What urban planners ask Lazur in PowerPoint

Hold ⌥ ⌘ in PowerPoint and say it.

  • “Lazur, where is the slide size setting in this deck?”

Lazur draws a circle and a label around the control, so you find it without searching every menu.

    Points at it · PowerPoint

  • “Walk me through putting the project name in every footer.”

Lazur guides you through the master one click at a time and waits for each click before it moves on.

  • “Draft three bullets on the parking reduction in this staff report.”

Lazur types draft bullets at your cursor, based on the text on screen. Check each bullet against the report.

  • “Hold fn and dictate the speaker notes for this slide.”

Clean, formatted text lands at the cursor in the notes pane, and it works in any app.

Start with the type of planning deck you are building

A planning deck usually falls into one of four types. A public hearing deck runs on a shared screen while a commission or council listens. A staff report deck summarizes a zoning change or a plan amendment. A workshop deck asks residents to react to options. A site analysis deck holds maps, tables and photos for the project file. Each type needs a different setup, so decide before you open a template.

I could not find a study that measures how planners use PowerPoint or how long they spend in it. The APA's write-up of a multinational planner survey reports limited adoption of planning-specific digital tools. It gives no percentages. Treat any time estimate for planners as a guess. The advice on this page comes from how PowerPoint for Mac works and what Microsoft documents.

Set up a PowerPoint template for planning decks on Mac

Start with the slide size. Hearing decks usually project wide, so choose a widescreen layout under the Design tab before you paste anything. Changing the size later can push maps and text off the edge of the slide. Then set the look in the master, so every slide shares one set of fonts, one title position and one footer.

Open View > Master > Slide Master. Select the slide master at the top of the thumbnail pane. Make your font and footer changes there. Microsoft's footer guide describes this route for PowerPoint for Microsoft 365, PowerPoint 2024 and PowerPoint 2021 on Mac.

Footers and page numbers that stay right on every slide

Footer changes come in two sizes. Change one layout in Slide Master view. Change one slide in Normal view by selecting the footer text on that slide. For a planning deck, use the master for anything that should appear everywhere, like the project name and the hearing date.

  1. Open View > Master > Slide Master.
  2. Select the slide master at the top of the thumbnail pane.
  3. Edit the footer elements on the Home tab.
  4. Choose Insert > Header and Footer so the footers display.
  5. Scroll the whole deck once in Normal view and check each slide.

The most common mistake is editing footers by hand on each slide. A slide added later then shows old text, and nobody notices until the hearing. Edit the master, then check the deck once from start to finish.

Maps, GIS exports and photos without a slow deck

Maps cause most of the weight in a planning deck. A full-resolution export from a GIS tool can be larger than the rest of the file. One Microsoft Q&A thread describes a MacBook Air M3 running PowerPoint 16.97 on macOS 15.5. The decks had 50 to 100 slides with PNG graphics. Each edit took seconds after 20 to 30 minutes of work. Saving and reopening helped for a while.

Microsoft's known-issues page lists no slowdown problem. Treat that thread as one user's report, not a known bug. The thread was locked with no confirmed fix. The checks in the table are cheap to try, and they test the same things.

SVG graphics need a check too. Since March 10, 2026 (version 16.107), saving a deck with SVG graphics no longer creates a PNG fallback for each SVG. Microsoft says newer versions support SVG. If a reviewer uses an older PowerPoint, open the deck on that version before the hearing.

Copilot, themes and new SmartArt in PowerPoint on Mac

Copilot in PowerPoint for Mac, from version 16.109 on May 12, 2026, can create, edit and refine decks from a prompt. It needs a Microsoft 365 Copilot license, with Basic at minimum. Premium adds brand kit templates, brand-approved images and brand compliance checks. Since July 15, 2025 (version 16.99), Copilot can also use assets from a SharePoint Organization Asset Library or Templafy.

Microsoft's July 13, 2026 post adds 13 SmartArt layouts and 13 themes on the Design tab, on Windows and Mac. The rollout was targeted for July 2026. I could not confirm the Mac rollout status as of November 2026, so open the Design tab and look for them.

Treat anything Copilot creates as a first draft. Check every figure against the source report. A chart with wrong values can reach a hearing before anyone catches it.

Check your Office version before hearing week

Office 2019 for Mac has been out of support since October 10, 2023. Microsoft says that from July 13, 2026, Microsoft 365 subscribers on macOS, and users of non-subscription Office 2021 or 2019, may enter reduced functionality mode. In that mode, apps can open and print files. They cannot edit, save or create new files.

Microsoft says macOS 14 Sonoma is the minimum for receiving Microsoft 365 and Office updates. macOS 12 Monterey is the minimum for PowerPoint for Mac versions 16.78 or later. The latest build in the release notes is 16.114.3, dated October 27, 2026, described as quality and performance improvements.

Ask Lazur how to do it while you stay in PowerPoint

Lazur is a voice assistant that lives in the notch of your Mac. Hold ⌥ ⌘ to ask about anything on screen, and Lazur answers out loud. Ask where a control is, and Lazur draws a circle and a label around it. Ask how to do a task, and Lazur guides you one click at a time, waiting for each click.

Lazur does not click buttons, edit files or operate other apps for you. Your hands stay on the deck. For a long master edit, that is slower. It also means you see each step, so the menu makes sense the next time you open it.

Dictate speaker notes and staff summaries with fn

Hold fn to dictate clean, formatted text at the cursor in any app. Use it for speaker notes, a staff summary or a reply to a colleague. Dictating notes after you finish a slide shows you which bullets are too long to say aloud.

Planning vocabulary trips up most dictation tools. Add terms like floor area ratio, overlay district and setback to the personal dictionary. Save standard paragraphs as snippets, such as the hearing notice wording you reuse every month.

Research the code while you build the deck

Research runs in Lazur's own Chrome tabs, through the Lazur for Chrome extension. It comes back with a summary and a report. Use it to gather notice periods, section numbers and agency hearing dates. Then open each source yourself.

Planning rules differ by city, county and state. Any summary is a starting point. Read the adopted code text and the agency's notice page before you put a legal requirement on a slide.

Worked example: a staff deck changes the night before

Say the staff report changes the night before a hearing. The density figures move, and two maps need new labels. Start with the master, not the slides. Confirm the footer still shows the hearing date. Then replace the maps one at a time, cropping each one before you paste it in.

If you forget where the control for swapping a picture sits, ask Lazur. Hold ⌥ ⌘, ask, and follow the circle. Dictate the updated speaker note for each changed slide with fn, so the notes match the new figures. Save a copy before the final pass.

Mistakes that cost planners time in PowerPoint

  • Pasting full-resolution GIS exports into every slide.
  • Editing footers by hand on each slide instead of in the master.
  • Leaving every add-in on while you edit a long deck.
  • Sending a Copilot draft that nobody checked against the source.
  • Finding out in hearing week that the Office copy is in reduced functionality mode.
  • Exporting to video without checking Microsoft's known issues first. Export to Video has an open problem on some Macs.
  • Saving over the only copy of the map set.

What Lazur sees, stores and sends

Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers so they can answer you. Those are not stored. Content is never used to train AI models. Lazur keeps a memory of what you asked and did, on your Mac.

Planning decks can hold unpublished project details. Check your firm or agency rules before you show any AI tool a draft. This applies to any assistant, not only Lazur.

Where Lazur fits, and where it does not

Lazur runs on Mac, on Apple silicon and Intel. Windows is planned, not available. It is not a plugin or add-in for PowerPoint. Lazur is a separate app from Microsoft and from every other app maker. It answers and guides. You do the clicks.

If you are comparing options, read the PowerPoint help page for Lazur. Architects with layout-heavy decks can read PowerPoint for architects on Mac. When you are ready, download Lazur. Pricing is on the pricing page.

A setup checklist for your next hearing deck

  1. Pick the deck type and the room it will run in.
  2. Set a widescreen layout under the Design tab.
  3. Set fonts, title position and footer in Slide Master.
  4. Choose Insert > Header and Footer, then check every slide.
  5. Crop maps, export them at screen size and run File > Reduce File Size.
  6. Test the file on the oldest PowerPoint your reviewers use.
  7. Confirm your Office version and license, then save a copy before you edit.
