Outlook for consultants on Mac: signatures, templates and calendar help for 2026

Outlook for consultants on Mac works best in the new app. Set separate signatures for new mail and replies, and save templates for the messages you send every week. Lazur runs alongside it. Hold Option and Command (⌥ ⌘) and ask where a button is, and Lazur circles the button and labels it.

Quick answer

  • Switch to the new Outlook for Mac first. Legacy Outlook stopped working against Exchange Online mailboxes starting October 2026.
  • Set a separate default signature for new mail and for replies in Outlook > Settings > Mail > Signatures.
  • Built-in templates need Microsoft 365 and version 15.35 (170610) or later. Save them with File > Save As Template.
  • The My Templates add-in does not run in shared mailboxes on Mac. Plan templates around that limit.

Switch to the new Outlook for Mac first

Start with the app itself. Legacy Outlook for Mac stops working against Exchange Online mailboxes starting October 2026. Exchange Web Services in Exchange Online retires October 1, 2026, and that date has passed. Microsoft says over 95% of Microsoft 365 users have already moved. If you are still on the old app, you are now the exception.

To switch, turn off the Legacy Outlook switch inside the old app. If that toggle is missing, run Help > Check for Updates, or update from the Apple App Store. Enforcement details were not confirmed for every account, so ask your IT team if your mail stops.

Check your build and macOS before you troubleshoot

Find your build in the Outlook menu, under About Outlook. The latest build in Microsoft's release notes is 16.114.3, dated October 27, 2026. It contains quality and performance fixes only. The feature release before it is 16.114, dated October 14, 2026.

Feature changes arrived in steps this year. Version 16.108, on April 14, 2026, redesigned Settings. Version 16.109, on May 12, 2026, added a customizable left rail. Version 16.110, on June 16, 2026, added native PST import for mail, calendars and contacts. If you move a client archive off an old machine, that last change saves real time.

Your Mac needs macOS 14 Sonoma at minimum to keep receiving Microsoft 365 and Office updates. Versions 16.78 and later need macOS 12 Monterey at minimum to install. If you run an older Mac, check that requirement before you update.

Set signatures that fit each client and reply

Signatures live in one place. Go to Outlook > Settings > Mail > Signatures. Each account needs its own default. You can set one default for new messages and a separate default for replies and forwards.

Here is a worked example. Say your firm account sends first contact emails and long status notes. Make the full signature, with your title, firm name and booking link, the default for new messages. Make a short one, with your name and direct line, the default for replies. A reply on a long thread then reads like a colleague writing, not a brochure.

The mistake to avoid is setting one default and assuming it covers both. It does not. Send yourself a test reply after you change the settings. Check the signature at the bottom before anything goes to a client. If the Signature button is missing from the message ribbon, customize the toolbar to add it.

Signature setup steps on Mac

  1. Open Outlook > Settings > Mail > Signatures.
  2. Create one signature for new messages, and a second one for replies if you want them to differ.
  3. Set the default for new messages on each account.
  4. Set the default for replies and forwards on each account.
  5. Open a new message, select the Signature button in the ribbon, and check the result before you send.

Build templates for proposals and status notes

Built-in templates need a Microsoft 365 subscription and Outlook for Mac version 15.35 (170610) or later. Check your build before you hunt for the feature. Save a message as a template with File > Save As Template. That creates an .emltpl file. Reuse it with File > New > Mail From Template.

Some third-party guides describe a three-dot menu for this. Microsoft's own page uses the File menu path, so start there.

Pick the message you write most. For many consultants that is the status note after a client call. Write the headings once: what was agreed, open actions, owner, and next meeting. Leave placeholders like [client name] and [date] in plain text, then replace them every time.

What templates can and cannot do on a Mac

Template options in Outlook for Mac, based on Microsoft Support and Office Watch.
OptionWorks in Outlook for Mac?Limit to plan around
Save As Template (.emltpl)Yes, with Microsoft 365 and version 15.35 (170610) or laterMac files only. They cannot be imported into the cloud Mail from Template feature.
My Templates add-inYes, for Exchange accounts onlyNot in shared mailboxes. Office Watch says it works on Mac as plain text only. Admins can turn add-ins off.
Quick PartsNot on Mac, according to Office WatchMicrosoft has not confirmed this on a Microsoft page. Use a .emltpl template instead.
Mail from Template in the cloudMissing on Mac, according to Office WatchDo not build your team process around it on a Mac.

The table hides one gap that matters. Mac templates are .emltpl files, and Office Watch says those cannot be imported into the cloud feature. If your team shares templates across Windows and Mac, keep the master text in a shared document. Paste it into a new message when you need it.

Why email takes your morning

Microsoft's WorkLab reports that the average worker gets 117 emails a day. Most are skimmed in under 60 seconds. That figure comes from Microsoft 365 telemetry that ends February 15, 2025. It excludes education and EU tenants, and it has no stated sample size. Read it as a pattern, not a measure of your own week.

The same WorkLab page says 40% of people online at 6 a.m. are reviewing email to set the day's priorities. It also says 29% of active workers return to their inboxes by 10 p.m. Consultants often start early and finish late, so the inbox needs a plan.

A triage routine for a client day

Start by reading subjects and senders only. Reply today to anything that needs a decision from you. Move the rest into a folder named for the client. Send the status note from your template after each call, not later in a batch.

Take a Tuesday with a morning client call and a late internal review. Before the call, check the signature on your first reply, and open Calendar in its own window. After the call, paste the notes into the status template and send it within the hour. Then leave the inbox alone until the review is done. Keep fixed windows for mail, a few times a day.

Outlook calendar on Mac for client days

Calendar sits in the left rail, and you can change that rail. From version 16.109, you can reorder Mail, Calendar and Contacts. Version 16.111, on July 14, 2026, added pin and unpin, plus drag and drop. Version 16.113, on September 16, 2026, added a separate window for rail items. Right-click Mail, Calendar or People to try it.

Use that on a client day. Pin Calendar, right-click it, and open it in its own window. Put that window on a second display if you have one. Keep Mail on your main screen. You can see a meeting start while you still read the thread that leads into it.

Users have reported gaps in calendar search on Mac in Microsoft's Q&A forums. This guide did not verify those reports against a Microsoft page. Test search with a meeting you know exists before you rely on it for a client date.

How Lazur helps inside Outlook on Mac

Lazur is a voice assistant for the Mac. It lives in the notch. Hold Option and Command (⌥ ⌘) and ask about anything on your screen. Lazur answers out loud. Ask where a button is, and Lazur draws a circle and a label around it. Ask how to do something, and it guides you one click at a time, waiting for each click.

Lazur does not click for you. It does not edit files or operate Outlook. Your hands stay on the mouse, and you decide every send. For consultants, that matters. You keep control of what reaches the client.

Hold fn to dictate. Lazur types clean, formatted text at the cursor, so a long follow-up can start as speech and finish as a draft you edit. Snippets, a personal dictionary and clipboard slots help when you repeat the same phrases.

On privacy, Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models.

Where Lazur helps and where Outlook alone is enough

Lazur fits best when you know the goal but cannot find the control. It does less well as a replacement for knowing the app. These are the moments where it earns its place.

  • Finding a rarely used control, such as File > Save As Template. Lazur circles it.
  • Walking through a setting you change only a few times a year, such as default signatures.
  • Dictating a long client follow-up with fn, then editing the draft yourself.
  • Drafting a reply you will read before sending. Lazur does not send mail for you.

Outlook alone is enough for daily triage. Flagging, moving and replying are fast once your folders are set. Use Lazur for the moments when you stall.

Mistakes consultants make in Outlook on Mac

  • Staying on legacy Outlook after the October 2026 cutoff, then losing access on a deadline day.
  • Setting only one default signature, so replies go out with the wrong sign-off.
  • Building a template in a shared mailbox, where My Templates does not run.
  • Planning around Quick Parts on a Mac. Office Watch says it is not supported there.
  • Keeping one flat inbox for every client, so urgent mail hides in the pile.

Each of these costs time. Each one has a simple fix in the steps above.

Trial, pricing and where to go next

Lazur offers a trial with no credit card. The trial starts when you first open the app. Compare plans on the pricing page before you decide. Dictation is unlimited on both paid plans. AI actions have a limit that differs by plan.

If you also work in spreadsheets or slides, read Excel for consultants on Mac and PowerPoint for consultants on Mac. For a wider look at Outlook, read the Outlook page. You can download Lazur when you are ready.
