To share a spreadsheet in Numbers on Mac, click Share in the toolbar, choose Share a Link, and set who can open it and what they can do. You can send the link by Mail, Messages, or Notes, or copy it and paste it anywhere.

## Quick answer

- Sharing starts with the Share button in the Numbers toolbar. Pick Share a Link from the pop-up menu.
- Choose Only invited people if each person should sign in with an Apple Account. Choose Anyone with the link if they should not need one.
- Set Can make changes or View only, then send the invitation by Mail, Messages, Notes, or Copy Link.
- The spreadsheet must be in iCloud Drive. If the sharing options are missing, check that first.

Applies to: Numbers 15.4 on Mac, macOS 26 or later. Time: 6 min. Difficulty: Easy.

## What you need

- A Mac with macOS 26 or later, for you and each collaborator
- Numbers 15.4 or later
- An Apple Account signed in on your Mac
- iCloud Drive turned on for Numbers, with the spreadsheet stored in iCloud Drive
- iPhone or iPad collaborators need iOS 26 or iPadOS 26 with Numbers 15.4

## How to Share a spreadsheet in Numbers on Mac in Numbers on a Mac

1. **Check that the file is in iCloud Drive.** Open the spreadsheet in Numbers. Confirm it is stored in iCloud Drive and that you are signed in with an Apple Account. Apple says that when the sharing options are missing, the file is probably not in iCloud. Tip: If the options still do not show, move the file into iCloud Drive and wait for it to sync.
2. **Click Share in the toolbar.** (Toolbar > Share) Click the Share button in the Numbers toolbar. A sharing menu opens. Apple's sharing page does not list a keyboard shortcut for this step, so click it.
3. **Choose Share a Link from the pop-up menu.** (Share > Share a Link) Open the pop-up menu and choose Share a Link. Numbers shows the link options for the file.
4. **Open the sharing options.** (Share a Link > Disclosure arrow) Click the disclosure arrow beside Share a Link to show the full set of options. Each option below sets one part of who sees the file and what they can do.
5. **Set Who can access.** (Who can access) Choose Only invited people if each person should sign in with an Apple Account. Choose Anyone with the link if people should open it without an Apple Account.
6. **Set the Permissions.** (Permissions) Choose Can make changes so people can edit, print, and download. Choose View only if they should read, print, and download but not edit or reply to comments.
7. **Turn off invites if you need to.** (Permissions > Allow others to invite) Deselect Allow others to invite if you want to keep control of who joins. Leave it selected if a teammate should add people. Tip: Leave this selected only for people you trust to bring in others.
8. **Send the invitation.** (Share > Mail or Messages) Choose Mail or Messages, type an email address or phone number, then press Send or Enter. For Notes, choose Share Link, pick the note, and click Save. For a link, click Copy Link.
9. **Paste the link and confirm.** Shortcut: ⌘V. Press ⌘V to paste the copied link where you need it. A checkmark appears on the Collaboration button after you share, which tells you sharing is on.

Numbers does not attach your file to an email when you share it live. The spreadsheet stays in iCloud Drive, and everyone you invite opens that same copy. Edits from each person show up for the others in real time, with colored cursors. That setup is why iCloud comes first in this guide. Check it before anything else.

## What you need before you share a Numbers file

Three things must be true before the sharing options appear. You need to be signed in with an Apple Account. iCloud Drive has to be on for Numbers. The spreadsheet itself must sit in iCloud Drive. Apple says that when sharing options do not appear, the file is probably not in iCloud. Check that before you search through menus.

- Sign in with an Apple Account on your Mac.
- Turn on iCloud Drive for Numbers.
- Store the spreadsheet in iCloud Drive. If it lives only on this Mac, move it there first.
- Update to Numbers 15.4 on macOS 26 or later.
- Make sure each person you invite meets the same minimums, or they can only view.

Numbers 15.4 is the version Apple lists as the latest on its What's new page, and it requires macOS 26 or later. The steps below follow Apple's current sharing guide. Your menus may look slightly different if you run an older release.

## Share a spreadsheet in Numbers on Mac, step by step

The main path runs through the Share button, not the File menu. Open the file, click Share, and choose Share a Link from the pop-up menu. Then set the access and permission options. Apple's sharing page does not list a keyboard shortcut for this, so expect to click through each step. The same path works whether you invite one colleague or a full team.

## Choose who can access the spreadsheet

The Who can access setting controls who can open the link at all. Only invited people means each person signs in with an Apple Account. Anyone with the link means anyone who has the link can open the file, with no Apple Account. Use the narrower choice unless you have a reason to widen it.

| Who can access | Who can open it | Apple Account needed |
| --- | --- | --- |
| Only invited people | Only the people you add | Yes |
| Anyone with the link | Anyone who has the link | No |

_The two Who can access options in Numbers on Mac_

If a colleague has no Apple Account, the link option is the one that lets them in. Share it only with the people who need the file. A link can travel further than you expect once someone forwards it.

## Set Can make changes or View only

The Permissions pop-up sets what people can do once they open the file. Can make changes lets them edit, print, and download. View only lets them view, print, and download, but not reply to comments or delete them. Apple's cross-app page uses the labels Can edit and Can view or download, so your screen may show different wording. Both labels describe the same two levels.

- Can make changes: edit the spreadsheet, print it, and download it.
- View only: read, print, and download. No edits, no comment replies, no deletes.
- Allow others to invite: deselect it to stop participants from adding people.

Give Can make changes only to people who should edit the numbers. A view-only copy protects a budget or report from accidental edits. It does not stop anyone from downloading the file.

## Send the invitation by Mail, Messages, Notes, or a copied link

After you set access, Numbers offers four ways to reach people. Mail and Messages send an invitation to the address or phone number you type. Notes places the link inside a note you choose. Copy Link puts the link on your clipboard, so you can paste it into any app. Once you share, a checkmark appears on the Collaboration button.

- Mail or Messages: type the email address or phone number, then press Send or Enter.
- Notes: choose Share Link, pick the note, and click Save.
- Copy Link: click Copy Link, then press ⌘V in the app where you want the link.

- **100** people can view and edit one shared spreadsheet at the same time ([source](https://support.apple.com/en-us/105052))
- **2 GB** file size above which you must reduce a file before inviting others ([source](https://support.apple.com/en-us/105052))
- **15.4** minimum Numbers version on a Mac for you and each person you invite ([source](https://support.apple.com/guide/numbers/intro-to-collaboration-tan0bbbf4c04/mac))
- **$12.99** per month for Apple Creator Studio, which Apple says is not needed to collaborate ([source](https://creatorstudio.apple.com/info/try))

## Add or remove people after you share

You can add people later, but only for a spreadsheet set to Only invited people. Open File > Manage Shared Spreadsheet. You can also click Share and choose Manage Shared Spreadsheet, or Control-click the file in iCloud Drive and choose the same item. Then pick Share With More People, choose a method, and click Done.

To see who is in the file, click the Collaboration button and choose Manage Shared Spreadsheet. If someone wants out, they hover over their name, click More, and choose Remove Me. Then they click Done. On a long project, review the list now and then, so old access does not linger.

## Send a copy instead of sharing live

Sharing keeps one live file. Sending a copy gives someone a separate file, and their edits never reach yours. Use a copy when the recipient needs a file they can keep, or when you want a snapshot of today's numbers.

The menu label depends on your macOS version. Apple's send page says macOS 27 uses Send a Copy, macOS 13 to 26 uses Send Copy, and macOS 12 or earlier uses File > Send a Copy. Click Share, open the pop-up menu, then pick the label on your screen. Copies go out by AirDrop, Mail or Messages, or Notes.

For PDF, Excel, CSV, TSV, or the older Numbers '09 format, click Share and choose Export and Send on macOS Ventura 13 or later. Pick the format, add a password if you want one, then click Send a Copy at the bottom right. The Numbers '09 format opens in Numbers 2.0 through 2.3.

For the Excel route, read [How to export numbers to excel on mac](https://www.lazur.app/how-to/export-a-spreadsheet-to-excel-in-numbers). For PDF, read [How to export numbers to pdf on mac](https://www.lazur.app/how-to/export-a-spreadsheet-to-pdf-in-numbers).

## Limits to know before you invite a team

Shared sessions have hard edges. Up to 100 people can view and edit one shared spreadsheet at the same time. Files over 2 GB must be reduced before you invite others, and Apple Creator Studio subscribers get a 4 GB limit. Check the file size before you send the link, not after.

Some features stop working during collaboration. Apple's example is Reduce File Size. To use it, stop sharing, make the change, then share again. Stopping sharing removes the document from iCloud Drive for every participant, so warn people first.

> **Stopping removes the file:** Stop sharing and the spreadsheet leaves iCloud Drive for every participant. Send yourself a copy with Send a Copy first, then stop sharing if you need to.

## Fix it when the Share options are missing

Most missing options trace back to storage or sign-in. Start with the iCloud check from the first section. If the file is on your Mac only, move it into iCloud Drive and wait for it to sync. If you use a work Apple Account, your administrator may need to approve sharing outside your organization. Apple says managed Apple Account users need IT approval for that.

## Use Numbers for iCloud in a browser

Numbers for iCloud works in Safari 13.1 or later, Google Chrome, and Microsoft Edge. Click Collaborate, or open the spreadsheet manager, click More, and choose Collaborate With Others. Under Who can access, choose Only people you invite or Anyone with the link. You can add a password. On macOS 12 or later, you can also deselect Anyone can add more people.

Files from Numbers 2.3 or earlier, Excel, and CSV must be opened in Numbers for iCloud before you share them. The browser version lacks the activity feed and messaging tools. It cannot edit objects inside groups. Documents with vertical text or tracked changes show as view only.

## Common mistakes people make

- Sharing a file that still lives only on the Mac, then wondering why the options are missing.
- Choosing Anyone with the link for a file that holds client or payroll data.
- Giving Can make changes to someone who only needed to read the numbers.
- Stopping sharing to fix one cell, which removes the file from iCloud Drive for everyone.
- Sending a link to an Android user, who can view the file but not edit it.

Fix the setting before you send the link. A second round of invitations takes longer than getting the access right the first time.

## Creator Studio is not needed to share

You do not need a subscription for real-time collaboration in Numbers. Apple says collaboration does not require one, and it says you can keep using Numbers for free. Apple Creator Studio costs $12.99 per month or $129 per year, with one month free for new subscribers. Subscribers also get the 4 GB file limit. Prices can change, so check Apple's page before you subscribe.

## What to do next with a shared spreadsheet

A shared file still has to read well for everyone. Sort the rows so the newest or largest values sit on top. Filter the table so each reader sees only the rows they need. If a sort or filter option is greyed out while you share, it may be one of the features Apple blocks during collaboration.

Read [How to sort a table in Numbers on Mac by column](https://www.lazur.app/how-to/sort-a-table-by-column-in-numbers) and [How to filter a table in Numbers on Mac](https://www.lazur.app/how-to/filter-table-rows-in-numbers) for the menu steps. If a total looks wrong, [How to add a formula in Numbers on Mac](https://www.lazur.app/how-to/add-a-formula-to-a-cell-in-numbers) covers the formula side. Before you send the link to the whole team, open it on a second Mac or with a different Apple Account. Check that the permission is what you meant.

## Shortcuts

- Paste a copied sharing link: ⌘V

## If it does not work

- **The Share button or sharing options do not appear** Check that the spreadsheet is in iCloud Drive and that you are signed in with an Apple Account. Apple says the file is probably not in iCloud when the options are missing.
- **A collaborator can only view the file** Check their device. Android users, and Apple devices below the minimums, can view but not edit. Update to macOS 26, iOS 26, or iPadOS 26 with Numbers 15.4.
- **Someone without an Apple Account cannot open the link** Set Who can access to Anyone with the link. Only invited people requires each person to sign in with an Apple Account.
- **A feature is greyed out during sharing** Apple says some features are unavailable during collaboration, such as Reduce File Size. Stop sharing, make the change, then share again.
- **Edits made offline do not show for others** Offline edits upload when you reconnect. If others deleted objects you changed offline, your edits to them are lost. When a conflict appears, choose the version to keep.
- **The file is too large to invite others** Reduce the file before inviting others. Files over 2 GB must be reduced, and Creator Studio subscribers get a 4 GB limit.

## FAQ

### Can someone without an Apple Account open my Numbers spreadsheet?

Yes, if you set Who can access to Anyone with the link. That option needs no Apple Account. Only invited people requires each person to sign in with an Apple Account.

### Why is the Share button missing in Numbers on Mac?

Apple says sharing options usually do not appear when the spreadsheet is not in iCloud Drive. Check that the file is stored in iCloud Drive and that you are signed in with an Apple Account.

### How many people can edit one shared spreadsheet at once?

Apple says up to 100 people can view and edit one shared document at the same time. Files over 2 GB must be reduced before you invite others, or 4 GB with Creator Studio.

### Can people on Windows or Android join a shared Numbers spreadsheet?

Android users can view a shared spreadsheet but cannot edit it, according to Apple. Windows users can join through Numbers for iCloud in a browser, which Apple lists as a collaborator option.

### Does stopping sharing delete my spreadsheet?

Apple says stopping sharing removes the document from iCloud Drive for all participants. Send yourself a copy first if you need to keep it, then stop sharing.

### What is the difference between sharing and Send a Copy?

Sharing keeps one live file that everyone edits. Send a Copy creates a separate file, so changes in the copy do not reach your original.

### Do I need Apple Creator Studio to share a spreadsheet?

No. Apple says real-time collaboration does not require a subscription, and you can keep using Numbers for free. Creator Studio costs $12.99 per month or $129 per year.

### Which Numbers version do I need to share?

Apple's collaboration pages list Numbers 15.4 or later on a Mac running macOS 26 or later. Collaborators on iPhone or iPad need iOS 26 or iPadOS 26 with Numbers 15.4.
