Notion for founders on Mac in 2026: a startup wiki, roadmap and investor CRM

Notion for founders on Mac works as a shared home for the company. You can keep the wiki, roadmap, investor CRM and hiring page in one workspace. Start from Notion's Startup in a Box template, then run it in the desktop app on macOS 13 or later. Lazur can walk you through each step by voice while you work.

Three paragraphs: progress this month, one risk, and one ask for investors.

Quick answer

  • Start from Notion's Startup in a Box template. It includes roadmaps, an investor CRM, a company wiki and a careers page.
  • The Mac desktop app needs macOS 13 or later. Check your version first, then install.
  • A Free workspace with two or more owners gets 1,000 blocks in total. Deleting blocks does not lower that count.
  • Large databases slow Notion down. Split them by year, and close the windows you do not need.
  • Hold ⌥ ⌘ to ask Lazur where something is on screen, or to walk you through the next click.

Most founders use Notion for the same few jobs. They keep the company wiki, the product roadmap, the investor pipeline and the hiring page in one place. Notion's own startup guide points new teams to a template called Startup in a Box.

The Mac desktop app is the version most founders keep open all day. It sits in your Dock and opens in its own window. You can skip the browser tab entirely.

This guide covers setup, plan limits and speed. It also shows where Lazur fits. Lazur is a voice assistant that lives in the notch on your Mac. It answers out loud and points at things on your screen, but it does not run Notion for you.

Start from Startup in a Box, not a blank page

Open the template gallery in Notion and search for Startup in a Box. Notion's help guide says the template includes roadmaps, an investor CRM, a company wiki, product launch templates and a careers page. The pieces are split into four stages: ideation, launch, fundraising and scaling.

Work through the stages in order. Skip anything your company does not need yet. A careers page with no open roles only adds clutter to your workspace.

The template gallery holds over 10,000 templates, according to Notion's guide. Pick one template for each job. Do not install three overlapping CRMs. You will spend the first month deleting the duplicates.

The Product Launch announcement template uses Notion AI to draft launch copy. Read every line before you publish it. An AI draft is a starting point, not a final statement.

Build an investor CRM as a Notion database

An investor CRM is a database with one row per investor. Each row holds a stage, a next step and an owner. A page full of bullet points cannot sort or filter those rows. A database can.

InvestorTitleThe name you search for first
StageSelectShows where each investor sits in your process
Next stepDateMakes overdue follow-ups easy to spot

NotesTextKeep it short and link longer notes to a page

Keep the default view small. A view that shows only open investors is easier to read on a laptop screen. Filter steps are in the filter guide. Database basics are in the database guide.

Check your Mac before you install Notion

The Notion desktop app for Mac needs macOS 13 or later. Notion's system requirements page gives that as the minimum. The page has no date and does not separate Intel Macs from Apple silicon Macs.

Check your version first. Choose Apple menu > About This Mac. The macOS version appears in the window. Then follow the install guide.

If your Mac runs an older system, use Notion in a browser. The system requirements guide covers these checks in more detail.

What Notion costs a founding team in 2026

Notion's pricing page lists four plans. Free is $0 for individuals. Plus is $10 per member per month. Business is $20 per member per month and is labeled recommended. Enterprise is custom priced.

The page does not say whether those prices are monthly or yearly. It has a Pay monthly and Pay yearly toggle, and it says yearly saves up to 20%. Flip the toggle before you budget.

Do the math for your team. Four founders on Plus at $10 come to $40 a month at the listed rate. Eight people on Business at $20 come to $160 a month. Those are list-rate totals, so confirm which billing rate applies.

Third-party sites often show different or older prices. Check Notion's own pricing page before you sign up or tell your board a number.

Know the Notion free plan limits before you hit them

The Free plan limits each file upload to 5 MB. Page history reaches back 7 days. The pricing page also marks pages and blocks as limited for workspaces with two or more members.

The block rule catches early teams. A Free workspace with one owner has unlimited blocks. A Free workspace with two or more owners is capped at 1,000 blocks in total. Deleting blocks does not lower that count.

Notion's block page describes no cap for Plus, Business or Enterprise. If you are close to 1,000 blocks, plan the upgrade before you reach the limit. Export a page for backup before you delete anything, using the export guide.

Keep big Notion databases fast on your Mac

Speed is the complaint that comes up most in reviews. Capterra reviewers mention slow loading with large databases. One reviewer cites sluggish performance at more than 10,000 rows.

A Theodore HQ guide describes normal memory use of 1 to 2 GB for the Mac app. It says memory can climb to 8 GB or more with large database views, heavy search and several windows or tabs open. That guide is secondhand and does not link its user reports, so treat it as a rough guide.

Notion's 3.2 release note says Mac desktop performance is up 11%. It gives no baseline for that figure. Measure your own pages before you trust the number.

Three habits help most founders:

  • Split a large database by year or quarter, so each view holds fewer rows.
  • Move closed deals to an archive page instead of keeping them in the live CRM.
  • Close Notion windows and tabs you are not using.
  • Open Activity Monitor from Finder > Go > Utilities, then check Notion in the Memory column when it feels slow.

Test each change on the same page. Note how long it takes to open before and after. A timer and a note beat a guess.

Share the wiki without exposing the investor list

Share at the page level, not the workspace level. Open the page, then click Share in the top bar. Read who can edit before you copy the link. The share guide covers the permission options.

Keep the investor CRM in a private place. Only you and your cofounders should open it. When a page should stop changing, lock it after you finish.

Shared links spread. A link pasted into a public channel can reach people you never meant to see. Check the link settings every time you change them.

Present a Notion roadmap on Mac with presentation mode

Notion 3.4 added presentation mode. It shows a page without rebuilding it. On Mac, press ⌘ + opt + p. The release note dated March 26, 2026 says the feature is in beta for Plus, Business and Enterprise.

Test it before the meeting. Beta features can change. Keep a PDF copy as a backup, using the export guide.

Where Lazur fits while you work in Notion

Hold ⌥ ⌘ to ask about anything on screen. Lazur answers out loud. It listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored.

Ask where something is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time. It waits for each click. You still do the clicking.

Hold fn to dictate. Dictation writes clean, formatted text at the cursor in any app. Use it for meeting notes and first drafts, then read them before anyone else does.

Research runs in Lazur's own Chrome tabs through the Lazur for Chrome extension. It comes back with a summary and a report. Lazur is not an add-in for Notion, and it does not click buttons or edit files for you.

How to ask Lazur for help inside Notion

  • Name the thing on screen. Say the Share button on this page, not just the button.
  • Say which page or database you mean. Workspaces often hold pages with similar names.
  • Say the result you want. A table of three competitors is clearer than a request to research.
  • For a walkthrough, ask for one step at a time. Lazur waits for each click before the next step.
  • Ask for a draft, then edit it yourself before an investor or a hire sees it.

Good requests sound like something a cofounder would understand. Vague requests get vague answers, from a person or from an assistant.

Mistakes founders make with Notion on Mac

Most mistakes come from setup, not from the app. Watch for these.

  • Building the CRM as a page of bullets. A page cannot sort or filter rows the way a database can.
  • Ignoring the block cap until a cofounder joins. Count your blocks before you invite anyone.
  • Sharing the whole workspace when you meant to share one page.
  • Uploading big decks to the Free plan. The 5 MB file limit blocks them.
  • Copying prices from an old blog post. Use Notion's pricing page instead.
  • Keeping many windows open on an older Mac, then blaming the app alone.

A first-week setup for a two-person founding team

Day one: install the desktop app and confirm you run macOS 13 or later. Day two: add Startup in a Box and keep only the wiki, the roadmap and the CRM. Day three: count your blocks before the second founder joins.

Day four: share the wiki with your cofounder and keep the CRM private. Day five: open the pricing page, check the monthly or yearly toggle, and pick a plan for the next quarter.

Set a reminder to review the plan. The reminder guide shows three ways to add one in Notion.

Next steps for your Notion setup

Open the desktop app and add Startup in a Box. Build the CRM first, then count your blocks before you invite a cofounder. Ask Lazur to walk you through any step you get stuck on. There is a trial with no credit card. Plans are at pricing.
