Google Sheets for Data Analysts on Mac: Clean Data, Build Pivots, Ask Lazur
Google Sheets for data analysts on Mac runs in your browser, and most analysts use it to clean data, build pivot tables, and share results. This page covers the Mac shortcuts, pivot steps, and limits that come up most, then shows where Lazur fits.
You say“Lazur, walk me through a pivot table from this data.”
Lazur · walks you through itLazur guides you to Insert > Pivot table one click at a time, and it waits for each click before the next step.
Quick answer
- Google Sheets runs in a browser on your Mac. Analysts use it for cleaning, pivot tables, and sharing files.
- Each column in a pivot source needs a header. Insert > Pivot table builds the summary from the cells you select.
- Google's limits page lists up to 20 million cells or 100MB per spreadsheet. Connected Sheets pivots top out at 200k rows.
- Lazur points at menus, explains errors out loud, and guides you one click at a time. It does not click for you.

What analysts actually do in Google Sheets on a Mac
Most analysts do a few core jobs in Sheets. They clean raw exports, summarize the clean data with pivot tables, and share the result with people who never open the source system. Each job has its own failure point, so each one needs its own habit.
Sheets fits that work because sharing is built in. Google's product page lists co-editing, sharing controls, offline access, and revision history. The same page says you can edit Excel files in Sheets without making a copy.

The habit runs deep. A vendor-sponsored survey of 1,400 analysts found that most still prepare data in spreadsheets. Techzine reports the same figures from that survey.

Keyboard shortcuts for Google Sheets on a Mac
Shortcuts pay off faster than formulas. Google's keyboard shortcut table for the computer version lists these combinations on Mac. Learn the first few, then add more as the work asks for them.
- Ctrl + Space: select the whole column of the active cell
- Shift + Space: select the whole row of the active cell
- ⌘ + A: select all cells on the sheet
- ⌘ + Z: undo the last change, such as a paste that went wrong
- ⌘ + Shift + H: open find and replace
- ⌥ + /: open the Tool finder, which Google says was formerly Search the menus
Watch the Ctrl key on a Mac. Google's table uses Ctrl + Space for column selection. The ⌘ + Space combination opens Spotlight search on macOS, so it will not select your column.
How to make a pivot table in Google Sheets on a Mac
Pivot tables are the summary tool most analysts reach for first. Google's pivot page sets the rule that matters most. Each column in the source needs a header. Without headers, the side panel has no field names to drag.
- Select the source cells, including the header row.
- Choose Insert > Pivot table from the menu bar.
- Pick where the pivot goes, then check that the side panel opened.
- Drag fields into Rows, Columns, and Values in the side panel.
- Compare one total in the pivot with the same total in the raw data.

Pivots refresh on their own. Google's page says the table updates any time you change the source cells it draws from. Check that your source range covers the rows you will add later.
Google can also suggest pivot tables. High-confidence suggestions insert automatically unless you turn that off under Tools > Suggestion controls. Check the sheet after you open a file that someone else built.
Calculated fields and the pivot mistakes people make
A calculated field adds a column that is not in the source. Google's page says a custom calculated field can use SUM or a custom formula. Google validates the formula before the field saves, so a typo shows up early.
Field names with spaces need quotation marks inside a custom formula. A field called Order Total must sit in double quotation marks inside the formula, or the formula fails.
| Mistake | What you see | Fix |
|---|---|---|
| Headers missing | Fields named Column A and Column B | Add a header to each column, then rebuild the pivot |
| Source range too short | New rows never show up | Widen the source range to cover the rows you will add |
| Merged cells in the source | Blank groups or uneven totals | Unmerge the cells and repeat each value down its rows |
| Numbers stored as text | Totals look too low | Convert the column to numbers, then refresh the pivot |
| Dates stored as text | Months sort in the wrong order | Convert the column to real dates before you build |
Test each fix on a copy first. A pivot that looks right for one month can break when the next export arrives.
Google Sheets limits for big exports and Connected Sheets
Limits decide whether a file works at all. Google's limits page says a spreadsheet created in or converted to Google Sheets can hold up to 20 million cells or 100MB. The page does not say whether that cap covers all tabs together.
Some third-party guides quote a smaller figure. Use Google's page as the reference, and check it on the day you plan the work.
| Limit | Figure from Google | Where it bites |
|---|---|---|
| Spreadsheet size | 20 million cells or 100MB | Large exports with many tabs |
| Pivot table in Connected Sheets | 200k rows | Pivots on big BigQuery or Looker tables |
| Extract in Connected Sheets | 500k rows or 5m cells | Pulling a slice of warehouse data into the grid |
| Excel cell text on import | Cells over 50,000 characters are removed | Long notes or comment columns from Excel |
Connected Sheets changes the picture. Google's product page says it lets you work with billions of rows of BigQuery or Looker data in the grid, without writing SQL. The pivot limit still applies, so filter the data before you pivot it.
Cleaning data in Sheets without losing an afternoon
Start with a copy. Duplicate the raw tab before any change, so you can compare the raw and clean versions. Name the copy clean, and leave the export unchanged.
- Trim extra spaces with =TRIM(A2), then fill the formula down the column.
- Find repeats with =COUNTIF(B:B, B2). Any result above one means the value shows up more than once.
- Convert text numbers and text dates before you build a pivot.
- Bring values from another tab with =XLOOKUP, and check a few rows by hand.
- Put your notes in a separate column, so the raw data stays clean.
Paste cleaned values over the formulas only after you check them. A formula that works on a sample can fail on the full export, so test the last rows too.
Where Lazur fits while you work in the sheet
Lazur is a voice assistant for the Mac. It lives in the notch, and you hold ⌥ ⌘ to ask about anything on screen. Lazur answers out loud, so your eyes stay on the grid.
Lazur is not a plugin or add-in for Sheets. It does not edit your sheet or click buttons for you. It sees your screen while you hold the shortcut, points at things, and explains what it sees.
Ask where something is and Lazur draws a circle and a label around it on your screen. Ask how to do something and Lazur guides you one click at a time. It waits for each click before the next step.
That covers the gap where analysts lose the most time. You know the goal, but you cannot find the setting. You also do not want to leave the sheet for a help page.
Explain Google Sheets errors and formulas out loud
Error values like #REF and #N/A show up in lookup and import work all the time. Select the cell, hold ⌥ ⌘, and ask what the error means. Lazur explains the cause out loud, and you decide the fix.
Google's product page lists formula writing and error fixing in plain language as Gemini features in Sheets. Those features are built in when your account has them. Some are limited to Workspace plans, so check what your account shows.
Use an explanation as a starting point. Test any fix on a copy, because an error often hides a bad range or a value stored as the wrong type.
Draft formulas and notes, then check every line
Lazur drafts text, so you can ask for a formula in plain words. Say: write a formula that flags repeated values in column B. Lazur drafts a COUNTIF formula and explains how to read the result.
Check the draft before it goes into a cell. Confirm the range, the reference cell, and the quotation marks. A formula can look right and still point at the wrong column.
- Ask for one formula at a time, not a whole workbook.
- Name the columns by their headers, so the draft uses the right range.
- Ask Lazur to explain each part before you paste it.
- Test the result on a few rows you can check by hand.
Dictate notes at the cursor in any app
Hold fn to dictate clean, formatted text at the cursor in any app. Dictation works in a cell comment, in a README tab, and in the email that goes with the file.
Dictation is unlimited on both paid plans. Snippets, a personal dictionary, and clipboard slots help with repeat text. Save your standard caveat as a snippet, so you never retype it.
Write the caveat while the work is fresh. Note what was missing, what you excluded, and why. A caveat written a week later is usually vague.
Research a data source while you work
Some questions need a web page, not memory. Research runs in Lazur's own Chrome tabs through the Lazur for Chrome extension. It comes back with a summary and a report.
Good uses include checking a vendor's current limits, comparing connector lists, and finding the definition of a metric. For Sheets limits, start with Google's own pages.
Treat research as a draft. Open the sources it cites, and check the date on each page before you put a figure in a report.
Timers and reminders for long cleaning sessions
Long cleaning sessions drift. Ask Lazur to set a timer for a short break, or to add a reminder to refresh the shared pivot before a meeting. Lazur handles timers, Apple Reminders, Calendar events, and notes by voice.
Refresh is the easy step to forget. The pivot updates when its source cells change, but a stakeholder may still be reading an old export from an email. Put the check on your calendar, and link the file in the event.
Privacy and team rules before you show a sheet to Lazur
Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models.
Use Google's sharing controls to limit who can open a file. Lazur does not change sharing settings. Ask Lazur where the share button sits, and it circles the button so you can make the change yourself.
Google's own AI features in Sheets
Google has built Gemini features into Sheets. The product page lists formula writing and error fixing in plain language, Fill with Gemini to populate tables from adjacent data, and prompts that build native formulas, pivot tables, and charts.
The same page describes Sheets canvas for dashboards and heat maps, plus Connected Sheets for BigQuery and Looker data. Some features depend on your plan, and availability on personal accounts may differ.
Use Google's features when they fit the job. Lazur covers a different gap. It explains, points, guides, and drafts across apps, including your browser.

A weekly routine for analysts on a Mac
- Duplicate the raw tab before any change.
- Clean with TRIM, COUNTIF, and XLOOKUP, and check each step by hand.
- Build the pivot, then compare one total with the raw data.
- Set a reminder to refresh the shared file before the next review.
- Write the caveats with dictation, and keep them beside the summary.
A routine catches the mistakes that a fast afternoon hides. Keep the same steps each week, so a change in the data stands out.
Google Sheets or Excel for data analysis
Some analysts keep both tools. Excel has its own strengths, and Sheets is easier to share across a team. Pick the tool your team already opens, and use the other one for imports only.
If your work lives in Excel, read our Excel for data analysts on Mac page for cleaning, pivots, and Power Query. Marketers who work in Sheets can read Google Sheets for marketers on Mac.

Questions people ask
Does Google Sheets work on a Mac without a download?
Yes. You open Sheets in a browser on your Mac. Google's product page also lists offline access, so you can keep working when the connection drops. Lazur does not replace the browser or the sheet. It works alongside them.
Can Lazur build my pivot table or fix my formulas?
No. Lazur does not click buttons, edit files, or operate other apps for you. It points at the menu item, explains an error, or guides you one click at a time. You make each change yourself and check it as you go.
Is my spreadsheet data sent to AI providers when I ask Lazur a question?
Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models. Check your company rules before you show customer data.
Why does my Google Sheets pivot table miss new rows?
The pivot reads the source cells you selected. Google's pivot page says it refreshes when you change those cells. If your range stops above the new rows, widen the source range. Then compare one total with the raw data.
What is the Google Sheets cell limit on a Mac?
Google's limits page says a spreadsheet can hold up to 20 million cells or 100MB. The page does not say whether that covers all tabs together. Some third-party guides give a smaller number, so check Google's page before you plan a big export.
Do Google's own AI features replace Lazur?
They cover different work. Google's Gemini features live inside Sheets, and some need a Workspace plan. Lazur works across apps, answers out loud, and points at things on screen. Check Google's product page for what your account includes.
Does Lazur work on Windows too?
Not yet. Lazur is a macOS app for Apple silicon and Intel Macs. Windows is planned, but it is not available.
Is there a free trial before I pay for Lazur?
Yes. Lazur has a Pro trial that needs no credit card. The trial starts when you first open the app. Compare plans on the pricing page before you decide.
