Outlook for Paralegals on Mac: Templates, Deadlines and Calendar Email in 2026
Outlook for paralegals on Mac is mostly email triage, docket checks, and written confirmation of dates. This page covers the Outlook steps that matter for that work, and where a voice assistant fits in. Every tip here works even if you never install Lazur. Read it as a checklist you can use this week.

Quick answer
- Save firm email templates with File > Save As Template, then reuse them with File > New > Mail From Template.
- Built-in template controls need a Microsoft 365 subscription and Outlook for Mac 15.35 or later.
- The My Templates add-in is Exchange-only and does not work in shared mailboxes opened in Outlook for Mac.
- Write a confirmation email for every calendar entry and change, then check each date by hand.
- Lazur points at things, explains screens out loud, and drafts text. It does not click for you.

Release notes for Office for Mac (Microsoft Learn)What paralegals do in Outlook on Mac
Most paralegals use Outlook for Mac for four jobs. They triage incoming mail, check dates against the calendar, send written confirmations, and file messages by matter. Each job has its own habits. Outlook has a feature or two that helps with each one.
The day usually starts with the inbox. A litigation paralegal reviews every incoming communication and sorts out what is urgent. Then the docket calendar gets checked for today, the coming week, and the next 30 days. That routine comes from a Paralegal Bootcamp article on a litigation paralegal's day. The article does not name Outlook, so read it as a picture of the work, not an app guide.
Deadlines are the hard part. A response deadline depends on the court rules and on how the document was served. The same article says missing a deadline, even by one day, can have serious consequences. Outlook can hold the date. It cannot work out the date for you. The rules check stays with you, every time.

Inbox triage for paralegals in Outlook on Mac
Triage works best in a fixed order. Sort first, then reply. This order works for most litigation and transactional desks. Adjust it to fit your firm, but keep the sort before the reply.
- Open the Inbox and look for mail from courts, opposing counsel, and clients.
- Open any message with a date in it. Read the full text, not the preview.
- Flag anything that needs a calendar entry or a written reply today.
- Move finished matter mail into its matter folder.
- Open the calendar and compare each new date with what is already entered.
Order matters. A court notice buried under newsletters can wait too long. Sorting the inbox by sender puts court and client mail near the top. Clear the urgent items before you start on the long replies. Leave the newsletters for the end of the day, or delete them in bulk.
Turn a deadline email into a calendar entry
A deadline entry needs three things. It needs the date, the source of the date, and the matter. A bare event called Reply due is hard to check a month later. Put all three in the event so the next person can verify it without a search.
Here is a worked example. A court order sets a response date. Open the order email, copy the date, and paste the paragraph that sets it into the event notes. Create the event for the day the response is due, not the day you plan to start. Then add a reminder that gives you time to finish the work before the date.
- Service method can change the count. Confirm how the document was served before you count.
- Weekends and holidays can move a due date. Check the rule text, not only the calendar app.
- Filing cut-off times matter. Write the time zone and the cut-off hour in the event title.
- Recurring events are risky for deadlines. Enter each deadline as its own event.
Save weekly emails as templates in Outlook for Mac
Outlook for Mac can save a finished email as a template. Use it for the messages you send most, such as document requests, hearing confirmations, and records requests. Type the wording once, then reuse it with new details each time.
- Write the email and fill in the parts that never change.
- Choose File > Save As Template.
- Name the template by purpose, such as Document request, litigation.
- To reuse it, choose File > New > Mail From Template.
- Open the template, fill in the matter details, and check every name and date before you send.
Microsoft says the reusable file opens from File > New > Mail From Template, and it uses the .emltpl format. Built-in template controls need a Microsoft 365 subscription and Outlook for Mac 15.35 or later. To check your build, choose Outlook > About Outlook. Write the build number down if your IT team asks which version the firm uses.
Review a template every few months. Old fee language, old court names, and old contact details creep in over time. A stale template causes more trouble than no template at all, because it looks finished.
| Method | Where it lives | Shared mailbox | What it needs |
|---|---|---|---|
| Save As Template | File > Save As Template | Microsoft's page does not say | Microsoft 365 and Outlook for Mac 15.35 or later |
| My Templates add-in | New Mail > My Templates | Does not work in shared mailboxes opened in Outlook for Mac | A Microsoft Exchange account |
Shared mailboxes and the My Templates add-in
Many firms run a shared intake mailbox that the whole office uses. The My Templates add-in does not work in shared mailboxes opened in Outlook for Mac. If your firm keeps its templates in a shared mailbox, the add-in may not open them when you need it.
Test a workaround before you depend on it. Keep your own templates in your own mailbox. Save copies of shared templates in a folder the team can open, then confirm that a colleague can open one on a Mac. Ask IT if the firm has a policy on shared files and where templates should live.
Email rules: what to check before you rely on them
Rules sort mail before it reaches your Inbox, which helps on a heavy day. The limits matter, though. An Office Watch article from March 19, 2026 says New Outlook rules run only on the server. It says New Outlook cannot set rules directly on shared mailboxes. An admin has to configure those rules on the server.
The same article lists rule features that New Outlook drops:
- Rules that apply to IMAP or POP3 accounts
- The Flagged for Action rule option
- The Through the specified account rule option
- Permanent delete as a rule action
Outlook for Mac updates to know in 2026
Outlook for Mac changed a lot this year. Check these release notes against your build.
- 16.108, April 14: redesigned Settings and added .msg import.
- 16.110, June 16: added Liquid Glass visuals and native PST import.
- 16.111, July 14: added Outbox editing and left-rail customization.
- 16.113, September 16: added right-click to open Mail, Calendar, or People in a separate window.
- 16.114, October 14: made Microsoft 365 apps dynamic in the left rail.
Microsoft's release notes list 16.114.3, dated October 27, 2026, as quality and performance fixes only. The page I read covered the first part of the notes, so a newer build may exist. Check the page yourself before you update, and confirm the build with your IT team.
Legacy Outlook and the October 2026 cutoff
Some firms still run Legacy Outlook for Mac. A university IT notice says Microsoft is retiring the Legacy Outlook connection protocol on macOS. It says Legacy Outlook stops connecting to Exchange Online on October 1, 2026. That date had passed by November 6, 2026.
The same notice says New Outlook users need no action. Treat it as one school's view, not Microsoft's own page. Check which Outlook you run by choosing Outlook > About Outlook. Then ask IT for the current plan for your firm.
Written confirmations for calendar changes
The paralegal education guide on calendaring recommends emailing written confirmation of every calendar entry and change. A short email makes a date traceable. If the date moves later, the old confirmation shows what was agreed.
Here is a simple pattern. Say a hearing moves from Tuesday to Thursday. Do not just move the event. Send a short email to the people who need it. Name the old date, the new date, and the reason for the change. Save a copy in the matter folder.
Keep the confirmation short. Two or three lines cover most changes. Long emails hide the date in the middle, and the reader may miss it.
Find old emails fast with a matter number system
Search works best when every message follows a pattern you can repeat. Put the matter number in every subject line for that matter. Use the same wording for the same kind of email. A search for the matter number then finds the thread, not every message that mentions a client name.
- Use the matter number in every subject line for that matter.
- Name matter folders with the same number, so the folder and the mail match.
- Keep one template for each recurring email type, so the wording stays consistent.
- Save a search for a matter once you know the words that find it.
If your firm moves off Legacy Outlook, saved searches may not transfer. Write down the search terms now, so you can rebuild them quickly.
Mistakes that cost paralegals time in Outlook
- Entering a deadline from memory instead of from the order.
- Using a bare calendar event with no source in the notes.
- Copying an old date out of a template into a new confirmation.
- Keeping templates in a shared mailbox and assuming the add-in works there.
- Turning on a rule without testing it on a real message.
- Changing a calendar entry with no written confirmation.
Each mistake is cheap to prevent. A missed date is much harder to repair. Build the habit now, while the workload is still manageable.
Where Lazur fits in this workflow
Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘, Option and Command together, and ask about anything on screen. Lazur answers out loud. It listens and looks at your screen only while you hold the shortcut.
Ask where something is, and Lazur draws a circle and a label around it. This helps when a menu moves after an update. Ask how to do something, and Lazur guides you one click at a time, waiting for each click.
Hold fn to dictate. Lazur types clean, formatted text at the cursor in any app. That fits short confirmations and replies. Dictation also includes snippets, a personal dictionary, and clipboard slots.
Lazur does not click buttons, edit files, or operate Outlook for you. It is not a plugin or add-in for Outlook, and it has no official tie to any app maker. The Outlook assistant page lists the screens it helps with.

Worked example: a document request from start to finish
Here is one matter from start to finish. A records request came in from opposing counsel. The response date sits in the cover email.
- Triage: flag the cover email and open the full text.
- Calendar: enter the response date as an event, with the source paragraph in the notes.
- Template: open your document request template with File > New > Mail From Template.
- Fill in: add the matter number, the items requested, and the date you need them by.
- Confirm: send the request, then save a copy in the matter folder.
- Remind: set a reminder to check for the response a few days before the date.
Each step leaves a record. If someone asks later, you can show the date, where it came from, and what you sent. That record is the point of the workflow.

What to do next
Start with one template and one calendar rule. Pick the email you send most. Save it as a template this week. Then add the source paragraph to every deadline you enter.

Questions people ask
Does Outlook for Mac have templates for paralegals?
Yes. Save a finished email with File > Save As Template, then reuse it with File > New > Mail From Template. Built-in template controls need a Microsoft 365 subscription and Outlook for Mac 15.35 or later.
Why does My Templates not work in our shared mailbox?
Microsoft says the My Templates add-in works only with Exchange accounts. It does not work in shared mailboxes opened in Outlook for Mac. Keep your own templates in your own mailbox, and test any shared file before you depend on it.
Can Outlook calculate a court deadline for me?
No. Outlook can store a date, but it does not work out a response deadline from court rules or the method of service. A paralegal education guide advises recalculating deadlines by hand. Check the rule and the service method yourself.
Which Outlook for Mac version should a paralegal run in 2026?
Run the latest release your IT team approves. The latest feature release I could open is 16.114, dated October 14, 2026. The 16.114.3 update from October 27, 2026 lists quality fixes only. Check Outlook > About Outlook for your build.
Will Lazur send my emails or click through Outlook?
No. Lazur points at buttons, answers questions out loud, and guides you one click at a time. It drafts text that it can type at your cursor. You read it and send it yourself.
Is Lazur made by Microsoft or part of Outlook?
No. Lazur is a separate voice assistant for the Mac. It is not a plugin or add-in for Outlook. Lazur has no official tie to Microsoft or to any other app maker.
