Word for paralegals on Mac: templates, cross-references and pleading paper in 2026

Word for paralegals on Mac is Microsoft Word for Mac, set up for templates, numbered legal documents and drafts that several people edit. This guide covers the parts that break most often, how to fix them, and where Lazur helps while you work. Microsoft's known-issues page covers Word for Microsoft 365, Word 2024 and Word 2021 on Mac.

Quick answer

  • Set up styles before you draft. Manual formatting is the first thing to break when a document grows.
  • Cross-references and fields do not always update on their own. Update them with F9 after every change to numbering.
  • Build pleading paper as a template, and check your local court rules before you file.
  • Microsoft lists known Compare, printing and save issues for Word for Mac. Check that page when something acts strange.
  • Lazur points at menus, answers out loud and guides you one click at a time. It does not click or edit for you.

What paralegals do in Word on a Mac

Most paralegal work in Word repeats. You open a firm template, fill in names and dates, number the sections and send the file to a lawyer. The same file often passes through several hands before it leaves the office.

That repetition is where Word causes trouble. A small formatting habit repeats too. A heading in the wrong style can break a table of contents, a numbering scheme or a cross-reference several pages later.

Scale matters too. In an Epinion study of 227 interviews with staff at private financial and legal firms, most legal professionals said they use Word every day. The article does not give the study year or break out paralegals.

Treat those figures as a sign of scale. They are not a paralegal benchmark. Use them to justify the time you spend on templates and styles, because that time pays back on every file.

Set up styles before you type the template

Styles are the biggest single fix for Word on a Mac. A style stores the font, spacing, numbering and outline level under one name. Change the style once, and every paragraph that uses it changes with it.

An In-House Connect article on lawyers and Word makes the same case. It says manual paragraph formatting is hard to maintain. It calls Format Painter a poor choice for longer documents. It also says pasted text causes odd indents and fonts.

Build the template from styles, not from looks

Start from a blank file. Go to Home, open the Styles gallery, and right-click a style. Choose Modify, then set the font, size and spacing once. Apply that style to every heading and body paragraph in the file.

Set up at least four styles before you draft. Use a main heading, a sub-heading, body text and a block quote. Add a numbered list style for numbered paragraphs. Numbers then move on their own when you insert a paragraph.

Paste without carrying old formatting

Pasted text brings its own styles with it. When you paste from email, a PDF or another firm file, use Edit > Paste Special and choose a text-only option. Then apply your style again. This stops the odd fonts that show up in a finished filing.

Formatting mistakes that cost the most time

  • Using Format Painter to copy formatting through a long document. Apply a style instead.
  • Pressing Return several times to push text down a page. Use paragraph spacing or a page break.
  • Typing numbers by hand. Use a numbered list style so the numbers move on their own.
  • Editing a style in one file and assuming the firm template changed. It did not. Update the template file itself.
  • Pasting straight from email into a numbered section. Use Paste Special first.

Cross-references and fields that go stale

A cross-reference points to a heading, a numbered paragraph or a footnote. Word shows the paragraph number or the text from that item. It should update when the target moves. In practice it does not always update on its own.

To insert one, use the Insert tab, or Insert in the Mac menu bar, and select Cross-reference. Choose the reference type, the information to insert and the specific item. Microsoft's help article describes this same path.

Update fields on a Mac

A Microsoft Q&A answer for Word for Mac lists three ways to update a field. Use whichever one fits the moment.

  1. Right-click the field and choose Update Field.
  2. Select the field and press F9. On many Mac keyboards, hold fn to press F9.
  3. Press ⌘A to select the whole document, then press F9 to update every field.

Microsoft's own cross-reference article recommends Ctrl+A then F9. That is the Windows keystroke. On a Mac, use ⌘A. Update every field before you send a draft to anyone.

Why a cross-reference points to too much text

Word tracks a numbered item with a hidden bookmark. Where you press Return when you add a numbered item decides whether the new text joins that bookmark. Press Return in the wrong place, and the cross-reference can point at more text than you meant.

One Mac user in a Microsoft Q&A thread said their cross-references stopped being cross-references. Starting them again fixed it. Treat that as a fallback. Save a copy before you rebuild anything large.

A worked example with a moved section

Say a brief refers to Section C by cross-reference. You then move Section C above Section B. The reference still names Section C, but its number has changed. Press ⌘A, then F9, and the number updates.

If the reference still shows the wrong text, look for an extra Return near the heading. Delete it, then insert the cross-reference again. Do not type over the reference text by hand, because the next update will overwrite it.

Pleading paper in Word for Mac

Pleading paper is a layout, not a single setting. Its look depends on local court rules. It usually combines tables, lines, headers and line numbering. A Microsoft Q&A answer says to build a template rather than a document, and to use the desktop app.

The same answer says pleading templates rely on AutoText and other Building Blocks. It warns that you should learn the basic Word features first. Otherwise, the work gets harder, not easier.

The Mac steps are the gap. The Microsoft Q&A thread about pleading paper on Word 365 for Mac Sequoia does not give Mac steps for the line numbers or the vertical margin rule. Do not copy a setup from a blog and assume it fits your court.

Build it in layers, then test one page

  1. Set page size, margins and the base font in the template file, not in a case file.
  2. Build the line grid with a table or line numbering, whichever your local rules allow.
  3. Put the caption and attorney block in a header, so it repeats on every page.
  4. Save the file as a Word Template from the file type menu in Save As.
  5. Print one page to PDF and hold it against the court rules before you use the template.

Keep the master template in one shared place. Your firm should own that copy. Your Mac copy is for testing. This stops two people from building two versions of the same pleading paper.

Compare and Track Changes on a Mac: what breaks

Compare checks a revised draft against the last version. Paralegals use it before a file goes to a lawyer or a client. Word for Mac has a known issue here. Microsoft lists Compare files appearing grayed out, and it marks a workaround as available.

Microsoft's known-issues page names Word for Microsoft 365 for Mac, Word 2024 for Mac and Word 2021 for Mac. It gives no build numbers. Check the page for the workaround and the latest status before you rely on Compare for a filing.

To run Compare, open the newer draft. Go to Review > Compare, then choose Compare. Pick the older file as the original. Word shows the differences as tracked revisions.

Co-authored drafts and footnotes

Microsoft lists formatting loss in co-authored documents as fixed. Footnote numbers that changed unexpectedly are also marked fixed for Word on Windows and Mac. Fixed does not mean you can skip the check. Read the footnotes and styles in the final file.

When several people edit the same brief, agree on one person for the final pass. That person runs Compare, fixes the styles and updates the fields. It is slower at first, and it cuts down on rounds of corrections.

Reduced functionality mode in Word for Mac: what to check

Printing is another trouble spot. Microsoft lists printing from Word, Excel or PowerPoint for the web on macOS as under investigation. If you print from the browser version, print from the desktop app or export a PDF and print that file.

Microsoft also lists an idle save prompt for locally stored documents as under investigation. The prompt asks you to save after a period with no edits. Do not wait for it. Press ⌘S before you step away from the desk.

Check your Office mode before a deadline

Microsoft says that starting July 13, 2026, some Office apps on macOS enter reduced functionality mode. In that mode you can open, view and print a file. You cannot edit, save or create new files.

The change affects Microsoft 365 subscribers on macOS. It also affects people using Office 2021 or Office 2019 without a subscription. Ask your firm's IT team which license each Mac uses, well before a deadline week.

Check your macOS version too. Choose Apple menu > About This Mac. Microsoft says the affected Office versions need macOS 12 Monterey or later. Office is supported on the three most recent major macOS versions.

Two keys cause most of the confusion. F9 may need fn on many Mac keyboards. Holding fn for dictation and pressing fn with F9 use the same key. Press them one at a time, and test F9 once before a long brief.

Real paralegal examples in Word on a Mac

Example one: a discovery response template. The response uses numbered requests, and each request repeats its text. Build one heading style for each request and one body style for each answer. Use a cross-reference to the request, so the answer always names the right item.

Example two: a revised brief. The lawyer moves two paragraphs and cuts a third. Run Compare against the last version, read the tracked changes, then update the fields with ⌘A and F9. Check every cross-reference before you send the file.

Example three: a letter with a firm caption. Put the caption in the header, so it stays put on every page. Dictate the body text with fn. Save the standard closing line as a snippet, so dictation can insert it in one step.

Where Lazur helps while you work in Word

Lazur is a voice assistant for the Mac. It lives in the notch at the top of your screen. Hold ⌥ ⌘ to ask about anything on screen, and Lazur answers out loud. It listens and looks only while you hold the shortcut.

Ask where something is, and Lazur draws a circle and a label around it. This helps when you cannot find a command. Ask how to do something, and Lazur guides you one click at a time. It waits for each click before it moves on.

Lazur does not click buttons or edit files for you. It cannot change the document. It points, explains and talks you through the steps. You make every change in Word yourself.

Dictate the parts you type every day

Hold fn to dictate clean, formatted text at the cursor in any app. Dictation also supports snippets, a personal dictionary and clipboard slots. Use snippets for lines you type every day, such as a standard closing or a firm caption.

Add client names, court names and unusual case citations to the personal dictionary once. Then dictation spells them the same way every time. That means less cleanup at the end of a long day.

A checklist before a draft leaves your desk

  1. Confirm that headings and body text use styles, not manual formatting.
  2. Press ⌘A, then F9, and check every cross-reference text.
  3. Run Compare against the last version and read each tracked change.
  4. Check footnote numbers, the first-page header and the caption.
  5. Print or export a PDF from the desktop app, and read the PDF page by page.
  6. Press ⌘S, then save a dated copy in the matter folder.

Keep this checklist in the template or on a note by your desk. A checklist you do not see does not help you. Reading the final PDF is the step that gets skipped under deadline pressure. Do it anyway.

Edge cases: Windows files and shared templates

Many firms mix Windows and Mac. A file from a Windows colleague can look fine and still behave differently. Ctrl becomes ⌘ and Alt becomes ⌥ on a Mac. Microsoft's cross-reference article gives only Windows key names, so translate them yourself.

Shared templates need one owner. If you change a template on your Mac, check that the firm uses the same file. Otherwise two versions drift apart, and nobody knows which one is current.

Version matters too. The known-issues page covers Word 2024 and Word 2021 as well as Microsoft 365. Ask which version the firm runs before you build anything complicated, and test on that version.

Who this page is for and what to do next

This page is for paralegals and legal assistants who work in Word on a Mac every day. If your work is mostly lawyer review, read the Word page for lawyers. It covers Track Changes and clause review in more depth.

If you want the wider Word feature set, read the Word assistant page. It covers what Lazur sees, points at and dictates in Word. You can download Lazur or compare plans on the pricing page before you decide.

Start with styles and fields this week. Then test Compare and pleading paper on a copy. Lazur can help while you do both, one step at a time.

Questions people ask

Is Word for Mac different for paralegals?

The app is the same. The work is different. Paralegals use templates, numbered paragraphs, cross-references, pleading paper and Compare more than most users do. Set up styles and fields first, and most of the pain goes away.

Why won't my cross-references update on a Mac?

Fields do not always update on their own. Right-click the field and choose Update Field, or select it and press F9. To update everything, press ⌘A and then F9. On many Mac keyboards, you hold fn to press F9.

Will Word for Mac stop me from editing a file?

Microsoft says that from July 13, 2026, some Office apps on macOS can enter reduced functionality mode. In that mode you can open, view and print a file. You cannot edit, save or create new files. Ask your firm's IT team which license each Mac uses.

What macOS version do I need for Word for Mac?

Microsoft says the affected Office versions need macOS 12 Monterey or later. Office is supported on the three most recent major macOS versions. Check your version under Apple menu > About This Mac.

Can Lazur edit my Word document?

No. Lazur does not click buttons, edit files or operate other apps for you. It points at things, explains them out loud and guides you one click at a time. Holding fn to dictate types text at your cursor, but you still review and place it yourself.

Does Lazur work on Windows?

Lazur is for macOS, on Apple silicon and Intel Macs. Windows is planned, but it is not available yet.

How do I fix a Compare option that is grayed out?

Microsoft's known-issues page for Word for Mac lists grayed-out Compare files and says a workaround is available. Open that page and follow the workaround there. Test it on a copy of the file first.

Is there a time figure just for paralegals?

Not from the sources this guide checked. The 90% and 56% figures cover legal and financial firm staff in general. Use them as a sign of scale, not as a paralegal benchmark.
