How to create a template in Word on Mac: steps for Microsoft 365 and Word 2024
To create a template in Word on Mac, build the document you want to reuse, then choose File > Save as Template. Name the file, set File Format to Microsoft Word template (.dotx), and click Save to make it available from File > New from Template.
Quick answer
- Build the document with the text, styles, margins and fonts you want to reuse.
- Choose File > Save as Template, type a name, and pick Microsoft Word template (.dotx) under File Format.
- Start new files with File > New from Template, or press ⇧⌘P, then click Create.
- Word saves templates to a User Content folder inside Group Containers unless you change the location in Preferences.
- Word for the web cannot save .dotx files, so keep a .docx copy in OneDrive if you work online.
What you need
- Word for Microsoft 365 for Mac, or Word 2024 or Word 2021 for Mac
- macOS 12 (Monterey) or later, with Office app version 16.83 or later
- A finished document with the layout you want to reuse
How to Create a reusable Word template on Mac in Word on a Mac
Build the document you want to reuse
Write the parts that stay the same and set up the layout first. Add your headings, styles, header and footer, margins, paper size and fonts. Every setting you want in new files should already be in place. Replace real names and figures with placeholders such as [Client name] so you do not paste old details into new files.
Tip: Use Word's heading styles rather than manual formatting. Styles are easier to update later.
Open the Save as Template command
Keep the finished document in front. Click File in the menu bar at the top of the screen, then choose Save as Template. Word opens the Save As box, where you name the template and choose where it goes.
Tip: Work from the finished document, not a blank window, or you will save an empty template.
Type a name for the template
In the Save As box, type a name that says what the template is for. Client proposal is easier to find than Document1. If you keep several versions, add a year, such as Client proposal 2026.
Tip: Pick a name you will still recognize in a list of similar files a year from now.
Pick a location in the Where box
The Where box is optional. Leave it on the default to save in the folder Word uses for templates. Choose another folder only if you have a reason, such as a shared team drive.
Choose Microsoft Word template (.dotx)
Next to File Format, open the menu and pick Microsoft Word template (.dotx). Choose Microsoft Word Macro-Enabled template (.dotm) only if the document contains macros. Most templates do not need macros.
Tip: Word for the web cannot save .dotx files, so see the Word for the web section if you work online.
Click Save
Click Save. Word writes the template file to the folder you chose, or to the default folder if you left Where alone.
Tip: Open File > New from Template right after saving to confirm the template appears in the list.
Start a new document from the template
⇧⌘P
Choose File > New from Template, or press ⇧⌘P. Pick your template and click Create. Word opens a new document based on it, and the template file stays as it was.
Tip: Use Search All Templates if the list is long.
Update the template safely
Open a new document from the template and make your changes there. Then choose File > Save as Template and save under a new name, such as Client proposal v2. Keep the older file until the new one works.
Start from an existing template
If a similar template already exists, start there. Choose File > New from Template, use Search All Templates to find it, and click Create. Edit the document, then choose File > Save as Template and follow the same name, location and format steps.
A Word template is a starting file. It holds the text, styles, page setup and layout you want every new document to begin with. When you open a template, Word makes a new document from it, so the template file stays clean. That is the real payoff. You set up the layout once, then skip the same setup every time you write a proposal, report or letter.
Build the layout before you save
Start with a real document, not an empty page you plan to fill later. Add the parts that never change, and leave out the parts that do. Word saves everything in the file, so anything you leave in will appear every time someone opens the template.
- Page size, margins and orientation
- Fonts, heading styles and paragraph spacing
- Header and footer text, such as your company name
- Placeholder text in square brackets, such as [Client name] and [Date]
- Standard sections like a cover block, a signature line or a contact footer
- Any boilerplate paragraphs you paste into almost every document

Save the file as a template on Mac
Choose File > Save as Template from the menu bar. In the Save As box, type a name. Optionally set a location in the Where box. Next to File Format, pick the template type, then click Save. Those four fields are the whole job.
| File format | Extension | Pick it when |
|---|---|---|
| Microsoft Word template | .dotx | The template has no macros. Most templates fall here. |
| Microsoft Word Macro-Enabled template | .dotm | The document contains macros you need to keep. |
Use .dotx unless the document contains macros. If you are unsure, pick .dotx. It is the safer default for a template that only holds text and layout.
By default, Word saves templates to ~/Library/Group Containers/UBF8T346G9.Office/User Content/Templates. The Library folder is hidden by default on a Mac. To see the folder, use Finder's Go to Folder command and paste the path. Check the folder after you save, so you know the file landed where you expected.
Start new documents from the template
Choose File > New from Template, or press ⇧⌘P. Pick your template from the list and click Create. Word opens a new document based on it. Save that document under its own name, so your edits never go back into the template file.
The list gets long fast. Use Search All Templates to find a template by name. Keep templates for the same job together, and name them so they sort well. A folder with Proposal, Proposal 2 and Proposal final is hard to scan.
Update a template without breaking it
Open a new document from the template and make your changes there. Then choose File > Save as Template and save it under a new name, such as Client proposal v2. Keep the older file until you have checked the new one.
Microsoft's Mac steps do not spell out how to open a saved template for editing. This route avoids that question, and it leaves the original alone. If the new version differs a lot from the old one, start from a similar template instead, then save the result as a new template.
Why a saved layout saves time
A Templafy survey of 2,000 knowledge workers, fielded in August 2026, found that most still edit AI-generated business documents before they are ready. The survey also measured formatting as a specific correction. Templafy is a vendor, so read the results as a signal, not a benchmark.

Change where Word looks for templates
Open Word > Preferences > Personal Settings > File Locations. Select User templates, click Modify, and enter the folder path you want. New templates save there from then on. Check the folder afterward, because older templates may still sit in the previous location.
This matters if your team keeps templates on a shared drive or in a folder that another app syncs. Pick one folder for the team and write it in your onboarding notes. Otherwise each person ends up with a slightly different copy of the same template.
Common mistakes to avoid
- Saving the template as .docx. The file then opens as a normal document, not as a template.
- Leaving real client names, prices or dates in the file. Everyone who starts a document from it sees that old content first.
- Building the layout in a blank window. You save an empty file with no styles to reuse.
- Naming files Document1 or Template. You will not find them again in a list of similar files.
- Expecting Save as Template in Word for the web. Word for the web uses a different copy method, covered below.
- Editing the template and saving over it. That version may be overwritten for everyone who uses it.
Word for the web and version checks
Word for the web does not offer true custom templates like the desktop app. Save the template as a .docx file in OneDrive, open it in Editing view, and choose Create a Copy. Use that copy as the starting point each time.
Check your build too. Microsoft says you need macOS 12 (Monterey) or later and Office app version 16.83 or later to update Office on a Mac. The latest Word for Mac build in Microsoft's update history is 16.114.4 (build 26110224), dated November 4, 2026. Open Word > About Word to see yours.
When Word acts strangely with templates
Every new document starts from Normal.dotm, so a template can carry some of that file's settings with it. If Word shows errors on every new document, Normal.dotm may be damaged. Microsoft's recovery steps move that file out of the way and rename a numbered backup copy to take its place. Keep a copy of the old file first, in case you need it.
Next steps after your first template
Once the template works, look at the rest of the layout. Headers, page numbers and a table of contents are often part of the same setup. The guides on adding a header in Word on Mac and changing the default font in Word on Mac cover settings that Normal carries into every document.
If you build templates for a team, the Word page for HR generalists on Mac covers templates, mail merge and Track Changes in one place.

If it does not work
- The template does not appear in New from Template
- Check the folder under Word > Preferences > Personal Settings > File Locations. Then confirm the file name ends in .dotx or .dotm. A file saved as .docx opens as a normal document.
- New documents carry old fonts, spacing or page setup
- Every new document is based on Normal.dotm. Set the styles and page setup inside the template, and expect some Normal settings to carry over. A Microsoft Q&A moderator found no confirmed Mac method that avoids Normal entirely.
- Word shows errors on every new document
- Quit Word from the Word menu and copy Normal.dotm somewhere safe. In Finder, search for Normal on This Mac and move Normal.dotm to the Trash. Rename the numbered Normal.dotm-(number) file to Normal.dotm, then restart Word.
- Save as Template is missing or does not work as described
- Check your version under Word > About Word. Microsoft says Office on Mac needs macOS 12 or later and app version 16.83 or later to update. Its release notes for the 16.114 builds list quality fixes, not template or menu changes, so update to a current build and try again.
- I need a template in Word for the web
- Save the template as a .docx file in OneDrive. Open it in Editing view, choose Create a Copy, and start each new file from that copy.
- I cannot find the template folder
- Microsoft's current page lists Group Containers/UBF8T346G9.Office/User Content/Templates. Older guides cite ~/Library/Application Support/Microsoft/Office/User Templates, so check there too, or set the folder in Preferences.

Questions people ask
Can I make a template from a document I already have?
Yes. Open the document, check the layout, and remove the real content first. Then choose File > Save as Template and follow the same steps. Anything left in the file will appear in every new document.
What is the difference between .dotx and .dotm?
.dotx is a Word template with no macros. .dotm is a Macro-Enabled template that can hold macros. Most templates need only .dotx, so choose .dotm only when the file has macros you need to keep.
Where does Word for Mac save templates by default?
By default, Word saves templates to ~/Library/Group Containers/UBF8T346G9.Office/User Content/Templates. To change it, go to Word > Preferences > Personal Settings > File Locations, select User templates, click Modify and enter the folder path.
Can I create a template in Word for the web?
Not a true template. Save a .docx copy in OneDrive, open it in Editing view, and choose Create a Copy for each new file. Desktop Word on Mac is the place to save a .dotx template.
Does this work in Word 2024 or Word 2021 for Mac?
Microsoft's Create a template page covers Word 2024 and Word 2021 for Mac, along with Microsoft 365. If your menus look different, check your build under Word > About Word and update it.
Why do new documents from my template have extra Normal settings?
Every document is based on Normal.dotm, and a template can carry some of its settings. A Microsoft Q&A moderator says no confirmed method builds a fully clean Mac template unrelated to Normal.
