What PowerPoint for consultants on Mac means in 2026
Microsoft renamed Office 365 for Mac to Microsoft 365 for Mac. The app is still PowerPoint. Older installs may still show the Office 365 name, so the name tells you little. Your build number tells you more.
Check your build with PowerPoint > About PowerPoint. Microsoft's release notes list PowerPoint for Mac 16.109 on May 12, 2026, which added Copilot. The newest security update in the notes is 16.114, dated Oct 14, 2026. The Oct 27 entry lists quality fixes and no build number, so confirm your exact build in the app.
Copilot is not on every Microsoft 365 plan. Your admin can also turn it off. If you cannot find it, check your plan and settings before you reinstall anything. A reinstall will not add a license.
Where consultant time goes in a deck
Most of the work is not thinking. A think-cell study timed consulting slide work using 48 typical charts from archived slides. Arranging text, drawings and charts into layouts took 41% of time, excluding typing. Typing text took 26%. Business chart production took 22%. Slide-specific drawings took 11%.
think-cell sells chart software, so read these figures as one vendor's view of graphics work. The study page gives no date. Treat the split as a useful guess about your own work, not a rule.
A Folio AI blog quotes one senior manager at a top-three consulting firm. The manager says they spend 40% of their time on slides, and that most of it is formatting. The article cites no formal study, so treat that number as an anecdote.
Timing matters too. Microsoft WorkLab reports that edits in PowerPoint spike 122% in the final 10 minutes before a meeting. The figure comes from Microsoft 365 telemetry through Feb 15, 2025, and excludes education and EU tenants. Plan your last edit pass before that window opens.

2025: The year the Frontier Firm is bornThe practical lesson is simple. Layout and formatting eat more time than chart logic. That is where a master, a template and a few shortcuts pay off. The sections below cover each one.

Set up the slide master once, then stop formatting by hand
The slide master controls fonts, colors, logos and footers for every slide in the deck. Fix it once, and you stop nudging text boxes on each page. Open it from View > Slide Master.
- Open View > Slide Master and look at the master slide at the top of the thumbnail pane.
- Set the title font, body font and theme colors on the master. Keep them to the client's approved palette.
- Add a second master with Insert Slide Master on the Slide Master tab if the client needs a second style.
- Remove unused layouts with Delete. Fewer layouts means fewer wrong choices when a teammate adds a slide.
- Set orientation and footer text under Slide Size > Page Setup.
- Select Close Master, then build your slides on the layouts you kept.
When the master is right, save it. Choose File > Save as Template and name the file for the client and the year. The next project starts from that file, not from last month's deck with leftover clutter.
Rename the layouts you keep. A layout called Title and Content is easy to find. A layout called Custom Layout is not. Clear names help a teammate pick the right one without guessing.

Make a Morph transition that works on your Mac
Morph animates objects from one slide to the next. It can make a process flow or a chart look like it builds itself. Microsoft's support page says Morph needs PowerPoint for Office 365 for Mac 15.19 or newer.
Older PowerPoint 2016 installs without the Microsoft 365 updates cannot play Morph. They fall back to a Fade transition. Decks often pass through several machines, so check every version before the meeting, not after.
Test before you send the file. Duplicate the slide with ⌘D, move one object, then play the transition from the current slide. If the object jumps instead of gliding, the two slides do not share the same objects. Match them and test again.
Save a brand template that Copilot can use
Copilot works with brand templates on Windows, Mac and the web. The template itself must come from PowerPoint for Windows or Mac. The web app cannot create one. Both .pptx and .potx files work as template files.
Keep the template plain. Use the master from the earlier section, the real logo file and only the colors your client allows. Decorative backgrounds make every generated slide harder to fix.
If you change the master later, save a new version of the template. Old decks keep their look, and the team knows which file is current. Put the version number in the file name.
Copilot in PowerPoint on Mac: limits that affect client work
Copilot in PowerPoint for Mac arrived in build 16.109 on May 12, 2026. It helps you create, edit and refine decks from plain language. It needs an internet connection. It works only with .ppt and .pptx files.
Some features need a Designer license. Microsoft's FAQ names adding a slide, creating a presentation from a file and adding an image. Copilot also caps how many words it processes per prompt. Word-based creation handles one file at a time.
| Limit | What Microsoft says | What to do on a Mac |
|---|---|---|
| Plan or admin setting | Copilot may be unavailable if your subscription does not include it or your organization disables it | Check your plan and admin settings first |
| Designer license | Adding a slide, creating from a file and adding an image need one | Ask IT for the license before a deadline |
| Word limit | Copilot caps how many words it processes per prompt | Paste one section at a time, not the whole memo |
| File count | Word-based creation supports one file at a time | Run one source file per prompt |
| File type | Copilot can only be used with .ppt and .pptx files | Save or convert the source to .pptx first |
| Network | Copilot needs an internet connection | Plan offline edits for travel days |
The word cap changes how you prompt. Ask for an outline first, then ask for each slide. Smaller prompts give you more control over each page, and they are easier to check before you commit.
Charts and numbers: keep them live
Charts take a share of the work you can cut. Build the chart from a clean table in Excel first. Then paste it into PowerPoint. If the numbers change, you update the source instead of rebuilding the slide.
Use Edit > Paste Special when you need a link to the workbook. Choose the option that links the data if you expect revisions. A picture paste is quick, but it locks the numbers in place.
Where Lazur fits while you stay in PowerPoint
Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ to ask about anything on screen, and Lazur answers out loud. Ask where something is and Lazur draws a circle and a label around it.
Ask how to do a task and Lazur guides you one click at a time. It waits for each click. You press the buttons yourself. Lazur does not click buttons, edit files or operate other apps for you, and it is not a plugin for PowerPoint.
Hold fn to dictate clean, formatted text at the cursor. That works for speaker notes, a slide title or the email that goes with the deck. Snippets, a personal dictionary and clipboard slots help when you type the same client names again and again.

Five habits that save time on a Mac deck
- Set the master before the first slide. Changing a font later touches every layout you built.
- Use ⌘D to duplicate a selected object, then change one value instead of rebuilding a chart.
- Use ⌘Z to undo one step at a time. Try a risky change on a duplicate slide first.
- Save with ⌘S before a big Copilot edit, so you have a clean file to return to.
- Play Morph and every transition in Slide Show before the file leaves your desk.
Mistakes consultants make with PowerPoint on Mac
- Quoting the 40% figure as measured data. It comes from one manager, quoted in a blog.
- Building the brand template in the web app, then wondering why Copilot cannot use it.
- Promising a Morph transition to a client who has an older install.
- Pasting a whole memo into Copilot and expecting a finished deck in one pass.
- Pasting charts as pictures, so every number change means a rebuild.
- Checking the Designer license the night before the deadline instead of the week before.
A worked example: from memo to client-ready deck
Start with the memo. Split it into sections, one per slide group. Ask Copilot for an outline of one section at a time, because of the word cap. Keep one source file per prompt, because of the file limit.
Build each slide on the saved template. When you lose track of a control, ask Lazur where the Slide Master button is. It circles the control and labels it. You still make the click.
Dictate speaker notes with fn as you go. Then play the Morph transitions from the current slide. Export the final file only after the last pass, so nobody receives a stale version.
Mac, Windows and web: what changes for your team
Copilot works on Windows, Mac and the web. Templates need the desktop app on Windows or Mac. A mixed team should build the master on one platform and share the .potx file, so everyone starts from the same place.
Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, not available. A teammate on Windows can still open the template in PowerPoint for Windows, but they cannot use Lazur yet.
Privacy, client data and your firm's rules
Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer you. They are not stored. Content is never used to train AI models.
Copilot runs under your Microsoft 365 settings and needs an internet connection. Your admin can turn it off. Check your firm's policy before you paste client material into any AI tool, including Copilot and Lazur.

- Read the download page if you want Lazur installed on your Mac.
Questions people ask
Is PowerPoint for Mac the same as Microsoft 365 for Mac?
In practice, yes. Microsoft renamed Office 365 for Mac to Microsoft 365 for Mac. The app you open is still PowerPoint. To see your build, open PowerPoint > About PowerPoint. Check the release notes when a feature seems missing.
Does Copilot work in PowerPoint for Mac?
Yes. Copilot in PowerPoint for Mac arrived in build 16.109 on May 12, 2026. It needs an internet connection and works with .ppt and .pptx files. It may be unavailable if your plan does not include it or your admin turns it off.
Why can't I see the Copilot button in PowerPoint on my Mac?
Start with your plan and your organization's settings. Microsoft says Copilot may be unavailable if your subscription does not include it, or if organization settings disable it. Some features also need a Designer license. Ask IT for both before you reinstall the app.
Which Mac version of PowerPoint supports Morph?
Microsoft lists PowerPoint for Office 365 for Mac 15.19 as the minimum version for creating and playing Morph. Older PowerPoint 2016 installs without the Microsoft 365 updates fall back to Fade. Check your build with PowerPoint > About PowerPoint before the meeting.
How much of a consultant's time goes to formatting slides?
A think-cell study of 48 typical charts put arranging layouts at 41% of time, excluding typing. Typing took 26%. That study is vendor-published and undated on the page. A Folio AI blog quotes one manager who said 40% of their time goes to slides. That is an anecdote, not a measured rate.
Can Lazur build my slides for me?
No. Lazur does not click buttons, edit files or operate other apps for you. It points at controls, explains options out loud, guides you one click at a time and drafts or dictates text. You make the changes in PowerPoint.
Does Lazur work in PowerPoint on Windows?
Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, not available. Lazur is not a plugin or add-in for PowerPoint, so it works alongside the app you already have open.
Should I save a brand template as .pptx or .potx?
Copilot supports both .pptx and .potx files as template files. Use .potx when you want a template that opens as a fresh copy every time. Clean up the master and layouts before you save either version.
