What HR generalists do in Word on Mac
Most HR generalists open Word for the same few jobs. Policy drafts, letters, forms, and short memos come first. Some weeks you also write notices for staff or fill in a checklist. Word holds the text. The data often lives somewhere else.
A lot of this work repeats. The same header, signature block, and confidentiality line show up again and again. That repetition is where Word saves you the most time. Templates, styles, and mail merge do the heavy lifting once they are set up.
Start by opening the last few documents you sent. Note what they share. Those shared parts go into a template first, and the unique parts stay in each new file.

Check your Word for Mac version first
Microsoft's Word for Mac help lists Word 2024 for Mac and Word 2021 for Mac as current versions. Microsoft 365 for Mac is the subscription line. Open Word > About Microsoft Word to see your build number.
Microsoft's update history lists Word 16.114.4 (build 26110224) as the latest Word package, dated November 4, 2026. If your build is older, some menus may look different. Most paths in this guide come from Microsoft's Mac help pages, and menus can shift between builds.

Update history for Office for Mac (Microsoft Learn)Save a policy or form as a template on Mac
Start with one finished document. Remove names, dates, and any employee details. Keep the headers, footers, styles, and layout you want. Then save it as a template so every new copy starts clean.
- Choose File > Save as Template.
- Next to File Format, pick Microsoft Word template (.dotx).
- Pick Macro-Enabled (.dotm) only if the template needs macros.
- Click Save, then close the original without saving changes.
Unless you choose another place, Word saves Mac templates to /Users/your-name/Library/Group Containers/UBF8T346G9.Office/User Content/Templates. Library is hidden in Finder by default. Press ⇧⌘G in Finder, then paste the path to open it. Name each template by purpose and version, such as Policy Template v2.
Use styles so every policy stays consistent
Manual formatting breaks at the first edit. Styles fix that. A heading style changes every heading at once. A body style keeps spacing even across a whole handbook. Apply styles from the Home tab, then edit the style itself, not each paragraph.
Select text and click a style to apply it. Open the Styles pane from the Home tab to see every style in the file. If a paragraph still looks wrong, clear its manual formatting before you blame the style.
Styles also drive the table of contents. Word builds the table from heading styles. A heading that only looks bold will not appear in it, so apply the style every time.
Track Changes on policy drafts before managers see them
Track Changes records each insertion and deletion. Reviewers see the edits marked in color. You decide which edits stay. Turn it on from the Review tab before anyone else touches the draft.
- Open the Review tab and turn on Track Changes.
- Make your edits, or let reviewers make theirs.
- Accept or reject each change from the Review tab.
- Check the markup one more time, then save a clean copy.
Track Changes and comments both appear in Microsoft's Word for Mac help. Use them for review rounds. Send the clean final copy to staff, and keep the marked version in your records.
Before you send the final copy, check for leftover comments. Open the Review tab and read each comment. Delete any that staff should not see, such as notes about a named employee.
Send bulk email with mail merge on Mac
Mail merge is where many Mac users get stuck. Microsoft says bulk email through mail merge needs a MAPI-compatible email program, such as Outlook or Gmail. It also says Merge to E-Mail stays unavailable until you select a default email program.
Microsoft's macOS steps use the labels Merge to E-Mail and Mail Merge To Outbox. The Windows steps use Send E-mail Messages under Finish & Merge. If your menu says something else, your build may differ from the page you read.
Build the recipient list first. Keep one row per employee, and give each column a plain header, such as FirstName or StartDate. Remove blank rows before you connect the list. Word reads each row as one email, so a blank row can produce a blank message.
- Choose a default email program, then reopen your document.
- Under Mailings, connect your recipient list, such as a spreadsheet.
- Insert merge fields into the email body, and check the subject line.
- Choose Merge to E-Mail, and send one test to your own address first.
- Read Microsoft's steps for Mail Merge To Outbox before you use it.
Attachments and merged email: test before you send
Microsoft says Mac can send a merged email as an attachment. In that case the email has no body text. A third-party guide says attachments are not supported on Mac. The two sources disagree, so do not count on either one until you test it.
Run one test record. Open the received message on a second device if you can. Check the body, the attachment, and every merge field. Only then send the notice to the full list.
Worked example: updating one clause across a handbook
Say the leave policy changes, and the old clause appears in three places in the handbook. Open the master template, not last year's copy. Turn on Track Changes, then edit the clause once in the master.
Press ⌘F to open Find, and search for a few words from the old clause. Replace each instance with the new text. Update the footer version and effective date. Update the table of contents if a heading changed, then accept the changes and save a new versioned file.
Print labels and envelopes with Avery templates
HR teams often print labels for benefits packets, badge sleeves, or mailed notices. On Mac, go to Mailings > Labels, then click Options. Choose the Avery product and the product number printed on your sheets.
Microsoft's Avery page covers Microsoft 365 for Mac, Word 2024 for Mac, and Word 2021 for Mac. If your label is not listed, click New Label and enter the measurements from the package. Print a test sheet on plain paper first. Hold it over a label sheet against a window to check the alignment.
Headers, footers, and page numbers in policy documents
A policy needs a page number, a version, and an effective date. Put the version and date in the footer. Put the document title in the header. Those three items help people find the right copy when a question comes up months later.
Use a section break when an appendix needs different numbering or a different header. Go to Layout > Breaks and pick the break you need. Then turn off Link to Previous in the header so the new section keeps its own header.
Build a table of contents for a handbook
A handbook needs navigation. Apply heading styles first, then go to References > Table of Contents. Word builds the list from your headings. Update it after each policy change, or the page numbers drift.
Right-click the table and choose Update Field to refresh it. Then check the page numbers before you export to PDF. A stale table is the most common reason a handbook looks wrong in a PDF.
Starter templates and the checks to run before use
| Document | Save as | Check before use |
|---|---|---|
| Policy template | Word template (.dotx) | Version and effective date in the footer |
| Letter with merge fields | Word template (.dotx) | One test merge with one record |
| Notice sent by email | Template plus mail merge | Body text present if sent as attachment |
| Printed label sheet | Word template (.dotx) | Avery product number and alignment test |
Ask Lazur where a Word command lives
Word's menus go deep. Some commands sit two or three levels down. Lazur helps while you work. Hold ⌥⌘ and ask where something is on screen. Lazur draws a circle and a label around it, so you know where to look.
Ask how to do something and Lazur guides you one click at a time. It waits for each click before it moves on. Lazur does not click buttons or edit your file. You stay in control of every change.
Dictate clean text at the cursor in Word
Hold fn to dictate formatted text at the cursor. Dictation works in any app, Word included. It helps with memos, a first draft of a policy summary, and the opening lines of a notice.
Dictation gives you a draft, not a final copy. Read the text back before it goes to anyone. Check names, dates, dollar figures, and policy numbers. Snippets store phrases you repeat, such as your standard closing paragraph. A personal dictionary keeps your company and benefit provider names spelled right.
Keep employee data out of AI tools unless policy allows it
HR files hold names, pay details, health notes, and performance records. Before you paste any of that into an AI tool, check your company policy. A voice assistant does not replace that check.
Lazur listens and looks at your screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models. Your employer's rules still decide what you can share.
Mistakes that cost HR generalists time in Word
- Formatting each heading by hand, instead of applying a style.
- Saving the master as a regular .docx, so someone overwrites it.
- Sending a merge before testing one record.
- Sending a file with Track Changes still on to staff.
- Forgetting to update the table of contents after a policy change.
- Saving final copies to Downloads, where nobody can find them later.
When Word is the wrong tool for HR work
Word is for text. Tracking data belongs in a spreadsheet. Headcount, leave balances, and training logs fit better in Excel. Read Excel for HR generalists on Mac for trackers, lookups, and date math.
Employee email has its own rhythm. Templates and shortcuts in Gmail often beat copy and paste from Word. See Gmail for HR generalists on Mac for email templates and voice help.
A first week of Word habits for HR work
- Check your build under Word > About Microsoft Word.
- Save one policy as a .dotx template.
- Move your headings and body text onto styles.
- Turn on Track Changes for the next review round.
- Run a mail merge to your own address before any real send.
- Save final copies in one shared folder, with the version in the file name.
What Lazur does and does not do in Word
- Points at menus and buttons, and circles them on your screen.
- Guides you one click at a time when you ask how.
- Answers out loud about what is on your screen.
- Drafts and types text, and dictates at the cursor when you hold fn.
- Does not click buttons, edit your files, or run Word for you.
- Is not a plugin or add-in for Word. It is a separate app that runs on your Mac.

Questions people ask
Which Word for Mac version do HR generalists need?
No special version exists for HR work. Microsoft's Word for Mac help lists Word 2024 for Mac and Word 2021 for Mac, and Microsoft 365 for Mac is the subscription line. Check your build under Word > About Microsoft Word, then compare it with Microsoft's update history.
Where does Word on Mac save templates?
Unless you pick another location, Word on Mac saves templates to a Templates folder inside User Content, under the Group Containers folder in your user Library. Save with File > Save as Template and choose the .dotx format. Library is hidden in Finder, so use Go to Folder with ⇧⌘G.
Should HR templates be saved as .dotm?
Usually no. Save as .dotx unless the template needs macros. Macros raise security questions, and your IT team may block them. Pick Macro-Enabled (.dotm) in File > Save as Template only when you have a clear reason.
Why is Merge to E-Mail unavailable in Word on Mac?
Microsoft says Merge to E-Mail stays unavailable until you select a default email program. Mail merge email needs a MAPI-compatible program, such as Outlook or Gmail. Choose a default program, reopen the document, and try again.
Can a merged email on Mac include an attachment?
Microsoft says Mac can send a merged email as an attachment, and then the email has no body text. A third-party guide says attachments are not supported on Mac. The sources conflict, so send a test to yourself and check it first.
Can Lazur fill in a Word template for me?
No. Lazur does not click buttons, edit files, or operate Word for you. It points at things, guides you one click at a time, answers out loud, and drafts or types text. You make each change in your own file.
Does HR really spend 60% of its time on admin work?
Not as a time log. A 2015 BambooHR survey of 1,030 leaders found that 60% said HR spends more time on administrative and maintenance tasks than strategic ones. SHRM gives the figure two different bases, so treat it as a perception signal.
Is Lazur available for Windows?
Not yet. Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, but it is not available.
