Keynote for teachers on Mac: lesson slides, presenter view and themes in Keynote 15.3
Keynote is free on Mac, and it handles most lesson decks well. Use it for slides, presenter notes, and one reusable theme, and check your version before you rely on any feature. This guide covers the setup that matters in class, and the places where Keynote gets awkward with colleagues on Windows.
You say“Lazur, how do I rehearse with my presenter notes?”
Lazur · walks you through itLazur points at the Play menu, then guides you to Rehearse Slideshow one click at a time, waiting for each click.
Quick answer
- Keynote is free on Mac. Check Keynote > About Keynote, since some newer features need Creator Studio.
- Save one custom theme for each subject with File > Save Theme, and set the slide layouts first.
- Put your script in presenter notes, then rehearse with Play > Rehearse Slideshow and Option-X.
- Test any PowerPoint export on the school's Windows computer a day early, not the morning of class.

Is Keynote good enough for teaching on a Mac?
Yes, for most lesson decks. Keynote is free on Mac, and it handles slides, photos, and presenter notes well. Its best feature for teachers is the theme system, because one good theme can carry a whole unit. It gets awkward when files go to colleagues on Windows, and when newer features sit behind a paid plan.
This guide covers the version to check, a theme you can reuse, rehearsal with presenter notes, video calls, large files, and PowerPoint exports. Each section gives you a menu path to click. Where I could not confirm something, I say so.

Check your Keynote version before you plan a lesson
Open Keynote > About Keynote and read the version number. In January 2026, MacRumors reported that Keynote 14.5 would no longer get new features of any kind. New features moved to the separate Apple Creator Studio edition, version 15.1.
Keynote 15.3 shipped in June 2026, alongside updates to Pages and Numbers. 9to5Mac reported that everyone gets new transitions and builds, such as shift and radial wipe, plus easier image replacement from the Content Hub. Generating editable shapes from text is for Creator Studio subscribers only.
- Open Keynote > About Keynote and note the version.
- If it reads 15.3 or newer, the steps in this guide should match what you see.
- If it is older, update Keynote first, or ask your school's IT team whether the Mac is managed.
- If a feature is missing, check whether it needs Creator Studio before you assume something broke.
What Creator Studio costs and who gets the education price
In the US, Creator Studio costs $12.99 per month or $129 per year, according to MacRumors. Subscribers also get exclusive themes, the Content Hub, AI image generation, and iCloud collaboration on files up to 4GB.
Apple's student page lists education pricing of $2.99 per month or $29.99 per year after a free trial. The page says only college students and educators qualify, and verification is needed once a year. Family sharing is not available at that price.
The student page does not say that teachers in primary and secondary schools qualify. Ask your district before you buy anything with your own card. If the school pays, ask which Apple Account holds the license, because your themes follow that account.
Build one theme for each subject
A theme is the fastest way to make decks look like yours. Keynote saves only slide layout changes to a custom theme. Titles, bullet text, and two-column layouts should be right before you save. Words and photos on a finished slide stay behind.
Set the aspect ratio before you add content. Apple's Keynote help page lists aspect ratio alongside themes, so pick the shape your projector uses first. Changing it after you build means fixing layouts on every slide.
Save the theme with File > Save Theme. Choose Add to Theme Chooser to keep it inside Keynote, or Save to a file if you want a copy to send. Saved themes appear under My Themes.
Themes sync across Macs that use the same Apple Account, with iCloud Drive turned on. Themes appear in the order you added them, and you cannot rearrange them. Name them so the list makes sense, for example Science Light or History Dark.
| Job | Where to go | Watch for |
|---|---|---|
| Save a custom look | File > Save Theme | Only slide layouts are saved, not slide content |
| Find your saved looks | Theme chooser, under My Themes | The order is fixed, so name themes clearly |
| Sync to other Macs | Same Apple Account, iCloud Drive on | A different Apple Account will not see the theme |
| Share a theme file | File > Save Theme > Save to a file | Send the file itself, not just the name |
A worked example: a unit theme in four steps
- Pick one plain layout for titles and one for bullet text.
- Set the font and colors on those layouts, not on each slide.
- Save with File > Save Theme, then choose Add to Theme Chooser.
- Start a new deck from the theme and check it on the projector before the unit starts.
Test the theme with a real slide full of text. A plain layout that works on your laptop can look crowded on a projector. Adjust the layout, then save the theme again under a new name, so the first version stays usable.
Rehearse with presenter notes before class

Presenter notes are where your script lives. Write the words you want to say in the notes, and keep the slide itself light. Then choose Play > Rehearse Slideshow. The presenter display opens with your notes on it.
Press X to switch between the presenter display and the slide. With an external display connected, press Option-X to choose which display shows the slide. Press Esc to stop rehearsing. You can edit notes during rehearsal.
Choose Play > Customize Presenter Display to move and resize items. Do this on the Mac and the projector you will use in class. A layout that fits your laptop can feel cramped on a projector.
Use a real lesson for the practice run. Take a lesson with a warm up, a new idea, and a practice task. Rehearse the transitions between them, because the transitions are where your timing shows.
Common rehearsal mistakes that waste class time
- Rehearsing only on the laptop screen, then finding the projector shows the wrong display.
- Writing the full script on the slide, so students read while you turn your back.
- Forgetting that Esc stops the rehearsal, so press it before you go back to editing.
- Testing a copy with the videos removed, then finding the real file runs slowly.
- Keeping the script only in your head, so a substitute has nothing to read.
Teach from a laptop during a video call
Apple's Keynote help page says presenter notes and controls stay in a separate window on your Mac during video calls. That keeps the notes off the shared screen while students see the slide.
Keynote for iCloud lets colleagues collaborate on a shared presentation from a web browser on a Mac or Windows computer. A co-teacher can edit the deck from a Windows laptop before a lesson.
Run one practice call before the first lesson. Share the window you plan to show, then check that the notes stay on your side. Video apps handle screen and window sharing in different ways, so test the app your school uses.
Large decks and slow slideshows
Apple's guide says a presentation over 500 MB, or one with large video or image files, may perform better as a package. Save it with File > Advanced > Change File Type > Package. The guide is labeled for Keynote 11.1, so confirm the steps on your version.
Shrink photos before you insert them. A camera photo can be much larger than a slide needs. Resize it in Preview first, then insert the smaller file.
Old Apple Community threads describe slideshows that took a long time to start. One 2008 thread traced the delay to a Slideshow preference called Scale slides up to fit display. That thread is old, and I could not confirm the setting exists in current Keynote. Check Keynote > Settings before you rely on it.
Send a deck to a PowerPoint user
Use File > Export To > PowerPoint to make a PowerPoint copy. Keep the original as a Keynote file, so you can edit it later. Export is not a perfect copy, so check each slide after you export.
An older Apple Community thread reported a file that opened in PowerPoint for Mac but was rejected on a Windows PC with the message 'this program was not created in powerpoint'. The top workaround was to re-save the file through PowerPoint for Mac. That thread is old and does not name the Keynote version.
- Export a copy a day before the lesson, not the morning of.
- Open the copy on a Windows computer like your colleague's, if you can.
- If the file is rejected, open it in PowerPoint for Mac and save it again.
- Check transitions and builds. I could not verify how the newer effects from Keynote 15.3 carry into PowerPoint, so test them.
What the survey numbers say about teacher time
A June 2025 Gallup and Walton Family Foundation teacher survey found that 40% of teachers do not use AI at all. Another 28% use it infrequently, and 32% use it at least weekly.
Weekly AI users say they save an average of 5.9 hours per week, compared with 2.9 hours per week for monthly users. These are self-reported estimates about AI in general, not about Keynote. The page I read did not give a sample size, so treat the figures as a rough signal.
A better test is your own. Time one slow task, such as building a unit theme, then time the next one after you have it. Your own numbers will mean more than any survey average.

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥⌘ to ask about anything on screen, and Lazur answers out loud. Ask where a control is, and Lazur circles it and adds a label, so you still do the click yourself.

Ask how to do something, and Lazur guides you one click at a time, waiting for each click. It does not click buttons, edit files, or operate Keynote for you. It is not a plugin or add-in for any app, and it has no partnership with any app maker.
Hold fn to dictate clean text at the cursor in any app. That helps when you draft a script in the notes box. Lazur also handles timers, Apple Reminders, and Calendar events by voice.
Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer you, and they are not stored. Content is never used to train AI models.
Lazur runs on macOS, on Apple silicon and Intel. Windows is planned, not available. Start with the free trial on the download page, then compare plans on the pricing page. For more teacher workflows, see Lazur for teachers.
Mistakes teachers make with Keynote on a Mac
- Putting the full script on the slide instead of in presenter notes.
- Building a deck without checking which Keynote version the Mac runs.
- Assuming the education price for Creator Studio applies to every teacher.
- Saving a theme before the slide layouts are right.
- Sending a PowerPoint copy without opening it on the school's Windows computer.
- Testing only on your own screen, not on the projector you will use in class.
Next steps before your next lesson
- Ask your IT team whether the Mac is managed and which Apple Account it uses.
- Write the first sentence of each slide into its notes, so you can start again after a pause.
- Save a PDF copy of the deck on a USB drive, in case the file or the projector fails.
- Note the one step that slowed you down, then fix that step before the next deck.
If your school issues a shared login for classroom Macs, themes may not follow you home. Ask before you spend an afternoon on a theme you cannot reuse.
