PowerPoint for architects on Mac: layouts, masters and client decks in Microsoft 365

PowerPoint for architects on Mac is the Microsoft 365 PowerPoint app, set up around a few habits. Build your layouts once in Slide Master, keep images light, and check Microsoft's Mac known-issues page before a deadline. This guide gives you those steps with the menu paths, then shows where Lazur fits as a voice helper that points and guides you while you work.

Quick answer

  • Set the page size and build layouts in View > Slide Master before you place a single drawing.
  • Crop photos and export renders at the size you will present. Large files are the first thing to slow a deck down.
  • On macOS, some Office users may find they can open and print but not edit or save from July 13, 2026. Check the known-issues page early and keep a PDF.
  • Hold ⌥⌘ and ask Lazur where a menu item is. It circles it and labels it on screen. It does not click for you.

What architects use PowerPoint for

Architects mostly use PowerPoint to present design concepts. A 2012 feature in ARCHITECT Magazine says the audiences are clients, juries and the public. In those rooms, PowerPoint is the standard slide format. That article is over a decade old, and I found no newer survey of building architects' habits. Use it as a starting point, not a rule.

The same article describes two working styles. SOM's Erik Keune and his team open with PowerPoint as a base, then add other media. Yazdani Studio runs PowerPoint on one screen and shows 3D models on another. Both treat the deck as a frame around the work, not the whole show.

Set up the file before you draw a single slide

Start with the page size. Open Design > Slide Size and choose a preset or a custom size. Do this first. Change the size later and PowerPoint has to scale or shift everything you placed, which costs time and breaks alignment.

Next, decide what the deck is for. A jury deck needs large images and few words. A client leave-behind needs text that reads well on a screen or as a PDF. Build for one job, then export a second file for the other.

  1. Set the page size in Design > Slide Size before you add content.
  2. Set theme fonts and colors in View > Slide Master so every slide inherits them.
  3. Save a copy as a PowerPoint template (.potx) so the next project starts clean.
  4. Write the deck's purpose in one line in the speaker notes of slide one.

Build layouts once in Slide Master

Slide Master is where most of the time gets saved. Open View > Slide Master. The master slide sits at the top of the left pane, and each layout appears as a thumbnail below it. Edit a layout once, and every slide that uses it updates.

  1. Click View > Slide Master.
  2. Select the layout closest to what you need, such as Title Only.
  3. Click Insert Layout to add a new one.
  4. Add placeholders for the title, the image and the caption. Rename the layout so it is easy to find.
  5. Click Close Master to stop editing.

Apply layouts in Normal view. Go to Home > Layout and choose the layout that fits the slide's content. Matching the layout to the content keeps placeholders in the right place. The deck stays consistent from slide to slide.

Useful layouts for architecture work include a full-bleed image, a plan and section pair, a two-option comparison, a drawing with a caption, and a section divider. Each one needs placeholders you can fill with a click. Keep the list short. A few layouts you really use beat a long list you forget.

The usual mistake is editing text on each slide instead of the layout. The next change then means fixing every slide by hand. Fix the layout once, and the fix carries through the whole deck.

Images, drawings and large files on Mac

Large files slow a deck. Crop photos and renders before you insert them. Export drawings at the size you will present, not the largest size your modelling tool allows. A smaller file opens faster and moves more easily between screens.

Apple's guidance on Keynote is useful even if you stay in PowerPoint. Apple says a Keynote presentation over 500 MB, or one with large video or image files, may perform better when saved as a package file. Some web and email services do not accept package files. This is Apple's claim about its own app, and I did not test it.

Alt text helps every reader, including people who use screen readers. Right-click a picture and choose Edit Alt Text. Describe the view in one sentence, such as the plan at entrance level. Skip phrases like image of.

How much time architects spend making slides

Good data on architects alone does not exist yet. The closest sources cover office workers in general. Read these numbers as signals, not facts about your studio.

Microsoft's Work Trend Index surveyed 31,000 full-time or self-employed workers in 31 markets. The survey ran from February 1 to March 14, 2023. Workers spent 43% of their intentional activity creating in Microsoft 365 apps. PowerPoint is not broken out on its own.

For an architect, the hours often go to rebuilding the same title slide and resizing the same render. A clean master and a short list of layouts cut that work. That is why setup comes first in this guide.

Presenting with a 3D model on a second screen

The Yazdani Studio approach uses two screens. The deck runs on one display. The 3D model runs on the other. When a juror asks about a corner detail, you turn to the model instead of promising a follow-up.

Set this up in Slide Show. Turn on Use Presenter View so your notes and the next slide stay on your Mac while the audience sees the current slide. Then open System Settings > Displays to confirm which screen is which, and arrange them to match the room.

Test it before the day. Connect the adapter, start the show, and check that the model opens at the right size on the second screen. Projectors and adapters cause a lot of last-minute trouble, so give yourself time.

Slides that juries and clients actually read

Dave Paradi's Annoying PowerPoint survey had 236 respondents. They chose their top three annoyances from twelve options. The top three were the presenter reading slides, text too small to read, and full sentences on slides. The survey covers a general audience, not architects. The list still makes a useful checklist.

For a jury deck, that means large type, few words, and drawings that carry the point. Put the argument in the slide title. Let the image do the rest.

  1. Write titles as a claim, such as why the courtyard faces south.
  2. Check text size from across the room. If you squint on your own Mac, it is too small.
  3. Swap full sentences for short phrases and a caption.
  4. Read the deck aloud once. If you find yourself reading the slide word for word, cut the slide's text.

Known Mac problems to check before a deadline

Microsoft's known-issues page lists current problems for PowerPoint on Mac. Export to Video fails on some Macs, and Microsoft says it is investigating. An automatic sensitivity label policy does not work when the language is not en-US.

The biggest risk is the change that starts on July 13, 2026. Microsoft 365 subscribers on macOS, and some users of Office 2021 or 2019 on macOS, may find the apps open and print files but cannot edit, save or create new files. Microsoft calls this reduced functionality mode. The page does not explain how to fix it.

Protect your deadline. Check the known-issues page the week before a review. Export a final PDF early and keep copies in two places. If the app locks on the day, the PDF still presents.

Copilot in PowerPoint on Mac: what it needs

Version 16.109 added Copilot editing on May 12, 2026. Copilot can create, edit and refine presentations from a plain-language request. It needs a paid Microsoft 365 Copilot license. The release notes do not list which Office for Mac plans include it, so check yours first.

Brand controls sit at a higher tier. With Microsoft 365 Copilot (Premium), Copilot can connect to a brand kit, apply branded templates, insert brand-approved images and check brand compliance. Version 16.99, from July 15, 2025, also let Copilot use SharePoint Organization Asset Library and Templafy assets.

For a small studio, the test is simple. Does it save time on a deck you would write anyway? Try it on one slide first, then judge the result. Check every number and drawing it places before you present.

Where Lazur fits in your PowerPoint work

Lazur is a voice assistant for the Mac that lives in the notch. It is not a plugin or add-in for PowerPoint. It does not click buttons or edit files for you. It listens and looks at the screen only while you hold ⌥⌘, then answers out loud.

Ask where something is. Lazur draws a circle and a label around it on your screen. Hold ⌥⌘ and ask where Slide Master is, then ask how to add a layout. Lazur guides you one click at a time and waits for each click before it moves on.

Hold fn to dictate clean, formatted text at the cursor in any app. That works for captions, slide notes and the email that goes with the PDF. Dictation is included with Lazur. It is not the main feature.

Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, not available. Research jobs run in Lazur's own Chrome tabs through the Lazur for Chrome extension, then come back with a summary and a report.

Checklist before you send the deck

  1. Check the page size in Design > Slide Size.
  2. Open View > Slide Master once and confirm each layout still matches your template.
  3. Compress or crop large images, then check that no picture is missing.
  4. Add alt text to drawings, renders and plans.
  5. Export a PDF copy with File > Export.
  6. Run Presenter View on the display you will use in the room.

Common mistakes to avoid

  • Editing text on slides instead of the layout, so every fix repeats.
  • Changing the page size after drawings are placed.
  • Using full sentences on a jury slide.
  • Presenting from a file you have not tested on the room's screen.
  • Sending only the .pptx when the reviewer may open it on a phone or in a browser.

Where to go next

Start with one project file. Set the page size, build three layouts, and run the checklist once. Then test the setup in the room before the review. Questions people ask

Is there a PowerPoint edition made for architects?

I did not find one in the sources for this page. Architects on Mac use the standard PowerPoint app from Microsoft 365, and the setup in this guide applies to it.

Which PowerPoint for Mac version is current?

Microsoft's release notes list 16.114.3, dated October 27, 2026, as the latest entry when checked on November 7, 2026. The list changes, so check the release notes page for newer builds.

Can I still edit a deck on a Mac after July 13, 2026?

Some macOS Office users may find the apps open and print files but cannot edit, save or create new files. Microsoft's page does not explain how to resolve it. Check your subscription status and keep a PDF copy of the final deck.

Does Lazur work inside PowerPoint like an add-in?

No. Lazur is not a plugin or add-in for any app. It sees your screen only while you hold ⌥⌘, points at things, answers out loud and guides you one click at a time. It does not click buttons for you.

Should I switch to Keynote for large architecture decks?

Apple says a Keynote presentation over 500 MB may perform better when saved as a package file. That is Apple's claim about its own app, and I did not test it. Compress your images in PowerPoint first and test the deck on the presenting Mac before the day.

Does Lazur listen to me or watch my screen all the time?

No. Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer them, and they are not stored. Content is never used to train AI models.

Is Lazur available for Windows?

Not yet. Windows is planned, not available. Lazur runs on macOS, on both Apple silicon and Intel Macs.

Does Copilot come with every Microsoft 365 plan?

Microsoft's release notes say Copilot editing needs a paid Microsoft 365 Copilot license. The notes do not list which Office for Mac plans include it, so check your plan before you build a deck around it.
