Word for writers on Mac: long drafts, templates and dictation in Microsoft Word 2026
Word for writers on Mac is Microsoft Word for macOS, set up for long drafts, clean revisions and reusable templates. It works well for manuscripts, feature articles and reports once you set it up on purpose. This page shows the setup that saves the most time, the Word features that matter for writing, and where Lazur fits in while you work.
You say“Lazur, where do I change my template folder in Word?”
Lazur · points at itLazur circles the Word menu, then points at Preferences and names the Personal Settings and File Locations panes.
Quick answer
- Save your page setup and styles once with File > Save as Template, then start every new draft from that file.
- Use Heading styles, not bold text, so editors and journals can read your structure.
- Dictate first drafts with Home > Dictate in Word, and check names and terms before you move on.
- Check your build under Word > About Word, and read Microsoft's known-issues page before you trust a missing feature.
- Lazur explains, points, guides and drafts text while you work in Word. It does not click buttons or edit files for you.

Most writers do not need a new word processor. They need a file that stays clean at book length, a template that does not change under them, and a fast way to get the first draft down. Word for Mac can do all three. The default settings suit a letter. They do not suit a manuscript, so the first job is to change them.
Set up one clean file before you write
Start with the file, not the words. Open a blank document. Set the page size, margins, font and line spacing. Add your running header and page numbers. Then save the file as a template, so every new chapter or article starts from the same settings. You stop fixing margins at midnight that way.
Save a template in Word for Mac
- Open the document with the settings you want. Check the styles and headers first.
- Choose File > Save as Template from the menu bar.
- Type a name you will understand later, such as Novel draft or Journal article.
- Open the Where menu to choose a folder. Leave the default if you are unsure.
- Pick the standard (.dotx) type for normal use. Pick the macro-enabled (.dotm) type only if you use macros.
- Click Save. Open the .dotx file any time you want a fresh copy of the template.
Keep one template for each kind of writing. A novel, a grant report and a journal article need different styles and page layouts. Mixing them in one file creates a document that fights you on every edit. Name each template for the job it does, so you can find it fast.
| Writing job | Template type | What to set first |
|---|---|---|
| Novel draft | Standard (.dotx) | Chapter heading style, running header, page numbers |
| Journal article | Standard (.dotx), one per journal | Heading styles that match the author guide |
| Grant report | Standard (.dotx) | Section headings, page breaks, table styles |
Find where Word keeps your templates
Word keeps user templates in a default folder inside your Library. The full path is ~/Library/Group Containers/UBF8T346G9.Office/User Content/Templates. To jump there in Finder, press ⇧⌘G, paste the path, and press Return. Save a copy of that folder before you edit anything inside it.
To move the folder, open Word > Preferences. Go to Personal Settings > File Locations. Choose User templates, click Modify, and enter the new path. Pick a folder that your backup tool already watches. Then test the change with a new template before you rely on it.
What to do when Microsoft templates disappear
One Microsoft Q&A thread describes a hard afternoon. A Mac user lost all the Microsoft templates after changing a privacy setting. The accepted answer says Microsoft templates from a subscription are not installed locally on Mac, unlike older releases. The fix in that thread is to check Word > Preferences > Privacy > Manage Connected Experiences. The original poster confirmed that setting was the cause.
That thread dates from 2021 and covers an older Word, so the setting names may differ on your screen. Do not change privacy settings at random. Note the setting before you change it. Then open a new document from a template and see whether the templates return. If they do not, check your own template folder next.

Use styles so formatting follows the rules
Writers who type bold headings by hand pay for it later. A journal or publisher wants a clear structure. Heading 1, Heading 2 and body text give that structure to Word and to the editor. If your headings are styles, one change updates every heading in the file. Open the Styles gallery from the Home tab and right-click a style to modify it.
Here is a worked example. You write a feature article with several sections, and each section has subheads. Set the section titles to Heading 1 and the subheads to Heading 2. Then turn on the navigation pane from the View menu. Every heading becomes a line you can click. You can also drag a section up or down in that pane, which beats cutting and pasting for a long draft.
A common mistake is pressing Return twice to make space between paragraphs. Empty paragraphs break page layout as soon as the editor changes the font or the page size. Set the space before or after a paragraph in Format > Paragraph instead. Use the same method in every chapter.
Dictate a first draft without typing all of it
Dictation helps when ideas come faster than you can type. Word for Mac has Dictate on the Home tab. Click Dictate, speak, and click it again to stop. Speak in short chunks, one paragraph at a time, then read it back. Long takes produce long errors that are hard to find.
Check the requirements before you plan around Dictate. A third-party guide says Dictate needs a reliable internet connection. The same guide says Microsoft's Dictate troubleshooting requires an active Microsoft 365 subscription. It also says on-device recognition is not documented. We could not open Microsoft's own Dictate article, so treat those claims as unverified until you check Microsoft's pages.
Names are the weak spot. Character names, place names and technical terms come out wrong, and they repeat in every paragraph. Fix each one once. Keep a short list of them in a separate note, so you can check the spelling before a final read.
Where a voice assistant fits when you write in Word
Lazur runs beside Word on your Mac. Hold ⌥ ⌘ and ask about anything on screen. Lazur answers out loud. If you ask where something is, Lazur draws a circle and a label around it. That saves you from hunting through menus. Hold fn to dictate clean, formatted text at the cursor in any app.
Lazur does not click buttons or edit your file for you. It explains, points and guides. When you ask how to do something, Lazur guides you one click at a time and waits for each click. It can also draft and type text. You keep control of the file, the edits and the save. That split suits writers, because the voice on the page should still be yours.
How to ask Lazur while you work in Word
- Name the screen you are on. Say Track Changes or the Styles pane, so Lazur looks in the right place.
- Say the outcome, not the menu. Ask how to make a heading style, not where a button sits.
- Ask for one step at a time when you learn a new feature. Lazur waits, so you do not lose your place.
- Ask Lazur to explain an editor's comment on screen. It reads what it sees, then explains in plain words.
- Add names and terms to your personal dictionary once, so dictation spells them the same way every time.
Track changes and comments without losing them
Editors send changes back in Word, so you need Track Changes to see who changed what. Turn it on from the Review tab. Accept or reject each change there. Reply to comments in the margin, where the editor can see the thread. Keep the comment history in the same file when you can.
A frequent mistake is editing a copy with Track Changes off. Your edits then look like the editor's original text. Turn Track Changes on before you touch the text. Check the Review tab if the document looks unmarked after a round of edits.
Format for a journal or publisher faster
Formatting costs writers more time than most expect. In a PLOS ONE survey of academic first authors, reformatting alone delayed resubmission by over two weeks for 60 of 118 resubmitted manuscripts. Those authors wrote scientific papers, not books, so the numbers describe academic work. The pattern still fits any writer who must meet a house style.

Release notes for Office for Mac (Microsoft Learn)Most of that time went to online requirements, such as entering contact details and disclosures. Most respondents spent less time readjusting references. For a writer, that means the forms cost more than the citations. Plan the forms for the last week, not the last hour.

- Get the author guide or template from the target journal before you write the final draft.
- Set your styles to match that guide, then check headings and body text in the navigation pane.
- Keep one master file. Save a copy for each journal with the journal name in the file name.
- Paste text with Edit > Paste Special and choose the plain text option, so old formatting does not come along.
- Keep a note with contact details and disclosure wording, so you can fill in forms once.
Check your Word build and known issues
Start with the version. Open Word > About Word and read the build number. Microsoft's release notes list 16.114.3 (26102720) as the latest Word for Mac build, dated Oct 27, 2026. The 2026 entries describe quality and performance improvements. The September 16 and October 14 releases also include security fixes.
Next, check the known-issues page. It shows problems Microsoft has fixed and problems still open. The table below reflects the page as we read it. Check it again if a bug matters to your deadline.
| Known issue | Status on Microsoft's page |
|---|---|
| Formatting lost when coauthoring | Listed as fixed |
| Equation Editor fails to open or convert expressions | Listed as fixed |
| Footnote numbers change unexpectedly | Listed as fixed |
| Printing problems on macOS from Word, Excel or PowerPoint for the web | Listed as open |
| Documents that do not render as expected | Listed as open. Microsoft's workaround: save as PDF to an online location, which converts it to .docx |
One entry needs your attention. Microsoft describes a reduced functionality mode that began July 13, 2026. Microsoft 365 subscribers on macOS can open and print files, but cannot edit, save or create new ones. Non-subscription Office 2021 or Office 2019 users on Mac are covered too.
That page was last updated in July 2026. Confirm the current status before you rely on it. If you hit the limit, check your license and your build first, then contact Microsoft support.
Common mistakes writers make in Word on Mac
- Typing headings in bold instead of applying styles. Editors and journals cannot see the structure.
- Saving over the master file. Use File > Save As and add the date or the journal name.
- Editing a template without a backup. Copy the .dotx file first.
- Dictating names without checking them. Spelling errors repeat in every paragraph.
- Working on a copy with Track Changes off. The editor then cannot see what you changed.
- Ignoring the build number. A bug Microsoft lists as fixed can still show up on an older build.
A short checklist before you send a draft
- Headings are styles, not manual bold text.
- Press ⌘F to search for double spaces and stray empty paragraphs.
- Track Changes is on or off the way the editor asked.
- Comments are answered or resolved in the margin.
- The file name shows the journal or the draft version.

What to do next
Pick one template and one routine this week. Save the template. Turn your headings into styles. Then test dictation on a single page and check the names. Questions people ask
Do I need Microsoft 365 to use Word for writers on Mac?
Not every feature needs the same license. A third-party guide says Dictate needs an active Microsoft 365 subscription. We could not confirm that on Microsoft's own page. Microsoft's known-issues page also covers non-subscription Office 2021 and Office 2019 users on Mac. Check your license before you plan a deadline around any feature.
Where are Word templates stored on a Mac?
The default folder is ~/Library/Group Containers/UBF8T346G9.Office/User Content/Templates. To change it, open Word > Preferences, go to Personal Settings > File Locations, choose User templates, and click Modify.
Why did my Microsoft templates disappear?
A Microsoft Q&A thread from 2021 linked the problem to a privacy setting. The accepted answer points to Word > Preferences > Privacy > Manage Connected Experiences. That thread covers an older Word, so compare the names on your screen before you change anything.
Does Lazur write my manuscript for me?
Lazur can draft and type text when you ask. It does not click buttons or operate your document for you. You decide what goes into the book, and you make the edits and the save.
Does Lazur work on Windows?
Not yet. Lazur runs on macOS, on both Apple silicon and Intel Macs. Windows is planned, but it is not available.
Can Lazur see my document all the time?
Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer your question, and they are not stored. Content is never used to train AI models.
Which Word for Mac version should I use?
Use the latest build you can. Microsoft's release notes list 16.114.3 as the latest Word for Mac build, dated Oct 27, 2026. Check your own build under Word > About Word.
