Where the day goes for writers

Writing is a small share of the week

BookBub's survey of 566 authors found most spend 6 to 30 hours a week writing. The rest goes to admin, marketing and other work, and that time competes with the draft.

Work about work eats the day

Asana says about 60% of a knowledge worker's day goes to communicating about tasks, finding documents and managing shifting priorities. Drafting gets squeezed into the gaps.

Email and interruptions break the thread

Microsoft reports 117 emails a day for the average worker and about 275 interruptions a day. A sentence you are building can disappear mid-thought.

Most writers work for themselves

The Bureau of Labor Statistics says 65% of writers and authors are self-employed. The admin lands on the same person who does the drafting.

Where a working writer's time goes

Most of a writer's week is not spent writing. BookBub surveyed 566 authors and found that most typically spend 6 to 30 hours a week writing. That leaves many hours for everything around the page. Dictation helps most with pure output, such as the first draft, the scene, the pitch and the outline.

The same survey found that 65% of respondents spend one to five hours a week on administrative or operational tasks. More than half of authors spend under five hours a week on marketing, admin and other work. Those hours add up fast when you put them next to your writing time.

BookBub covers book authors. It does not cover journalists, copywriters, ghostwriters or technical writers, and their weeks may look different. Treat these numbers as a pattern to test against your own calendar, not as a rule for your week.

The 'work about work' problem

Asana calls the hidden part of the job 'work about work'. Its page says about 60% of a knowledge worker's day goes to communicating about tasks, hunting for documents and managing shifting priorities. The survey covered more than 10,000 knowledge workers. The page does not state the survey year, and Asana sells work software, so read the figure as a pattern.

You may recognize this in your own week. The draft is one task among many. The rest is finding the source, the old version and the note your client sent last night.

Email and interruptions break up the draft

Microsoft's 2025 Work Trend Index reports that the average worker receives 117 emails a day. Most of them are skimmed in under 60 seconds. The report also counts interruptions from meetings, emails and chats. Its survey covered 31,000 knowledge workers in 31 markets, with fieldwork from February 6 to March 24, 2025.

The report estimates about 275 interruptions a day, or one every two minutes during core hours. The two figures assume different day lengths, so they are rough. The direction is still clear. A sentence you are building can vanish while you answer a chat.

Writers usually lose minutes in four places.

  • Switching from the draft to research tabs, then back again.
  • Retyping ideas you already said out loud on a walk or in the car.
  • Formatting a pitch, a manuscript or a client document by hand.
  • Answering email or chat in the middle of a paragraph.

Why voice helps the first draft more than the last

No source on this page gives a typing time for writers. Measure your own rate instead. Run the test at /tools/typing-speed-test, then the one at /tools/speaking-vs-typing-test, and compare the results.

Voice works best for rough output. Speak the scene, the argument or the outline first. Then switch to the keyboard, where you can see the words and fix them in place.

Heavy editing, tables and footnotes still go faster by hand for many writers. Use voice for the first pass of anything longer than a few paragraphs. Use the keyboard for the second and third passes, where word choice and structure matter most.

Dictation on Mac for writers: three options

You have three real choices. Apple's built-in dictation works in many text fields once you turn it on. Lazur gives you hold to talk dictation at the cursor in any app, with snippets, a personal dictionary and clipboard slots. Each writing app also has its own voice tool, such as Word's Dictate button or Google Docs voice typing.

Pick based on where the draft lives. If you write everything in Pages, start with Apple's dictation. If you move between a browser, a notes app and Word, one shortcut that works everywhere saves more time.

Where to start dictation in three writing apps on Mac
AppWhere to startWatch for
Pages on MacEdit > Start DictationPages 15.4 requires macOS 26. Creating and editing need no subscription, per Apple.
Word for MacHome > DictateMicrosoft warns of a reduced mode from July 13, 2026 that blocks editing. Check its known-issues page.
Google Docs in ChromeTools > Voice typingRuns in Chrome only. Click into the body text before you speak.

If you run Apple dictation and Lazur together, decide which tool owns fn. Both may react to the same key press. You may then get the wrong tool, or two of them, at the worst moment.

How to set up dictation in Pages on Mac

Pages 15.4 needs macOS 26, according to Apple's What's new page. Check your version first with Apple menu > About This Mac. Then follow these steps. See /apps/pages for voice help inside Pages.

  1. Open System Settings > Keyboard, then select Dictation and turn it on.
  2. Set a shortcut in the same pane. Pick one that does not clash with the fn key you plan to use for Lazur.
  3. Open System Settings > Sound, choose your microphone under Input, and speak to watch the level move.
  4. Open Pages, create a new document, and click where the text should go.
  5. Choose Edit > Start Dictation, say one test sentence, and read it back.

Apple's dictation works in many text fields. Lazur adds a hold key that works at the cursor across apps. You get that plus the voice help covered in the next section.

Hold fn in Lazur to dictate at the cursor

Hold fn, speak the sentence and release. Lazur types clean text at the cursor with capitals and punctuation. Keep sentences short. Lazur formats the text, so you rarely need to say punctuation out loud.

Lazur also keeps a personal dictionary and snippets. Add character names, places and recurring phrases before a long session. Snippets help when you type the same sign-off, source note or paragraph every week.

Dictation in Word for Mac: check the license first

Word has its own Dictate button on the Home tab, at Home > Dictate. It works well for drafts. Word also carries a license risk you should check before you rely on it.

Microsoft's known-issues page says that starting July 13, 2026, some Microsoft 365 subscribers on Mac might see Office apps enter a reduced mode. Office 2021 and 2019 users on Mac might see it too.

In that mode, you can open and print files, but not edit, save or create them. The page wording is loose. Whether it affects you depends on your license and version. The date has already passed, so check now with Word > About Word.

If Word blocks edits, draft in Pages or in a plain text file. Move the text across once Word works again. Keep a backup copy in a second app, so a locked file never costs you a scene.

Google Docs voice typing on Mac, in Chrome

Google Docs voice typing runs in Chrome. Open the document, click into the body text, then choose Tools > Voice typing. Allow microphone access for Chrome in System Settings > Privacy & Security > Microphone.

Speak in short phrases. Pause between sentences so the text catches up. Lazur for Google Docs is a separate AI assistant that works in your browser, for voice help, shortcuts and dictation in the document. See /apps/google-docs for the details.

A worked example: dictating one scene in Pages

Say you write crime fiction and need a first version of one scene this afternoon. You know the beats. You do not know the exact wording yet, and you want words on the page before your next meeting.

Open the chapter in Pages, then click where the scene begins. Hold fn and speak the scene in plain sentences. Keep moving. If a name comes out wrong, say the correct spelling once, then carry on.

When you release fn, read the scene in one pass. Fix names, check that each character's actions make sense, and cut anything you said twice. Add any new name to the personal dictionary so the next pass comes out right.

The first pass will be rough. That is the point. You now have words on the page, and the keyboard takes over for the detail. A second pass with Edit > Find to check names usually goes faster than a fresh start.

Dictation accuracy: names, numbers and homophones

Dictation fails in predictable places. Names, place names and invented terms are the usual problem. Homophones also trip it up, because their, there and they're sound the same.

  • Character and place names: save them in the personal dictionary before a long session.
  • Homophones such as their, there and they're: read each paragraph once after you dictate.
  • Numbers and dates: check each one against your source, since dictation may write them differently.
  • Quote marks and apostrophes: check them in the final pass, especially in dialogue.
  • Accents and fast speech: slow down on unusual words and keep a steady pace.

A quick accuracy check helps. Dictate one page from a source you know well, then count the errors. Use the result to budget your editing time. The /tools/dictation-accuracy-checker page gives you a short test to run.

Mistakes writers make with dictation

  • Dictating in a loud room, then blaming the software. Move closer to the mic or use a headset.
  • Editing while you speak. Let the draft run, then fix it in one pass.
  • Leaving the cursor in the wrong place. Click where the text should go before you hold the key.
  • Skipping the test sentence. Run one line through Pages or Google Docs first.
  • Trusting the output without reading it. Read every line before it goes into a manuscript or client file.
  • Using one key for two tools. Give fn to one owner and move the other to a different key.

The last mistake costs the most time. Many writers quit dictation after one bad session. Give it a few sessions on the same kind of work before you decide whether it fits.

Privacy, client files and confidential manuscripts

Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers so they can answer, and they are not stored. Content is never used to train AI models. Memory of what you asked and did stays on the Mac.

Your contract decides what you may share. Ghostwriters, editors and writers under a non-disclosure agreement often cannot send unpublished work to any outside service. Check the agreement before you hold the key over confidential pages.

Publishers, agencies and clients may have their own rules. Ask before you send unpublished pages or a client's material to any AI tool. This page does not claim any compliance certification for Lazur, so that decision sits with you.

What dictation costs with Lazur and Pages

Lazur starts with a 3-day Pro trial. No credit card is needed, and the trial starts when you first open the app. Pro costs $18/month, or $15/month billed annually, and includes 150 AI actions. Power costs $120/month, or $96/month annually, with 1,000 AI actions.

Dictation is unlimited on both plans. AI actions cover questions and tasks such as research, so count how often you use those before you pick a plan. Check current prices on the pricing page at /pricing.

Pages costs you nothing extra to create and edit. Apple says creating, viewing, editing and collaborating on documents do not require a subscription. The Apple Creator Studio subscription gives access to premium content and intelligence features.

Scrivener and other writing tools

Scrivener is common for long manuscripts. Its latest Mac release is 3.5.2, dated 18 December 2025, and it needs macOS 11 or later. Lazur dictates at the cursor in any app. Lazur has no partnership with Literature & Latte or any other app maker, and it does not plug into Scrivener. Test on a short passage first.

Start with a short sentence in one document. Save it, then check that it landed where you wanted. For long sessions, dictate into Pages or Google Docs and move the finished scene across.

Next steps this week

  1. Measure your typing and speaking rates with /tools/typing-speed-test and /tools/speaking-vs-typing-test.
  2. Check your macOS version with Apple menu > About This Mac. Pages 15.4 needs macOS 26.
  3. Turn on Apple dictation in System Settings > Keyboard > Dictation, then run one test sentence.
  4. Start the trial from /download and dictate one scene. Note every error it makes.
  5. Read your contract or non-disclosure agreement before you dictate confidential pages into any tool.

Run the trial on one real writing session. Keep the error notes, then update the personal dictionary before the next session.
