Quick answer

  • Dictation in Word for Mac sits on the Home tab, in the Voice group, as the Dictate button.
  • Press Option (⌥) + F1 to start it, then wait for the button to turn on before you speak.
  • You need a Microsoft 365 subscription, a microphone and a reliable internet connection.
  • If Dictate is greyed out, check that the document is not Read-Only.
  • Give Word microphone access in System Settings > Privacy & Security > Microphone.

What you need

  • Microsoft 365 subscription, with you signed in to Word
  • A microphone on the Mac and a reliable internet connection
  • Word for Microsoft 365 for Mac, or Word 2024 or 2021 for Mac
  • Microphone access for Word in System Settings
  • Dictation turned on in System Settings > Keyboard > Dictation

How to Start dictating in Word on Mac in Word on a Mac

  1. Sign in to Microsoft 365

Open Word and sign in with the Microsoft 365 account that holds your subscription. Microsoft limits dictation to subscribers, so a signed-out copy will not give you a working Dictate button.

  2. Open a new or existing document

    FileNew Blank Document⌘ N

Choose File > New Blank Document to start fresh, or open a file you already have. If the file is Read-Only, Dictate can appear greyed out.

Tip: A blank document is the fastest test. Dictate a few sentences there before you start a long report.

  3. Put the cursor where the text goes

Click in the body of the document at the spot where the first word should go. Dictation types at the insertion point, so a cursor in the wrong place sends text there.

  4. Open the Home tab

    Home

Click the Home tab in the ribbon. The Dictate button sits in the Voice group, on the far right of the tab.

Tip: If you cannot see the Voice group, widen the Word window and confirm you are on Home, not Insert or Review.

  5. Select Dictate

    HomeDictate⌥ F1

Choose Home > Dictate. You can also press Option (⌥) + F1 from the document. Word starts a dictation session.

Tip: Microsoft documents Option (⌥) + F1 for Mac. If the shortcut does nothing, use the menu path.

  6. Wait for the button to turn on

Wait until the Dictate button turns on and Word starts listening. Microsoft's steps say to wait for this before you speak.

  7. Speak in full sentences

Talk at a steady pace, in the language set in the gear menu. Pause between sentences. Check each paragraph before you move on, so errors stay small.

  8. Pause, stop or delete with voice

Say "pause dictation" to pause, or "stop dictation" to end the session. Say "delete that" to remove the last thing Word typed.

Tip: Microsoft's list does not say these commands are Mac-only. Test them in a blank document first.

  9. Open the gear settings

Select the gear icon for Dictate to open Spoken Language, Microphone, Auto Punctuation and Filter sensitive phrases. Change what you need, then close the panel and keep going.

  10. Close dictation when you finish

Say "exit dictation" or "close dictation" to turn the feature off. Then save the document, so a dropped connection does not cost you the session.

Tip: Save before you dictate a long section, not after.

This guide covers Word on the Mac. Dictation in Word is a Microsoft feature. It is not part of macOS, and it is not the same as the Dictation switch in your Mac's keyboard settings. Word's version turns your speech into text inside the open document. Apple's version types into whichever app you are using. This page covers Word first, then explains where Apple's version fits.

Microsoft's Applies To list names Word for Microsoft 365 for Mac, Word 2024 for Mac and Word 2021 for Mac. The same article says dictation needs an active Microsoft 365 subscription. If you use Word 2024 or 2021, confirm your account has a subscription before you troubleshoot anything else.

What you need before you dictate in Word

Microsoft lists a short set of needs. Miss one and Dictate may not work. Check these items before you spend time on settings.

  • A Microsoft 365 subscription, with you signed in to Word.
  • A working microphone on the Mac, either built in or connected.
  • A reliable internet connection while you dictate.
  • Microphone access for Word in System Settings, covered later on this page.
  • Dictation turned on in System Settings > Keyboard > Dictation.

Which versions of Word for Mac have Dictate

Step by step: start dictation in Word on Mac

The steps below follow Microsoft's Mac instructions. Work through them in order the first time. After that, most people only need the start and stop steps, which are four to five and ten.

Voice commands to say while dictation is on

Microsoft lists a few voice commands. Say them out loud while dictation is running. Microsoft does not say whether these commands are specific to Mac, so test them in a blank document first.

  • "Stop dictation" ends the session.
  • "Pause dictation" holds the session and stops new text for now.
  • "Exit dictation" or "close dictation" turns the feature off.
  • "Delete that" removes the last thing you said.

Use "delete that" right after a misheard phrase. Microsoft describes it as removing the last spoken utterance, so the sooner you say it, the cleaner the fix. Keep talking after that, and the cleanup gets harder to follow.

Settings in the Dictate gear menu

The gear icon for Dictate opens the controls that change how Word listens. Microsoft lists four settings. Check them before a long session, not halfway through a letter.

  • Spoken Language sets the language Word listens for. Pick the language you speak.
  • Microphone chooses the input. Use it when Word picks the wrong mic.
  • Auto Punctuation adds punctuation where it is available. Microsoft marks it as available only where supported, so it may not appear for every language.
  • Filter sensitive phrases masks those phrases with asterisks. Turn it on if other people can see your screen.

Which languages Word dictation supports

Microsoft supports 15 spoken languages and variants for Word dictation. Another 36 are in Preview. Microsoft says Preview may have lower accuracy or limited punctuation support. The table lists the supported group.

If your language is in Preview, dictation can still work. Expect more corrections. Check the Spoken Language setting first if the output looks like the wrong language.

Give Word and macOS access to the microphone

Microsoft moderators point to three places on the Mac. Each one is a separate switch. Check all of them before you change anything else.

  1. Open System Settings from the Apple menu, then choose Privacy & Security > Microphone and turn on Word.
  2. On the same page, check Speech Recognition for Word.
  3. Open Keyboard in the sidebar, choose Dictation, and turn it on. Click Enable if prompted.
  4. If you use Screen Time, open Content & Privacy > App & Feature Restrictions and check that Siri & Dictation is allowed.

Quit Word after you change these settings, then open it again. A Microsoft moderator advised quitting Word fully before the reset step, so do the same here. Test in a blank file before you dictate a real document.

When Dictate is greyed out or does nothing

Start with the document, not the microphone. Microsoft's only documented fix for a greyed-out Dictate button is to make sure the note is not in a Read-Only state. Open an editable copy or a new blank document, then check the Home tab again.

If the button works but no text appears, the problem is usually the microphone or the permissions above. Check the Microphone setting in the gear menu. Then confirm the Mac hears you by checking the input level under System Settings > Sound.

Word for the web uses the same button, with caveats

Microsoft's Word for the web article uses the same Home > Dictate path. You select Dictate to start, speak, then select Dictate again to stop. The page also lists ALT + ` as a resume shortcut and asks for Windows 10 or later. That makes it Windows-centric. It does not include Mac or browser steps, so if you use the browser version on a Mac, test it in a blank file before a deadline.

Apple's Dictation is a separate feature

macOS has its own Dictation, under System Settings > Keyboard > Dictation. It types into the app you are using, not only into Word. You can start it with the Microphone key, a shortcut you set, or Edit > Start Dictation. Apple says it stops after 30 seconds without detected speech.

In Apple's shortcut menu, choose Customize to set your own key. Apple's example is Option-Z. You can also choose Press Fn Key Twice. Pick a shortcut that does not clash with Word's Option (⌥) + F1.

On macOS 27, Apple uses an on-device model for spelling, punctuation and capitalization in dictation. That part is English only. It needs an M3 or later Mac with at least 12GB of unified memory, according to Apple's en-gb guide.

Common mistakes people make with dictation in Word

  • Talking before the button turns on. Wait until Word shows it is listening, then speak.
  • Leaving the wrong Spoken Language set. Check the gear menu before a long session.
  • Dictating into a Read-Only file, then blaming the microphone.
  • Expecting Word 2019 for Mac to have Dictate. Microsoft's list does not include it.
  • Resetting microphone privacy as a first step. The reset clears choices for every app, so save it for last.
  • Treating Word dictation and macOS Dictation as one setting. They have separate controls.

How much faster is dictation than typing?

Microsoft does not publish speed or accuracy figures for Word dictation, so this page does not give one for Word. The nearest number I can source comes from a 2016 arXiv study on phones, not Word on a Mac.

In that study, speech entry of short English messages on an iPhone 6 Plus reached 153 words per minute. Keyboard entry reached 52. The study reports speech as 2.93 times faster. Treat that as a hint about speed, not a promise for your long report.

Check your Word version and recent updates

Microsoft's release notes list Word for Mac version 16.114.3, build 26102720, dated October 27, 2026. Microsoft describes it as quality and performance improvements. The notes for 16.113.3 through 16.114.3 do not mention Dictate, dictation or voice features.

To find your version, open Word and choose Word > About Word. Compare the number with the release notes. If your version is older, open Help > Check for Updates and install what Microsoft offers.

A workflow for long dictation sessions

Dictate in short blocks. Speak one section, pause dictation, read it back, then continue. Short blocks make it easier to fix errors with "delete that" before they pile up.

Check names and figures by eye. Unusual names and numbers are the places errors are most likely to appear. Type those yourself afterward, or read them back slowly.

Save before a long session. Dictation needs a reliable connection, and a drop can interrupt it. A saved copy means a dropped session costs you less.

Where to go next

Once the text is in, the next jobs are usually structure and review. Add a table of contents in Word on Mac for longer files. Turn on Track Changes in Word on Mac before a colleague reviews the draft. For a broader view of Word on the Mac, see the Word page.

If it does not work

Dictate button is greyed out
Make sure the note is not in a Read-Only state, as Microsoft advises. Open an editable copy or a new blank document, then check the Home tab again. Also confirm your Microsoft 365 sign-in.
Word does not pick up my voice
Turn on Word in System Settings > Privacy & Security > Microphone and check Speech Recognition for Word. Then check System Settings > Keyboard > Dictation. Quit and reopen Word after each change.
Permissions still look wrong
A Microsoft moderator suggests quitting Word fully, then running tccutil reset Microphone and tccutil reset SpeechRecognition in Terminal. Those commands reset choices for every app, not just Word, so use them last.
Dictation stops by itself
Apple's Dictation stops after 30 seconds without speech. Microsoft gives no Word timeout, so restart with Option (⌥) + F1. If it keeps stopping, check the input level in System Settings > Sound.
Text is in the wrong language or full of errors
Open the gear settings and confirm Spoken Language matches what you speak. Speak at a steady pace and check the Microphone choice. Preview languages may have lower accuracy.
Sensitive words show as asterisks
Filter sensitive phrases masks certain words with asterisks. Open the gear settings and turn the filter off if you need those words in the document.
