Outlook for lawyers on Mac: file, template and search email faster with Lazur in 2026
Outlook for lawyers on Mac works best as the new Outlook app, and you can check your build under Outlook > About Outlook. Set it up with saved templates for repeat letters, one folder per client matter, and a search habit that keeps whole threads together. Microsoft's newest release notes list build 16.114.3, dated October 27, 2026. Lazur, a voice assistant for the Mac, can point at the right menu while you work.
You say“Lazur, walk me through saving this email as a template.”
Lazur · walks you through itLazur points at the File menu and names the next step, File > Save As Template. It waits for your click before it moves on.
Quick answer
- Use the new Outlook for Mac. Legacy Outlook stops connecting to Exchange Online from October 2026.
- Save repeat letters with File > Save As Template, then reuse them from File > New > Mail From Template.
- Outlook does not file client email to a matter for you. Pick one folder habit and write it down.
- Search covers the mailbox you are in. Ask IT how shared mailboxes work before a deadline depends on it.
- Hold ⌥ ⌘ and ask Lazur where a button is. It circles the button, then guides you one click at a time.

Most lawyers use Outlook for Mac for three jobs. They file client email, reuse the same letters, and keep a calendar full of hearings and calls. Each job has a weak spot. Filing is manual. Search covers the mailbox you are in. LexWorkplace, a vendor that sells a document management add-in, also says Outlook offers no audit trail for client communications. Those three gaps give you a clear list to work through.
Check which Outlook for Mac you are running
Look at the left edge of the window. If Mail, Calendar and People sit in a vertical bar, you are on the new layout. Microsoft says that bar appears automatically in Outlook for Mac 16.71.0 or later. To see your exact build, open Outlook > About Outlook. Microsoft's release notes list 16.114 from October 14, 2026, and the newest Outlook entry is 16.114.3, from October 27, 2026. That entry lists general quality fixes only.
If your window still shows the older ribbon, you may be on legacy Outlook. Microsoft says legacy Outlook for Mac stops connecting to Exchange Online mailboxes starting October 2026. Help > Check for Updates or the App Store can bring the new experience to an older install. Firms that run Exchange On-Premises get a longer runway, as covered later on this page.
Set up the toolbar and left rail for legal work
The new Outlook replaces the ribbon with a customizable toolbar. Click the more icon, then choose Customize Toolbar. Keep the buttons you use all day, such as Reply and Move, in front. Remove the rest. A short toolbar is faster to scan when the inbox fills up.
The left rail holds Mail, Calendar and People. Build 16.109, dated May 12, 2026, made that rail reorderable. Drag Calendar above Mail if your day runs on hearings and calls more than on inbox triage. Build 16.108, dated April 14, 2026, also redesigned Settings. Older guides may show different paths for the same setting.
For daily tasks, press Shift+Command+] to open My Day. It sits in the View menu as a task pane. Use it when partners send requests by email and you need one list to track them. Turn it off if it adds clutter to your window.
Build templates for letters you send every week
Templates save the most time for lawyers. Think of the follow-up after a first client call, the cover note for an engagement letter, a document request, and a hearing confirmation. Each one takes time to write from scratch. A saved template turns that work into a short edit and a send.
To make one, select the email, then choose File > Save As Template. To reuse it, choose File > New > Mail From Template and pick the saved template. Microsoft says this needs Microsoft 365 and Outlook for Mac 15.35, build 170610, or later. Check your build before you tell a colleague the feature is missing.
Start with a short set. Put placeholders in square brackets, such as [CLIENT NAME] and [HEARING DATE], so you can find each gap with a search before you send. Read the greeting, the signature and any attachment note every time. Those three spots are easy to miss on a fast send.
A second option is the My Templates add-in. Go to New Mail > My Templates > +Template to build one. Microsoft says it works only with Microsoft Exchange accounts. It is not available in shared mailboxes opened in Outlook for Mac. If you do not see it, your organization may have turned off add-ins.
Keep client email filed to the right matter
Outlook does not file a client email to a matter on its own. LexWorkplace describes the usual habit: one folder per client or matter, with messages moved there by hand. It calls that a starting point, not a system. Folders are personal, so the record often sits in one person's mailbox.
Manual export creates its own problems. Saving a message to a shared drive as PDF, EML or MSG strips threading and metadata, according to LexWorkplace. A document management system add-in can add a button and a sidebar to save email to a matter. Ask your IT team whether your firm has one before you assume it does.
A simple habit beats a perfect system you never use. Write one rule for the team and keep it short. For example: any email that changes a matter's status goes into that matter's folder the same day. A short Friday check beats a month of rebuilding a thread.
Why speed matters for client email
Client responsiveness is a known weak point. In Clio's 2024 Legal Trends Report, as summarized by 2Civility, only 1 in 3 law firms (33%) responded to emails from secret shoppers. A fast, accurate reply is one thing you control in that gap. Speed is the easiest place to start.

End of support for legacy Outlook for Mac (Microsoft Support)The same Clio summary says automatable tasks, such as client intake and firm data analysis, often make up 66% of hourly billable work. It estimates 57% of lawyers' tasks are automatable, against 69% for paralegals and 81% for administrative assistants. Repeat email replies are one example of that kind of work. These figures do not measure how long email takes, so treat them as a reason to automate repeat steps, not as a time study.
Search your mail without losing the thread
Press Shift+Command+F to search. Microsoft says search is powered by Microsoft Search. Type a client name, a matter code or a phrase from the subject line. Then use the filters to narrow by sender or date. Search finds what is in the mailbox you can see, so scope matters as much as keywords.
Scope is the trap. LexWorkplace says search covers only the individual mailbox, not the firm. If a colleague copied you on the key thread, you may find it in their mailbox and not yours. Ask IT how search works for shared mailboxes at your firm before you rely on it near a deadline.
Subject lines help more than most people expect. Put a short matter code in every subject, such as HW-CONTRACT or a client tag. Ask colleagues to keep that tag in their replies. Then a search for the tag finds the whole thread, not just the first message.

Where Lazur fits into your Outlook work
Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ to ask about anything on screen, and Lazur answers out loud. Ask where something is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time, waiting for each click.
Walk through one client email, step by step
Say a client email is open, and you want it in the Hartwell folder. Hold ⌥ ⌘ and say: walk me through moving this to the Hartwell folder. Lazur names the first click and waits. You make the click. Then it names the next one. Lazur does not move the email for you.
The same method works for other menus you rarely use. Ask where Save As Template is, and Lazur circles the File menu. Ask what a rule dialog means, and Lazur explains each condition out loud. You keep your hands on the mouse and learn the path at the same time.
Dictate replies and draft text without retyping
Hold fn to dictate. Lazur turns speech into clean, formatted text at the cursor, in any app. Dictation is included with Lazur. Add case names, judge names and opposing firm names to the personal dictionary, so the text comes out right the first time. Snippets handle standard closing paragraphs. Clipboard slots keep reused text within reach.
Ask Lazur to draft when the words are the hard part. For example: draft a reply that confirms the hearing time and asks for the signed engagement letter. Lazur drafts and types the text where you are working. Read every line before you send. Check dates, names and any legal point against the file.
What Lazur does not do in Outlook
Lazur does not click buttons or operate Outlook for you. It is not a plugin or add-in for Outlook, and it has no partnership with any app maker. It points, guides, explains, answers out loud, drafts and types text. It also runs everyday actions such as Apple Reminders and Calendar events.
Set the job clearly. Ask Lazur to explain a dialog, circle a button or draft a reply. Do not expect it to file, delete or send mail. Those actions stay with you. That split keeps a person in charge of every client message.
Client confidentiality and what Lazur sends
Lazur listens and looks at your screen only while you hold the shortcut. Audio and the screenshot go to AI providers so they can answer you. Lazur says those providers do not store them. Content is never used to train AI models.
Mistakes that slow lawyers down in Outlook for Mac
- Treating an email as filed because it sits in Outlook. LexWorkplace describes that as captured but never actually filed.
- Expecting the My Templates add-in in a shared mailbox. Microsoft says it is not available there.
- Exporting email as PDF to a shared drive and losing the thread. Threading and metadata go with it.
- Staying on legacy Outlook past the Exchange Online date. Connections stop from October 2026 on Microsoft's timeline.
- Skipping the Outbox check. Since build 16.111 you can edit a message in the Outbox before it sends.
- Searching from memory of a subject line. Use a matter code in the subject so search finds the thread later.
Rules, signatures and imports after the 2026 updates
Rules and signatures sit in Settings. Build 16.108 redesigned Settings, so the path may differ from older guides. Look through Settings for Rules or Signature. Test a rule on one message before you turn it on for the whole inbox. A bad rule can move mail you need.
Import PST arrived in build 16.110, dated June 16, 2026. Build 16.108 also added opening and importing .msg files. If you bring in an old archive, import it into a test folder first. Check one matter's thread, then move the rest.
Build 16.111, dated July 14, 2026, lets you edit a message in the Outbox before it sends. Open the Outbox and check any message queued for later. That check catches wrong attachments and wrong client names before they leave.
Legacy Outlook deadline and the steps to take
- Open Outlook > About Outlook and note your build.
- Ask your IT admin whether your firm's Exchange Online accounts still use legacy Outlook.
- If you are on legacy, use Help > Check for Updates or the App Store to reach the new experience.
- Use Help > Revert to Legacy Outlook only after you confirm it still connects for your account.
- Keep a list of your templates, rules and signatures somewhere safe before you switch.
Microsoft says the EWS service is retired on October 1, 2026. Any tool that depends on EWS may stop working on that date. Ask IT whether any of your tools rely on it.
Firms on Exchange On-Premises have more time. Microsoft says legacy Outlook for Mac keeps working with those mailboxes until October 9, 2029, and it gets only security updates until then. Confirm which group your firm is in before you plan the switch.

A plan for the week of setup
- Monday: check your build, the left rail and the toolbar.
- Tuesday: write templates for the letters you send most.
- Wednesday: agree one filing rule with your team and write it down.
- Thursday: test search on one live matter and note what you miss.
- Friday: run a short filing check and fix the gaps you found.
- Any day: ask Lazur to walk you through the menu you still hunt for.
Where Outlook ends and Word begins
Outlook holds the email. Word holds the draft, the clause and the redline. If the real work sits in an attachment, open it in Word and use Track Changes and Compare there. See Microsoft Word for lawyers on Mac for that side of the job. For the wider legal workflow, see AI assistant for lawyers on Mac.
