To move emails to a folder in Apple Mail on Mac, select the messages and drag them onto a mailbox in the sidebar. Or select them, click the Move button in the toolbar, and choose a mailbox.

## Quick answer

- Drag the selected emails onto a mailbox in the sidebar or the Favorites bar to move them.
- Or select the emails, click Move in the toolbar, and pick a mailbox from the list.
- Hold Option while you drag to copy an email instead of moving it.
- If the mailbox does not exist yet, create it first with Mailbox > New Mailbox.
- If messages won't move in an IMAP account, check for invalid characters, large messages, or a full storage limit.

Applies to: Apple Mail on Mac. Menu names come from Apple's Mail guide and may differ by macOS version.. Time: 2 min. Difficulty: Easy.

## What you need

- Apple Mail on your Mac, with at least one account added
- The mailbox you want to move to already exists, or you know how to create one
- For the iCloud.com steps, a web browser and your iCloud Mail account

## How to Move emails to a folder in Apple Mail in Apple Mail on a Mac

1. **Open the mailbox with the emails.** Click Inbox in the sidebar, or click whichever mailbox holds the messages you want to file. The message list shows the emails in that mailbox.
2. **Select the emails.** Shortcut: ⌘ click. Click the first email. Hold Command and click each other email you want. To select a run of emails in a row, click the first one and Shift-click the last one.
3. **Click Move in the toolbar.** (Toolbar > Move) Find the Move button in the toolbar. If you can't see it, open the More Toolbar Items control and choose Move from there.
4. **Choose the mailbox.** Pick the mailbox from the list. Mail may put a suggested mailbox at the top, based on where you filed similar mail before. Read the name before you click.
5. **Confirm the move.** The selected emails leave the current list. Open the mailbox you picked to see them. If they are not there, work through the fixes further down this page before you try again.

Apple Mail calls folders mailboxes. Every mailbox in the sidebar works like a folder. You put an email into one by dragging it there or by choosing it from the Move button. This page covers the Mac app. Apple's iCloud.com web guide uses the word folder, and it has its own steps further down.

## Your three choices: drag, Move, or copy

There are three main ways to file an email on a Mac. You can drag it, use the Move button, or copy it with Option. Each one fits a different case, so the table below sums them up. The sections after it walk through each method with an example.

| Method | What happens | Best for |
| --- | --- | --- |
| Drag to a mailbox | Moves the selected emails | A few emails, when the mailbox is visible in the sidebar |
| Move button in the toolbar | Moves the selected emails to a mailbox you pick | Mailboxes you cannot see in the sidebar |
| Option-drag, or Control-click then Copy To | Copies the emails, original stays where it is | Filing one email in two places |
| Control-Command-M | Moves the selected emails to the predicted mailbox | Quick filing when Mail guesses right |

## Drag an email into a mailbox

Dragging is the fastest method when the target mailbox is visible. Click an email once to select it. To add more, hold Command and click each one. Then press the mouse button on a selected email, drag it onto the mailbox, and let go.

Here is a small example. A receipt from your bank lands in the Inbox. You want it in a mailbox called Money. Click the receipt, drag it onto Money in the sidebar, and let go. The receipt leaves the Inbox and sits in Money. Nothing else changes.

The Favorites bar works the same way. If you keep a mailbox there, drop the selected emails on it. If the bar is hidden, choose View > Show Favorites Bar. Then drop the emails on the mailbox icon you want.

## Use the Move button when dragging is awkward

The Move button is the careful option. It lets you see the list of mailboxes before anything moves. Select the emails, click Move, and pick a mailbox from the list. If the button isn't in the toolbar, open the More Toolbar Items control and look for it there.

Mail may suggest a mailbox based on where you filed similar messages before. This helps when you file the same kind of mail every week, such as invoices or travel confirmations. Treat the suggestion as a guess. Read the name before you click.

## Copy an email to a second mailbox

Sometimes one email belongs in two places. A flight confirmation may belong in Travel and in a mailbox for expenses. Copying leaves the original where it is and adds a second copy of the email to the other mailbox.

To copy by dragging, hold Option while you drag the selected email onto the target mailbox. To copy from a menu, Control-click the selected messages, choose Copy To, and then pick the mailbox. Check that you really want two copies before you start. A copy is one more email to find later.

## Create a mailbox before you move mail

If the mailbox you need doesn't exist, make it first. Choose Mailbox > New Mailbox. In the dialog, click the Location pop-up menu and pick On My Mac or one of your accounts. Type a name, then click OK.

Pick the account that holds the messages you want to file. If you select an existing mailbox as the location, Mail creates the new one inside it as a subfolder. Say you have a mailbox called Money. Choose Mailbox > New Mailbox, set Location to Money, name the new one Tax receipts, and click OK. Now you can drag receipts into Tax receipts.

## Keep a favorite mailbox one click away

If you move mail into the same mailbox every day, put that mailbox in Favorites. Drag it into Favorites in the sidebar or onto the Favorites bar. You can also click Add Mailbox at the top of Favorites, choose a mailbox, and click OK.

Adding a mailbox to Favorites does not move any messages. It only adds a shortcut to the mailbox. Your emails stay where they are until you drag them there or use the Move button.

## Keyboard shortcuts for filing mail

Apple's keyboard shortcut list for Mail includes a few filing actions. None of them opens a list of destination mailboxes. The closest one sends the selected messages to the mailbox Mail predicts. These are the filing shortcuts Apple documents.

- ⌃⌘M moves the selected emails to the predicted mailbox.
- ⇧⌘J moves the selected emails to the Junk mailbox.
- ⌃⌘A archives the selected emails.
- ⌥⌘J erases junk mail.
- ⌃⌘L applies your active Mail rules.
- ⌥ while dragging copies the emails instead of moving them.

Read the names before you press them. Erasing junk mail is not the same as moving a message to Junk. Command-Shift-V is not a move shortcut either. Apple lists it as paste text into your email as a quotation.

## Move emails on iCloud.com

If you use iCloud Mail in a browser, the steps change a little. Go to icloud.com/mail and sign in. Select the emails. On a computer, hold Command to select several at once. Click the Move button, choose an existing folder or create a new one, and click Move.

On a computer you can also drag the selected emails onto a folder in the Mailboxes list. To make a folder, click Add Folder next to Folders, type a name, and press Return. Apple's iCloud guide warns that deleting a folder also deletes its emails and subfolders. Move anything you want to keep out first.

## Why an email won't move in an IMAP account

Apple gives three reasons a message in an IMAP account may refuse to move. The first is invalid characters, which the server often adds. The second is size, because a very large message can fail. The third is storage, because the account may be over its provider's limit.

Storage is the easiest cause to check. A 9to5Mac article from April 2024 says Apple gives 5GB of free iCloud storage, and that everything, including iCloud Mail, counts toward that limit. Apple's iCloud storage page says iCloud storage starts at 50GB for $0.99 (USD) a month. Prices can change, so check the page before you buy.

If storage is full, free up space or upgrade, then try the move again. Apple's pages do not give a fix for invalid characters or oversized messages. If the move keeps failing for those reasons, contact your provider. Be wary of older forum tips. An Apple Community thread from August 2022 describes messages that won't move. That thread is about the iPhone Mail app, not the Mac app, and it closed without a confirmed fix.

## Fix missing or garbled messages with Rebuild

Sometimes a mailbox looks wrong after a move. Messages may seem to be missing, or the text may look garbled. Apple says you may need to rebuild in those cases. Rebuilding can also help when Entire Message search cannot find messages that should match.

Select the mailbox in the sidebar, then choose Mailbox > Rebuild. Let Mail finish before you move anything else. Then check the mailbox again. If the messages still look wrong, the problem is probably on the server side, and your provider is the next place to ask.

## Delete a mailbox without losing mail by mistake

Deleting a mailbox is not the same as moving mail out of it. Select the mailbox in the sidebar and choose Mailbox > Delete Mailbox. Apple warns that deleting a mailbox permanently deletes the mailbox and its contents, including other mailboxes, and can't be undone.

Here is a mistake people make. They have a mailbox called Projects with a subfolder for each client. They delete Projects to clear space, and every client subfolder goes with it. The safe order is to move the mail out first, check that the mailbox is empty, and only then delete it.

## File new mail automatically with a rule

If you move the same kind of mail every week, a rule can do the sorting for you. Rules can act on mail by sender or subject, among other conditions. Control-Command-L applies your active rules to the selected messages. For the setup steps, see [how to create a rule in Apple Mail](https://www.lazur.app/how-to/create-a-rule-to-sort-incoming-mail-in-apple-mail).

## Mistakes that cost people time

- Dragging a mailbox into Favorites and expecting the messages to move. It only adds a shortcut.
- Holding Option by accident, which copies the email instead of moving it.
- Pressing Command-Shift-V and expecting a move. It pastes a quotation.
- Deleting a parent mailbox to clean up, which removes its subfolders too.
- Trusting the predicted mailbox without reading its name first.

Most of these are easy to undo if you catch them early. If the wrong email went somewhere, select it and move it again. If you deleted a mailbox, the contents are gone, so check the mailbox before you delete it next time.

## Check that the email landed in the right place

Open the mailbox you chose and look at the top of the message list. If the email isn't there, search for it. Searching by sender is often the quickest route. See [how to search emails by sender in Apple Mail](https://www.lazur.app/how-to/search-emails-by-sender-in-apple-mail).

Also check the Inbox. A moved email leaves the list it came from. A copied email stays in both places. If the Inbox still shows it after you dragged it, check whether you held Option by accident.

## Where to go next

Once you can file mail by hand, the next step is automation. Rules handle regular mail. Smart mailboxes gather messages that match a condition in one place. See [how to create a smart mailbox in Apple Mail](https://www.lazur.app/how-to/create-a-smart-mailbox-in-apple-mail). If you use Gmail, see [how to add Gmail to Apple Mail on Mac](https://www.lazur.app/how-to/use-gmail-in-apple-mail-in-gmail).

## Shortcuts

- Move selected emails to the predicted mailbox: ⌃⌘M
- Move selected emails to the Junk mailbox: ⇧⌘J
- Archive selected emails: ⌃⌘A
- Erase junk mail: ⌥⌘J
- Apply active Mail rules: ⌃⌘L
- Copy instead of move while dragging: ⌥ drag

## If it does not work

- **The Move button is missing from the toolbar** Open the More Toolbar Items control. Move is listed there when the toolbar is too narrow to show every button. You can also drag the email onto the mailbox in the sidebar instead.
- **The mailbox I need is not in the Move list** Create it with Mailbox > New Mailbox. Click the Location pop-up menu, pick On My Mac or an account, type a name, and click OK. Then move the emails into it.
- **Messages won't move in an IMAP account** Apple gives three causes: invalid characters often added by the server, a message that is too large, or an account over its provider's storage limit. Check your storage first, then contact your provider if the other two seem likely.
- **Messages look missing or garbled after a move** Select the mailbox in the sidebar and choose Mailbox > Rebuild. Let Mail finish, then check the mailbox again.
- **The predicted-mailbox option looks greyed out** Some people report this, but Apple's pages do not explain why. Use drag or the Move button instead, and file the emails by hand.
- **I dragged an email to the wrong mailbox** Select the email and move it again to the right mailbox. If you can't find it, search for it by sender or subject from the search field.

## FAQ

### Can I move an email to a folder without dragging it?

Yes. Select the emails, click Move in the toolbar, and choose a mailbox from the list. If you can't see Move, open the More Toolbar Items control first.

### What is the difference between moving and copying an email in Apple Mail?

Moving takes the email out of its current mailbox. Copying leaves the original where it is and adds a second copy. Hold Option while you drag to copy, or Control-click the messages and choose Copy To.

### Is there a keyboard shortcut to move an email to a specific folder?

Not one that Apple documents. Control-Command-M moves the selected emails to the predicted mailbox. To pick a specific mailbox, use the Move button or drag the emails onto it.

### Why won't my email move to a folder?

For an IMAP account, Apple lists three causes: invalid characters, a large message, or an account over its provider's storage limit. Check your storage first, because it is the easiest cause to confirm.

### Does deleting a mailbox delete its emails too?

Yes. Apple says Delete Mailbox permanently deletes the mailbox and its contents, including other mailboxes, and it can't be undone. Move the mail you want to keep before you delete anything.

### Can I move emails into folders on iCloud.com?

Yes. Select the emails, click Move, choose a folder or create a new one, and click Move. On a computer you can also drag the emails onto a folder in the Mailboxes list.

### What does Rebuild do in Apple Mail?

Rebuild is for a mailbox that looks wrong. Select the mailbox and choose Mailbox > Rebuild. Apple says it can help when messages seem missing or garbled, or when Entire Message search misses messages.
