Gmail for customer success managers on Mac: templates, scheduled sends and voice help

Gmail on a Mac is the Gmail website, opened in a browser you already use. For customer success managers, the features that save the most time are templates, scheduled send, mail merge and keyboard shortcuts. This guide shows how to set each one up on a Mac, which limits will catch you out, and where Lazur fits in when you want voice help.

Hi Dana, thanks for the call today. Onboarding is on track, and I want to make sure your team has what it needs for the next step. Could you tell me which part feels slowest right now? Once I hear back, I will send the updated plan. Thanks again.

Quick answer

  • Gmail on a Mac runs in your browser. The sources we checked show no separate Gmail program for macOS.
  • Templates and scheduled send live in desktop Gmail. Templates do not work on mobile.
  • Mail merge needs an eligible Google Workspace plan and shares a 1,500 daily total with regular email.
  • Lazur sees your screen while you hold ⌥ ⌘, points at controls and guides you one click at a time. It does not click for you.

Gmail on a Mac is a browser app, not a separate program

Open Gmail in the browser you already use, sign in, and you are ready. Google does not offer a separate Gmail program for macOS in the sources we checked. Every setting in this guide lives inside the Gmail page. That matters for one reason. The mobile apps leave several features out, and you will need the bigger screen for the rest.

Most of a customer success manager's day runs through the inbox. You send check-ins, chase signed paperwork, share onboarding steps and recap calls. Each of those jobs has a Gmail feature that cuts the typing. The sections below go through them in the order most CSMs need them.

Why email takes so much of a CSM's day

Customer success teams talk a lot about admin work. In its 2023 survey, Secret Lives of CSMs, Vitally asked CSMs how they spend their time. 66% said they spend a significant part of their working day on repetitive administrative processes. 63% said they wish they had more time for client engagement.

Vitally does not state the sample size, so treat these numbers as a signal, not a benchmark. The same survey found 72% of CSMs want parts of their job automated. Of those, 58% picked administrative tasks first. Admin is the part of the job that Gmail features can take over.

Here is what that admin looks like in your inbox. You type the same renewal reminder again this month. You paste onboarding steps into a new thread. You forget the security questionnaire until the customer asks. Templates, scheduled send and mail merge target those chores directly.

Set up templates for the emails you send every week

Templates save a message you reuse, then drop it into a new email in one step. Google says you can only turn them on and use them from Gmail on your computer. The steps do not apply on mobile, so set them up at your desk.

To turn them on, go to Settings > See all settings > Advanced > Templates, then choose Enable. Open a new message and click More options. Choose Templates to create, overwrite, insert or delete a template from there. Start with a few templates, not a full library.

  1. Open Settings > See all settings > Advanced.
  2. Under Templates, choose Enable.
  3. Write a message you send often, such as a renewal reminder.
  4. Click More options > Templates in the compose window, then create a template from it.
  5. Next time, insert the template and change only the parts that differ.
Templates worth keeping for a CSM inbox

Renewal reminderA renewal date is getting closeRenewal term, invoice contact
Check-in after go-liveThe customer's first real use of the productMetrics you discussed, next step
Churn risk follow-upUsage drops or a champion leavesMeeting offer and one short question

A good template has fixed parts and blank parts. Keep the greeting, the reason for the email and the next step the same every time. Change the name, the date and one sentence about the customer's goal. That one sentence keeps a template from sounding like a form letter.

Schedule sends so customers hear from you at the right time

Scheduled send holds a message until the time you pick. On desktop Gmail, write the message, click the down arrow next to Send, and choose Schedule send. You can hold up to 100 scheduled emails at once.

Time zones cause most of the trouble. Gmail sends based on the time zone you select when you schedule. A message may leave a few minutes after the time you chose. If your customer works in another region, set the time zone on purpose before you confirm.

To change a scheduled message, open the Scheduled folder, select the message and click Cancel send. Gmail turns it back into a draft. Edit the draft and schedule it again. Cancelling does not send anything, so you can fix a typo without a second email going out.

A common mistake is to schedule a message, then delete the whole thread to fix it. Use the Scheduled folder instead. You keep the history and the draft, and nothing goes out early.

Mail merge for personal check-ins to a list of customers

Mail merge sends one message to many people, and each person sees their own name. Next to the To line, click Use mail merge. Merge tags include @firstname, @lastname, @fullname and @email. Mail merge needs an eligible Google Workspace plan. Google's help page does not list standard personal Gmail accounts.

Here is a worked example. Say you have a renewal notice for every account due next month. Put the names and email addresses in a spreadsheet. Write the body with a tag, such as Hi @firstname, your renewal date is coming up. Send a test to your own address first, then send the real list.

Keep merge tags out of the subject line. Tags do not work in the subject line or in hyperlinked text. Put the customer's name in the first sentence of the body, where it shows first.

  • Mail merge is capped at 1,500 recipients per day, and regular email counts toward the same total.
  • You cannot use it for replies, forwards, scheduled sends, confidential mode or plain-text messages.
  • You cannot add Cc or Bcc recipients when you use a spreadsheet.
  • You cannot send from a secondary domain or from an alias you own.

The list shows what mail merge is for. It is for a one-time message to many people. It is not a way to answer a thread that already exists. Use a regular reply for that, or insert a template.

Gmail sending limits that catch CSMs by surprise

The limit depends on your account type. Google's Gmail limits page lists personal accounts at 500 emails sent in a day and 500 recipients in a single email. Google Workspace allows 2,000 messages per user per day. Mail merge sits under that total at 1,500.

Gmail sending limits by account type, from Google's help pages
LimitPersonal GmailGoogle Workspace
Emails sent per day5002,000 per user
Recipients per email5002,000 across To, Cc and Bcc, with 500 external
Recipients per dayNot listed on the page we checked10,000 total, with 3,000 external
Mail merge per dayNot eligible1,500, shared with regular email

The count runs on a rolling 24-hour window. Once you hit a limit, you cannot send for up to 24 hours. You can still receive mail during that time. Aliases, delegated users and vacation responders all count toward the total.

That last point catches teams. If a colleague sends from your account while you are away, those sends use your quota. Google also says limits can change without notice, so check the admin help page before you plan a large send.

Keyboard shortcuts for a faster Gmail on Mac

Shortcuts only work after you turn them on. Go to Settings > See all settings > Settings > Keyboard shortcuts, choose the option to turn them on, and save the change at the bottom of the page.

  • ⌘ Enter sends the message you are writing.
  • / jumps to the search box, so you can find a thread by customer name.
  • m mutes a conversation, so replies stop filling your inbox.
  • ⌘ ; jumps to the next misspelled word before you send.

Mute is the shortcut to learn first. Internal threads with many replies can bury a customer reply. Mute the noise, and the replies from your customers stay visible.

If a shortcut does nothing, check two things. First, confirm the shortcuts setting is on. Second, make sure your cursor is not in a text box, where letter keys just type letters.

Dictate call recaps and replies by voice

Hold fn to dictate. Lazur turns your speech into clean, formatted text at the cursor, in any app. You can dictate straight into a Gmail reply. You can also dictate into a notes app first and paste it in once you have read it.

Dictation fits best right after a call. Speak the decisions, the owners and the next steps while they are fresh. Then read the recap once, fix anything that sounds off, and send it before the details fade.

Names trip up most dictation. Add customer names, product names and internal terms to your personal dictionary. Store the sign-off you type every day as a snippet, so it appears in one step. Clipboard slots hold the links you paste most often.

Where Lazur fits in your Gmail workflow

Lazur is a voice assistant for the Mac. It lives in the notch. Hold ⌥ ⌘ to ask about anything on screen, and Lazur answers out loud. It listens and looks at your screen only while you hold the shortcut. It does not click buttons or operate other apps for you.

Ask where something is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time, waiting for each click. That helps in Gmail, where the menus go several levels deep and the right option is easy to miss.

Privacy works this way. Audio and the screenshot go to AI providers to answer you, and they are not stored. Content is never used to train AI models. Lazur keeps a memory of what you asked and did, on your Mac.

Ask Lazur out loud while you work in Gmail

You do not need a special phrase. Speak the way you would to a coworker sitting next to you. Lazur uses what is on screen to answer. These are the questions that come up most in a CSM's inbox.

  • Where is the Schedule send arrow?
  • How do I turn on templates?
  • Why did this mail merge stop?
  • Explain what the More options menu holds.
  • Draft a short check-in reply to the thread on screen.

Lazur can misread a crowded screen, especially when it is full of threads. If it circles the wrong control, say so and ask again. Then look at the menu yourself before you click, because you are the one who clicks.

Gmail changes often, so check the screen in front of you

Gmail changes more often than most tools a CSM uses. Mailbird sells a competing desktop email client, so read its article with that in mind. It says Google retired the Basic HTML view in February 2024. It also says AI features, such as Help Me Write and AI Inbox, began rolling out in January 2026.

Menu names can differ by account, plan or rollout date. If a menu in this guide does not match your screen, search the Gmail help page for the feature name. Follow the steps Google shows you, and treat this guide as a map, not a script.

Apple Mail and other clients with a Workspace account

Some CSMs prefer Apple Mail on the Mac. Google's admin help page on third-party clients says Microsoft Outlook and the mail app on macOS are no longer supported for Workspace accounts. The same page lists Apple Mail 9.3 or later as an OAuth-supported option.

From May 1, 2025, Workspace accounts can no longer sign in to apps with only a username and password. OAuth is required. If your IT team manages the account, ask them first. Do not assume a mail app will carry over templates, scheduled send or mail merge, because those features live in the Gmail web app.

Common mistakes CSMs make in Gmail

  • Scheduling a message without checking the time zone, so it lands at a strange hour for the customer.
  • Running a mail merge on the full list before a test send to your own address.
  • Looking for templates on your phone. Templates work only on the computer.
  • Deleting a template to tidy up, then finding out it cannot be recovered.
  • Expecting mail merge to answer a thread. It cannot send replies or forwards.
  • Sending a big batch late in the day, then waiting out the rolling 24-hour limit.

Each mistake costs time that the feature was meant to save. Fix the setup once, and the next send gets easier.

A sample week of Gmail work for one CSM

Here is one way to spread the work across a week. Adjust it to your accounts and your time zones. The point is to match each job to the feature that handles it.

A sample week for one CSM. Adjust it to your accounts.
DayGmail taskFeature to use
MondaySend check-ins to accounts that went live last weekTemplates
TuesdaySchedule renewal reminders for a customer in another time zoneScheduled send
WednesdaySend the monthly update to a list of accountsMail merge
ThursdayMute internal threads and clear your customer repliesKeyboard shortcuts
FridayDictate call recaps and send them before you log offDictation with fn

Notice the Wednesday merge. It counts toward your daily total, so leave room for replies that land the same day. Notice Friday too. Dictating the recap right after calls means the notes are fresh when you send them.

Next steps for this week

  1. Turn on templates and create a few, starting with onboarding and renewals.
  2. Turn on keyboard shortcuts, then learn ⌘ Enter and m first.
  3. Check your Workspace plan and your daily sending total before you plan a mail merge.
  4. Try Lazur for voice help in Gmail. The free trial starts when you first open the app, and it needs no credit card.
