Google Docs for marketers on Mac: shortcuts, comments and review tips for 2026

Google Docs for marketers on Mac runs in your browser, with no app to install. Chrome is the browser this guide assumes. Offline editing needs Chrome or Edge plus a Google extension, and that setup is covered below. You will also find the Mac shortcuts, the review habits that save time, the current Gemini options and where Lazur fits.

Quick answer

  • Use Chrome or Edge on your Mac. Offline editing needs one of them, the Google Docs Offline extension and a normal window, not private browsing.
  • Learn a short set of Mac shortcuts first: ⌘⌥M for comments, ⌘⌥⇧X for Suggesting, ⌘⇧H for find and replace and ⌥/ for the tool finder.
  • Build one brief template, then copy it with File > Make a copy for every campaign, so old numbers stay out of new launches.
  • Gemini in Docs depends on your plan, your admin settings and edit access. Check those before you plan a review around it.
  • Hold ⌥⌘ and ask Lazur where a control is or how to do a step. Lazur answers out loud and does not click for you.

What marketers ask Lazur in Google Docs

Hold ⌥ ⌘ in Google Docs and say it.

  • “Where is the template gallery in this doc?”

Lazur circles the Template Gallery control at the top right and labels it. You click it and pick a marketing template.

Points at it · Google Docs

  • “Switch this doc to suggesting so my edits show as changes.”

Lazur walks you through the editing mode menu one click at a time. It waits for each click before it moves on.

Walks you through it · Google Docs

  • “Summarize the open comments on this brief for me.”

Lazur reads the comment threads on screen and answers out loud with the open questions. It does not resolve them. You decide what happens next.

  • “Draft a reply to the open comment about the headline.”

Lazur drafts a short reply and types it where you ask. You read it, edit it and post it yourself.

  • “Dictate a new intro for the launch brief.”

Hold fn and speak. Clean, formatted text lands at the cursor in the doc. Read it back before you share the brief.

  • “Walk me through turning on offline access for this file.”

Lazur points at each setting in Chrome and Drive, one at a time. You make each change, and Lazur waits before the next step.

  • “Research how a few rivals describe their launch timing.”

Lazur runs the search in its own Chrome tabs and comes back with a summary and a report. Check each source before you quote it.

  • “Remind me Thursday to close the comments on this brief.”

Lazur adds the reminder to Apple Reminders for the day you name. It is a quick way to keep review on the calendar.

Set up Google Docs for marketers on Mac

Start in Chrome or Edge, and sign in with your work Google account. Campaign briefs, comments and approvals then sit under one identity. Before you share a file, check the avatar in the top right of the window. A personal account can open a work doc, and the wrong name then ends up on comments and suggestions.

  1. Open Chrome or Edge and sign in with your work account.
  2. Use a separate Chrome profile for work, so bookmarks and alerts stay apart from personal mail.
  3. Star the Drive folder that holds current campaigns, so the briefs are one click away.
  4. Set up offline access before a trip. The offline section below walks through it.

Shortcuts marketers use most in Google Docs on Mac

Google publishes its Mac shortcut list on its Docs help site. Learn the shortcuts in the order you need them. Start with bold, comments and find and replace, since those show up on almost every brief. Add Suggesting mode when a review starts.

Mac shortcuts from Google's Docs keyboard shortcut page
TaskMac shortcutWhere marketers use it
Bold⌘BEmphasize the deadline or the headline in a brief
Insert comment⌘⌥MQuestion one line of copy without editing it
Switch to Suggesting⌘⌥⇧XMake edits that the owner must accept or reject
Find and replace⌘⇧HFix a product name across a long plan
Tool finder⌥/ or ⌃⌥ZSearch for a menu command when you cannot find it

Google warns that some shortcuts might not work for every language or keyboard. If one does nothing, open the menu and read the shortcut label beside the command. That label shows the combination Docs expects on your setup.

A shortcut can also do nothing when the cursor sits outside the text. Click inside the body of the doc, then try again. If it still fails, use the menu. It takes longer, but the change still lands.

Practice on a scratch doc before a deadline. Type a line, bold a word, add a comment and switch modes. A short session like that beats a search during a live review.

Start briefs and plans from a template

Open the Template Gallery from the top right of the Docs home page, then click a template. Google opens a copy for you. The help page lists business and marketing categories. Those include project roadmaps, marketing plans and sales emails. They also include blog posts, press releases and business proposals. It does not name a marketing brief. So build one brief you trust, then copy it for each campaign.

A useful campaign brief keeps the same fields every time. Put these on the first screen, so a reviewer sees them before anything else:

  • Goal, written as one outcome you can measure
  • Audience, with the one reader you write for
  • Channels and the date each one goes live
  • Approvers, by name, in the order they review
  • Assets, linked from the Drive folder rather than pasted in as copies
  • Open questions, each tied to one comment thread

Make a new copy for each campaign. Use File > Make a copy, so last quarter's brief stays intact. A reused master doc is how old numbers end up in new launches.

A brief header in practice

Here is a header for an example spring email. Goal: get more trial sign-ups from the newsletter. Audience: owners of small Mac shops who already read the newsletter. Channels: email on launch day, then one social post. Approvers: legal, then the product lead, then the designer.

Each line answers a question a reviewer will ask. If a line stays blank, the reviewer stops and asks. That pause is the cost of a vague brief, and it repeats on every round.

Review rounds and comments without losing track

Adobe's 2025 research, as MarTech reported it, surveyed more than 1,600 marketers. Of them, 89% said content went through at least three approval stages. About 58% said more than 40% of their time went to managing reviews and approvals. These figures come secondhand through MarTech, so cite MarTech when you use them.

A Workfront and Brand Republic survey, cited by Content Marketing Institute in 2017, found that 58% of marketing decision-makers see five or more review rounds. Another 14% see 10 or more. The article names no study title or year, so treat the number as a dated benchmark.

Use one comment thread per decision

Select the words you want to question, then press ⌘⌥M. Write one decision per thread, such as 'Is the headline too long for the email subject line?' Vague notes like 'thoughts?' get replies that do not help. Resolve each thread once the decision is made, so the open list shows only live work.

Start each comment with the name of the person who must answer. Use an @ mention for that. Then the reviewer knows the question is theirs, and nobody has to guess who should reply.

Use Suggesting mode only where approval matters

Press ⌘⌥⇧X to switch to Suggesting. Each edit then appears as a change that the owner accepts or rejects. That keeps the copy honest about who changed what. It also adds noise when the whole team suggests at once. Pick one reviewer for suggestions and send everyone else a comment instead.

Use one rule to decide. Ideas go in comments. Exact wording goes in suggestions. A headline debate belongs in a thread, while a legal line change belongs in a suggestion that legal accepts.

One caution about speed. An Apple Community user reported in October 2023 that Docs became extremely slow for typing once a document had comments and was in Suggesting mode. That user was on the iPad app and in Docs generally, not only in Chrome. It is one report, not a confirmed bug. Test before you blame the file.

Gemini in Google Docs for briefs and comment threads

Gemini sits in a bottom bar and a side panel inside Docs. Google began the rollout on April 22, 2026 for Rapid Release domains, and on May 6, 2026 for Scheduled Release domains. To edit an existing doc, hover over the spark near the bottom and type in the bottom bar.

  • Help me create and Help me write: draft new text from a prompt.
  • Match writing style: keep new text close to your own voice.
  • Match document format: copy a source doc's fonts, colors, headings and table structure into a template.

Match document format is the one to try first for recurring reports. Point it at last quarter's report, then fill a new template with the same fonts, colors, headings and table structure. Google said Workspace customers had promotional access to higher Match limits through July 15, 2026. Per-user limits apply after that date.

Comment workflows came later. On July 28, 2026, Google began a gradual rollout. Gemini can summarize a thread, answer questions about it, draft replies to open threads and suggest edits. You review and approve each edit. Only people with edit access can use these tools.

Check these before you plan a review around Gemini

  • Plan: comment workflows need Business Standard or Plus, Enterprise Standard or Plus, Education Plus, or Google AI Pro or Ultra for consumer accounts.
  • Smart features: Workspace smart features must be on for end users.
  • Edit access: only people with edit access can use comment workflows.
  • Timing: visibility can take up to 15 days after the rollout reaches your domain.
  • Language: Gemini in Docs launched in English first, with other languages to follow. Check the current list before you roll it out to a non-English team.

Gemini can draft replies to open threads and suggest edits. You read each one, change it if needed and approve it yourself. Nothing reaches the doc until you say so.

Work offline in Google Docs on Mac

Offline editing needs three things. You need Google Chrome or Microsoft Edge. You need the Google Docs Offline Chrome extension. And you must not use private browsing. Google's Drive help page does not name an operating system for this method.

  1. Open Chrome or Edge in a normal window, not a private one.
  2. Install the Google Docs Offline extension.
  3. In Google Drive, turn on offline access for the files you need.
  4. Open each file once while you are online.
  5. Test it. Turn off Wi-Fi, open the doc and type one sentence.

Offline is not a review pass. After you reconnect, check that your comments and suggestions show up in the live doc. Do this before anyone else reviews the draft.

If you travel for a launch, put offline access on the packing list. Turn it on the night before, not at the gate. Then test once with Wi-Fi off, so you know it works.

Ask Lazur for help while you work in a Google Doc

Hold ⌥⌘ and ask your question. Lazur listens and looks at the screen only while you hold the shortcut. It answers out loud. If you ask where something is, Lazur draws a circle and a label around it. If you ask how to do something, Lazur guides you one click at a time and waits for each click.

Hold fn to dictate. Clean, formatted text appears at the cursor in any app. You can draft a comment reply or a section intro by voice, then read it back before it goes into the doc.

How to phrase a question Lazur can answer on screen

Name the control, not the goal. 'Where is the editing mode menu?' gets a circle and a label. 'How do I make this better?' gets an answer about your words, not a pointer to a button.

Ask one question per hold. Short questions give clear answers. If you need three answers, hold the shortcut three times.

What Lazur does and does not do in a doc

  • Points at menus, buttons and the template gallery, and circles them on screen.
  • Walks you through each step, such as turning on Suggesting mode.
  • Drafts text and types it when you ask. You read it and decide what to keep.
  • Does not click buttons, edit your files or operate other apps for you.
  • Is not a plugin or add-in for Google Docs.

Privacy matters when a brief holds unreleased prices or plans. Audio and the screenshot go to AI providers to answer your question, and they are not stored. Your content is never used to train AI models. Lazur also keeps a memory of what you asked and did, on your Mac.

Mistakes marketers make in Google Docs on Mac

  • Reusing one brief for several campaigns. Copy the template each time so approvals stay separate.
  • Leaving every thread open. Resolve threads when the decision is made.
  • Trying offline work in a private window. Google asks for a normal window.
  • Assuming a shortcut works on every keyboard. Google warns that some may not.
  • Expecting Gemini everywhere. Plans, admin settings and edit access decide who sees it.
  • Sharing from a personal account. Check the avatar in the top right first.

Most of these come from habit, not from the app. Fix the habit first, then look for a feature that helps.

Keep long docs under the character limit

A Google Doc can hold up to 1.02 million characters. Converted text documents can reach 50 MB. Most campaign briefs stay far below that. A full-year calendar with every asset pasted in could get close.

To see the character count of the doc you have open, go to Tools > Word count. Check it before you paste a large export into a doc. Split very large plans into linked docs.

Split by job, not by length. Keep one doc for the brief, one for the copy deck and one for the calendar. Link them from the brief, so a reviewer finds the next file without a search.

A worked example: one launch brief through review

Say a launch brief goes to legal, the product lead and the designer. Start from your template and make a copy. Write the goal and the audience first. Then set the review order before anyone comments, so nobody waits on a thread without an owner.

  1. Draft the brief in Editing mode, your own pass before anyone else sees it.
  2. Switch to Suggesting for the copy review, so legal sees every change.
  3. Ask each reviewer to answer their own thread, then resolve it.
  4. Before the final call, ask Gemini to summarize open threads, if your plan and access allow it.
  5. Switch back from Suggesting, accept or reject what is left, then publish.

Set a review date in the brief header for each step. If a reviewer misses it, ask in their thread, not in a new one. A second thread splits the discussion, and the first one stays open.

The order matters more than the tool. Each step has one owner and one exit. Nothing sits in a thread that no one has been asked to answer.
