How to fix a figure missing from cross-reference list in Word on Mac, step by step

A figure is missing from the cross-reference list in Word for Mac because Word only lists captions made with Insert Caption. Typed captions such as "Figure 3" never appear in the list, so the list looks empty or incomplete. The fix is usually to rebuild that one caption with the tool, then update every field in the document. This page shows how to check, fix and prevent the problem without buying anything.

The short answer

  • Word only lists captions that Insert Caption created. Typed text such as Figure 3 never shows up in the list.
  • Press ⌥F9 to show field codes. A real caption contains a SEQ field. A typed one does not.
  • After any fix, press ⌘A, then F9, to update all fields, including cross-references.
  • A cross-reference that ends in the message Reference source not found points to a missing hidden _Ref bookmark, not to a missing caption.
  • Pages and Google Docs have no automatic cross-references, so use bookmarks and links there.

What captions missing from cross-references costs you

Hours spent rebuilding captions

Rebuilding one caption is quick. Rebuilding every caption in a long file is not. Once a file has typed captions and fields mixed together, each fix means checking the field codes, the list and the body text. Writers often spend a whole afternoon on one chapter. The PLOS ONE survey measured formatting in general, and it found a median of 52 hours per person per year. Caption repairs are one part of that work.

Late corrections at the deadline

The worst time to find a missing figure is the night before a submission. A reviewer will not see the list, but they will see a figure number that jumps or repeats. The reformatting study found that 51% of first authors reported delays of over two weeks. Your own delay may be smaller, but the risk is the same: a late fix pushes out the rest of the work.

Wrong figure numbers in a draft you already sent

A cross-reference that is missing or stale can point to the wrong figure. Co-authors may read the wrong numbers and reply to them. Check the body text after each update, not only the list. Send the corrected file with a short note that says what changed.

Time lost to Pages and Google Docs workarounds

Pages and Google Docs do not automate caption numbers, so each figure needs manual work. Bookmarks and links are stable until someone deletes a bookmark. Add-ons may save time, but they also add permission checks and maintenance questions. Compare the time of a manual workaround with the time of a short Word fix before you switch apps.

Why it happens

  1. Captions typed by hand

The most common cause is a caption typed as plain text, such as Figure 3, instead of a caption made with Insert Caption. Word writes a SEQ field for real captions. Typed text has no field, so the cross-reference list cannot read it. The text looks the same on the page, which is why the problem is easy to miss until you insert a reference.

  2. Labels that exist on another machine

A custom label can exist on your Mac and not on a co-author's Mac. A Microsoft Q&A volunteer moderator says custom labels are stored in the Normal template and do not travel with the document. If the label is missing where the file is opened, the caption may look fine but fail to appear in the list. Check the label on the machine that will update the file.

  3. A missing hidden _Ref bookmark

When you insert a cross-reference, Word stores a hidden bookmark whose name starts with _Ref. If that bookmark is deleted, the reference shows the message Reference source not found. A Microsoft Q&A moderator says you can test a bookmark with Insert > Bookmark and Hidden bookmarks checked. The same thread suggests repairing the Office installation if the bookmark is missing. The thread does not say whether that worked.

  4. Heavy Track Changes and copy-paste edits

A Word for Mac Q&A thread describes a table list that showed captions without their numbers. A moderator suggested heavy Track Changes with many cut, copy and paste operations as a possible cause. Microsoft did not confirm it. The workaround that worked for the poster was to copy the content in sections into a new document, update fields, and recreate the cross-references.

  5. Captions made in a web or iPad app

Word for the web and Word for iPad are different from the Mac app. Users in a Microsoft Q&A thread could not find Insert Caption in those versions, and a moderator says captions are not supported in the web version. A caption added there may never become a real field. Do the caption work in the Mac desktop app, then open the file there.

How to fix it

These work with or without any app.

  • Check whether the caption is real

Press ⌥F9 to show field codes. Look at the caption next to the missing figure. A real caption has a SEQ field. Plain text means the caption is typed. Press ⌥F9 again to hide the codes when you finish. This check takes a minute, and it tells you which fix you need.

  • Recreate the caption with Insert Caption

Select the figure, then go to References > Insert Caption. Pick the label, set the position and click OK. Delete the old typed caption so the number does not repeat. Then press ⌘A, then F9, so the cross-reference list picks up the new caption.

  • Add a custom label with New Label

If your label is not in the list, open References > Insert Caption and click New Label. Type the name, then click OK. Test it on one figure. Then check the cross-reference list on the same Mac. If a co-author cannot see the label, send them a copy with the label already in the file.

  • Update every field with ⌘A and F9

Press ⌘A to select the whole document, then press F9. On many Mac keyboards you need Fn with F9. The Michigan guide recommends this update for cross-references. It refreshes numbers and references. It will not fix a typed caption, so do it after the caption is real.

  • Restore or check the _Ref bookmark

Go to Insert > Bookmark and tick Hidden bookmarks. Look for a bookmark that starts with _Ref near the reference. If it is gone, delete the broken cross-reference and insert a new one. If new references still fail, reinstall Word from Microsoft, following the thread's suggestion to repair the installation.

  • Rebuild a damaged file in a new document

Save the original first. Create a new blank document and paste one section at a time from the original. After each section, check the figure list and body text. When the whole file is in, press ⌘A, then F9, and recreate the cross-references. Keep the original until the new copy passes your review.

  • Use bookmarks and links in Pages

In Pages, select the caption text and add a bookmark. Then press ⌘K and choose Bookmark from the Link to menu, and pick the bookmark. Do not delete or rename a bookmark that other links use. Place captions in body text, not in a table, because tables cannot hold bookmarks.

  • Check a Google Docs add-on before you install it

Google Docs has no native captions or cross-references. An add-on such as Referencer uses bookmarks for this job. Before you install, read the listing, check the developer, and read the permissions it asks for. The Referencer listing shows no price and no developer name, so check those on the listing page first.

Why Word leaves the figure out of the list

Word builds the cross-reference list from captions it made itself. When you use Insert Caption, Word writes the label and the number as fields. A figure that never went through that tool has no field for Word to find, so it never appears in the list. The University of Michigan Library says captioned items need the Insert Caption tool for cross-references to work.

The fix is rarely a hidden setting. It is a caption that Word can see. Find out which kind of caption you have first, then fix only that one. Most files need a single caption rebuilt, not a full rewrite.

Check whether the caption is real

Press ⌥F9 to show field codes. On some Mac keyboards, press Fn with it. A real caption shows a SEQ field that holds the label name, such as Figure. Microsoft's caption page says Word inserts the number as a field, and that the {SEQ} codes appear when you show field codes. Microsoft's caption page covers Word for Microsoft 365 and Word 2024, 2021, 2019 and 2016. It does not explain cross-references, so the fixes below come from Microsoft Q&A threads and a university guide.

Four common results and what they usually mean. Check your own file before you act.

Keep field codes on only while you work. Turn them off with ⌥F9 before you print or send the file, because readers do not need to see them.

Fix the caption in Word for Mac, step by step

  1. Save a copy of the file under a new name, so you can compare or go back.
  2. Click the figure, or the paragraph where its caption belongs.
  3. Go to References > Insert Caption.
  4. Choose the label from the Label menu, such as Figure, and set where the caption sits.
  5. Click OK, then type the caption text after the number Word adds.
  6. Delete the old typed caption, such as the old Figure 3 text, so you do not end up with two numbers.
  7. Press ⌘A, then F9, to update every field, including the cross-references.
  8. Open References > Cross-reference, choose Figure, and check that the figure now appears in the list.

Do the field update last. Updating fields only changes numbers that Word already tracks. A typed caption stays invisible to the list even after ⌘A then F9. If your menu names differ on your version, ask Lazur to point at the button.

Add a custom label when Figure is not an option

Some writers use labels such as Chart, Map or Exhibit. Use New Label in the Insert Caption dialog to add one. A Microsoft Q&A volunteer moderator says custom labels are stored in the Normal template, not in the document. That means a label made on your Mac may be missing on a co-author's Mac. Check this on your own machine before you rely on it.

If a co-author cannot see the list, send them the file with the label already in place, or ask them to create the same label. Your graduate school or journal may also have a template. Follow its label names, because a shared template keeps the label set the same for everyone.

Damaged references in heavily tracked files

Track Changes can make cross-references behave badly. A Microsoft Q&A moderator suggested that many cut, copy and paste operations under Track Changes could cause a table list to show captions without numbers on Word for Mac. Microsoft did not confirm this. The poster who tried the workaround said it worked for them.

The workaround is to copy the document in sections into a new blank document. Paste one chapter or section at a time. Check the figure list after each section. When every section is in, press ⌘A, then F9, and recreate the cross-references in the new file.

Pages and Google Docs do not number captions

Pages for Mac has no automatic caption numbering and no Word-style cross-references. Apple's Pages guide describes bookmarks and links instead. Select the text, create a bookmark, then choose Insert > Link > Bookmark, or press ⌘K and pick Bookmark from the Link to menu.

  • Deleting a bookmark breaks every link that points to it.
  • Renaming a bookmark stops the automatic name updating.
  • Text inside tables, text boxes, shapes, charts, headers and footers cannot be bookmarked.
  • Put the caption in a normal body paragraph directly under the figure, so the bookmark can work.

Google Docs has no caption feature and no cross-references, according to the University of York Library guide. Add-ons such as Referencer use bookmarks to number figures and refresh references. The Referencer listing shows no price and a blank developer field. Check who made the add-on and what it can read before you grant it access to a document.

What formatting costs in time and money

Missing captions are a small part of formatting. The best numbers come from manuscript formatting in general, not from captions alone. A PLOS ONE survey found a median of 52 hours per person per year on formatting, which the authors valued at US$1,908. The authors say the data are self-reported from a convenience sample, so treat the figures as a rough signal.

A second PLOS ONE study surveyed first authors of 288 manuscripts across 96 journals. Of the authors who answered, 65% spent more than eight hours reformatting. 51% reported delays of over two weeks. That study looked at journal reformatting rules, not Word cross-references. I found no study that measures caption errors, grades or burnout for this problem.

Mistakes that keep the list empty

  • Typing Figure 4 by hand, then adding Insert Caption on another paragraph. That leaves two captions for one figure.
  • Working in Word for the web or on an iPad. A Microsoft Q&A thread reports users who could not find Insert Caption there, and a moderator says captions are not supported in the web version.
  • Updating fields before you fix the caption, then assuming the update failed.
  • Deleting hidden _Ref bookmarks while you clean up the file, which causes the "Reference source not found" error message.
  • Trying to cross-reference a range such as Figures 5 to 10. The Michigan guide says Word cannot build that range, because the figures between are not shown or clickable.

A worked example from one thesis chapter

Say a chapter has several figures. Most use Insert Caption. One middle figure has a caption that reads Figure with the number typed by hand. Open field codes with ⌥F9. The real captions show SEQ fields. The typed one shows plain text, so the cross-reference list skips it.

Delete the typed text, then run Insert Caption on that figure. Press ⌘A, then F9. The list now shows every figure, and each later figure renumbers itself when you add one. Then check one cross-reference in the body text, to confirm it points to the right figure.

Where Lazur fits in

Lazur is a voice assistant for the Mac. Hold ⌥⌘ and ask about what is on your screen, and Lazur answers out loud. It points at things and guides you one click at a time. It does not click buttons for you, and it does not edit your file. It is not a plugin for Word.

For this problem, the useful parts are explaining and pointing. Ask where Insert Caption lives, or ask why the list is empty while the field codes are on screen. You still make each change yourself. For the general workflow, see Word for writers on Mac. For plans, see pricing.

When to stop and ask someone else

If a shared file came from a co-author, their Word may hold the labels, so ask them first. If the file has Track Changes from many editors, accept or reject with care. The guide on accepting or rejecting tracked changes covers that step in order.

Field updates can also stop a table of contents from refreshing. If that happens next, see why a table of contents will not update in Word for Mac. If a journal or school template sets the numbering rules, follow the template, not your own habit.

    Handles the small stuff

A plan you can start this week

  1. Now

    Confirm the caption is real

Open the document and press ⌥F9 to show field codes. Find the missing figure and look for a SEQ field. If you see plain typed text, the caption is not real. Press ⌥F9 again when you finish to hide the codes.

  2. Day 1

    Rebuild typed captions

Replace each typed caption with Insert Caption, one figure at a time. Delete the old typed text only after the new caption is in place. Keep the original file as a backup until the work is done.

  3. Day 1

    Update fields and test

Press ⌘A, then F9. Open References > Cross-reference, choose Figure, and check that every figure appears with its number. Insert one test reference and confirm it updates.

  4. Before you send

    Check bookmarks and tracked changes

Go to Insert > Bookmark, tick Hidden bookmarks, and look for _Ref entries. If the file has many tracked changes, copy sections into a new document and recreate the references there.

  5. Each edit

    Keep a simple habit

After you add or move a figure, insert the caption first, then update fields. If you forget where a button is, ask Lazur to point at it.

Questions people ask

Why does my figure not show in the Word cross-reference list?

Word only lists captions made with Insert Caption. A figure with a typed caption has no field for Word to read, so it stays out of the list. Show field codes with ⌥F9, find the caption, and rebuild it with Insert Caption if you see plain text.

Can I type Figure 1 by hand and skip Insert Caption?

You can type it, and it looks right on the page. A cross-reference will not find it, though. The University of Michigan Library says captioned items require the Insert Caption tool for cross-references to work.

What does the Reference source not found error mean in Word?

It means the cross-reference points to a hidden bookmark that Word cannot find. Word stores these as bookmarks with names that start with _Ref. Turn on Hidden bookmarks in Insert > Bookmark to test them, then recreate the reference if the bookmark is gone.

Can Pages on Mac cross-reference figures like Word does?

Not in the same way. Pages has no automatic caption numbering or Word-style cross-references. Apple's guide uses bookmarks and links instead. Deleting a bookmark breaks the links that point to it, so keep the bookmark names stable.

Does Google Docs have cross-references and captions?

No. The University of York Library guide says Google Docs has no caption feature, no automatic numbering and no cross-references. Some add-ons use bookmarks to imitate them. Check each add-on's listing and permissions before you install it.

Why does the list show captions without numbers?

A Microsoft Q&A thread on Word for Mac reported this. A moderator suggested heavy Track Changes with many cut and paste steps as a possible cause, but Microsoft did not confirm it. Copying sections into a new document and recreating the references worked for the poster.

Can I fix captions in Word on iPad or in the browser?

Use the Word app on a Mac for this. A Microsoft Q&A thread reports that users on Word for iPad and Word for the web could not find Insert Caption. A moderator says captions are not supported in the web version of Word.

How do I cross-reference a range like Figures 5 to 10?

Word cannot build that range with a cross-reference. The Michigan guide says the figures in between are not displayed or clickable, so they cannot be referenced. Write the range by hand, or insert one cross-reference for each end figure and link them with the word to.
