Gmail for property managers on Mac: faster tenant, owner, and vendor email with Lazur

Gmail for property managers on Mac runs in your browser at mail.google.com. We did not find an official Google Gmail app for macOS, so the browser tab is your Gmail. Set it up once with templates, labels, Undo Send, and a clear view of sending limits, and the daily email gets faster. This page shows how, and where Lazur helps by voice.

Quick answer

  • Gmail on a Mac is the web app at mail.google.com. We found no official macOS app from Google.
  • Turn on templates under Settings > See all settings > Advanced. Templates work only on the web, not in the mobile apps.
  • Use labels and a star filter so owner approvals do not get buried under tenant mail.
  • Know the limits. A standard Workspace account gets 2,000 messages per day and 500 external recipients per message.
  • Lazur helps by voice in the same window. It points, guides, and dictates. It does not click or send for you.

Why property managers live in Gmail on a Mac

Most property management runs on email. Tenants report repairs and ask about keys, renewals, and noise. Owners approve spending and ask about fees. Vendors send invoices, tax forms, and insurance certificates. All of it arrives in one inbox, and that inbox sits in a browser tab on your Mac most of the day.

Mailbird's guide to property management email lists the same kinds of traffic. It names tenant repair requests, key and renewal questions, and complaints. It adds owner approvals, fee questions, and lease exceptions. Then vendor scheduling, invoices, and insurance certificates. That is vendor marketing, not research. But it matches what most managers describe.

Gmail on a Mac is the web app. Open mail.google.com in Chrome, Safari, or another browser. We did not find an official Google Gmail app for macOS. Some guides suggest installing Gmail from Chrome as an app. We could not verify that route, so treat it as optional.

Set up the Gmail tab so it helps you

Give Gmail its own browser window. Keep it apart from shopping, news, and personal tabs. When you glance at the screen, you want tenant and owner mail, not a sale banner.

  • Pin the Gmail tab. Right-click the tab and choose Pin. It stays put when you close other tabs.
  • Turn on keyboard shortcuts. Go to Settings > See all settings > Keyboard shortcuts, then choose Keyboard shortcuts on.
  • Set Undo Send before you need it. The steps are in the Undo Send section below.
  • Create labels for owners, vendors, and urgent work. Do this before the inbox gets busy.
  • Check the From field before you reply to an owner. The address you send from matters.

Turn on Gmail templates for repeat messages

Templates save more time than any other Gmail feature for this job. A template is a saved message you reuse. Fill in the name, the date, and the amount, then send. You stop retyping the same maintenance acknowledgment every week.

Turn templates on once. Google's Workspace help page gives this path: Settings > See all settings > Advanced > Templates > Enable > Save Changes. Each step matters. If you skip Save Changes, the setting does not stick.

  1. Click the gear icon at the top right, then click See all settings.
  2. Open the Advanced tab and find Templates.
  3. Choose Enable.
  4. Click Save Changes at the bottom of the page.

How to create a Gmail template on Mac

Write the message the way you want it to read. Put placeholders in brackets where details change, such as [Tenant name], [Unit], and [Date]. Brackets are easy to spot before you send, so you do not miss one.

Click New message, then More at the bottom of the compose window. Choose Templates > Save draft as template > Save as new template. To change an existing template later, pick it under Overwrite Template instead.

The templates to build first for a property portfolio

Start with the messages you send most. Missive's property management template guide covers application replies, move-in welcome notes, maintenance acknowledgments, late-rent reminders, lease renewal offers, and move-out steps. You do not need all of them on day one. Begin with the ones that cover your busiest week.

Starting set adapted from Missive's property management template guide. Change the details for your state and your leases.
TemplateSend it whenInclude
Maintenance acknowledgmentA tenant reports a repairWhat you received, who will look at it, and when they get the next update
Owner approval requestA repair needs money from the ownerWork order, quoted amount, vendor, and the reply deadline
Vendor visit confirmationA vendor books a visitAddress, unit, time window, access notes, and who meets them
Late-rent reminderRent is past dueAmount due, due date, how to pay, and your late fee policy
Lease renewal offerA lease is close to endingNew rent, term length, and the response deadline
Move-out noticeA tenant gives noticeInspection date, deposit steps, and a forwarding address request

Write each template for the common case first. Then add one short line for the odd case. A template with many optional paragraphs is slow to edit, and people stop using it.

Labels and filters so owner mail is not buried

Mixed traffic is the problem managers name most. A tenant complaint sits above an owner's approval request, and the owner waits for a reply. Mailbird lists owner approvals buried in mixed traffic and wrong-sender replies as common pain points. Test those claims against your own inbox.

Create a label for each group, such as Owners, Vendors, and Tenants. Labels work like folders you can scan at a glance. Then add a filter for owner addresses, so their mail lands in the right place without you sorting it by hand.

  1. Click the arrow at the right end of the Gmail search bar.
  2. Type the owner's address in the From field.
  3. Click Create filter.
  4. Tick Apply the label and choose Owners. Tick the star option if approvals need to stand out.
  5. Tick Also apply filter to matching conversations if you want older owner mail sorted too.

Sending limits that stop bulk notices

Google Workspace limits how much you can send. These limits matter when you send one notice to every tenant in a building or portfolio. Google's admin help lists 2,000 messages per day for a standard account, 1,500 for mail merge, and 500 for trial accounts. The count runs over a rolling 24-hour period.

Sending block after a Workspace user exceeds limits, while receiving mail still works

Recipients have limits too. One message can go to 2,000 recipients in total, and only 500 of them can be external. A standard account can reach 10,000 recipients per day. Mail merge drops that to 1,500 per day.

Exceed a limit and Gmail shows an error, often 'You exceeded the maximum recipients.' You cannot send new messages for up to 24 hours. You still receive mail and can still use other Google services. That is a bad afternoon, so plan bulk notices early.

A worked example: one water leak from first email to closed ticket

A tenant emails early on a Monday about water under the kitchen sink. Here is how the thread moves with templates, labels, and Lazur. Each step takes a minute or less once the templates exist.

  1. Send the maintenance acknowledgment template. Fill in the name, unit, and what you received. The tenant knows you saw it.
  2. Label the thread Tenants and star it, so it stays visible until the plumber visit is booked.
  3. If the repair needs owner money, send the owner approval template. Include the work order, quoted amount, vendor, and reply deadline.
  4. After approval, send the vendor visit confirmation to the plumber with the unit, the time window, and access notes.
  5. Send the resolution follow-up to the tenant. Ask them to confirm the leak is fixed.
  6. Move the vendor invoice thread to Vendors, and archive it once it is paid.

Notice where the time goes. Most of it is typing the same sentences again. Templates cut that. Lazur helps when you need to find an earlier thread or check what a tenant is asking, without leaving the window.

Undo Send and wrong-sender replies

Right after you send, Gmail shows an Undo option at the bottom left. Click it to pull the message back. The window is set under See all settings. You can choose 5, 10, 20, or 30 seconds.

Pick 30 seconds. The longer window means a short wait before the message leaves. It gives you time to catch a wrong owner, a wrong unit number, or a pasted name. The Undo Send guide shows the steps for Gmail in the browser and Apple Mail.

Wrong-sender replies are a separate problem. Check the From field before you send a reply to an owner. If you manage several portfolios from one login, the wrong address is easy to pick.

Where email still wins with tenants

Tenants still reach you by email. The 2024 NMHC and Grace Hill Renter Preferences Survey covered 172,703 verified renters. Respondents overwhelmingly preferred email, even for setting up tours and non-emergency maintenance requests, according to Multifamily Dive. The article is dated 2023 and names the 2024 report, so cite it with care. It gives no percentage, so do not quote one.

Email suits the written record. A tenant can reread a deadline. An owner can forward an approval to a partner. Keep the first two lines of each message full of facts, and keep one thread per problem.

Dictation for longer replies

Long owner updates take time to type. Hold fn and speak. Lazur's dictation writes clean, formatted text at the cursor in any app, including Gmail in the browser. Dictation is unlimited on both plans.

Set up the personal dictionary once. Add unit numbers, street names, and vendor names so they come out right. Snippets handle the sign-offs you type all day. Clipboard slots keep a lease clause or a policy line ready to paste into a reply.

Where Lazur fits in your Gmail routine

Lazur is a voice assistant for the Mac that lives in the notch. Hold ⌥ ⌘ to ask about anything on screen, and Lazur answers out loud. Ask where a thread is, and it draws a circle and a label around it. Ask how to do something, and it guides you one click at a time.

Lazur does not click buttons, edit files, or operate other apps for you. You press Send yourself. Lazur drafts and types text, but the final click stays with you. That suits email, where a wrong reply to an owner is hard to take back.

Things to say to Lazur while you work in Gmail

Speak plainly and name the thing you mean. Lazur sees the screen, so you can point at a thread by its subject line or its sender. These are the kinds of requests a property manager makes from the Gmail tab.

  • Lazur, what is this tenant asking me to do?
  • Lazur, where is the owner approval for the HVAC bid?
  • Lazur, walk me through making a late-rent template.
  • Lazur, draft a vendor visit confirmation for Tuesday morning.
  • Lazur, look up the notice rules for a rent increase in my state and summarize them.
  • Remind me Friday afternoon to check on the lease renewal.
  • Add a unit walkthrough to my calendar for Thursday morning.

A simple daily routine for Gmail and Lazur

Start the day with the urgent and owner labels, not the full inbox. Clear anything with a deadline first. Reply to tenants with templates. Save longer questions for dictation. End by checking that nothing you promised is still sitting in drafts.

  1. Open the Urgent label and answer anything with a deadline.
  2. Read the Owners label and send approvals or questions.
  3. Work through Tenants with templates, and dictate longer replies.
  4. Review Vendors for visit confirmations and invoices that need a reply.
  5. Set a reminder for anything that waits on someone else.

Common mistakes property managers make in Gmail

  • Sending a bulk notice as one message without counting recipients. Check the limits first.
  • Assuming a template works on your phone. Google says templates work only on the web.
  • Putting owner approvals in the same label as tenant complaints.
  • Leaving the Undo Send window at its shortest setting.
  • Replying from the wrong address. Check the From field before you answer an owner.
  • Building one giant template. Short templates get used, long ones get skipped.
  • Trusting a filter to send a template. Filters have no template action.

Edge cases to plan for

Some mail should not live only in Gmail. Legal notices, signed leases, and eviction paperwork need their own record. Save a copy in your property management system or a document folder, and note the date you sent it. Gmail is a good place to talk about those documents. It is a weak place to keep them alone.

Shared access needs care too. If two people answer the same inbox, agree on which label each person owns. Otherwise two people reply to the same leak. Labels carry that agreement, but only if everyone uses them.

Reply-all threads cause trouble. Before you reply to a thread with an owner and a tenant on it, check the To and Cc lines. A private detail about one tenant should not reach the whole list.

What to do next

  1. Turn on templates under Settings > See all settings > Advanced > Templates.
  2. Write two templates, one for maintenance and one for owner approvals.
  3. Create an Owners label and a filter for each owner's address.
  4. Set Undo Send to 30 seconds.
  5. Try Lazur on one real thread and see what it points at.

Questions people ask

Is there an official Gmail app for Mac?

We did not find an official Google Gmail app for macOS. Gmail on a Mac runs in your browser at mail.google.com. Some guides suggest installing it from Chrome as an app. We could not verify that route, so check Google's help before you rely on it.

Do Gmail templates work in the iPhone app?

No. Google's help page says email templates are available only in Gmail on the web. The Gmail mobile apps do not offer them. Build your templates on your Mac, then use them from the browser.

Can a Gmail filter send a template automatically?

Not with the actions we checked. Google's filter help lists archive, delete, star, forward, and send to a label. It does not list a template action. Use filters to sort mail and templates to reply.

How long can I undo a sent email in Gmail?

Set the Undo Send window under See all settings. You can choose 5, 10, 20, or 30 seconds. Click Undo at the bottom left right after you send.

What happens if I hit the Gmail sending limit?

On a Google Workspace account, Gmail blocks new sends for up to 24 hours. You can still receive mail and use other Google services. Plan bulk notices so you stay under the daily and per-message limits.

Does Lazur read my inbox all the time?

No. Lazur listens and looks at your screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer you. They are not stored, and content is never used to train AI models.

Does Lazur send email for me?

No. Lazur does not click buttons or operate other apps. It can draft and type text, point at things, and guide you one click at a time. You press Send yourself.

Do I need Lazur to follow this page?

No. Templates, labels, filters, Undo Send, and the sending limits all work in plain Gmail. Lazur is an extra for the moments when you want voice help in the same window.

Are the Gmail steps the same on a personal account?

Not guaranteed. The menu steps here come from Google's Workspace help page. Consumer accounts may show the same settings, but check your own screen, and look for the closest name if a menu moved.

Is Lazur available on Windows?

Not yet. Lazur runs on macOS, on both Apple silicon and Intel Macs. Windows is planned, not available.
