb5.jpg)

Team membership does not open every file. Figma's sharing rules say a team member still needs access to each folder or file. After the invite, open the folder they need and check their access there. Otherwise they join the team and still see none of the work you wanted them to see.

Figma's invitation help also says that someone who joins through a file or link, without accepting the team invite, can only view team resources. Send an email invite, then confirm the person accepted it.

## Team permissions: admin, can edit and can view

Team permissions come in three levels: admin, can edit, and can view. Figma limits what you can hand out. You can grant a level equal to or lower than your own. An admin can invite at any level. Someone with can edit can invite at can edit or can view. Someone with can view can invite only at can view.

- Admin: can invite at any of the three levels.
- Can edit: can invite at can edit or can view.
- Can view: can invite only at can view.

Viewing costs nothing extra. Figma's pricing page says you can invite as many people as you want to view, comment, inspect, or export your files for free. Editing takes a seat with the right permission. The Professional Full seat is listed at $16 a month, and the Collab seat at $3 a month, both in USD. Prices can differ by region and billing period, so check the pricing page before you buy.

## Starter and Professional plans: invite by email

Starter and Professional plans use a different path to invite people by email. Figma's help page says to open All folders in the left sidebar, click Share, choose Invite by email, enter the address, pick a seat type, and click Invite. Only plan members can send these invites.

Figma is moving projects to folders. Its sharing guide says the change starts August 3, 2026, and that content and access stay the same. Your sidebar may say folders where older guides say projects. Look for the closest match before you decide a step is missing.

## Invite by link on Starter or Professional

Starter and Professional plans also support invite links. Click Share, choose Invite by link, turn on the invite links toggle, and click Copy link. People who join through the link get a View seat automatically. An admin can change that seat later.

If Invite by link is greyed out, a plan admin turned invite links off. Email invites still work. Admins can also choose Reset invite links, which voids an old link. Use that option when a link has reached the wrong people.

## A worked example: sending a review invite

Say you have a landing page file, and a copywriter needs to leave comments. The copywriter does not need to change the layout. Open the file, click Share, type the copywriter's email, set What they can do to can view, and click Send invite.

Now say the same copywriter must fix a headline in the file. Change the level to can edit. Figma's sharing guide says a user needs both the right seat and the right permission to edit. Check the seat before you send, or the edit access may not work as you expect.

## What the invitee sees and how they accept

If the person already has a Figma account, they get an email and an in-app notification. If they do not, the email links them to create an account and join. For a file or folder, the email button says Open in Figma. For a team, it says Accept invite.

In the app, they open their account notifications and click Accept or Decline. An account is required. Team invites tie to one email address, so they must sign in to the matching account. Signing in with a different account is an easy way to miss an invite.

## Members, guests and limited access

On Organization, Government, Enterprise, and Education (K-12) plans, Figma sorts people into members and guests. A member has an email that matches an organization domain. A guest uses an outside email and can only reach what you invite them to. A guest cannot become a member later, so pick the right type at invite time.

On Starter and Professional plans you may see limited access members. They have only been invited to specific folders or files. They cannot create top-level folders, and they can invite others only with a View seat. An admin can upgrade them with Grant member access in the team member view.

Outside invites can also be blocked by guest membership settings. Those settings are Enterprise-only. If an outside invite fails on an Enterprise team, ask an org admin to check them.

## Share a link instead of an invite

Sometimes a link is enough. In the Share dialog, click Copy link. Then pick the audience: Anyone, your organization name, your workspace name on Enterprise, or Only invited people. The audience decides who can open the link. The organization and workspace options appear only on those plans.

If Anyone is missing, an admin has likely turned off public links. For view only sharing, read [view only sharing in Figma](https://www.lazur.app/how-to/share-a-file-with-view-access-in-figma). It covers link roles and copy limits in more detail.

## Mistakes people make when inviting on Mac

- Typing the wrong email address. The invite goes only to that address, so check every letter.
- Trying to grant a higher level than you have. Figma only allows a level equal to or lower than your own.
- Assuming team membership opens every file. Check folder and file access after the invite.
- Signing in with the wrong account. Team invites tie to one email address.
- Sending a link to an Organization team. Organization teams cannot be joined through a link.
- Reading a greyed out Invite by link option as a bug. A plan admin usually turned it off.

Most invite problems come from accounts, plans, or permissions, not from the Mac. Still, check the app. Open Applications, find Figma, and confirm it opens. Figma's guide says to move the Figma icon from Downloads to Applications during install. Beta builds appear as Figma Beta and install next to the regular app, so open the one you mean.

Figma's release notes dated May 1, 2026 mention opening links directly in the macOS app and faster file transitions. If a Figma link keeps opening in your browser, update the desktop app and try again.

## Next steps after the person accepts

Once the person accepts, ask them to open the file. Ask what they see, then compare it with the permission you meant to give. If the two differ, open the Share dialog again and check the level. If you still cannot fix it, ask a team admin for help.

For the desktop app basics, read [how to install the Figma desktop app on Mac](https://www.lazur.app/how-to/install-the-desktop-app-in-figma). If you design on a Mac every day, the [Figma page for designers](https://www.lazur.app/for/designers/figma) covers desktop setup for Figma on a Mac.

## If it does not work

- **The Share button is missing or greyed out.** You may not have a high enough permission on that file. Ask the file owner or a team admin. You can only grant a level equal to or lower than your own.
- **The invitee cannot accept the team invite.** Team invites are tied to one email address. Have them sign in to the account that matches that address, then accept from their notifications.
- **The person can see the team but not the file.** Team membership does not open every folder or file. Check that person's access on the folder or file itself.
- **Invite by link is greyed out.** A plan admin turned invite links off. Email invites still work, so send an email invite instead.
- **Anyone is missing from the link audience list.** An admin has likely disabled public links. Choose Only invited people, or ask an admin to turn public links back on.
- **A Figma link opens in the browser, not the Mac app.** Update the Figma desktop app. Figma's May 1, 2026 release notes mention opening links directly in the macOS app.

## With Lazur

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ and ask; it sees your screen, answers out loud, points at buttons and walks you through apps. Hold fn to dictate. Free for 3 days, then $18/month: https://www.lazur.app/download

- “Where is the Share button in this file?”: Lazur circles the Share button in the top-right corner and labels it. You click it yourself, then type the email and set the permission. (Points at it)

## FAQ

### Can I invite someone to a single file without a team plan?

The single file steps in this guide do not list a plan requirement in Figma's help pages. Open the file, click Share, enter the email, and set can view or can edit. Team invites are a different case and need an Organization, Government, Enterprise or Education (K-12) plan.

### Does the person I invite need to pay to see the file?

Figma's pricing page says you can invite as many people as you want to view, comment, inspect, or export your files for free. Editing needs a seat with the right permission.

### Why did my invitee not get an email?

Check the address for a typo first, because the invite goes only to that address. Ask the person to look in spam or junk. If the address is right and nothing arrives, invite them again from the Share dialog.

### Can I invite someone with a personal email address?

Yes, on plans that sort people into members and guests. A person with an outside email becomes a guest, not a member. Guests can only reach what you invite them to, and an Enterprise admin can block outside invites with guest membership settings.

### Why does my invitee see the team but not the files?

Team membership does not give access to every folder or file. Check folder and file permissions for that person. If they joined through a link without accepting the team invite, they can only view team resources.

### What does Only invited people mean in the link audience?

It limits the link to people you have invited. The other audience options are Anyone, the organization name on Organization and Enterprise plans, and the workspace name on Enterprise. If Anyone is missing, an admin has likely turned off public links.

### Is there a keyboard shortcut to invite someone in Figma on Mac?

Figma's help pages do not list a keyboard shortcut for Share, so the steps in this guide use the mouse or trackpad. To look up the shortcuts Figma does list, read [how to show keyboard shortcuts in Figma on Mac](https://www.lazur.app/how-to/show-the-keyboard-shortcuts-panel-in-figma).
