Outlook for insurance agents on Mac: templates, signatures and rules for 2026
Outlook for insurance agents on Mac works best when you stop retyping the same messages. Save renewal, payment and certificate replies as templates with File > Save As Template, then set a clean signature under Outlook > Settings > Mail > Signatures. This page covers those steps, the version details that matter in 2026, and where Lazur helps when you get stuck.
You say“Draft a payment reminder for this client.”
Lazur · drafts itLazur drafts a short, polite payment reminder and types it at your cursor. You read it, fix the figures, then send.
Quick answer
- Check your Outlook version first. Legacy Outlook for Mac was set to lose support in October 2026, so confirm which client you run.
- Templates cover the messages you send most, from payment reminders to certificate requests and claims follow-ups.
- Shared mailboxes need extra care. The My Templates add-in does not work there, so plan where each template lives.
- Lazur points, explains and drafts while you work. It does not click buttons or operate Outlook for you.

Which Outlook for Mac you are running
Outlook for Mac now comes in two forms, the new Outlook and legacy Outlook. The new client keeps preferences at Outlook > Settings. Legacy uses Outlook > Settings > Email for the same jobs. Check which one you open before you follow any guide, because the paths differ.
The current build in Microsoft's release notes is 16.114.3, build 26102720, dated October 27, 2026. Its entry lists only quality and performance improvements. Earlier 2026 builds changed more. Version 16.108, released April 14, 2026, redesigned Settings. Version 16.110, released June 16, 2026, added native PST import.
Legacy support is the urgent part. Microsoft's signature help page says legacy Outlook for Mac loses support in October 2026. SMU IT Connect says Microsoft retires the legacy connection protocol on macOS on October 1, 2026. That date has passed. The sources for this page do not say what happens to accounts still on legacy, so ask your IT contact this week.
Save your repeated messages as templates in Outlook for Mac
Start with the email you retype most. Open it and choose File > Save As Template. Enter a name, add an optional tag, pick a location and click Save. Name each template after the job, such as Renewal reminder, so the search box finds it later.
To use one, choose File > New > Mail From Template and pick the .emltpl file. Microsoft says the built-in template controls need a Microsoft 365 subscription and Outlook for Mac version 15.35 (170610) or later. Check your version before you rely on those controls.

| Template | What it covers | Why it helps |
|---|---|---|
| Payment reminder | Amount due, due date, how to pay | Same wording every billing cycle |
| Payment confirmation | Payment received and what it covers | Closes the loop in writing |
| Renewal reminder | Renewal date and what changes | Gives the client time to respond |
| Certificate or ID card request | Certificate of insurance and ID card delivery | Answers a common request in one send |
| Endorsement notice | Coverage change summary and effective date | Records the change in writing |
| Non-renewal or cancellation follow-up | Next steps and deadlines | Sensitive wording set once |
| Quote follow-up | A six-message sequence over time | Spaces out each chase |
| Claims follow-up | Status and what the client must send | Consistent updates on each file |
The Agency Performance Partners blog suggests these categories and a six-message quote follow-up sequence. It also says a clear subject line can improve open rates. It gives no response or open rate figures, so measure your own.
The same blog estimates templates save at least 5 minutes per workday, about 21.67 hours a year. Those are its own estimates, not survey data. Treat them as a guess. Time one week of your own sends to see what you actually save.
Keep template numbers and dates current
A template is only as good as its last update. Premium amounts, due dates and carrier names change. An old figure in a reminder causes a call you did not need. Replace every changing field with a bracketed placeholder, such as [due date] or [premium], so you must fill it in.
Check each placeholder before you send, even when the template feels routine. Read the message aloud once. Reading it aloud often catches a wrong name or date that a quick scan misses.
Set up a signature with your license and agency details
Open Outlook > Settings > Mail > Signatures in the new client. In legacy Outlook, use Outlook > Settings > Email > Signatures. Choose the account, type the block, and save. Microsoft's signature page covers both paths.
An insurance signature usually carries your name, agency, license number, office phone and where clients should send documents. Keep the core text as plain text. Add a logo or hyperlink with the See more items options in the new client. Legacy has a Link button and can insert a picture from Photo Browser or a file.
Put the license number in text, not only inside a logo image. Text is easier to read, search and copy when a client needs it.
Rules and shared mailboxes: what works in 2026
Rules move routine mail into folders, such as renewal replies or claims updates. Look in the Mail area of Settings for rules on your build. The 16.108 redesign moved things, so older guides may show paths that no longer match.
Microsoft's 2026 release notes list no changes to templates, rules or signatures. The latest signature change in the summary is dated May 13, 2025. Do not wait for a new feature. Build what you need with the tools in front of you.
Shared mailboxes need extra care. Microsoft says the My Templates add-in does not work in shared mailboxes opened in Outlook for Mac. If your claims or service inbox is shared, save the templates in your own mailbox and copy the wording into the shared message.
Five mistakes come up most often with rules and templates.
- Building a rule without testing it on one old email first.
- Assuming a template saved in your mailbox appears in a shared inbox.
- Keeping a client name or policy number in a template subject line.
- Leaving an old license number in the signature after a renewal.
- Using one template for both a new client and a long-standing one without checking the wording.
Move off legacy Outlook without losing templates and rules
Only legacy Outlook for Mac exports an .olm archive. Mailbird, a rival email client, says rules, categories and signatures rarely transfer cleanly when you switch. Mailbird competes with Outlook, so treat that claim as its view and test it with your own mail.
Inventory first. Copy each template body and signature into a note before you move anything.
- Open legacy Outlook and list every template, rule, category and signature.
- Copy each template body and signature into a note with its name.
- Check native PST import, added in version 16.110 on June 16, 2026, for any mail that needs to move.
- Rebuild each rule in the new client and test it on one old email.
- Save each template again with File > Save As Template in the new client.
Do this before the mail moves, not after. Once a rule is gone from the old client, you may only find out it was missing when a reply goes astray.
Catch mistakes in the Outbox before a message leaves
Version 16.111, released July 14, 2026, lets you edit messages in the Outbox before they send. For insurance work, that matters when a premium figure, a date or a policy number is wrong. Look in the Outbox before you assume a message has gone.
Pair that with the placeholder check from earlier. A template with placeholders gives you a reason to read each field. The Outbox gives you a second look before the client does.
A worked example: one renewal reminder from start to finish
Here is a full run for a renewal reminder. Keep the steps in order. Each one saves time on the next send.
- Open the last renewal reminder you sent and check every figure against the current policy.
- Replace each changing figure with a placeholder, such as [renewal date] and [premium].
- Choose File > Save As Template, name it Renewal reminder, and click Save.
- At the next renewal, choose File > New > Mail From Template and pick the file.
- Fill each placeholder, read the message aloud, then send.
Count how many renewal messages you send in a normal month. That count tells you whether a template earns its place. A template you use less often still helps when its wording is hard to get right.
What the numbers say about agency email time
The numbers below come from self-reported surveys, not audited studies. No insurance-specific study of email hours could be found for this page, so read these as signals rather than proof.

Admin Hours vs Selling Hours in a P&C Agency21.67 hours a year

Insurance Email Samples: Proven Templates That WorkAgency Revolution's survey, as cited by Renegade Insurance, found that 54% of agencies spend more than half their week on manual, repetitive tasks. About 4 in 10 spend 60% to 70% of the week on them.
Answer quote and service requests faster
The same survey found that 50% of agencies respond to digital requests within an hour or less. Another 22% take 3 hours or more, and 6.5% take more than 12 hours.
A quote follow-up template shortens that gap. The first reply can confirm the request and say when the full answer comes. That reply is quick to send, and the client knows you saw it.
Where Lazur helps inside Outlook
Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ to ask about anything on screen. Lazur answers out loud. Ask where a command is and Lazur draws a circle and a label around it on your screen.
Ask how to do something and Lazur guides you one click at a time, waiting for each click. That helps most with the menu paths on this page, since the menus change between versions.
Lazur does not click buttons, edit files or operate Outlook for you. It is not a plugin or add-in for Outlook or any other app. You still do the clicks.
For drafting, hold fn and dictate. Dictation produces clean, formatted text at the cursor in any app. Snippets and a personal dictionary help with the sentences you type every week.
Privacy works like this. Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer and are not stored. Content is never used to train AI models. Check your agency's client data rules before you put policyholder details through any AI tool.
Pricing starts with a 3-day Pro trial, no credit card, beginning when you first open the app. Pro costs $18/month, or $15/month billed annually, with 150 AI actions. Power costs $120/month, or $96/month annually, with 1,000 AI actions. Dictation is unlimited on both. See the pricing page for current plans.
When you are ready, get the app from the download page.

Mistakes insurance agents make in Outlook on Mac
- Following an old guide with a Settings path that no longer matches your version.
- Writing a template from memory instead of copying the last message you actually sent.
- Waiting until the legacy deadline has passed before you check your connection.
- Sending a claims template without changing the claim reference in the body.
- Skipping the Outbox check on a message with a premium or date in it.
A practical order for your first afternoon with Outlook
- Check your Outlook version and whether you still run legacy.
- Set your signature with license number, agency name and office phone.
- Save the payment reminder, certificate request and renewal reminder as templates.
- Add rules for routine replies, and test each one on an old email.
- Keep Lazur open, and ask it to point at a menu when a path moves.

Use the new Outlook if you can. Microsoft's release notes list 16.114.3 as the current build, dated October 27, 2026. Legacy Outlook for Mac was set to lose support in October 2026, so move before you are stuck.
Can I use templates in a shared mailbox?
Not with the My Templates add-in. Microsoft says that add-in is not available in shared mailboxes opened in Outlook for Mac. Save the template in your own mailbox and copy the wording across.
Where do I find signatures in new Outlook for Mac?
Go to Outlook > Settings > Mail > Signatures. Legacy Outlook for Mac uses Outlook > Settings > Email > Signatures instead.
How much time do templates save an insurance agent?
One agency blog estimates at least 5 minutes per workday, about 21.67 hours a year. Those are its own estimates, not survey data. Time your own sends for a week to get your number.
Does Lazur send my emails or click buttons in Outlook?
No. Lazur points, explains, guides you one click at a time, and drafts or types text. It does not click buttons, send messages or operate Outlook for you.
Is client data safe when I use Lazur next to Outlook?
Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer and are not stored. Check your agency's data rules before you share policyholder details with any AI tool.
