Gmail for nonprofit fundraisers on Mac: templates, mail merge limits, and voice help
Gmail for nonprofit fundraisers on Mac runs in a browser, and most appeal and thank-you work happens there. Turn on Gmail templates, save the emails you send every week, and check Google's daily mail merge limits before a big send. Then ask Lazur for help while you work.
You say“Lazur, draft a thank-you reply to this donor. Mention the spring gift and the youth program.”
Lazur · drafts itLazur reads the donor's note on screen, then says a short draft out loud. Ask for a shorter version, and Lazur types the final text at your cursor.
Draft at your cursor
A three-sentence thank-you that names the donor, the gift, and the spring program, with one next step.
Quick answer
- Gmail on a Mac runs in a browser, and a Safari web app works if your Mac runs macOS Sonoma 14 or later.
- Templates live under Settings > See all settings > Advanced, and they work only on a computer.
- Workspace mail merge allows 1,500 messages and 1,500 recipients per day, so split long donor lists.
- Lazur explains what is on screen and types text at your cursor. It does not click Send for you.

Lazur adds an Apple Reminders item for Thursday, so the send stays on your list.
Handles the small stuff · Gmail
Most people on a Mac use Gmail in a browser tab. Safari and Chrome both work for appeals, thank-you notes, and donor lists. Google's help pages describe Gmail in a browser, and they do not point to a separate Mac app. Plan around the browser, then decide how the window sits on your screen.

Add Gmail to the Dock as a Safari web app
Safari can turn a website into a web app. Open Gmail, then choose File > Add to Dock. Apple's help page says this needs macOS Sonoma 14 or later. The web app shares no browsing history, cookies, website data, or settings with Safari. You sign in to Gmail again inside it.
This works well when Gmail is open all day. The window stays apart from your other tabs, so a donor list or a payment page never covers your inbox. If your Mac runs an older macOS, skip this step and keep Gmail as a regular Safari tab instead.
Turn on Gmail templates before your next appeal
Google calls these message templates. Some guides say canned responses, so search Settings for either word. Templates are the first thing to set up, because the filter steps below depend on them.
Google says you can only turn on and use message templates from Gmail on your computer. Your phone will not show them. Set them up on your Mac, and use them there.
- Open Gmail in your browser on your Mac.
- Click the gear icon, then choose See all settings.
- Click the Advanced tab.
- Find Templates, click Enable, then click Save Changes at the bottom of the page.
Write the templates your team sends every week
Start with the emails you copy and paste most. Write the clean version once, then save it. Click Compose > More options > Templates. Choose Save draft as template, then Save as new template. Give it a name you can find fast, such as Appeal reply or Gift thank-you.
Good first templates for fundraisers include these.
- A first-gift thank-you, with a blank spot for the donor's first name and gift date.
- A repeat-gift thank-you that names the program the money supports.
- A reply to a donor who asks about a tax receipt.
- A lapsed donor check-in, shorter than your standard appeal.
- A volunteer thank-you after an event.
When you improve a template, use Overwrite Template instead of saving a second copy. Two near-identical templates are easy to mix up when you are rushing. Keep one name for each job, and keep the list short enough to scan.
Set up a filter that sends a template automatically
A filter can send a template for you when an email matches its rules. Click the arrow at the right end of the search bar to open search options. Click Create filter, check Send template, choose your template, then click Create filter.
Filters match every email that fits their rules, including mail you did not expect. Start narrow. Search for a test address you control, check what the filter catches, then widen the rule only if the results look right. A broad filter can answer people who never asked a question.
Use automatic replies for simple confirmations, such as a receipt or a form acknowledgment. Keep personal gift conversations in your own hands. A donor who writes a long, specific note deserves a reply from a person.
Mail merge limits for donor lists
Mail merge sends one email to a list, with each recipient's details filled in. Google used to call the feature multi-send. Google's Workspace admin help sets the limits. Mail merge allows 1,500 messages per day and 1,500 total recipients per day.
Standard accounts get 2,000 messages per user per day. Trial accounts are capped at 500 messages per day. Google also sets wider limits for all sending, and they run over a rolling 24-hour period:
- 10,000 total recipients per day, across all mail.
- 3,000 unique recipients per day, with no more than 2,000 of them external.
- 2,000 recipients per message, with no more than 500 external.
Here is what that means in practice. A list longer than 1,500 donors will not finish in one mail merge day. Split it into two sends on two days, and send the most important group first. Google says limits can change without notice, so check the current page before a big appeal.
Some blogs list other numbers, such as 2,000 per day for mail merge or 3,000 unique recipients. Use Google's page as your reference. Workspace limits apply only to Workspace accounts, so check which account you send from before you plan a send.
Google Workspace Marketplace lists mail merge add-ons. Read each listing's permissions before you connect a donor list to one.
What donors say about the email they receive
BDI surveyed 1,008 evangelical Protestants in mid-2025. That sample is narrow, so read it as one group's view. Still, the numbers help you plan. 83% say at least some of the email they receive is a waste of their time. 8% say all of it is. 48% rate email from organizations they support as worthwhile.
Volume matters too. Evangelical donors get 5.8 nonprofit emails a week on average. Active donors get 8.8. Lapsed donors, with no gift in 12 months, get 2.7. Only 3% get 50 or more a week.
- Active donors get the most mail. Keep each note short and specific to their last gift.
- Lapsed donors get the least. Write a personal check-in, not a copy of your standard appeal.
- New donors need a thank-you soon after the gift, then one clear next step.

Read open rates with care
Open rates look better than they are. Bloomerang's guide says Apple Mail Privacy Protection inflates them. It puts reliable open rates at 25 to 29%, and it calls the 45 to 55% range inflated. Use open rates to spot trends. Judge a campaign by clicks and gifts.
Bloomerang also says campaigns should never go out from a Gmail, Yahoo, or Hotmail address. The guide gives no source for that claim, and Bloomerang sells a competing product. Check your own results before you change the address you send from.
Benchmarks to plan your appeal numbers
M+R's 2026 benchmarks report 2025 results from nonprofit email. Use these figures as a yardstick, not a target. Your list, your ask, and your timing shape your results more than any average does.
| Measure | 2025 figure | How to use it |
|---|---|---|
| Email revenue per subscriber | $2.40, up from $1.87 | Compare your list total to this average each year |
| Revenue per 1,000 fundraising emails | $54, up 4% from 2024 | Set your own figure beside this one |
| Click rate, fundraising email | 0.59% | Plan around this rate for appeals |
| Click rate, advocacy email | 2.3% | Measure advocacy asks separately from appeals |
Here is a simple check. Add up what your fundraising emails raised, and count the messages you sent. Divide the revenue by the messages, then multiply by 1,000. Put that figure next to M+R's $54 per 1,000 fundraising emails.
Mistakes fundraisers make with Gmail
- Editing a template in a draft and forgetting Overwrite Template, so the old wording stays put.
- Deleting a template to tidy up. Google says deleted templates cannot be recovered.
- Looking for templates on your phone. Google limits them to a computer.
- Starting a mail merge late in the day with a list bigger than the daily limit.
- Building a filter that matches your whole inbox.
- Reading open rates as proof that donors care.
- Trusting a blog's sending limit without checking Google's current page.
Where Lazur fits in your Gmail work
Lazur is a voice assistant for the Mac. It lives in the notch. Hold ⌥ ⌘ to ask about anything on screen, and Lazur answers out loud. Ask where a button is and Lazur circles it with a label. Ask how to do something and Lazur guides you one click at a time, waiting for each click.
For Gmail, that covers the settings path, the More options menu, and the filter steps above. Lazur does not click for you. Hold fn to dictate a reply at the cursor in any app. Snippets, a personal dictionary, and clipboard slots handle the phrases and names you repeat. See Lazur for Gmail for more.
Lazur listens and looks at the screen only while you hold the shortcut. Audio and the screenshot go to AI providers to answer, and they are not stored. Content is never used to train AI models. Check your organization's donor data rules before you paste a list anywhere.
Worked example: a thank-you run after a spring appeal
Here is a full run for a spring appeal, from start to finish. The first time takes longer. After that, the same steps repeat for each appeal.

- Clean the list. Remove duplicates, and remove anyone who asked not to get email.
- Split the list into active, lapsed, and new donors. BDI's numbers show each group gets very different volumes.
- Open Settings > See all settings > Advanced and confirm Templates is on.
- Use the first-gift template for new donors, and the repeat-gift template for active donors.
- Send each group in batches that fit the daily limit. Send the new donors first.
- Ask Lazur to draft one personal line for donors who gave again. Lazur types it at your cursor.
Keep each thank-you short. Name the gift, name the program, and give one next step. Put the most personal detail in the first line.
Undo mistakes and check the draft twice
Read each draft once for names and amounts before you send. A wrong name is easy to notice and hard to forget. If you sent the wrong message, see our guide on undoing a send in Gmail. The steps differ between the browser and Apple Mail, so start with the one you use.
Questions people ask
Is there a Gmail app for Mac?
Google's help pages describe Gmail in a browser. They do not point to a separate Mac app. In Safari, choose File > Add to Dock on macOS Sonoma 14 or later to keep Gmail in its own window.
