Google Docs for instructional designers on Mac: shortcuts, storyboards and voice help
Google Docs works well on a Mac for instructional design when you use it for drafting. Use it for storyboards, voiceover scripts, and subject matter expert (SME) review, then build the course in your authoring tool. For offline editing, Google's help page names only Chrome and Microsoft Edge.
You say“Lazur, where is suggesting mode in this Doc?”
Lazur · points at itLazur draws a circle and a label around the editing mode control. You switch the mode yourself, then send the Doc to your SME.
Quick answer
- Google Docs suits storyboards, voiceover scripts, and SME review. Your authoring tool still builds the final course.
- Mac shortcuts use ⌘, ⌥, ⇧, and ⌃. Press ⌥ / to find any menu command by name.
- For offline editing, use Chrome or Microsoft Edge. Google's offline help page does not list Safari.
- Gemini in Docs added Help me write and Match doc format in April 2026. Check your plan before you rely on it.
- Lazur sees your screen while you hold ⌥ ⌘, points at controls, and answers out loud.

Handles the small stuff · Google Docs
Most instructional designers do not build the whole course in Google Docs. They use it earlier, when the content is still taking shape. A Doc can hold the storyboard, the voiceover script, the learning objectives, and the comments from a subject matter expert. The final build happens in an authoring tool. That split shapes which Mac habits you need first: a few shortcuts, a clean template, and a browser you trust for offline work.
Where Google Docs fits in an instructional design project
No survey I could open counts how many instructional designers use Google Docs. The 2024 Synthesia survey of more than 400 learning design professionals lists authoring tools. It shows Articulate Rise at 43%, Articulate Storyline at 37%, and PowerPoint at 4%. Google Docs and Word are not mentioned. Treat that as a gap in the data, not proof that nobody drafts in Docs. Synthesia is a vendor, so its respondents may skew toward AI-forward users.
Docs still handles a job the authoring tools handle poorly. iSpring describes a storyboard template for Google Docs or Word with five columns: Screen ID, Learning Objective, On-Screen Text, Voiceover Script, and Interaction Notes. It calls document storyboards quick to create and edit. It also rates Google Docs real-time editing as excellent. Its warning matters too. A document is less visual, so your written descriptions must carry the layout and the interactions.

Of projects run longer than 50 days, in the same Synthesia 2024 survey

Start with a folder, not a file. Create one shared Drive folder for each course. Put storyboards, scripts, SME review copies, and final exports in separate subfolders. Name each Doc with the course code and its purpose, such as PRIV safety module storyboard or PRIV safety module SME review. A clear name saves you from guessing which copy is current when a reviewer asks.
- Open Google Docs in Chrome or Microsoft Edge, and sign in with the account that owns the course folder.
- Install the Google Docs Offline extension now, while you are online, so it is ready later.
- Press ⌘ / inside a blank Doc to open the list of common shortcuts.
- Press ⌥ / to open the Tool finder, and try it on a menu command you usually hunt for.
- Build your storyboard template once, then keep it in the course folder as a master copy.
- Add your SME as a commenter before the first review round starts.
Google Docs shortcuts on Mac for instructional designers
Google's shortcut page lists Mac combinations with Command and Option. It also warns that some shortcuts may not work for every language or keyboard. Test each shortcut once in your own setup before a live review. On a Mac, Page Up and Page Down use Fn with the up and down arrows.
- ⌥ / opens the Tool finder. Google's page calls it the replacement for Search the menus.
- ⌘ / opens the list of common shortcuts.
- ⌘ ⇧ H opens find and replace, useful when a term changes across a whole script.
- ⌘ K inserts or edits a link, such as a source note beside a claim.
- ⌘ ⌥ M inserts a comment on the selected text, for SME feedback.
- ⌘ ⌥ ⇧ X switches to suggesting mode, so edits appear as proposals.
- ⌥ Enter opens a link under the cursor.
- ⌘ ⇧ X applies strikethrough, handy for cutting a line from a storyboard.
- Fn ↑ and Fn ↓ move Page Up and Page Down.
Google Docs storyboard template: gallery steps and table layout
Open the template gallery from the Docs home screen. Click Template Gallery at the top right, then click the template you want. Google opens a copy. Inside a Doc that is already open, go to File > New > From a template. If the Doc already has content, the template opens in a new document tab. It does not replace your work.
Some template features need a work or school account. A personal Gmail account may see fewer options, so check the gallery on the account your team uses. Build your own storyboard template once, then save it as the master. Copy the master for each new module. Do not edit the master during a review.
| Screen ID | Learning Objective | On-Screen Text | Voiceover Script | Interaction Notes |
|---|---|---|---|---|
| S01 | Name the refund rules for each plan | Refund rules: plan types and windows | Welcome. This short module covers refund rules for each plan type. | Title screen, no interaction |
| S02 | Choose the right plan for a customer | Click a plan card to read its terms | Read each card, then pick the plan that fits the customer's team. | Hotspot on each card. A wrong choice shows short feedback. |
| S03 | Apply the refund rule to a sample case | Sample case: annual plan, cancelled early | Work out what the customer gets back before you check the answer. | Free-text answer, then model answer on submit |
| S04 | Recall the escalation path | Outside policy? Who do you contact? | If a case falls outside policy, send it to billing. | Drag each label to the right team |
Build the table once, then copy it for each module. Keep the same five columns across the course, so the developer reads every module the same way. Put branching rules, drag targets, and feedback text in Interaction Notes. Describe what the learner sees and does. Leave the visual look to the developer.

SME review in Google Docs: where drafts stall
Content creation is the top speed barrier in the Synthesia survey, at 31%. Delayed SME input follows at 30%. Unclear stakeholder requirements come third at 27%. Google Docs helps with the second problem. Comments wait in the margin until the SME opens the file. It helps less with the third, because unclear requirements need a conversation, not a document.
Set up the review in a simple order. Share the Doc with the SME as a commenter, not an editor. That stops accidental wording changes. Put the review date in the email in plain words, not as a vague soon. Ask for suggestions, not rewrites, so you keep control of the final text. When changes come back, accept or reject each one, then resolve the comment threads.
Gemini in Google Docs for instructional design: what to check first
On April 22, 2026, Google announced new Gemini tools for Docs. The post names Help me create, Help me write, Match writing style, and Match doc format. Help me write can edit a whole document or a selection. Its suggestions stay visible only to you until you approve them, which helps when the Doc is shared with others.
Match doc format fits template work. Google says it mirrors a source document's fonts, colors, headings, and table columns. Point it at your storyboard master, then ask for a new module in the same layout. Check the column count against the master, because layouts can drift.
Access is narrower than the feature list. Google's post names Business Standard and Plus, Enterprise Standard and Plus, Education Plus, and consumer Google AI Pro and Ultra. Admins need Gemini for Workspace in Drive turned on. End users need Workspace smart features on. Promotional higher limits for the Match features ended July 15, 2026, and per-user limits apply now.
Check every generated sentence. Gemini does not know your client's policy, your regulator, or your product roadmap. A drafted line about a rule needs the same source check as a line you typed yourself. Keep the source beside the claim in a comment, so the reviewer can follow it.
Offline Google Docs on a Mac: use Chrome or Edge, not Safari
Safari is the default browser on a Mac, and Google's offline help page does not list it. The page says offline editing on a computer requires Google Chrome or Microsoft Edge. You also need the Google Docs Offline extension. Private browsing is not allowed, so open a normal window before you go offline.
Test offline editing while you are online and have time. Open a storyboard in Chrome, turn on offline access by following Google's steps, then switch off Wi-Fi. Type a line, switch Wi-Fi back on, and check that the change saved. A failed test at your desk costs far less than a failed one at a client site.

Real numbers on course build time and where drafting fits
Chapman Alliance data, quoted by Cognota, puts development at 49 hours for one hour of basic-level e-learning. Advanced-level e-learning takes up to 716 hours for each finished hour. The figures come from nearly 250 organizations and 4,000 L&D professionals. The article does not give the survey year, so use the numbers as a rough guide, not a current benchmark.
Project length is where drafting pays off. The Synthesia survey shows that 23% of projects run longer than 50 days. Another 29% take 21 to 50 days. Only 14% finish in under 10 days. A Doc does not shorten the build by itself. It does move slow parts, such as SME input and script rewrites, into a place you can track.
| Development and implementation | 38.5 % |
|---|---|
| Design | 22.4 % |
| Analysis | 17.6 % |
Phases shown are the three that the Synthesia article reports. Other ADDIE phases are not shown. Source: Instructional Design Trends: 2024 Survey Insights
The chart shows the share of ADDIE time that Synthesia reports for three phases. Development and implementation take 38.5%. Design takes 22.4%, and analysis takes 17.6%. The other phases are not shown. Use the chart as a prompt for your own plan, not a fixed split, because legal review and media production change the mix.
Dictation and voiceover scripts in Google Docs
Hold fn to dictate clean, formatted text at the cursor in any app. In a Doc, you can draft a voiceover script by talking, then fix the wording by hand. Dictation is unlimited on both Lazur plans, so talking a first draft adds no extra cost.
Set up the personal dictionary before your first script. Add product names, acronyms, and the names of your SMEs. Snippets help with lines you repeat, such as a standard learner greeting or a compliance disclaimer. Clipboard slots keep reusable text ready while you work.
Read the script aloud before you finalize it. Long sentences look fine on a screen and tire a listener. To compare your speaking pace with your typing, try the speaking vs typing test. For Google's browser voice typing, read the Google Docs voice typing guide for Mac.
Mistakes that cost instructional designers time in Docs
- Keeping the storyboard in your personal Drive. Move the course folder to a shared drive, so the developer and the SME can open it after roles change.
- Letting an SME rewrite your text in Editing mode. Use suggesting mode, so each change stays visible and reversible.
- Writing objectives without a visible action. Start each objective with a verb a learner can show, such as identify or choose.
- Putting the whole course in one Doc. Split the course by module, so comments and edits stay easy to follow.
- Relying on Safari for offline work. Use Chrome or Edge for any Doc you need offline.
- Accepting a Gemini draft without a source check. Review every factual line before it moves into the storyboard.
- Treating the Doc as the final build. The authoring tool still needs its own review pass.
Blogs warn that large documents slow down. I could not confirm specific limits from Google. Splitting a course by module is the simplest fix, and it costs nothing to try.
Where Lazur helps while you work in Google Docs
Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘, Option and Command together, to ask about anything on your screen. Lazur answers out loud. It listens and looks at the screen only while you hold the shortcut.
Two uses fit a Doc well. Ask where something is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time, waiting for each click. It does not click for you. You stay in control of the Doc.
Privacy matters when a Doc holds unreleased course content. Audio and the screenshot go to AI providers so Lazur can answer. They are not stored. Content is never used to train AI models. Check these details before you show client material to any tool.
Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, not available. It is not a plugin or add-in for any app, and it has no partnerships with any app maker. For the Docs-specific page, see Google Docs with Lazur on Mac. Pricing and the trial are on the pricing page.

A first-week checklist for Google Docs on your Mac
- Install Chrome or Microsoft Edge, and use it for every course Doc.
- Create the course folder, then save your storyboard template as the master copy.
- Press ⌘ / in a blank Doc, and skim the shortcut list.
- Press ⌥ / and find one menu command you usually hunt for.
- Share the first storyboard as a commenter, with a review date in plain words.
- Test offline editing once before a trip or a client visit.
- Try Match doc format on one module, and check every factual line.
When the basics work, download Lazur and ask it one question about the Doc on your screen.
Questions people ask
Is Google Docs a good tool for instructional designers on Mac?
Yes, for drafting. It handles storyboards, voiceover scripts, and SME review well. It is not an authoring tool. Build the final course in your authoring tool, and use Docs for the plan and the text.
Which browser should I use for Google Docs offline on a Mac?
Use Google Chrome or Microsoft Edge. Google's offline help page names these two, and it requires the Google Docs Offline extension. Safari is not on that list, so do not rely on it for offline work.
What is the Mac shortcut for suggesting mode in Google Docs?
Press ⌘ ⌥ ⇧ X. It switches the Doc to suggesting mode. Check the editing mode before you send the Doc out, so you know how the reviewer's changes will show.
Where do I find the Google Docs template gallery on a Mac?
Open the Docs home screen and click Template Gallery at the top right. Inside an open Doc, use File > New > From a template. If the Doc already has content, the template opens in a new tab.
Does Gemini in Google Docs work on a free personal account?
Google's April 2026 post lists consumer Google AI Pro and Ultra, plus Workspace business, enterprise, and education plans. A free personal account is not on that list. Check your plan, and your admin settings if you use Workspace.
Can Lazur edit my Google Doc for me?
No. Lazur does not click buttons or edit files for you. It points at controls, guides you one click at a time, and drafts or types text where you ask it to.
How long does it take to build one hour of e-learning?
Chapman Alliance data, quoted by Cognota, gives 49 hours of development for one hour of basic e-learning. Advanced e-learning takes up to 716 hours. The article does not state the survey year, so treat these as a rough guide.
Does dictation work for voiceover scripts on a Mac?
Yes. Hold fn to dictate formatted text at the cursor in any app. Add product names to the personal dictionary, then read the script aloud before you finalize it.
Is Lazur available for Windows?
Not yet. Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, but it is not available.
