Gmail for realtors on Mac: templates, scheduled send and Lazur for faster client replies

Gmail for realtors on Mac runs in your browser, and a few settings do most of the work: templates, scheduled send, Undo Send and keyboard shortcuts. Lazur adds voice help on top, so you can ask where a setting is or dictate a reply without leaving the thread.

Draft at your cursor

Hi Maria, thanks for reaching out. You are confirmed for a showing at the Alder Street listing on Saturday afternoon. I will send the exact time and parking notes once I confirm with the owner. Reply here if anything changes. Best, [your name]

Quick answer

  • Gmail on a Mac runs in a browser. Templates work only in the computer version, so set them up at your Mac.
  • A scheduled email cannot be edited in place. Cancel send, change the message, then schedule it again.
  • Undo Send covers only 5, 10, 20 or 30 seconds after you send. Do not count on it to recall a message.
  • Shortcuts stay off until you turn them on. On a Mac, Ctrl becomes Command (⌘).
  • Lazur points, guides, dictates and drafts. It does not click Send, so you still check every reply.

What realtors ask Lazur in Gmail

Hold ⌥ ⌘ in Gmail and say it.

  • “What is this person actually asking me for?”

Hold ⌥ ⌘ and ask. Lazur answers out loud from what is on screen, so you can skip rereading the whole thread.

Gmail on a Mac: the browser version you will use

Most realtors open Gmail in a browser on their Mac. Google's help pages describe Gmail on a computer, and this guide follows that version. Google's help material does not describe a native Gmail app for Mac, so plan on a browser tab. Keep it in its own window. That way your active client threads stay in view while you work in other apps.

Some of the most useful Gmail features only exist on the computer. Templates are one of them. Google says templates are available only in Gmail on a computer. If you answer leads from your phone at a showing, your saved replies will not be there. Set up your templates at your Mac, then use the phone for quick checks.

Set up Gmail templates for repeat client replies

Templates are saved replies. Google's help pages call them templates, though older guides call them canned responses. You turn them on once. Then you save any draft as a template and insert it again later. Here is the path, step by step.

  1. Click the gear icon in the top right of Gmail, then choose See all settings.
  2. Open the Advanced tab and click Enable next to Templates.
  3. Scroll down and click Save Changes.
  4. Click Compose, write a reply you use often, then click More options at the bottom of the compose window.
  5. Choose Templates > Save draft as template, and give it a name you will recognize.

Insert a template the same way. Open Compose, click More options, then choose Templates and pick the one you need. The template text lands in the body of your email. Read it before you send. Placeholders in brackets, such as the property address or the showing time, need your attention.

Start with the messages you type most. For most realtors that means a reply to a new lead who wants a showing, a showing confirmation, a feedback request after a visit, and a check-in for past clients. Google's help does not say which templates other agents use, so treat this list as a starting point.

Google's template page does not state a limit on how many templates you can save, or how long each one can be. Test with your longest message first. Then insert it into a draft to check the formatting before you rely on it.

Schedule send for evenings and early mornings

Scheduled send holds an email and sends it later. On a computer, click the down arrow next to Send, then choose Schedule send. Pick the date and time, then confirm. Gmail may send the email a few minutes after the time you set. Do not schedule a message for the exact minute it must land.

The time zone matters more than most people expect. Gmail uses the time zone you select when you schedule. A realtor who works from Denver and sends to a buyer in Boston should check the zone before confirming. Otherwise a morning send can land at the wrong hour for the client.

You cannot edit a scheduled email in place. Open the Scheduled folder, select the email, and click Cancel send. The email becomes a draft. Make your changes, then schedule it again. Forgetting that last step is an easy mistake. The message then sits in Drafts and never goes out.

Gmail allows up to 100 scheduled emails at one time. That limit is plenty for a weekend of open house follow-ups, lined up on Friday afternoon. Keep the list short enough that you can check it before a trip.

  • Scheduling a reply, then forgetting to cancel it when the buyer calls with news.
  • Missing the time zone, so the email lands at the wrong local hour.
  • Cancelling to edit, then leaving the email in Drafts without rescheduling.
  • Expecting a scheduled email to go out at the exact minute you chose.

Undo Send: the short window and what it cannot do

Undo Send gives you a short window after you send. You can set that window to 5, 10, 20 or 30 seconds. Go to Settings > See all settings, pick a period next to Undo Send, then click Save changes. Pick 30 seconds if you send quickly from your Mac all day. A longer window gives you more time to catch a wrong attachment or a wrong name.

Undo Send is not recall. Google's Undo Send page covers only the short window after sending. It does not say whether a message can be pulled back after that. Do not plan around recall. If a price or a date must not go out by mistake, use scheduled send and review it before the send time.

Turn on Gmail keyboard shortcuts on a Mac

Shortcuts are off until you turn them on. Go to Settings > See all settings, select Keyboard shortcuts on under the Settings tab, then click Save Changes. On a Mac, Ctrl on a PC becomes Command (⌘). Google also lists a Mac-only shortcut for jumping to the next misspelled word.

Three letters do most of the work for inbox triage. Press c to compose a new email. Press r to reply. Press e to archive the thread. These work only when shortcuts are on. Not every keyboard or language supports them, so test them before you rely on them during a showing.

  • c: compose a new email
  • r: reply to the thread you have open
  • e: archive the thread you have open
  • ⌘ ;: jump to the next misspelled word on a Mac

Auto-reply filterFilter with search criteria, Send template checkedMatches every future email that fits.

The auto-reply filter deserves caution. A filter sends your template to every future email that matches its criteria. Test with narrow criteria, such as one sender or one exact subject line, before you widen it. A broad filter can answer a vendor, a lender and a client with the same message.

Where Lazur fits into a Gmail day

Lazur is a voice assistant that lives in the notch of your Mac. You hold a key and talk. Lazur sees your screen, points at things, answers out loud and helps you get the work done in any app. It is not a plugin or an add-in for Gmail, and it does not click buttons for you. The Gmail page covers the inbox side in more detail.

Hold ⌥ ⌘ to ask about anything on screen. Ask where Undo Send is, and Lazur draws a circle and a label around it. Ask how to turn on templates, and Lazur guides you one click at a time, waiting for each click before it moves on. You do the clicking. Lazur shows you where.

Hold fn to dictate. Clean, formatted text lands at your cursor in any app, so you can talk a reply into the compose window instead of typing it. Dictation is included with Lazur. Lazur can also draft text and type it when you ask.

A showing request, handled from start to finish

Here is a realistic evening. A lead writes late and asks whether a showing can happen Saturday afternoon at the Alder Street listing. You want to confirm, but you are off the clock. Open the thread and hold ⌥ ⌘. Ask what the person is asking for. Lazur answers out loud, so you do not have to reread the whole message.

Next, ask Lazur to draft a short confirmation that names the listing and the time. Read it. Fix any detail that does not match your calendar. Then schedule the reply for the morning, in the time zone you are in. Scheduled send keeps the message out of your evening, and you can still cancel it if the lead calls back.

Last, ask Lazur to add the showing to your calendar and set a reminder to check for a reply on Friday. Lazur handles Calendar events and Apple Reminders by voice. You still send the email yourself. Lazur does not press Send. Keep that rule and the process stays under your control.

The names and the address in this example are invented. Your steps will differ if you use a different template, a different time zone or a shared inbox.

What Lazur sees, and what stays on your Mac

Lazur listens and looks at your screen only while you hold the shortcut. When you ask a question, the audio and the screenshot go to AI providers so they can answer. The audio and the screenshot are not stored. Content is never used to train AI models. Lazur keeps a memory of what you asked on your Mac.

For a realtor, the screen is the risk. A buyer's bank details, a seller's financial statement or a Social Security number may sit in the thread you are reading. Before you hold the shortcut, close that part of the message or move the window. Ask Lazur only about what you are willing to share.

How much email a realtor handles, and where the time goes

Email volume is the reason these settings matter. SaneBox's 2025 analysis, as cited by Bounti, found top-producing agents can see 2,000 emails on a normal day and 800 on a quiet one. Bounti is a vendor, so read those numbers as a signal, not a census. The Mailbird 2025 survey of more than 250 professionals, cited by eXp Solutions, found 40% receive 61 to 200 emails a week.

Time is the other side. The same eXp article cites 10.8 hours a week lost to unproductive email management in that survey. That figure covers professionals in general, not agents. Atlassian's 2025 survey, as cited by Bounti, gives an average of 300 emails a week for workers in general. Use these as rough context, then count your own week.

Scheduled emails Gmail allows at one time, per Google's scheduling help page

Google Help: Schedule emails to send (desktop)

UC Irvine research, cited by Bounti, says knowledge workers switch apps 566 times a day. It puts the refocus time after an interruption at 23 minutes 15 seconds. That is not agent data. It still explains why a clean inbox beats a long reading session. Batch your replies, then close the tab.

Bounti describes a common pattern. Agents open an email, feel its weight, and move on without answering. The inbox grows, and the reply gets later. A template and a scheduled send break that loop. You can answer in one pass, then move on.

Mistakes realtors make with Gmail on a Mac

  • Counting on Undo Send after the window closes. Google's page does not say a sent message can be recalled.
  • Sending a template with a bracketed placeholder still in it, such as an address.
  • Scheduling a reply, then forgetting to cancel it when the deal changes.
  • Expecting templates on your phone. Google says they work only on a computer.
  • Setting an auto-reply filter so broad that it answers the wrong people.
  • Opening emails, feeling behind, and leaving them unanswered for another day.

Most of these come down to one habit. Decide what happens to each email as you open it. Reply now, schedule it, add a reminder, or archive it. An email you open and leave untouched is the one that causes trouble.

Next steps for your Gmail setup

Start with the settings. Turn on templates and keyboard shortcuts, then set Undo Send to the longest window you can live with. Those two changes take a few minutes and cost nothing to undo.

Next, write your first templates from messages you already send. Use brackets for anything that changes. Test one scheduled send to yourself, so you learn how the time zone behaves before a client depends on it.

Then add Lazur for the moments when you cannot find a setting or need a reply in your own words. Hold ⌥ ⌘ to ask where something is. Hold fn to dictate. The trial needs no credit card, and current prices sit on the pricing page. Ready to try it? Download Lazur for Mac.

Questions people ask

Is there a native Gmail app for Mac?

Google's help pages do not describe a native Gmail app for Mac. Most people use Gmail in a browser on their Mac, and the steps in this guide work in that browser version. Check Google's help site for new options before you change settings.

Can I use Gmail templates on my iPhone?

Google's template help says templates are available only in Gmail on a computer. Set them up at your Mac, then use your phone for quick replies that do not need a template.

How do I undo a sent email in Gmail?

Undo Send works only during the short window you set in Settings > See all settings. You can pick 5, 10, 20 or 30 seconds. Google's page does not say whether a sent message can be recalled after that window closes, so do not count on recall.

Can I edit a scheduled email in Gmail?

Not in place. Open the Scheduled folder, select the email, and click Cancel send. The email becomes a draft. Make your changes, then schedule it again so it goes out.

Does Lazur send my emails for me?

No. Lazur does not click buttons or operate other apps for you. It guides, points, answers out loud, dictates and drafts text. You read the message and send it yourself.

What does Lazur see when I ask about an email?

Lazur listens and looks at your screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models. Close sensitive details before you ask.

Is Lazur a Gmail add-in?

No. Lazur is not a plugin or add-in for any app, and it has no partnership with any app maker. It works in other apps because it sees your screen while you hold the shortcut.

Why do my Gmail keyboard shortcuts not work?

Shortcuts are off until you turn them on in Settings > See all settings. Some keyboards and languages do not support them. On a Mac, Ctrl becomes Command (⌘).

Does Lazur work on Windows?

Not yet. Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, not available.
