How to save as a PDF in Word on Mac: Microsoft 365 and 2024 steps

To save as a PDF in Word on Mac, choose File > Save As, enter a new file name, set File Format to PDF, and select Export. Press ⇧⌘S to open Save As, and give the PDF a new name, because keeping the original name converts the Word file.

Quick answer

  • Choose File > Save As, or press ⇧⌘S.
  • Enter a new file name. Keeping the original name converts the document to PDF.
  • Set File Format to PDF, then select Export.
  • Use File > Share > Send PDF to attach a PDF to a new email.
  • In Word for the web, choose File > Export > Download as PDF.

What you need

  • A Word document open in Word for Mac
  • Word for Microsoft 365, Word 2024 or Word 2021 for Mac
  • A new file name for the PDF, different from the Word file
  • Word for the web, optional, if the desktop export fails

How to Save a Word document as a PDF on Mac in Word on a Mac

  1. Open the finished document

Open the Word file and make sure the content is final. The PDF is a snapshot, so every later edit means exporting again.

  2. Open the Save As window

    FileSave As⇧⌘S

Click File in the menu bar, then choose Save As. For a file stored in the cloud, Microsoft's steps say File > Save As or Save a copy, so use whichever your menu shows.

Tip: Press ⇧⌘S to open the window without using the menu.

  3. Give the PDF a new name

Type a file name that differs from the original. Keeping the same name converts the document to PDF, and converting it back needs specialized software or a third-party add-in.

Tip: Add PDF to the name so you can tell the two copies apart.

  4. Set File Format to PDF

    File FormatPDF

At the bottom of the Save As window, open the File Format box and select PDF. Word for Mac then offers PDF options, including Best for printing and Online Service.

  5. Pick the PDF option

Choose Best for printing for a print shop or a fixed layout. Choose Online Service for screen viewing or uploads, and embed your fonts first because custom fonts get substituted.

Tip: Microsoft says hyperlinks may not convert correctly with Best for printing, so test them.

  6. Select Export

Select Export to create the PDF. If Word is saving a cloud file, Microsoft's steps say to select Save instead. Word writes the PDF to the location you picked.

  7. Open and check the PDF

Open the new PDF in a viewer, scroll every page, and click a few links. Check fonts, images and page breaks. If something moved, fix the Word file and export again.

Tip: Keep the .docx. It stays editable, and the PDF stays a copy.

Microsoft's Mac help page on saving to PDF covers Word for Microsoft 365, Word 2024 and Word 2021 for Mac. It doesn't name an exact build, so the steps in this guide follow the menus that page describes. The newest build in Microsoft's Office for Mac release notes is version 16.114.3 (Build 26102720), dated October 27, 2026. Its Word section lists only quality and performance improvements.

The Save As route, from start to finish

Save As is the main route for PDFs on Mac, and it's built into Word. You open the window, name the copy, choose PDF in the File Format box, and select Export. The steps are short, and the export time depends on how long the document is. If you see Save a copy instead of Save As, use it. Microsoft's cloud file steps list both options, so the wording depends on where the file lives.

Keyboard shortcuts that speed this up

⌘ is the Command key and ⇧ is Shift. Press ⌘S to save the open file, and press ⇧⌘S to open Save As. Both shortcuts come from Microsoft's Mac save guide. Neither one creates a PDF on its own. Once Save As is open, you still need to set File Format to PDF.

Why the original name is risky

This is the mistake that costs people the most time. Keep the same name in Save As, and Word converts the document to PDF. Microsoft says converting it back needs specialized software or a third-party add-in. Keep a copy of the .docx before you export, just in case. That habit takes seconds and saves a lot of rework.

Send a PDF by email from the Share menu

If the PDF only needs to reach one person, skip Save As. Go to File > Share > Send PDF. Word creates a PDF and attaches it to a new email message. Check the attachment before you send it, and open it once. It's the quickest route for a one-off email.

Best for printing or Online Service?

After you pick PDF, Word for Mac offers two PDF options. Best for printing suits a document that goes to a printer or print shop. Online Service suits a file you'll share on screen or upload. Each option has one trade-off that Microsoft calls out.

Trade-offs listed in Microsoft's Word for Mac PDF notes.
OptionGood forWatch for
Best for printingPrint shops and fixed layoutsHyperlinks may not convert correctly
Online ServiceScreen viewing, email and uploadsOnly fonts Microsoft has rights to are used, so custom fonts get substituted

Microsoft's pages don't settle how links behave with every option. Click every link in the PDF after you export, whichever option you choose. Then you know what your readers will get.

Export from Word for the web when desktop fails

Word for the web is a useful backup when the desktop save keeps failing. Open the file in your browser, then choose File > Export > Download as PDF, or Download as PDF with comments. Select Download in the confirmation dialog, and open the download location. Microsoft's April 2026 Word blog gives these web steps, but its desktop steps cover Windows only. That's why this guide relies on the Mac help page for desktop steps.

Fonts and embedding for a PDF that looks right

Fonts can change how a PDF looks more than almost anything else. Online Service can only use fonts Microsoft has rights to, so custom fonts get substituted. Microsoft recommends embedding fonts. Its pages don't give the Mac path for the embedding setting, so look for a font option among the PDF settings before you export. Open the PDF on another computer and check headings and bullets. A swapped typeface usually means the font wasn't embedded.

A workflow that keeps the Word file editable

Here's a simple setup that many people use. Keep the .docx as your master file. When a version is final, export a PDF with a clear name, and send only that PDF. If someone asks for a change, edit the Word file and export again. Don't edit the PDF by hand, because two versions drift apart fast.

Large files need more care. A Microsoft Q&A thread from March 2026 describes a 349-page document with linked images that failed to export as optimized for electronic distribution. The file was 3.9 MB. The thread's moderator suggested exporting from Word for Windows instead, and no confirmed fix appears in the thread. Plan extra time for a document like that, and check every image after export.

Check the PDF before you send it

  • Open the PDF in a viewer and scroll through every page.
  • Click each hyperlink, and confirm it goes where you expect.
  • Look at fonts, headers, footers and page numbers.
  • Check images, especially linked ones, for blur or missing pictures.
  • Confirm the file name says PDF and that it matches the latest edit.

Give the export a minute of attention. A PDF goes to people who usually can't edit it, so a typo or a broken link is harder to fix after it leaves your hands.

Mistakes people make when they save as PDF

  • Keeping the original file name, which converts the Word document.
  • Pressing ⌘S and expecting a PDF. It saves the Word file.
  • Choosing Online Service without embedding fonts first.
  • Trusting the links in the PDF without clicking them.
  • Exporting before the last edit, then sending the old version.

How common is PDF sharing at work?

PDFs are common at work, but the surveys behind these numbers aren't about Word on Mac. Adobe Japan surveyed 400 desk workers in August 2024, and 89.0% said they use PDFs in their daily work. A May 2025 survey of 700 business people who use PDFs found that 60.7% work with PDFs of 10 or more pages. Treat both as background, not as a measure of your team.

Where to go next

If the document also needs page numbers, add them before you export so the PDF shows them. See How to add page numbers in Word on Mac. For a long document, a contents page helps readers on screen. See How to insert a table of contents in Word on Mac.

Microsoft's release notes list no Save As or PDF changes in the visible entries from September 16 to October 27, 2026. That page is long, and the visible entries are only part of it. Recheck the menus after a major Office update, and compare them with the steps here.

Save As to PDF does nothing, or the error reads Error 76
An April 2022 Microsoft Q&A thread for Word 16.59 on a MacBook Pro suggests this: go to Apple menu > System Settings (System Preferences on older macOS) > Printers & Scanners, Control-click the printer list, choose Reset printing system, then add your printers again. The thread doesn't confirm it worked, and Apple's current menu names weren't verified here.
Optimized for electronic distribution fails on a large file
A March 2026 Microsoft Q&A thread reports this for a 349-page, 3.9 MB document with linked images. The moderator suggested exporting from Word for Windows or rolling back to a build from before mid-February 2026. No confirmed fix appears, so try Word for the web as a backup.
Links don't work in the PDF
Microsoft says hyperlinks may not convert correctly with Best for printing. Test each link in the PDF. If they break, export again with Online Service and test once more, because the sources don't agree on this.
Fonts look different from the Word file
Online Service can only use fonts Microsoft has rights to, so custom fonts get substituted. Microsoft recommends embedding fonts. Embed them, export again, and compare headings and body text on another computer.
The Word file was converted by mistake
If you kept the original name, Word converted the document to PDF. Microsoft says converting it back needs specialized software or a third-party add-in. Look for a copy in your backups or cloud storage before you try anything else.

Questions people ask

Can I save a Word document as a PDF on Mac without Save As?

Yes. Choose File > Share > Send PDF to attach a PDF to a new email message. In Word for the web, choose File > Export > Download as PDF instead. Both routes skip the Save As window, but they give different results, so pick the one that fits where the PDF is going.

What is the shortcut to save as a PDF in Word on Mac?

Microsoft's Mac save guide lists ⌘S and ⇧⌘S. ⌘S saves the open file in its current format, and ⇧⌘S opens Save As. Neither exports a PDF on its own, so set File Format to PDF in the Save As window.

Why did my Word file turn into a PDF when I saved it?

You probably kept the original file name in Save As and chose PDF. Microsoft warns that this converts the document. Converting it back needs specialized software or a third-party add-in, so always enter a new name in Save As.

Can I turn the PDF back into a Word file?

Not with Word alone, according to Microsoft. You need specialized software or a third-party add-in. Keep your .docx file so you never need to convert back in the first place.

What is the difference between Best for printing and Online Service?

Best for printing suits print shops and fixed layouts, and hyperlinks may not convert correctly with it. Online Service suits screen viewing and uploads, but only fonts Microsoft has rights to can be used, so custom fonts get substituted. Choose by where the PDF is going.

Why does Save As do nothing on my Mac?

A community thread from April 2022 ties this to the printing system and Error 76. The suggested fix is to reset the printing system and add your printers again. The thread doesn't confirm that the fix worked, so keep Word for the web as a backup.

Which Word versions do these steps cover?

Microsoft's Mac PDF help covers Word for Microsoft 365, Word 2024 and Word 2021 for Mac. It doesn't give exact steps for each build. The newest Office for Mac build in Microsoft's release notes is 16.114.3 (Build 26102720), dated October 27, 2026.

Should I send a PDF or the Word file?

Send a PDF when the layout must stay fixed and the reader only needs to look. Send the Word file when the person needs to edit it. Many people export the PDF last, after edits are done, and keep the .docx for changes.
