How to password protect a document in Word on Mac: steps for Microsoft 365
To password protect a document in Word on Mac, open the file in the Word desktop app and go to Review > Protect > Protect Document. Under Security, type an open password, a modify password or both, confirm each one, then save the file.
Quick answer
- Open the file in the Word desktop app, then go to Review > Protect > Protect Document.
- Under Security, set an open password, a modify password or both. Retype each one to confirm.
- Passwords are case-sensitive and can be up to 15 characters. Word cannot recover a lost one.
- Save the file. Microsoft says the password takes effect only after you save.
- Word for the web cannot add a password, so click Open in Word first.
What you need
- A Mac with Word for Microsoft 365 or an older Word version such as Word 2024 installed
- The document open in the Word desktop app, not in Word for the web
- A password you can store somewhere safe before you save the file
How to Password protect a Word document on Mac in Word on a Mac
Open the file in the Word desktop app
Open the document in Word for Mac, not in a browser tab. If it opens in the browser, click Open in Word. Word for the web cannot add a password, so the desktop app is the place to do this.
Tip: Double-click the file in Finder if Word is already your default app for it.
Open the Review tab
Click Review in the ribbon at the top of the Word window. The protection options for the document sit on this tab.
Choose Protect Document
Click Protect on the Review tab, then choose Protect Document. A Security section with password fields opens.
Tip: If you do not see Protect on the Review tab, read the Tools menu section below before you go on.
Enter an open password
Under Security, type a password in the field labeled Set a password to open this document. Leave this field empty if anyone should be able to open the file.
Tip: Word stops anyone without this password from opening the file.
Enter a modify password
To let people read but not change the file, type a password in the field labeled Set a password to modify this document. You can fill in this field, the open field or both.
Click OK and confirm each password
Click OK. Word asks you to enter each password again. Type it exactly as before, then click OK. Passwords are case-sensitive and can be up to 15 characters.
Tip: Write the password down or save it in your password manager before you click OK.
Save the document
⌘ S
Choose File > Save. Microsoft says the file must be saved for the password to take effect, so do not skip this step.
Tip: Save again after any password change, then test the lock.
Close and reopen to test
Close the document, then open it again. Word should ask for the password before it shows the content.
Tip: If the file opens with no prompt, repeat Protect Document and save again.
Before you start in Word for Mac
You need the Word desktop app on your Mac. Microsoft's support page says the password steps work in Word for Microsoft 365, Word 2024, Word 2021, Word 2019 and Word 2016. If you run an older version, the steps should match, but check your Review tab before you rely on them.
Open the file in the desktop app, not in a browser tab. A file that opens in the browser runs in Word for the web. Word for the web cannot password-encrypt a document, and it cannot edit a file that already has a password. Click Open in Word to move the file into the desktop app.
Microsoft's release notes list Word 16.114.3, build 26102720, dated October 27, 2026. The notes describe it as quality and performance improvements. They do not mention password protection, so the steps on this page should still apply. To check your version, choose Word > About Word.
Open password or modify password: which one do you need?
Word gives you two separate locks. An open password stops anyone without it from reading the file. A modify password lets people open and read the file, but they need the password to make changes. You can set either one, or both.
Choose an open password when the content itself is private. A signed contract, a client report or a file with personal details fits this case. Choose a modify password when people need to read a file but should not change it, such as a draft policy that a team reviews.

Using both locks gives the most control. It also means two passwords to remember, and that is where people get stuck. If you need only one lock, fill in one field and leave the other empty.
A worked example: locking a contract and a draft
Say you finish a service contract that a client must sign. You want only the client and your legal team to read it. Set an open password, store it in your password manager, and send it to the client in a separate message.
The same week, you share a draft proposal with a group of colleagues for comment. They need to read it, but you do not want anyone to change your version. Set only a modify password. Anyone can open the file, but changes need the password you keep.
The two files need different locks because each one has a different job. Decide who does what with each file first. Then open Protect Document and set the lock that matches.
Choose a password Word will accept
Microsoft says Word for Mac passwords are case-sensitive and can be up to 15 characters long. Case matters, so Budget and budget do not match. Type the password the same way every time.
- Keep it at 15 characters or fewer, the limit Microsoft gives.
- Check Caps Lock before you type, because a case-sensitive password fails when one letter is wrong.
- Retype it exactly when Word asks you to confirm.
- Store it in a password manager before you click OK.
- Do not reuse the password from your Apple ID or your email account.
Short passwords are easy to guess. For a sensitive file, use a random mix of letters, numbers and symbols that fits within the limit. A phrase you can type easily suits a low-risk draft, but it is weaker against guessing.
Remove or change the password later
To remove a password, open the file with its current password. Go to Review > Protect > Protect Document, clear the password field or fields, click OK, and save. Tufts University IT describes the same method: repeat the steps without a password, then save.
To change a password, open the file, return to Protect Document, and type the new password in the field. Confirm it, click OK and save. You need the current password to open the file, so have it ready before you start.
Test the lock before you send the file
Close the document after you save it. Reopen it from Finder or from Word's recent files. Word should ask for the password before it shows the content. If the file opens with no prompt, the protection did not save, so go back to Protect Document and repeat the steps.
Test the modify password too. Open the file and try to make a small edit. Word should ask for the modify password before it lets you change the text. Close the file without saving if you only wanted to check the lock.
Send the password safely
Do not put the password in the same email as the file. Send it in a separate message, or in person, and tell the recipient which lock it opens. A password on a file is only as safe as the way it travels.
Think about who will need the file later. If a colleague leaves, they take the password with them unless you recorded it somewhere the team can reach. Keep a note in your password manager under the file name.

World Password Day: Global Survey 2025, BitwardenForgetting passwords is common. Bitwarden's 2025 World Password Day survey found that 55% of respondents had abandoned an account or created a new one to avoid a password reset. Among Gen Z respondents, 30% say they often or always forget passwords to important accounts. The survey covered over 2,300 employed adults in six countries. Bitwarden sells password software, so treat the figures as a signal rather than a national count.
What to do if you forget the password
Word cannot recover a document password you forget. Microsoft says so on its support page. An administrator can help only if the DocRecrypt tool was in place before the password was created. For most people, that means the file stays locked.
Your best protection is a second copy. Keep an unprotected version in a secure place, or save the password in a password manager before you lock the file. A copy costs little. A locked file with no password can cost you the whole document.
Why Word for the web will not protect your file
Microsoft says Word for the web cannot password-encrypt a document. It also cannot edit a document that is already encrypted. If the file opens in your browser, the Protect Document steps will not work there.
The fix is simple. Click Open in Word, then follow the steps on this page in the desktop app. If a colleague sends you an encrypted file that will not edit in the browser, open it in the desktop app and enter the password there.

The incorrect password error on Mac
Some people see Word say the password is incorrect even when they type what they remember. A Microsoft Q&A thread describes this on Word for Mac. The moderator suggested clearing Office entries in Keychain Access and restarting. The original poster said the error stayed, and the thread has no marked fix.
Start with the basics before you touch Keychain Access. Turn off Caps Lock, type the password slowly, and try the file on another Mac if you have one. If the password still fails, use your backup copy.
Older guides point to the Tools menu
Some older Mac guides, and one Microsoft Q&A answer, send you to Tools > Protect Document. That answer was about removing personal information from a file in Word for Mac version 16.108.1. The Tools menu can open a different dialog, so read the labels before you set a password.
The Tufts University IT guide gives the same Review path as Microsoft. Its footer shows Copyright 2018, so its screenshots may predate the current menus. Trust the written steps, and check what you see on your own screen.
Windows path for mixed teams
If someone on your team uses Windows, the path starts differently. On Windows, go to File > Info > Protect Document > Encrypt with Password. Microsoft says the file must be saved for the password to take effect.
Agree on one method across the team before you share files. Everyone should know which lock to expect and where to find the setting on their own computer.
Mistakes people make with Word passwords
- Setting the password and closing the file without saving. The lock does not hold until you save.
- Using the open password when the team only needs to read and comment.
- Typing the password with Caps Lock on, then confirming it with Caps Lock off.
- Sending the password in the same email as the file.
- Assuming the password stops someone from copying the text.
- Locking the only copy of a file with a password nobody wrote down.
What a Word password does not protect
A Word password protects the file while it is closed. Anyone with the password can open it, copy text, paste it into another document or take a screenshot. The password does not follow the words once they leave the file.
For sensitive documents, a password is one layer. Limit who gets the file, delete old copies and use your organization's sharing tools. Password protection works best alongside those habits.

If it does not work
- Word says the password is incorrect
- Turn off Caps Lock and retype it slowly, since passwords are case-sensitive. A Microsoft Q&A thread suggests clearing Office entries in Keychain Access and restarting, but its poster said the error stayed. If it still fails, use a backup copy.
- I cannot find Protect Document
- Make sure the file is open in the desktop app, not Word for the web. Then check the Review tab for Protect. Some guides point to Tools > Protect Document, so check that menu too.
- The lock did not stick after I saved
- Close the file and reopen it. If Word opens it with no prompt, go back to Review > Protect > Protect Document, enter the password again, click OK and save.
- Password is longer than 15 characters
- Microsoft says passwords can be up to 15 characters. Shorten it, then store the new password in a password manager before you save.
- Recipient cannot edit the encrypted file in the browser
- Word for the web cannot edit encrypted files. Open the file in the desktop app with Open in Word, then enter the password.
- I forgot the document password
- Word cannot recover it. Check for a backup copy, and ask whether an administrator used the DocRecrypt tool before you set the password. If neither exists, the file stays locked.

Questions people ask
Do I need Microsoft 365 to password protect a Word document on Mac?
No. Microsoft says the same Review > Protect > Protect Document steps apply to Word 2024, Word 2021, Word 2019 and Word 2016, as well as Word for Microsoft 365. Check the menus in your version before you start.
What is the difference between an open password and a modify password?
An open password stops anyone without it from reading the file. A modify password lets people open and read the file, but they need the password to edit it. You can set one, the other, or both.
How do I remove a password from a Word document on Mac?
Open the file with its current password, then go to Review > Protect > Protect Document. Clear the password field or fields, click OK and save. Tufts University IT describes the same method.
Can Word recover a password I forgot?
No. Microsoft says Word cannot recover a lost document password. An administrator can help only if the DocRecrypt tool was in place before the password was created. Keep a backup copy to avoid this.
Is there a keyboard shortcut for password protecting a Word document on Mac?
Microsoft's page does not list a keyboard shortcut for this task, so the steps use the menus. Save the file with Command S after you set the password, since Microsoft says the file must be saved for the password to take effect.
How long can a Word for Mac document password be?
Microsoft says up to 15 characters. Passwords are case-sensitive, so Budget and budget do not match. Retype the password exactly when Word asks you to confirm it.
Why won't Word for the web add a password?
Microsoft says Word for the web cannot password-encrypt a document or edit one that already has a password. Click Open in Word to work in the desktop app instead.
Does a Word password stop someone from copying text?
No. Once someone opens the file with the password, they can copy text, paste it elsewhere or take a screenshot. A password protects the file while it is closed, not the words after they leave it.
Why does Word say my password is incorrect when I am sure it is right?
Check Caps Lock first, because passwords are case-sensitive. A Microsoft Q&A thread describes the same error on Word for Mac, and its suggested Keychain Access fix has no confirmed result. Use a backup copy if you have one.
Can someone on Windows open a file I protected on a Mac?
Yes, if they have the password. On Windows the path is File > Info > Protect Document > Encrypt with Password, and Microsoft says the file must be saved for the password to take effect.
