PowerPoint for Investor Relations Officers on Mac: Earnings Decks and Setup in 2026
PowerPoint for investor relations officers on Mac covers earnings decks, investor presentations and board updates built in PowerPoint for Mac. The work is mostly reuse: master slides, footers, a clean template and a Presenter view that works on the room screen. Lazur is a voice assistant for the Mac that helps with those steps while you work, and it does not click buttons for you.
You say“Why does my second screen show the same slide as my laptop?”
Lazur · walks you through itLazur points to System Settings > Displays and waits while you turn off Mirror Displays. Then it points at Slide Show > Presenter View.
Quick answer
- Fix the slide master first. Set fonts, colors, logo and footers once, then save the file as a template.
- On a Mac, Presenter view needs a second display with Mirror Displays turned off.
- Microsoft's Q&A moderator said Compare is not in PowerPoint for Mac. Check current feature pages before you rely on it.
- Lazur points at menus, explains steps one click at a time and dictates text at the cursor. It does not edit your deck for you.

Researches in the background · PowerPoint
Most investor relations work in PowerPoint is repetition with edits. The earnings deck, the investor presentation and the board update come back every quarter. Few of them get built from scratch. You copy last quarter's file, update the numbers, fix the footers and send it to legal. This guide covers that cycle on a Mac, in PowerPoint for Mac from Microsoft 365.
The workload is real. NIRI and Korn Ferry ran a survey from May to July 2024. It drew 429 responses from about 3,000 corporate practitioners. Nearly 80% of respondents said they manage responsibilities beyond investor relations. If that describes your week, the deck is one task among many. Reuse matters more than fancy design.

Start with the slide master, not the slides
The slide master holds your fonts, colors, logo placement, footers and layouts. Every slide in the deck inherits from it. Change the logo on the master, and every slide follows. Change it on slide 14 only, and you will miss it on the rest. Fix the master first. Then build the slides.
On a Mac, open View > Slide Master. The top master slide sets theme fonts and colors. Each layout beneath it sets how one slide type looks, such as title, chart or table. Microsoft's Mac steps say to use Insert Slide Master to add a second master. A common setup is one master for the investor presentation and another for the board deck. Choose Close Master when you finish.
Tutorials drift. Windows calls the exit step Close Master View. On Mac, the step is Close Master. Older Mac versions of PowerPoint 2016 used View > Master. If a guide tells you to click something you cannot find, check which platform and version it was written for.
Set the page size before you place content
Change the slide size before you build. Resizing after content is placed can shift objects and break alignment. On Mac, use Slide Size > Page Setup to change orientation. Microsoft's Mac steps do not describe a Custom Slide Size dialog, so look at the Slide Size menu on your own build before you assume an option is missing. Widescreen is the usual choice for projected decks.
Footers, disclaimers and the forward-looking statement
Every page usually needs the same footer. That often means the company name, the date, a page number and a short legal line. On a Mac, set footer text through Slide Size > Page Setup > Header/Footer. Microsoft's Mac steps do not describe a per-layout footer control, so check the result by eye. Look at a title slide, a chart slide and an appendix page before you call it done.
Put the forward-looking statement on a master or on the first content page. Do not paste it into a text box on each slide, because copies drift. Have counsel approve the exact wording before the final file goes out. A 2014 NIRI earnings call practices survey found 37% of companies involve in-house counsel in developing the call script, and 71% have counsel review it. The survey is from 2014 and gives no respondent count, so treat it as directional.
How much time IR teams spend, and what that means for your deck

Investor Relations Presentation Template: 10 Picks for 2026 (Homebase CRE)A 2021 practice report found North American senior IR managers spent an average of 38 days in total on investor relations in the past year. That was three days more than in 2020. The findings were presented at NIRI 2022. The number covers all IR work, not only decks, so it does not tell you how long one earnings deck takes. Track your own hours for two quarters. That will beat any survey for planning.
Japan's Financial Services Agency, citing Investor Relations Association survey data, found 80.7% of surveyed listed companies used investor-facing earnings presentation materials in 2026. That is up from 78.3% in 2025. The figure reached us secondhand through a roundup, so confirm it against the original before you quote it.
Build a template you can reuse every quarter
A template saves more time than any single shortcut. Once the master and layouts are right, save the file as a template. On Mac, use File > Save as Template. Name it by purpose, such as Earnings deck master, not final v3. Keep one clean copy that nobody edits, and work from duplicates.
- Duplicate last quarter's file and rename it with the quarter and the event.
- Open View > Slide Master and confirm the master, footers and logo before you touch any content.
- Replace figures one chart and one table at a time, then check each number against the source file.
- Run Presenter view on the real display once before the call.
- Save as a new template only after legal and disclosure review are complete.
Presenter view on a Mac with one screen or two
Presenter view needs a second display. Microsoft's steps say to turn off Mirror Displays in the macOS Displays settings, under Arrangement, so the desktop is extended. Then choose Slide Show > Presenter View. The Swap Displays control sits at the top left of the Presenter view window if the screens end up on the wrong sides.

Mirroring is the mistake that costs the most. If Mirror Displays stays on, the room can end up seeing your presenter screen, with notes and the next slide. Turn it off before you walk into the room. Microsoft's Mac article assumes a second display and lists no single-monitor option. On a laptop alone, rehearse in the slide show window and test the real room screen early.
Check the file before it goes to legal or the board
PowerPoint for Mac does not have the Compare feature. A Microsoft Community moderator said so on February 10, 2025, and that answer was not marked as accepted. Check Microsoft's current feature pages before you rely on it. For a line-by-line check, ask IT whether a Windows PC is available, or export both versions to PDF and compare page by page.
PowerPoint for Mac also changed how it handles SVG graphics. On March 10, 2026, in version 16.107, it stopped rendering and saving a PNG fallback for each SVG in .pptx files. A recipient on an older app may see a logo differently than you do. Before a board packet goes out, send a test copy to a colleague on another version, or use PNG logos if you want a fixed image.
Copilot editing in PowerPoint on Mac: what your license needs
Microsoft added Edit your document with Copilot in PowerPoint on May 12, 2026, in version 16.109. It lets you create, edit and refine presentations with natural language. Microsoft says it keeps formatting and branding. It requires Microsoft 365 Copilot (Basic). Check your license before you plan a workflow around it.
Microsoft also says Microsoft Copilot (Premium) for PowerPoint connects to your brand kit, applies branded templates, inserts brand-approved images and checks brand compliance. Treat any AI edit like a first draft from a junior analyst. Check every figure against the source, and check that the disclaimer survived the edit.
Keep PowerPoint for Mac current
The latest PowerPoint for Mac build in Microsoft's release notes is 16.114.3, dated October 27, 2026. Microsoft lists it with quality and performance improvements only. The 16.114 entry, dated October 14, lists no feature changes. Open PowerPoint's Help menu and check for updates before a big deck week. Mismatched builds can make a shared file look different on each screen.
Dictate speaker notes and script lines with fn
Hold fn to dictate clean, formatted text at the cursor in any app. Dictation is unlimited on both of Lazur's paid plans. Use the personal dictionary for ticker symbols, product names and executive names, because general speech recognition often misses them. Use snippets for the standard disclaimer line, and clipboard slots for approved sentences you paste into several places.
Dictation is fast for speaker notes. It is risky for numbers. Say a figure out loud, and the transcript may be close but wrong. Read every dictated number back against the source before it reaches a slide or a script. Dictate the sentence around the number, then type the number yourself.
What Lazur does in PowerPoint, and what it does not
Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ to ask about anything on screen. Lazur draws a circle and a label around the thing you ask about, and it answers out loud. Ask how to do something, and it guides you one click at a time, waiting for each click before the next step.
Lazur does not click buttons, edit files or operate other apps for you. It is not a plugin or add-in for PowerPoint or any other app. Lazur has no partnerships with any app maker. You still make every change. Lazur tells you where the control is and what it does.
Privacy before you ask about an unreleased deck
Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models. Still, unreleased results can be material non-public information. Check your company's policy before you show them to any AI tool, Lazur included.

Mistakes that cost IR teams time
- Editing slides one by one when the fix belongs on the master.
- Leaving Mirror Displays on, so the room sees your presenter screen.
- Assuming Compare exists in PowerPoint for Mac.
- Dictating a figure and skipping the read back against the source.
- Saving copies named final, final2 and never keeping one clean template.
- Sending a board packet without a test copy on an older build.
