Word for urban planners on Mac: templates, Avery labels and public notices with Lazur

Word for urban planners on Mac is the standard Microsoft Word for Mac, set up for planning work. That work usually means staff reports, public notices, mailing labels and comment letters. This guide covers the Word settings that save time on those jobs, and where Lazur helps when you get stuck.

Quick answer

  • Save a finished staff report as a .dotx template with File > Save as Template.
  • Use heading styles instead of bold text, so the Navigation pane and table of contents work.
  • Set up labels with Mailings > Labels > Options, then print one test sheet before a full run.
  • Check your Word version and macOS support before you share a template with colleagues.
  • Hold ⌥ ⌘ and ask Lazur where things are. Lazur points and guides, but you do the clicking.

What planners use Word for on a Mac

Many planning offices write in Word because the people reading the output use it too. Council members, applicants and neighbors open a Word file without thinking. That makes Word the default for anything that leaves the office. Most of your Word time probably goes to four kinds of document.

  • Staff reports: long documents with headings, tables, page numbers and a table of contents.
  • Public notices: a fixed layout, a hearing date and a file number that match every time.
  • Mailing labels: Avery sheets set up once, then reused for each mailing.
  • Letters and public comments: a template with standard wording already in place.

Planning technology research points the same way. An APA-linked survey of professional planners in the US, Canada, UK, Australia and New Zealand found limited use of planning-specific or data-intensive digital tools. Technology for office efficiency ranked as the top priority in that survey. The summary gives no Word figures, so read it as a direction, not a measure of your own week.

Set up a planning template once, then reuse it

A template saves you from rebuilding the same header, margins and headings every time. Start from a finished document, not a blank page. Put in the agency name, the logo, the section headings and the standard footer. Then save it as a template.

Here is the exact path in Word for Mac.

  1. Open the finished document in Word.
  2. Choose File > Save as Template.
  3. Enter a name, such as Staff report or Public notice.
  4. Optionally choose a location. Leave it blank to use the default folder.
  5. Set File Format to Microsoft Word template (.dotx). Choose Macro-Enabled template (.dotm) only if the file has macros.
  6. Click Save.

Word saves user templates to a folder inside your Library by default. The path is /Users/<username>/Library/Group Containers/UBF8T346G9.Office/User Content/Templates. Library is hidden in Finder, so open it with Go > Go to Folder. The default works fine on one Mac. It breaks down when a team needs the same template on every Mac.

To change the folder, open Word > Preferences > Personal Settings > File Locations. Select User templates, choose Modify, and enter a folder. Pick a folder that every colleague can reach, such as a shared drive that syncs to each Mac. Then test it. Save a template on one Mac, and open it on another.

Build the header block with fields you can check

The header block is where planning documents go wrong. A project name from an old file, or a hearing date typed twice, sends a reader to the wrong place. Keep the header fields in one spot and check each one before you save. The table below lists the fields most offices carry.

Common header fields for a planning document. Adjust to your agency's format.
FieldWhere it livesCheck before saving
Project nameHeader or first pageMatches the agenda and the application
File numberFirst pageMatches the permit file exactly
Hearing dateBody and public noticeSame date everywhere in the document
Staff contactFooterCurrent phone number and email

Dates deserve the most attention. Use ⌘F to find each date and confirm it appears the number of times you expect. Old dates often survive in footers, where readers rarely look until a complaint arrives.

Heading styles make long reports easy to navigate

Typed bold text looks like a heading, but Word does not treat it as one. The Navigation pane and the table of contents ignore fake headings. Apply Heading 1 to section titles and Heading 2 to subsections. How to apply heading styles in Word on Mac covers each step.

Open the Navigation pane with View > Navigation Pane. You can jump between sections there and drag a section to a new position. That is the fastest way to move a finding that came up late in a meeting.

If a heading looks right but the Navigation pane skips it, the paragraph carries direct formatting. Select it, clear the formatting, and apply the heading style again.

For long reports, add a table of contents after the headings are fixed. How to insert a table of contents in Word on Mac shows the steps. Update the table after every major edit, because page numbers in it go stale fast.

Page numbers, sections and appendices in long documents

A staff report with an appendix often needs a different page layout for the attachments. Insert a section break before the appendix, so headers and page numbers can change without touching the main report. How to insert a section break in Word on Mac explains the difference between section and page breaks.

Page numbers belong in the footer, added once for the whole document. How to add page numbers in Word on Mac shows how to start numbering after the cover page. Check that the cover page does not show a number.

Planning reports often cite studies and codes. Use How to insert a citation in Word on Mac so references stay consistent. A typed reference list drifts the first time someone adds a source.

Mailing labels and Avery templates in Word for Mac

Mailing labels fail in small ways. Text drifts, the last line cuts off, or the sheet does not match the label size. Word includes Avery templates, so start there and skip manual measuring.

  1. Open a blank document.
  2. Go to Mailings > Labels, then click Options.
  3. Choose the printer type, then the Avery product number printed on your sheet.
  4. Click OK, then type or merge the addresses.

If your sheet is not on the list, pick the closest product number. Click New Label, enter the measurements from the sheet box, and check the Preview box. Print one plain sheet and hold it against the label sheet. Only then print a full run.

For the address list itself, use How to create a mail merge in Word on Mac. It covers the data file and the merge fields.

Compare drafts and review comments without losing changes

Planning reports change many times before a hearing. Word's Compare tool shows what changed between two versions. How to compare two documents in Word on Mac has the full steps. Save both versions with clear names before you start.

Microsoft's known-issues page lists a case where Compare greys out files, with a workaround. If Compare is greyed out for you, read the workaround on that page before you try again. The same page marks co-authoring formatting loss as fixed. It lists an idle-time save prompt as under investigation.

For comments from staff and the public, use How to add a comment in Word on Mac to keep each note beside the text it refers to. Resolve each comment once it is answered. The next reviewer then sees only open items.

Check your Word version and macOS support first

Confirm your version before you share a template. Open Word > About Word. The latest Word for Mac release listed by Microsoft is 16.114.3 (Build 26102720), dated October 27, 2026. Build numbers help when a colleague reports a bug you cannot reproduce.

Office on unsupported macOSFrom July 13, 2026, can open and print but not edit, save or create filesUpdate macOS before you rely on that Mac

The July 13, 2026 change matters most for older Macs in a shared office. A machine that cannot run a supported macOS may open a report but refuse to save it. Test a save on that Mac before a deadline, not on deadline day.

Office 2021 is already past its end date. If your office still runs it, the main risk is the lack of security updates. Your files still open, but the gap in protection grows each week.

Where Lazur helps while you work in Word

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ to ask about anything on your screen, and Lazur answers out loud. It listens and looks at the screen only while you hold the shortcut.

Lazur points, guides and drafts. It does not click buttons or edit your files. Ask where a menu item is, and Lazur draws a circle and a label around it. Ask how to do a multi-step job, and Lazur guides you one click at a time, waiting for each click.

Hold fn to dictate. Lazur types clean text at the cursor in Word, so you can dictate a paragraph while you read the agenda. A personal dictionary holds project names and council terms so the spelling is right. Snippets hold standard paragraphs you reuse.

Lazur also keeps a memory of what you asked and did, stored on your Mac. When a notice goes out again next year, you can ask what you changed last time. That saves a search through old folders.

A worked example: a public notice from a blank page

Here is a realistic path for a public notice. You start from a saved template, then fill it in with dictation and checks. Lazur helps with the lookups, and you make every decision.

  1. Open the public notice template from your templates folder.
  2. Hold fn and dictate the project name, the hearing place and the comment deadline.
  3. Check each date against the agenda. Use ⌘F to find each date and confirm it appears the right number of times.
  4. Ask Lazur where the Review tab is, or where a setting lives, if you cannot find it.
  5. Save with ⌘S. Export a PDF only when the notice is final.

To export, follow How to save as a PDF in Word on Mac. Keep the Word file as well, so the next revision starts from the same layout.

Step three matters most. Dates repeat across notices, and one old date causes a public complaint. Search for each date by hand, even when the template looks right.

Mistakes planners make in Word, and how to avoid them

  • Typing headings in bold. The Navigation pane and table of contents skip them.
  • Saving templates to a random folder. Use the default, or set one on purpose in File Locations.
  • Copying an old report and deleting text. Old project names and dates survive in headers and footers.
  • Printing a full label run before a test sheet.
  • Waiting for a save prompt. Save with ⌘S often, since Microsoft lists a save prompt after idle time as under investigation.

Copying an old report is the biggest risk. Start from the template every time. Copy only the paragraphs you need, not the whole file.

Edge cases for shared offices and older Macs

Offices share templates. A template in one person's folder does not exist on the next person's Mac. Put the folder path in a short note with the template name. Ask colleagues to set the same User templates location in Word > Preferences > Personal Settings > File Locations.

Default fonts travel with the template, and sometimes they do not. If a new document opens in the wrong font, How to change the default font in Word on Mac explains how to set the baseline. Fix it once, not in each document.

Older Macs carry the most risk. Confirm the macOS version before you assume a colleague can edit a shared report. A Mac that cannot run a supported macOS may only open and print files.

A simple rule helps here. Keep one shared template folder, one set of support checks and one owner for the templates. When a template changes, the owner tells the team the date.

Lazur plans, privacy and what it does not do

Lazur is a voice assistant for the Mac. It is not a plugin or add-in for Word or any other app, and no app maker partners with it. Lazur runs on Apple silicon and Intel Macs. Windows is planned, not available.

Lazur has a free Pro trial with no credit card. The trial starts when you first open the app. Check current plans for prices, since plan details can change.

Privacy works like this. Lazur sends audio and a screenshot to AI providers to answer you, and those are not stored. Content is never used to train AI models.

If you want to try it with a planning template open, download Lazur and hold ⌥ ⌘ to ask your first question.

Next steps for this week

  1. Save your most common document as a template with File > Save as Template.
  2. Set the User templates folder in Word > Preferences > Personal Settings > File Locations.
  3. Check your version with Word > About Word and note the build.
  4. Print one test label sheet before the next mailing.
  5. Read the Compare entry on Microsoft's known-issues page before your next draft review.
