Gmail for recruiters on Mac: scheduled sends, templates and follow-ups with Lazur
Gmail for recruiters on Mac means using Gmail in Safari or Chrome, with the built-in tools that save the most time on candidate email. Scheduled send, Templates and keyboard shortcuts cover most of the daily routine. Lazur adds voice help while you stay in that Gmail window.
You say“Where is the schedule option for this email?”
Lazur · points at itLazur draws a circle around the small arrow next to Send and labels it. You click the arrow yourself, then choose the scheduling option.
Quick answer
- Scheduled send handles one-time sends. Click the small arrow next to Send, then choose the scheduling option.
- Templates are off by default. Turn them on under the gear icon > See all settings > Advanced.
- Gmail limits one email to more than 500 recipients and more than 500 emails a day. Hitting it pauses sending for 1 to 24 hours.
- Candidates reply less when several teams contact them. Pin's data shows first-touch replies falling from 14.45% to 5.55%.
- Lazur answers by voice, points at the right control and drafts text. It does not click buttons or send email for you.

How Gmail works on a Mac for recruiters
Most recruiters open Gmail in Safari or Chrome on a Mac and keep the tab open all day. That is the setup this page covers. Every menu path and shortcut below works in a browser window on macOS. Pin the Gmail tab so it sits at the left edge of your window and stays one click away. For the wider picture, see recruiter tools on Mac.

Passive Candidate Outreach in 2026: The Saturation Report, PinEmail takes a real share of the workday. DeskTime's logged-data study covered over 10,000 US productivity-software users, mostly knowledge workers and not recruiters. It found an average of 27.23 minutes a day on email, or 8.62% of work time. A recruiting day mixes outreach, follow-ups, interview scheduling, status updates and rejections. Gmail's built-in tools handle much of that routine, if you know where the settings are.
Scheduled send for recruiters: one-time sends from Gmail
Scheduled send holds an email and sends it at a time you pick. It suits candidates in another time zone, Monday follow-ups written on Friday, and messages you want to land during the candidate's working hours. Gmail allows up to 100 scheduled emails. It is one-time only, so each message needs its own schedule.
- Write the email in Compose. Add the To line, the subject and the body.
- Click the small arrow next to Send.
- Choose the scheduling option, then pick a date and time.
- Check the time zone shown. Gmail sends based on the time zone you schedule in.
- Open the Scheduled folder to see the queue. Cancel send moves a message back to drafts.
Here is a worked example. You interview four engineers on Friday afternoon. Write four short thank-you notes that afternoon. Schedule each one for Monday morning in the candidate's time zone. Gmail sends each note at its scheduled time, and you spend the week on other work.
What scheduled send cannot do
- No recurring send. A weekly check-in needs a reminder or a Calendar event.
- No bulk personalization. Each message still goes out one at a time.
- No reliable delivery signal. Gmail does not clearly tell you whether a candidate read the email.
- The limit of 100 applies to scheduled emails, so clear the Scheduled folder when it fills up.

Gmail templates for recruiters on Mac: setup and insert steps
Templates save a message you send often, such as a first outreach or a rejection. They are off by default. They work only in Gmail on a computer, not in the Gmail mobile apps. Turn them on once, then keep a small library of messages you reuse every week.
- Click the gear icon in the top right.
- Choose See all settings.
- Open the Advanced tab.
- Click Enable next to Templates.
- Click Save Changes at the bottom of the page.
- Click Compose and write the email. Leave the To line blank.
- Click the three dots at the bottom of the compose window.
- Hover over Templates and choose Save draft as template.
- Give it a name you can scan later, such as Outreach, senior engineer.
- Open a new compose window, or click Reply on a candidate thread.
- Click the three dots and hover over Templates.
- Select the template. Check the To line and the first sentence before you send.
Google does not publish a template cap. A third-party guide cites about 50 saved templates per account as a rule of thumb. Take a rejection template as an example. Build it with a short thank-you, one line on the decision and an offer to keep the candidate in mind. Insert it, change the name and the role, then read the first line before you send.
Gmail sending limits recruiters hit: 500 recipients and 500 emails a day
Google sets two limits that recruiting work can hit. An email with more than 500 recipients triggers the limit. So does sending more than 500 emails in one day. Gmail then shows the error You have reached a limit for sending mail. Sending usually resumes within 1 to 24 hours.
| Limit | Google's figure | What to do |
|---|---|---|
| Recipients in one email | More than 500 triggers it | Send to fewer people per message, or send individually |
| Emails sent in one day | More than 500 triggers it | Spread outreach across the day and use scheduled send |
| Lockout after hitting it | Usually 1 to 24 hours | Stop sending, do not retry, and queue the rest for later |
Google suggests sending to a Google Group address when you have many recipients. That suits a hiring panel or an internal team list. It is not a way to push one cold message to a long list of candidates. Keep candidate outreach personal and small enough to read as personal.
The usual mistake is pasting a long candidate list into Bcc. The batch fails, the account locks for hours, and the rest of your outreach waits. Split the list into batches that stay well below 500, and schedule the batches across the day.
New accounts and bulk senders: what else changes your limits
A new Google Workspace account has a tighter cap. HeroHunt's 2026 recruiting guide says new accounts are capped at 500 external recipients a day until the account has paid at least $100. It notes that this can take up to 75 days. The same guide advises against sudden jumps in volume, so ramp up gradually.
Google's bulk sender rules apply to senders who send more than 5,000 messages a day to Gmail accounts. Google asks you to keep spam rates in Postmaster Tools below 0.10%, and to avoid a rate of 0.30% or higher. Most recruiters never send at that volume. If you do run a large campaign, use a tool built for bulk sending instead of a personal Gmail account.
Gmail keyboard shortcuts on Mac for recruiting email
Gmail shortcuts do nothing until you turn them on. Open Settings > See all settings, find the Keyboard shortcuts section, choose Keyboard shortcuts on, and click Save Changes. On a Mac, Gmail uses ⌘ where Windows uses Ctrl.
- ⌘+Enter sends the email you are writing.
- ⌘+Shift+C opens the Cc field.
- ⌘+Shift+B opens the Bcc field.
- ⌘+K inserts a link into the message.
- ⌘+; jumps to the next misspelled word. It is a Mac-only shortcut.
A batch session is where shortcuts pay off. Send with ⌘+Enter as you finish each reply. Open Cc with ⌘+Shift+C only when a hiring manager needs to see the thread. Use ⌘+; to catch misspelled candidate names before they leave your outbox.

Recruiter follow-up email in Gmail: why replies drop
Candidates get a lot of recruiting email, and replies fall as more teams reach the same person. Pin's 2026 saturation report looked at more than 3.1 million first-touch outreach events from October 2025 to September 2026. When one team had reached a candidate in the prior 90 days, first-touch reply rates were 14.45%. At 10 or more teams, they fell to 5.55%.
| One team in 90 days | 14.4 % |
|---|---|
| 10 or more teams | 5.5 % |

Read these numbers with care. Pin can see only outreach sent through its own platform, so its counts are lower bounds. It counts any non-automatic inbound message within 30 days as a reply. It leaves out bounces, auto-replies and LinkedIn connection requests. Email reply rates fell from about 12% to under 5% across the same buckets. LinkedIn fell from about 30% to under 12%.
For your own follow-ups, the practical move is to check before you write. A candidate who heard from another team in the last 90 days needs a different first line, or a pause. A short follow-up with one clear question often reads better than a fresh pitch.
Check whether another recruiter already emailed a candidate
Search Gmail before a first note. Type the candidate's name in quotes, add newer_than:90d, and press Return. For example, type "jordan lee" newer_than:90d. That shows mail from the last 90 days that mentions the name.
Your own mailbox shows only your mail. A colleague's outreach will not appear in your Sent folder. If your team uses a shared label or a shared inbox, search there too. Ask in the team channel before you write to someone a colleague already contacted.
Edge cases: reply-all, bounces and attachments
Reply-all on a candidate thread can add a hiring manager or another recruiter without you noticing. Check the To and Cc fields after you write the first line, not before. A bounce comes back as a failure notice in your inbox. Pin excludes bounces from its reply counts, so a bounced address is not a sign of interest.
Attachments cause the most rework. Templates do not reliably keep them, and a resume link can point to the wrong version. Upload the file to Drive, set the link to the right sharing level, and paste the link into the body. Then open the link yourself before you send.
Dictate candidate emails on Mac with fn, and save snippets
Hold fn to dictate. Lazur turns your speech into clean, formatted text at the cursor, in any app, including the body of a Gmail message. Dictation suits the first draft of a rejection or a long status update. Read every line before you send, because speech tools can mishear a candidate's name.
Two other tools help with repeat work. The personal dictionary holds names and terms dictation gets wrong, such as a surname or a niche software name. Snippets hold blocks you paste often, such as your availability or a scheduling link. Clipboard slots keep a few copied items ready for the next message.
- Hold fn and dictate the first draft into the Gmail body.
- Fix any name dictation missed, then add it to the personal dictionary.
- Save the closing paragraph as a snippet for the next message.
- Click Send yourself, or use the small arrow next to Send to schedule it.
Where Lazur fits in Gmail, and what it does not do
Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥⌘ to ask about anything on screen, and Lazur answers out loud. It sees the screen only while you hold the shortcut. Ask where something is, and it draws a circle and a label around it. Ask how to do something, and it guides you one click at a time, waiting for each click. There is more on email by voice if that is your main need.
- Points at the arrow next to Send, the Templates menu or any other control.
- Answers out loud, so you can ask what a long candidate reply wants without rereading it.
- Drafts text you ask for, and types it where you point.
- Does not click buttons, edit files or send email for you.
- Is not a plugin or add-in for Gmail or any other app.
Mistakes recruiters make with Gmail on Mac
- Pasting a long candidate list into the To line. The sending limit then blocks the rest of your day.
- Trusting Templates to hold attachments. Use a Drive link instead.
- Scheduling in the wrong time zone. Check the time zone shown before you click schedule.
- Leaving keyboard shortcuts off, then wondering why ⌘+Enter does nothing.
- Sending a template without reading the first line. The last candidate's name can stay in the text.
Most of these come from rushing. Slow down on the To line, the time zone and the first sentence. Those three checks take seconds.
A weekly routine for recruiting email in Gmail
- Start the week by scheduling that week's follow-ups in one sitting.
- Answer replies during the day with dictation, then send after a read-through.
- Check the Scheduled folder before the end of the day and cancel anything out of date.
- Review Templates once a week. Copy the text out of any template you plan to delete, since deleted templates cannot be recovered.
Start with one change this week. Turn on Templates, save one rejection message, and schedule one follow-up. Add dictation once that works, then add shortcuts. Small steps keep the inbox under control. If you want to compare plans, see the pricing page.
Questions people ask
Is there a Gmail app for Mac that recruiters should use?
Most recruiters use Gmail in Safari or Chrome on a Mac. The menu paths and shortcuts on this page work in either browser. Pin the Gmail tab so it stays one click away during the day.
Can I schedule a recurring email in Gmail?
No. Scheduled send is one-time only, and each message needs its own schedule. For a weekly check-in, set a reminder in Apple Reminders or add a Calendar event.
Why can't I see Templates in Gmail on my Mac?
Templates are off by default. Click the gear icon, choose See all settings, open the Advanced tab, click Enable next to Templates, then click Save Changes. Templates work only in Gmail on a computer, not in the mobile apps.
What happens if I hit Gmail's sending limit?
Gmail shows the error You have reached a limit for sending mail. Sending usually resumes within 1 to 24 hours. Stop sending, do not retry, and queue the rest for later.
How many recipients can one Gmail email have?
Google's limit triggers when one email has more than 500 recipients, or when you send more than 500 emails in a day. For a hiring panel or internal list, Google suggests a Google Group address.
Does Lazur send candidate emails for me?
No. Lazur does not click buttons or operate other apps for you. It points, guides, answers out loud, and drafts and types text. You review the message and press Send yourself.
Does Lazur connect to Gmail directly?
No. Lazur is not a plugin or add-in for Gmail or any other app. It works from what is on your screen while you hold the shortcut.
Is Lazur available on Windows?
No. Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, but it is not available.
