Gmail for HR generalists on Mac: templates, shortcuts, and voice help for employee email
Gmail for HR generalists on Mac runs in your browser, and two built-in tools do most of the work: templates and keyboard shortcuts. Both are off by default, so turn them on first. Then Lazur can help you find the right wording by voice, while you stay in your inbox.
You say“Draft a reply that says benefits enrollment closes Friday, and link the benefits page.”

Hi Priya, thanks for your question. Benefits enrollment closes on Friday. You can review the options on our benefits page, linked below. Reply here if anything is unclear.
Quick answer
- Google's help pages describe Gmail in a browser, not a separate Mac app.
- Turn on templates under Settings gear > See all settings > Advanced, then save the replies you send most.
- Templates work only on a computer. Shortcuts use ⌘ on Mac, and ⌘ ; finds the next misspelled word.
- Lazur drafts and types text by voice. It does not click buttons or send email for you.

Most HR generalists work in Gmail all day. Employees write about benefits, leave, pay dates, and policy. You answer the same questions again and again. This guide shows how to cut that repeat work with Gmail's own tools, then where Lazur helps by voice.
Turn on Gmail templates before anything else
Gmail templates are off by default, so the option is missing until you switch it on. Google's help page says you must enable it, and you can only use templates on a computer. Open Gmail in your browser. Click the Settings gear, then See all settings. Open the Advanced tab, click Enable next to Templates, and click Save Changes at the bottom of the page.
Google's menu names can shift between updates. If you cannot find the Advanced tab, look for the word Templates on the settings page. Do not guess at a different path. Confirm the setting works by opening Compose and checking for More options > Templates.
Write a template from a reply you already sent
- Open a reply you have sent before, or write a new email.
- Clean the names, dates, and links, so the text fits any employee who asks.
- Click More options (the three dots) > Templates > Save draft as template > Save as new template.
- Name the template after the policy, not the person, so you can find it later.
Good first templates for HR work are short and specific. Try a benefits open enrollment reminder, a parental leave answer that links the policy, a reply to a pay date question, and an onboarding note that confirms the start date. Write each one once, then reuse it for every employee who asks.
Insert, edit, and delete templates without losing wording
To use a template, click Compose, then More options > Templates. Under Insert template, choose the one you need. Finish the message, check it, then click Send. Gmail places the saved text in the body, so read the greeting and the sign off before you send.
Editing has one trap. Write the updated text in a draft first. Then click More options > Templates > Save draft as template, pick the old template under Overwrite Template, and click Save. That replaces the old wording. Google's page does not describe an undo, so finish the new text before you start.
Deleting is harder to reverse. Go to More options > Templates > Delete template. Google warns: 'After you delete a template, you can't recover it.' Before you delete, check whether the policy still applies. A stale template can send an old deadline to a new hire.
Keyboard shortcuts for Gmail on Mac
Shortcuts are off until you turn them on. Click the Settings gear, then See all settings, then Settings. In the Keyboard shortcuts section, select Keyboard shortcuts on, and click Save Changes. Google's shortcut page says the keys differ by platform. On a PC you press Ctrl. On your Mac, you use ⌘ instead.
One Mac-only shortcut helps with HR writing. ⌘ ; moves you to the next misspelled word. Google's shortcut page labels it Mac only. Use it on policy emails, where one wrong word can change what an employee thinks they are allowed to do.
| Task | Where to find it in Gmail | Why it helps HR |
|---|---|---|
| Insert a saved reply | Compose > More options > Templates | Same wording for the same question |
| Edit a saved reply | More options > Templates > Save draft as template | Updates policy text in place |
| Delete a saved reply | More options > Templates > Delete template | Removes old text, but cannot be undone |
| Next misspelled word | ⌘ ; (Mac only) | Catches typos in policy wording |
| Turn shortcuts on | Settings gear > See all settings > Settings | Off until you switch them on |
The table covers the paths this guide uses. Google's shortcut page has the full list. Check it there, because this guide does not cover every key.
Send a template reply on Mac, step by step
- Open the employee's thread and click Reply. For a new email, click Compose.
- Click More options, then Templates.
- Under Insert template, choose the template that matches the question.
- Check the text against the question, then change names, dates, and links.
- Click Send.
Read the text every time. A template is fixed wording. The question may differ in one detail, like a start date or a location, and the template cannot know that. The fix takes a few seconds, and it prevents the most common error in this job.
Templates only work on a computer. If an employee writes from a phone, answer from your Mac, or write a fresh reply. Do not copy an old template into a phone app and expect the same tools to be there.
Where Gmail slows HR down
The volume is the real problem. Repeat questions, group announcements, and one-on-one follow-ups stack up. The numbers below are broad, so read them as context, not as a forecast for your inbox.

Breaking down the infinite workday (Microsoft WorkLab)A 2015 BambooHR survey of 1,030 US business leaders found 60% said HR spends more time on administrative and maintenance tasks than strategic work. The survey asked about HR work in general, not Gmail. It is from October 2015.
Microsoft's Work Trend Index special report, published June 17, 2025, says the average worker receives 117 emails per day. That count covers all workers, not HR. Microsoft also reports that mass emails to 20+ recipients rose 7% over the past year, while one-on-one email threads fell 5%. Its telemetry ends February 15, 2025.
SHRM Labs says automating administrative tasks saved HR staff over seven hours per week. The page does not name the survey or give a year. Treat it as a claim you cannot trace yet, and do not quote it in a budget meeting without a source you can open.

Use the 60 second rule for HR replies
Microsoft says most emails are skimmed in under 60 seconds. Plan for that. Put the answer in the first line. Write yes, no, or the date, then add the policy detail below it. An employee who reads only the top still gets the answer.
This matters most for pay and leave questions. Put the answer first, then the policy link. Keep the tone calm, and keep the link close to the answer so nobody has to hunt for it.
Where Lazur fits in your Gmail day
Lazur is a voice assistant for the Mac that lives in the notch. It does not replace Gmail. It helps with the words. Hold ⌥ ⌘ to ask about anything on your screen, and Lazur answers out loud. Ask where a button is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time, waiting for each click.
Hold fn to dictate. Lazur types clean, formatted text at the cursor in any app. That helps when a long reply to a benefits question takes too long to type. Dictation is unlimited on both paid plans.
What to say to Lazur while you are in Gmail
Talk the way you would talk to a coworker. Name the thing on screen, then the job. For example, say: This is a parental leave question. Draft a reply that links the policy and asks for the start date. Lazur needs the policy name, the outcome, and the tone.
Give Lazur the facts it cannot see. It sees your screen while you hold the shortcut. It does not know your company policy unless that policy is open. Keep the policy in a tab, then ask Lazur to point at the section you need.
Worked example: a parental leave question
An employee asks how leave pay works, and whether leave can be split. Here is a routine that takes a few minutes, not an hour.
- Read the thread once. Hold ⌥ ⌘ and ask what the employee is asking. Lazur answers out loud.
- Open the parental leave policy in a second tab. Ask Lazur where the section on splitting leave is. It circles the heading.
- Ask Lazur to draft a reply that answers the question, quotes one line of policy, and offers a call.
- Check every fact against the policy yourself. Fix names, dates, and links.
- Save the final reply as a template, so the next employee gets the same wording.
The reply is yours. Lazur drafts, and you decide. If the policy does not cover the case, do not guess. Ask your benefits provider or legal contact, then reply with the answer.
Privacy and what not to paste into AI tools
HR email holds sensitive details. Salary, medical notes, and disciplinary records all appear in threads. Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models.
Check your company's rules before you use any AI tool on a thread with medical or disciplinary detail. Lazur's privacy terms do not replace your employer's policy. If your rules say no, close the thread and write the reply by hand.
Mistakes HR generalists make in Gmail
- Expecting templates to appear without turning them on in Settings.
- Overwriting a template before the new wording is final.
- Deleting a template, which Google says you cannot recover.
- Looking for templates on a phone, which Google's page says is not supported.
- Forgetting to check the date in a template saved in an earlier policy cycle.
Group mail keeps growing. Microsoft reports that mass emails to 20+ recipients rose 7% over the past year. Use templates for group announcements, and write one-on-one replies in the thread the employee started.
A weekly routine that keeps the inbox calm
Pick two fixed times for email. Use the first to answer urgent questions, such as a pay date or a start day. Use the second to clear routine requests with templates. Batching cuts the number of times you switch from HR work to inbox work.
Review your templates once per policy cycle. If a benefit changes, update the template the same day. An old template looks official, which makes its wrong date more likely to be trusted.

When a spreadsheet is the better tool
Gmail is for conversation. Trackers, leave balances, and headcount belong in a spreadsheet. If you log employee questions, read Excel for HR generalists on Mac for lookups, pivots, and date math in Microsoft 365.
Next steps for this week

Questions people ask
Is there a Gmail app for Mac?
The Google help pages I checked describe Gmail in a browser. They do not describe a separate Mac app. Open Gmail in your Mac browser and follow the steps in this guide. Templates work only on a computer.
Why can't I find Templates in Gmail?
Templates are off by default. Click the Settings gear, then See all settings, then Advanced. Click Enable next to Templates, then click Save Changes. If the path differs on your screen, look for the word Templates on the settings page.
Can I use Gmail templates on my iPhone?
Not according to Google. Its template page says you can only turn on and use templates from Gmail on your computer. Write phone replies from scratch, or wait until you are at your Mac.
Does Lazur send emails for me?
No. Lazur does not click buttons or send email. It drafts and types text, and it guides you one click at a time. You check every draft and press Send yourself.
Does Lazur read my whole inbox?
No. Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models.
How many Gmail templates can I save?
Google's template page states no maximum, so this guide does not give a number. Some third-party guides cite a limit, but that figure is not confirmed on Google's page.
Is the 60% figure about Gmail?
No. It comes from a 2015 BambooHR survey of 1,030 US business leaders. The survey asked whether HR spends more time on administrative and maintenance work than strategic work. It says nothing about email.
