Gmail for mortgage loan officers on Mac: templates, Undo Send, and voice help with Lazur
Gmail for mortgage loan officers on Mac means running Gmail in a browser or as a Safari web app, then using the tools that move borrower email faster. Those tools are templates, Undo Send, scheduled send, and confidential mode. Lazur adds voice help on top, so you can ask where a setting is or have a reply drafted without leaving the message.
You say“Draft a reply asking for recent bank statements. Keep it short and friendly.”
Lazur · drafts itLazur types the draft into the message body. You read it, edit it, then press ⌘ Enter to send.
Draft at your cursor
Hi Jordan, thanks for the update. Could you send your most recent bank statements for each account listed on the application? A PDF is fine. Thanks, I appreciate it.
Quick answer
- Make Gmail a Safari web app on macOS Sonoma 14 or later with File > Add to Dock.
- Turn on templates under Settings > See all settings > Advanced, because templates work only in Gmail on a computer.
- Set Undo Send to 30 seconds, and leave slack before any scheduled send that protects a deadline.
- Confidential mode turns off copy, paste, download, print, and forward for recipients, but they can still take a screenshot.
- Lazur points, guides, explains, and drafts text by voice. It never clicks for you, and you still press send.

If you already keep Gmail open in a browser tab, that works. A tab gets lost under spreadsheets, lender portals, and loan systems, though. This page covers a Safari web app setup, the Gmail features that save time on loan files, and where Lazur helps while you work. Read it in order if your Mac is new to this. Skip ahead if your templates already work.
Set up Gmail as a Safari web app on your Mac
Safari web apps need macOS Sonoma 14 or later, according to Apple. A web app turns a website into its own window with its own Dock icon. Gmail in its own window is easier to find when you switch between your loan system, your pipeline, and your calendar. Safari saves the app to the Applications folder in your home folder.
- Open Safari and go to mail.google.com. Sign in to the work account you use for borrowers.
- Choose File > Add to Dock. You can also click the Share button and choose Add to Dock.
- Type a name, such as Gmail Loans, then confirm.
- Open the new app from the Dock or from the Applications folder in your home folder.
The web app runs the same Gmail as the browser, so every feature in this guide works in both places. Google's help pages describe the computer version of Gmail, not a Mac menu layout. Menu names can shift after a Gmail update, so use the paths here as a starting point and check what you see on screen.
Turn on Gmail templates for borrower messages
Templates save the emails you send again and again. Missing documents, rate lock check-ins, appraisal updates, and closing timelines show up on file after file. Google says templates work only in Gmail on a computer. Your phone cannot use them, so set them up at your desk. Google also says there is no numeric limit on how many templates you can save.
Enable templates in Settings
- Click the gear icon in Gmail, then choose See all settings.
- Open the Advanced tab.
- Find Templates, then click Enable.
- Scroll to the bottom and click Save Changes.
Save a draft as a template
- Write the email in Compose. Keep names and dates generic, so you can swap them later.
- Click More options, the button shown as dots at the bottom of the compose window. Choose Templates > Save draft as template > Save as new template.
- Name the template and save it.
- To insert it later, open a new message, then choose More options > Templates and pick the template.
Pick names that say what the template is for. Missing docs, Lock check-in, and Appraisal update are easier to find than Draft copy. A clear name matters more once you have a dozen templates in the list.
| Template name | Use it when | Change before you send |
|---|---|---|
| Missing documents | A borrower has not sent a requested file | Document names and the due date |
| Rate lock check-in | A lock date is getting close | Lock expiry date and the lender deadline |
| Appraisal update | A client asks where the appraisal stands | Appraisal stage and next step |
| Closing timeline | The file moves to a new stage | Closing date and who signs |
A worked example: the missing statements email
Say a borrower sent most of the file, but the bank statements for the down payment are still missing. Open the thread and click Reply. Then choose More options > Templates and insert your missing documents template. Change the borrower's first name, list the statement months, and read the email once out loud. Then send it. A template saves the wording, but you still check the facts.
Undo Send and scheduled send for borrower email
Undo Send gives you a short window to pull back a message after you press send. Google lets you set that window to 5, 10, 20, or 30 seconds. For loan work, choose 30 seconds. A wrong rate or a wrong borrower name is easier to fix in that window than in a second email.
To change it, open Settings > See all settings > Undo Send. Pick the time, then click Save changes. For the full steps, read how to undo send in Gmail on Mac.
Undo Send does not help after the window closes. The message has already gone out at that point, so a correction becomes a second email. Scheduled send covers messages that should land at a set time, such as a morning update to a borrower in another time zone.
The page Google publishes for scheduled send covers Android phones and tablets. It says you can have up to 100 scheduled emails. It also says a scheduled email may go out a few minutes after its time, based on the time zone where you scheduled it. Confirm the Mac steps inside Gmail before you rely on it.
Common scheduling mistakes
- Scheduling in one time zone and expecting the send at your local time. Google bases the send on the zone where you scheduled it.
- Forgetting that a scheduled email can land a few minutes late.
- Scheduling a rate figure before the lender has confirmed it.
- Scheduling a status reply after the borrower already called you back.
Find borrower documents fast with Gmail search
Borrowers send documents as attachments, and attachments pile up. Gmail search can narrow the list. Type has:attachment in the search bar to show mail with files. Add filename:pdf to limit results to PDF files. Add is:unread to see what you have not opened.
Combine them. A search for has:attachment filename:pdf from:borrower@example.com lists the statements one borrower sent. Replace the address with the sender's address. Once you find the file, save it to your loan system, not your desktop.
Confidential mode for borrower documents and personal data
Confidential mode lets you set an expiry date and a passcode on one email. It also turns off copy, paste, download, print, and forward for the recipient. Google's help page says recipients can still take a screenshot or a photo of the email. Treat confidential mode as one layer, not the whole plan for personal data.
- Click Compose in Gmail.
- Click the confidential mode toggle at the bottom of the compose window and turn it on.
- Set an expiration date from the drop-down menu.
- Choose a passcode option, then click Save.
- To cut access early, open the email from Sent and click Remove access.
Do not rely on the expiry date alone. Keep Social Security numbers and account numbers out of the email body when you can. Send them through the secure channel your lender or compliance team names.
Email rules for mortgage businesses under the FTC Safeguards Rule
The FTC Safeguards Rule lists mortgage lenders and mortgage brokers among covered financial institutions. It requires you to encrypt customer information on your systems and while it is in transit. If encryption is not feasible, alternative controls must be approved by your Qualified Individual. Ask your compliance lead what that means for your inbox.
The rule also sets a notice duty. If unauthorized people acquire unencrypted information for at least 500 consumers, you must notify the FTC. The notice is due as soon as possible and no later than 30 days after discovery. This is a summary of a general rule, not advice for your shop. Check with counsel.

Where Lazur helps in Gmail, and where it stops
Lazur is a voice assistant that lives in the notch of your Mac. Hold Option and Command together to ask about anything on screen. Lazur answers out loud. Ask where a setting is, and Lazur draws a circle and a label around it. Ask how to do something, and Lazur guides you one click at a time, waiting for each click.
- Find a setting such as Undo Send or Templates, and see where it sits.
- Ask what each confidential mode option does before you pick one.
- Draft a reply, which Lazur types into the message for you to check.
- Hold fn and dictate a longer reply at the cursor.
- Send a research job to Lazur's own Chrome tabs and get a summary and report back.
- Set a reminder for a follow-up call in Apple Reminders.
Lazur does not click buttons, edit files, or run other apps for you. You still press send. You read every line before it leaves your Mac. That is the right split for loan work, where a wrong figure costs more than a slow click.
Keep borrower data out of voice sessions
Lazur listens and looks at your screen only while you hold the shortcut. Audio and the screenshot go to AI providers so they can answer you. They are not stored. Content is never used to train AI models. A loan file on screen can still show Social Security numbers, account numbers, and income documents, so close those before you hold the shortcut.
Common Gmail mistakes on loan files
- Sending full loan files in the email body instead of through the channel your lender requires.
- Assuming templates work on your phone. Google says they work only on a computer.
- Deleting your best template before you copy its wording somewhere safe.
- Leaving Undo Send at 5 seconds, which gives little time to catch a wrong figure.
- Letting a borrower question sit because nobody owns the thread.
A vendor blog about mortgage lender communication lists the same pain points. It names ignored emails at deadlines, unreturned calls, missed follow-ups, conflicting information from team members, and handoffs between departments. The blog gives no survey for those points, so read it as a list of patterns, not a measure.

A quick checklist before you press send on a loan email
- Check the borrower's name and the property address against the file.
- Confirm every figure against the lender's latest version, not an older email.
- Remove account numbers and Social Security numbers from the message body.
- Read the subject line and make sure it names the loan stage.
- If you used a template, check the dates and the document names.
- Decide whether Undo Send, scheduled send, or confidential mode fits this message.
A template makes the first draft quick. These checks catch what a template cannot, such as a date that changed after you saved the wording. Keep the list short enough to run in your head each time.

What the public numbers say about loan officer work
The U.S. Bureau of Labor Statistics counted 283,000 loan officer jobs in 2025. Median pay was $76,690 a year, or $36.87 an hour, in May 2025. The bureau projects 1% growth from 2025 to 2035, which it calls slower than average. Most loan officers work full time, and some work more than 40 hours a week. The bureau gives no percentage for either.
Those numbers describe the job, not the inbox. No primary study measures how much time loan officers spend on email. A widely repeated hours-per-week figure traces to a consulting blog that names no source, so this guide leaves it out. If you want your own number, track your sent mail and calls for a few weeks.
Next steps for this week
- Add Gmail to your Dock as a Safari web app.
- Turn on templates, then save the messages you send most.
- Set Undo Send to 30 seconds.
- Try confidential mode on one email to a colleague you trust, then open it from Sent and remove access.
- Ask Lazur to walk you through any step that does not match your screen.
If your pipeline still lives in spreadsheets, see Excel for mortgage loan officers on Mac for pipelines and payment math. If your referral partners are realtors, Gmail for realtors on Mac covers a similar set of templates.
Lazur runs on macOS, on Apple silicon and Intel Macs. Windows is planned, not available. You can start with a Pro trial that needs no credit card. Check pricing for plans, or download Lazur to try it on your Mac.
Questions people ask
Is there a Gmail app for Mac?

Does the FTC Safeguards Rule apply to mortgage loan officers?
The FTC Safeguards Rule lists mortgage lenders and mortgage brokers among covered institutions. It requires encryption of customer information in transit. It also requires notice to the FTC within 30 days for certain events affecting at least 500 consumers. Ask your compliance lead how it applies to your firm.
Can I get back a deleted Gmail template?
Google says a deleted template cannot be recovered. Copy the wording into a note or your loan checklist before you delete it, so the best version stays available.
